100% EVENT • Methodology We handle ALL aspects of an event. Because even the most creative concepts rely on a structured approach with fine attention to detail to ensure they achieve desired outcomes. From design phase, through actual production to post-event follow-up, 100% EVENT remains hands-on through it all. Here’s an overview of our proven event methodology:

• VISUALISE In this initial interactive stage, 100% EVENT, acting as consultants and drawing on our vast experience, will develop and define the strategic objective of the event, focusing on the creative, technical, operational, and financial process ensuring there is an accurate interpretation of the brief. With an in-house creative and design team, 100% EVENT is positioned to produce avant-garde, innovative event concepts that speak to the target audience. Concepts and designs will be outlined. Artwork developed. Project plans with timelines drawn up. Suppliers, location, technical requirements, entertainment, catering and hospitality, safety and security, gifting and manufacturing suggested. 100% EVENT will provide continuous reviews calibrated against the event objectives in order to keep this design phase on target.

• ORGANISE 100% EVENT considers planning the most critical component of the event management process. An initial risk assessment will be done, highlighting potential risk areas. Effective systems are then put in place to ensure all pertinent elements of the event are managed accordingly. A project plan with timelines will identify and track all key focus areas for the duration of the project. In addition, budgets are finalised, resources are allocated to the project and roles and responsibilities are defined. Partners are contracted, venues booked, transportation arranged, invitations are sent to guests, menus are finalised, entertainment is booked and the program, together with a safety and security plan, is agreed on. Constant updates are given to you, the client, at regular status meetings, ensuring you are kept informed every step of the way.

• SYNCHRONISE The 100% EVENT team consisting of an event manager, the full production team, a hospitality and logistics team as well as safety personnel will be on site to bring all of the elements together for a successful event. Load-in, set-up, sound checks, rehearsals and adjustments are made to completely satisfy your requirements. This is where our experience and attention to detail come together to deliver a flawless project.

PREPARATION OF CREATIVE PROPOSALS We will prepare a proposal based on the budget you are committed to invest in the event. The proposal will incorporate all aspects of the event production, including theme, entertainment, selected food and beverage services, venues, format, collateral, merchandising/gifting, photographers and videographers and the breakdown of your investment.

YOUR INVESTMENT Once the concept for the event has been approved, a detailed draft budget is presented for your perusal and confirmation. The budget will cover all aspects of the event and eliminate any surprises later. We will provide you with a total reconciliation on completion of your event.

RESEARCH & VENUE LIASON We are continually updated with newly opened venues, special offers and upgrades and will assist you in selecting the right venue for your needs at the right price.

MEDIA DESIGN & RSVP’ING We will design and manage your invitations and guest registrations, print menus and promotional material and ensure all deadlines are met. We can remove the RSVP process administrative burden and ensure a seamless invitation and response system by developing a guest communication plan, including event website for pre-and-post event communication. >>

We can liaise with existing facilities to ensure the maximum protection of your guests, delegates and VIP’s. All of our events have a Disaster Management Plan in place as required by law.

EVENT MANUAL We will provide you with a regular update of the Critical Time Path document – keeping you involved at all stages and with all aspects of the event planning process. On the day of the event, you will be given a Production Schedule detailing every aspect of the day. In this way we prevent any unforeseen “surprises”. We will have an event manual onsite with all local compliances and certificates to ensure a safe and legal event.
