This ebook has been quite a strange one to write - as I am writing this, the sun is shining, and has been doing so for the last week. In fact, yesterday was the hottest day of the year so far and yet here we are, having created an ebook solely dedicated to Christmas! Still, the sooner you start planning your Christmas party the better, as you will have more choice with regards to not only the dates and times, but the venue themselves, with deals to be had. 2014 has been a positive year, with the economy finally taking a turn for the better, and we had this in mind whilst creating this issue. We offer helpful (and fun!) information on the best alternative Secret Santa presents to buy your colleagues this year (because to be honest, isn’t everyone a bit bored of the generic bath gift set?), as well as suggestions on alternative Christmas party themes so you and your employees can celebrate in style. We’ve also had an insight into the goings-on of the Christmas parties at some of the world’s most successful companies – let me tell you, they’re pretty extravagant!

Planning the Perfect Christmas Party PLANNING THE PERFECT CHRISTMAS PARTY The Christmas party really is the event of the year – it’s the chance to congratulate your employees for all of their hard work, let your hair down and enjoy yourselves. This is why when it comes to being given the task of planning it, it can be extremely daunting because it can feel like if the party is boring or doesn’t go as expected, people may blame you. But not to worry, with our guide to planning the perfect Christmas party, you can rest assured that the party will be all your employees will be talking about for weeks (in a good way, of course!) SET THE DATE Book as early as possible so you have the widest range of venues to choose from, with the best available dates – Fridays and Saturdays in December are naturally, the most popular dates. Send an email round to all of your employees with a selection of dates, and ask their thoughts to make sure it is a time that everyone can make. You can also get a feel for the number of guests coming, and you’ll need to decide whether it’s employees only, or if ‘plus one’s’ are allowed.

DECIDE THE THEME

DECIDE CATERING

It is worth asking your employees what they would like most from the party. Are they interested in a three course meal and some nice drinks; or would they prefer to spend more on entertainment? Once you’ve determined the overall consensus, you can start searching for venues offering similar events that you and your colleagues are looking for.

Do you want a traditional, sit down, three-course meal, or are you after something more casual like a buffet? Are any of your guests vegetarian, or do they have any special dietary requirements? This will all need to be determined before you make any firm plans. The venue you choose may have their own catering team, otherwise you may need to hire an external company. Once you’ve decided the menu, it’s probable guests will have to pre-book their choices, in which case, it is best to send out an email.

DETERMINE THE BUDGET This will obviously have a huge impact on the venue, and you need to be realistic with money. You will have rough figures of the number of guests based on the number of employees (and whether or not plus ones are invited). It’s worth over-budgeting for all aspects, as it will come as a welcome surprise if the overall cost is cheaper than expected (and not as devastating if it’s exactly on budget!). If money is very tight and you don’t think you can afford an evening party, why not consider lunch? All employees will be at work, it won’t cost anyone to get to and from the restaurant, and you can still celebrate Christmas together. If you still want to have a party in the evening, holding the event on a weeknight may be slightly cheaper, or hosting it around the end of November-beginning of December.

Drinks will also need to be considered. Yes, free alcohol often makes for a very good night, but it can be VERY costly and isn’t really expected by employees. You could offer a complimentary drink at the beginning of the night – either a Christmas cocktail or a traditional mulled wine?

PICK A THEME

BOOK VENUE

Music and entertainment are often what completes the night, and you’ll need to decide what kind of entertainment will most suit your colleagues. If you go for a packaged night – whether alongside other companies or exclusively for you – entertainment will be part of the deal, maybe a show or maybe a DJ and cheesy disco. Alternatively, if no entertainment is offered, you could always hire a DJ or band – you’ll need to see whether they will bring their own equipment though, or whether you’ll need to hire it, resulting in extra costs. Even if it’s a festive lunch, lighten up the mood with a Christmas-themed playlist on your iPod.

