2014/2015 Motivational Letter Dear Friends, Dear Colleagues, Although I am not a man who considers writing this letter as an easy and lightly task, I would like to in short explain my biggest motivation to become the upcoming IFMSA President and present reasons why I want to undertake this journey and I would feel honored to represent this family - that bring all of us together. As many of you may know, my name is Agostinho Moreira de Sousa and I come from a small city of Lixa in North Portugal. I was born and raised in a loving family that supported me in every step to become the person I am and be where I am today. I come from a country that faces a deep financial crisis and where the students’ voice is ever more difficult to be heard. However, the IFMSA experience has brought me to the conclusion that youths in all corners of the world are facing similar challenges and that our points/problems are not so different.
And all it started at local level... Back in 2006, when I started my studies as a dental student I felt the need to give voice to my fellow colleagues and became a student representative. The following year, I changed to Medicine and I was more focused on my studies. However, after noticing and addressing challenges, beginner mistakes and victories, I was entrusted by my classmates to become the student representative for the batch. In 2009, I was recruited to bring new spirit and lead the Education Working Group of my Local Committee. Continuously, I was working on bettering education conditions for all the students of my Institute (Medicine, Veterinary Medicine, Aquatic Sciences, Biochemistry and Bioengineering). In June 2011, I was elected to serve as the President, a term that taught me a lot (as the organization matched IFMSA

2014/2015 yearly budget and I was in charge of a team of 43 people), as I had to fight for the integrity of the education system and transparency of student organizations - both politically and financially. The most important fight of all was to ensure to give students a voice in an honest and transparent way.
The work at national level More than several times I was faced with the word “impossible” and “that will not happen”, but this only motivated me to do more and try harder. In cooperation with my NMO and other Local Presidents, we created innovative actions - from helping students come together to fight for their rights and access to education in front of the Ministry of Education; strongly advocate for quality over quantity in the process of opening and certifying of new medical schools; to the creation of national petitions to advocate with the public and the government on the importance of correct Human Resources Planning. We should never forget that we are limited only by the limitations we have put there ourselves! My first international experiences In 2010, my life took a huge turn after I’ve undertaken a research exchange in Ljubljana, Slovenia. Until then, I’ve only had a limited view of what IFMSA is and did not understand it completely. But after this intercultural experience, my perspective and view of the world changed as now I had a new understanding of the IFMSA potential. Looking back, the whole process came so naturally and I was not aware of the change. My first international meeting was the MM11 in Jakarta, Indonesia. I still remember the first hours in the meeting, feeling a part of the community of students from all the corners of the world, working with the same purpose. That General Assembly changed my life. True IFMSA spirit was born in me there and then.

2014/2015 Working at International level Several General Assemblies, Regional Meetings and trainings later, I became more sensitized, aware and educated by the experiences on all levels from grassroots to international, on different points of views and difficulties that affect medical students and the struggles they face in order to improve the health of their communities. After being elected your Liaison Officer for Medical Education Issues in August 2012 in India, a lot has happened! I worked and continue working in collaboration with teams of amazing and dedicated students working on Medical Education on disseminating lessons learned to lower and bringing initiatives forwards to the higher levels ensuring a global impact. Scope of my work varied, from addressing the importance of recognition of the Non-Formal Education, to recognition and endorsement of IFMSA exchanges, to ensuring meaningful student engagement in the processes of accreditation of Medical Schools. Last year I was an intern with the WHO in Geneva and WMA in Ferney, during which I strived to demonstrate how an IFMSA member can contribute to daily operations of these organizations as well bring the youth perspective, which ultimately benefits all. In both terms, I was also diligent in attending Team of Officials meetings, external high-level and executive meetings and took part in several working groups (e.g. SWG on the Advocacy Support Division Director or the Santiago Task Force), contributing to strengthening of IFMSA (particularly focusing on team-work and internal development of the organization).

2014/2015 In my point of view, the work of the President is a fine balance between internal and external work. I want to become a president focused on leading my team, where I can support the TO and work more directly with the LOs on external representation. Task at hand is a full time job, but I am prepared to dedicate one more year to IFMSA.
Where did we came from and where we are right now IFMSA is a long living organization. During the internship at the WMA, I also had the opportunity to engage in one of the most fruitful life experiences - through archives to engage with IFMSA past and work on the re-birth of the IFMSA Institutional Memory. Created few years after the II World War in 1951, in a world where communication was difficult, where commitment and believes where the engine of the organization, where the idea of creating a global exchange programme was still a hope, where the fight for better education and students’ health was a necessity (and still is) - IFMSA resisted and became one of the most fascinating and amazing organizations in the world. IFMSA witnessed the Cuban Missile Crisis, the fall of the Berlin Wall, the discovery of the double-helix DNA Structure, the Moon landing, the birth of Internet. IFMSA is an old and a young organization. With many accomplishments, adversities tackled and changed lives of future physicians!
For two consecutive terms, I was entrust with the responsibility of representing and improving our Federation. If elected IFMSA President, I will strive to take it a step further and strengthen this organization. To chart a path to achieve its full potential. We must aim to have an IFMSA that is inclusive and everyone’s feels involved, and I want to be a President that supports all the medical students! Perfection is impossible, but we must strive and work hard trying to come as close to achieving it. This is my vision!

