Opening,Body of the letter,closing a. Opening 1). On writing the opening, avoid the official language like: “In reply to your letter…….” or “We are in receipt of your letter. instead, use the following expression: “Thank you for your letter….” “We are glad to send you…..” “We appreciate your notifying us that…”
2). If it is needed, write the following expression : “We are sorry to learn that……..” “We regert we are not able to…..” “Please accept our apologies for…” 3). Don’t write your decision for rejection to open your sentence. If you have to say “NO” Write it on the next sentence. *Don’t write like: “We regret to inform you that your suggestion is not acceptable” * But you’d better write it like: “ We appreciate the suggestion you made but we are not possible to take it” “We have carrefully considered your suggestion but…..”
b. Body of the letter 1). Paragraph content usually longer than the opening and closing, but avoid paragraph that contain more than ten or twelve lines. 2). arrange the ides logically and consistence, for example by chronological or based on its importance 3). If there is a lot of information that must be submitted, compile and number it in order to facilitate reader and economize place 4). If the information is short,add some interesting words in the beginning of or final sentence.
c. Closing 1). To end the letter with formal words is not so important. Stop after information is already sent 2). In many ways, avoid the usage phrase; “Hoping this is satisfactory, I remain” it's better to use a simple sentence like:: “ I hope this is satisfactory” 3). Letter Ending is the most appropriate place to submit the objective of the letter. Tone that will be sent can be soft can be also strong, “If you will give me a call, we can arrange a mutually satisfactory date” : (soft) “Please return the card at your convenience” (strong)
4). Besides a letter ending to get the impression from the reader. the Ending of the letter also can be used to submit goodwill. “We appreciate writing to us” “Thank you for giving us the opportunity to service you” “We will most certainly keep you in mind” 5). If there is a mistake, clarify it with expression like following, but it not been made previously. “Thank you so much for your patience” “We are sorry for the inconvenience caused you” “Please accept you sincerele apologies

INDEXING A. Choosing Captions Indexing is arranging the order of units/ parts of caption listed in alfabetical order.