Picking a theme can really bring about the festivities, and bring anticipation and intrigue to the event. If you book a packaged party then the theme will already be chosen – guests will just need to decide on outfits. However, even if you have just booked a room in a restaurant, you can always incorporate a theme too. Bear in mind you’ll need to consider table centres, drinks and potentially the entertainment in addition to the dress code.

The next decision you will make is whether to hold the party in the office, or an external venue. An office party will cost less and can be ideal if on a very tight budget; but being Christmas, it can be nice to escape the work environment where employees can truly relax and have fun. Plus, if you’re wanting elaborate entertainment, then you’ll need to stray away from the workplace.

Ultimately, shared parties offer a good deal in that the venue, themes and entertainment are already done for you – you just need to pick a date, confirm numbers and menus, pay and turn up. However, the food and entertainment may not be to everyone’s taste and in that case, you may decide to hire a room in a restaurant, then either go on a pub crawl, to a comedy club or bowling – whichever sounds the most exciting to you and your colleagues!

Why not try a Winter Wonderland theme with a live cabaret, themed cocktails/menu, fake snow and a mini ice-rink? Or perhaps a New York theme, complete with red carpet, Frank Sinatra tribute act and a casino? If you’ve got the budget, other entertainment ideas that can be incorporated into a theme include funfair rides, a caricaturist, karaoke, comedians and even circus performers – pretty much anything goes! Now that you’ve determined the type of different aspects you’re looking for at your event, you can start looking at venues.

You could consider hiring taxis for everyone, but if costs are purely your concern, then both options would cost about the same, so it’s really a question of which venue you think is the nicest.

INVITE YOUR GUESTS

On the day

Once the venue has been chosen and guests have confirmed, you will now need to sort out your transport. Taxis may need to be booked, or some employees may agree to be designated drivers. Either way, you will need to have this planned, as you wouldn’t want yourself and your colleagues stranded at the end of the night! If your venue is out of town and you can’t quite stretch to taxis, why not hire a coach? It could pick up employees from your office and drop them back off, and depending on how many guests there are, it could work out cheaper.

Once you have a date and venue confirmed, you can send out the invitations. An email is quick and easy to send out, or if you have a company profile on Facebook, you could invite everyone that way; but the most personal way is actually sending out paper invitations – whether you’ve bought them or made them yourself. Don’t forget to invite any employees who are working away from the office or are on maternity leave! If guests RSVP yes, you may want to ask them to pay a deposit to ensure that they don’t drop out unexpectedly.

Arrive early – perhaps with a trusted colleague – and meet with the venue event organiser; walking through the place and ticking off everything on your list to ensure that everything is running to plan.

You may want to consider accommodation if guests live a long way from the venue – if it’s a hotel then you may want to hire rooms there, or alternatively, there may be a nearby B&B offering cheaper rates.

ORGANISATION Itinerary As things are booked, make a note of them on a Word document or in a diary. Note a complete breakdown of everything that is happening and when, and send a copy to everyone involved – it could just be the venue; or it could include your entertainment, caterers and a trusted employee. The week before Contact your venue to ensure that they have the itinerary and if they don’t, resend it. Talk it through over the phone to ensure that they completely understand everything you want on the night, so that you don’t get any nasty surprises! In particular, go over any dietary requirements or special access needs that have been requested.

Once your guests have arrived – if it’s a sit down meal – it’s worthwhile ticking them off so you can then call any no-shows to check if they are still coming, or whether they’ve cancelled. However, once that has been done, remember to relax and enjoy yourself. The planning is over and it’s your Christmas party too – have a celebratory drink as a job well done for organising the Christmas party that your colleagues will be referring to as ‘the best Christmas party’ they’ve ever been to! After the event When you’re back in the office, have a talk with employees and see what they thought of the night – anything they particularly enjoyed, or would change next time round... this will help you to plan your 2015 Christmas party!