We are a community that reaches millions of people worldwide, every day. We have one of the biggest exchanges programmes in the world, hundreds of activities internationally and numerous activities nationally and locally.
We have to see IFMSA as a holistic organization and not literally divided in disconnected Standing Committees, Support Divisions and regional work. We have to see IFMSA was an organization that can bring the different nations and cultures together in the same platform. We have to see IFMSA as an organization that with this collaborative work can make a difference and change the world.
We must work to improve on the idea that IFMSA must work in a collaborative way, between Standing Committees, where they will work on common, crosscutting topics. They will be supported by the Support Divisions in their daily work. We must want to see more collaboration between regions and create a spirit of mutual collaboration and understanding and not a spirit based in dogmas and stereotypes.
I also undertake the promise that I will work with the EB and TO as a team, since I understand the importance of having a strong “nucleus� that can coordinate and support all the organization. The organization can only grow if its leadership is stable and working together for the same vision and mission.

To a prosperous and promising future! As all the families, we have challenges, but if we stay together and work together, anything is possible! We want IFMSA to become what we want it to be! We want to see an IFMSA that is open to the medical students worldwide, where they can see an organization full of opportunities! We want to build a bridge between the past and the present of IFMSA, where we know our defeats and big victories so we can build a better future together! We want the NMOs to feel that IFMSA belongs to everyone! We want the medical students to feel inspired by IFMSA and feel that its actions affect their daily basis! We want to bring sustainability to this organization and to improve the trust between all of us! We want an organization that works for the improvement of health and the development of Mankind!

Respect and Empower the Diverse Culture of IFMSA a.

Create a culture where everyone feels respected, heard and empower inside IFMSA, by establish an open communication with NMO Presidents during the General Assemblies and Regional Meetings, or anytime it is requested by an NMO President. This will require also a close collaboration with the VPI and Regional Coordinators Improve the knowledge about the external representation of IFMSA, by providing “essential “ materials and a comprehensive view about the present externals and policy statements of IFMSA Create also a culture, where is NMOs voice openly their views during IFMSA meetings Create a webinar every two months to explain the ongoing work of the Federation Continue and support the recruitment of NMOs, mainly from the Asia-Pacific and African Region, in collaboration with the VPI and Regional Coordinators Create a culture in the TO, of volunteering to give a workshop/training/information if the official is in a different country and there is the possibility to provide that Improve the availability of IFMSA resources to the NMOs and continue with the idea of the present EB of proceeding to the translation of some important documents (e.g. Policy Statements) Integrate the external representation with the necessities of the NMOs and regions Improve the discussions and the role of the regional meetings and study a deeper regionalization of IFMSA, in accordance to previous recommendations and NMO input Reinforce the idea that IFMSA also exists for its students, that work in the daily basis for the improvement of health worldwide Improve the recognition of the best practices in IFMSA by mechanisms of positive reinforcement, in order to recognize their involvement in IFMSA Evaluate the usage of the NMO Buddy-System after the present term and search for other ways of direct involvement NMO-TO Implementation of an “umbrella” environment (with the help of IFMSA Master Folder) , where the information can be centralized with the help of the Team of Officials (e.g. if some specific document is required and requested by one NMO to other NMOs, IFMSA can help in the collection of the materials and save them in a place available to all).

Ensure the Sustainability and Strengthening of IFMSA a. Reinforce the support to the IFMSA Office in the AMC (Amsterdam- The Netherlands) by providing a permanent secretariat to that office (in accordance to the IFMSA financial situation) b. Reinforce the presence in the IFMSA office at the WMA (Ferney-France), by continuing the successful internship program and re-study the idea of renting an apartment that can support the interns in Ferney and Geneva (idea that already worked in the past but was abandoned due to bad management in that last year). c. Work in close collaboration with the VPE and the Treasurer about the financial situation of IFMSA and follow-up closely the grant requests and grant reporting (major problem in the recent IFMSA history). It is needed to create a document that summarizes all the successful applications and financial mismanagement, in order to avoid future mistakes. d. Work to create a sustainable image of IFMSA, in order to search for big sources of funding, at short and long term. However, it is needed to continue the work of the present EB, in order to ensure proper reporting and accountability e. Work in a closer collaboration with the organizing committees of IFMSA events (e.g. General Assemblies), in order to guarantee its success and sustainability, in order to avoid any NMO or IFMSA financial burden (proper risk assessment of the activity). There is also the need to oversee the complete respect of the GA contract f. Follow-up the present EB’s work in the creation of the long-term fundraising strategy and the creation of the ethical guidelines g. Follow-up the recommendations of the Santiago Task Force and help in the implementation of the decision approved by the General Assembly h. Seek the opportunity of legal advising, before signing any kind of financial agreement
3. From Global to Local and from Local to Global a. Make sure that the actions provided by the federation at a global level will have a proper impact at national and local level b. Reinforce the idea that IFMSA represents the voice of medical students worldwide and the responsibility inherent to it c. Create an approximation with the Local Committees, with the collaboration of NMOs, in order to be possible to create of direct impact projects or surveys. (E.g. the creation of a global survey in a specific area, where the action of LC will be fundamental. The results then will be presented at a global level and create an impact back in the local area)

Improve the holistic perspective of the organizations, by incentive the inter-standing committee collaboration (e.g. academic recognition of exchanges – SCOME, SCOPE and SCORE) Improve the interconnection of the Standing Committees with the Support divisions and avoid the collision of tasks between both Improve the work of the Regional Teams, by providing them support and bigger recognition inside the IFMSA structure Support the idea of the global support of the Liaison Officers for all the Standing Committees (e.g. collaboration of Liaison Officer for Medical Education, with the SCOME, SCORE and SCOPE directors in the recognition of IFMSA exchanges in externals related to medical education) Create the feeling that all the IFMSA structure is working for the same goals and not to work in isolation from each other
5. A Comprehensive Plan for Health Very often, I was faced in high level meetings with a challenge: I was the only representative from a voluntary student and youth organization that represents the future of a healthcare generation. This is a huge opportunity, but it is also a big responsibility. IFMSA is one of the few global organizations that work in direct collaboration with Governmental Organizations, NGOs, professional organizations, student organizations and many other organizations. But there is something unique. We are one of the few global organizations that are volunteer based, representing a generation of students and youth, that one day will became part of the future of healthcare. This universal presence and uniqueness gives us an advantage that no other organization can have. Our vision and our strength, if well planned can literally change the world. With this responsibility on our shoulders, we need to start thinking in a comprehensive frame to have a plan for health and stop addressing the health topics in different “silos”. We need to create our view for Health and how to improve health at local level. Human Resources for Health cannot be discussed, without integrating Social Determinants for Health. Global Health Education cannot be taught if we don’t address the violation of human rights and so on. So, it is fundamental for IFMSA to create a holistic plan, where the major policies and positions are addressed. Our vision for health! This is a big idea, but this will allow us to have an integrated perspective on how the system works. This will require a collaborative work between NMOs, Standing Committees, Regional Coordinators, Liaison Officers and Initiative Coordinators, in order to connect also the advocacy and project works of IFMSA. It is a challenge, but by establishing the correct partnerships with our networking and the motivation of our members, we can have the perspective of IFMSA about all this holistic perspective and where should we be leading health!

Professionalism and Integrity a. Improve the professionalism of IFMSA, in order to improve its credibility, trust and accountability of its members b. Implement a system of role model leadership, where to demand something you have to serve as an example also c. Improve the reporting, monitoring and evaluations mechanisms, in order to obtain clear views on the results about our actions (IFMSA activities, grants). The concrete templates for the implementation of this system, must be ready before the starting of the term d. Continue the work of the present TO in the creation of standardized reports. e. Creation of IOG, in collaboration with the TO, that will allow guidance in specific situations (examples: external representation, regional meetings, general assemblies, etc.) f. Creation of standardized evaluation mechanisms, where it would be possible to reply in an anonymous way, but it is still possible to follow up who didn’t reply and send reminders g. Ensure that the Annual Report is created and with excellent quality h. Push forward the implementation of quality assurance in trainings and projects, in order to achieve recognition by externals and even in the medical education curricula. This area requires a joint effort with the TSDD and PSDD. i. Define during the handover period, the responsibility of the officials (being now analyzed by the Santiago Task Force), in order to make them accountable to their tasks and solve the problem of absent Officials j. Oversee during the transition period, in collaboration with the current EB, the production of the handover manual k. Make sure we invite the best speakers to our sessions and provide the best materials on time, in order to provide better preparation to our member l. Follow-up the implementation of the idea of branding the IFMSA Projects and Activities