Most Extravagant Christmas Parties So you’ve taken on the task of organising the Christmas party this year at work… perhaps you’re scoping out nearby hotels for dinner and drinks, or maybe you’re keeping it simple by holding it in the office? If only money were no object, huh? Some companies really do have the cash to splash – have a read through these extravagant Christmas parties certain companies have held! One US company held their Christmas party at a baseball stadium where there were fairground rides and games employees could play to try and win a chunk of the $1million cash giveaway. This $3million party ended with a bang with an impressive firework display, before putting up all of its guests in a nearby hotel for free!

Another US company hosted its Christmas party in a number of tents for its 10,000 guests, which took five days to decorate (the tents, not the guests!). The party followed a Greek theme, with each tent named after a Greek God; and had different themes from a Hip Hop Dance Club to a Street Party. Activities on the night included croquet and airbrushed tattoos, and even a psychic on-hand to predict the guests’ futures! One company held a fire-and-ice themed Christmas party, with the sound of howling wind on repeat in the background. Most impressive though, was the bar of ice, serving drinks to the 4,000 strong crowd all night. The party couldn’t have been held without intricate planning though, with the production schedule an overwhelming 28 pages long.

But perhaps the most extravagant Christmas party of all was held by a London-based company, who followed the theme of the ‘7 Deadly Sins’. There were ten bars in total, one of which only served chocolates and sweets for the ‘gluttony’ sin; in addition to the neck massage stations, manicure booths, cabaret and live bands. Perhaps most shocking of all was the ‘lust’ room guests could enjoy, which featured a large bed draped in purple satin sheets… Regardless of whether you’ve got serious money to throw at your upcoming Christmas party, or more of a modest budget, we’re sure at ConferencesUK that you’ll have a great time; and if you want any help in finding a venue to host your party, please get in touch – we’re here to help!

An absolute classic, adding to the magical feeling of Christmas we all experienced as children. Decorate the venue in white and ice blue, maybe even with fake snow and paper snowflakes?! A mini ice-rink really adds to the entertainment, with an ice bar serving drinks. If your budget doesn’t stretch that far, you could always offer cups of hot chocolate and toasted marshmallows at the end of the night to guests, who may or may not be wearing fur-trimmed capes.

Yes, the garishness of the Christmas jumper may have been around for a few years now, but it’s just one item of clothing that everybody hates to love. For those of you who are planning a traditional Christmas dinner to a backdrop of festive tunes, challenge employees to wearing flashy Christmas jumpers, with the most hideous one winning a special prize!

Step back into Dickens’ era and go all Christmas-Carol, with props including wooden horses and giant nutcrackers. Have Victorian childhood games on hand such as skittles and hoopla for entertainment, with mounds of traditional Victorian food such as plum pudding on offer. Add a touch of good-will with a lamp-holding children’s choir, before guest’s party on into the early hours of the morning.

MASQUERADE BALL To add mystery and intrigue, a masquerade ball is the perfect theme for any sophisticated party; giving colleagues an excuse to don their finest suits and gowns! For a really decadent feel, why not use gold and red tones for the decor; and serve champagne and canapés whilst masked magicians provide the entertainment? BEST OF BRITISH As humble as we Brits might be, we do love a good reason to celebrate all things Britain, so why not extend this to a Christmas party? Theme the decor as red, white and blue, with Union Jacks serving as table features, alongside trinkets including mini post boxes and double-decker buses. Of course, the food can be a selection of the finest British foods, with cocktails served in tea pots; and guests can leave the party in black cabs.

THE CIRCUS A daring and dramatic theme that is sure to bring the inner child out in everyone (although for this theme, you will most likely need to find a packaged party deal!). Employees can dress up in their finest circus attire while being treated to shows from acrobats, a trapeze or possibly even a bearded lady...! After dinner, candy floss and toffee apples can be served for dessert, before delegates party through the night with the ring master and circus acts! CHARLIE & THE CHOCOLATE FACTORY A personal favourite of mine (and with chocoholics everywhere, I’m sure!), relive a childhood-favourite book, with chocolate fountains, cakes and candyfloss firmly on the menu; with Oompa Loompas on hand ensuring the food and drink flow. Attendees can be treated to a personalised chocolate bar... the only question to be asked is who will find the golden ticket?