7. The Need of Transparency and Openness a. b. c. d. e. f. g. h. i.
All the internships, delegations and SWGs opportunities must be shared in the website, mailing lists and social media platforms, in static and dynamic platforms, in order to be available to all medical students A specific criteria of selection for the delegations or internships must be defined and take in consideration the achievement of the most equitable representation of IFMSA To provide more opportunities for every IFMSA member to apply, so that they will not be limited just to a certain group of students Follow-up in the reform of the Travel Assistance Fund (TAF) in order to assign it to where it is most needed. Create a working plan I order to provide the proper financial support to medical students in the future, so his/her presence will not be limited by the financial situation, but only by him/her competences and ideals To improve the on-line communication with IFMSA members, by promoting the usage of online tools and creation of video updates Ensure the equitable visibility of the NMOs in the different IFMSA Platforms Make sure that the decision making process and communications of IFMSA are done in a transparent way Creation of a Communication Strategy in order to proceed to a centralization of the communications in the mailing lists and social media, in collaboration with the VPE. This has the goal of avoiding the overflow of information in the servers.
8. The Importance of Teamwork a.
Some of the biggest problems in the past terms were due to a lack of collaboration inside the Executive Board. Taking this in consideration, it will be important to work in a dynamic collaboration with the members that are elected and create a culture of mutual understanding and belief that we are working for the same goals b. Create with the new EB, team building opportunities during the year, mainly in one before the August Meeting for the EB elect and in TOM0 and TOM1 c. Push the team forward and be closer to the problems of each official, in order to avoid collision of tasks and burnouts during the term

Create, every 2 months, an anonymous feedback system from the TO to the EB, in order to adjust the necessities of the TO. This has the goal to provide a concrete look about the reality inside the TO and improve the resolution of possible conflicts inside the team.
9. A concrete internal and external strategy a.
General i. Follow-up in the creation of a short and long term strategic planning for the Federation aligned with the present vision and mission 1. The strategic plan must be built with the collaboration of all the IFMSA structures so that everyone feels ownership of the plan 2. Search for external review opportunities, in order to help the plan’s creation and verify its final quality ii. Create mechanisms that can monitor and evaluate progress of goals in the strategic planning, plan of actions and reporting iii. Establish the priority setting to the term, in open collaboration between the EB, TO and NMOs iv. Continue the IFMSA We Want strategy and ask for general input about what IFMSA can be in the IFMSA social media platforms

Team of Officials 1. Plan the Team of Officials Meetings in advance, in collaboration with the rest of the EB and input of the TO. The meetings will have an outcome based focus 2. Continually update in the newsletter the work of the Team of Officials in General 3. Continue the reporting system from the present term and search for improvement of it (if possible) 4. Involve all the TO in the decision making process, in order to create mutual ownership of the decisions 5. Implementation of a Plan of Action, built in collaboration with all the TO, after its approval in the TOM1 6. Ensure the continuous communication with the officials, through different platforms
Externally: i. Position related 1. Keep a close coordination of the work of the Liaison Officers 2. To be present in 2 major meetings, the General Assembly of the World Medical Association (WMA) as Liaison Officers for WMA and in the World Health Assembly. 3. I will have my focus to the coordination of the LOs and the Team of Officials in general ii. External Representation: 1. Schedule meetings every 2 weeks since the beginning of the year in order to be fully informed about the updates in representation 2. Work in close collaboration with the Board of Recommendation in order to promote and increase the IFMSA credibility 3. Creation of the External Representation Strategy, with all the specific tasks of Liaison Officers and expected meetings for the year, in order to affirm IFMSA as a major stakeholder in the advocacy platforms 4. Work in collaboration with the VPE, in order to improve the usage and promotion of press releases, statements, social media tools and the updates on the Website. 5. Improve the usage of Press Releases, in order to support NMOs that are facing specific problems and to improve the usage of them in situations of war, disaster or human rights violations

Experience and Institutional Memory a.
Follow-up in the work that is being done by the present Team of Officials in the creation of a new platform for institutional memory (IFMSA Master Folder), that will provide a connection of IFMSA with its past b. Work in collaboration with the Alumni Relations Support Division director, in order to improve the communication with Alumni, mainly in the following areas: i. Building up the older part of our institutional memory ii. Ask them for support in trainings at a national and international level iii. Serve as IFMSA promoters iv. A more open and diverse approach on the Erik Holst Fund (fund with huge opportunities of development) c. Establish a closer partnership with the WMA- Junior Doctors’ Network and implement partnerships in possible areas or projects d. Continue the creation of databases and summary documents in order to not lose track of the documents present in different folders
