RATES - COMPS - HOSPITALITY STAFF - SITES - PAYMENTS Rates: All rates are net, per person, unless otherwise stated, and subject to change. Comps: We are happy to "COMP" your travel staff and or "trip directors" on all Ground Transfers and Tours operated by Tropic Tours, however there may be a charge for meals or tours that are not made available, on a complimentary basis, to us by our suppliers. Hospitality Staff: Tropic Tours Uniformed Staff are billed on an hourly fee based on a minimum of 4 hours. For tours fully operated by Tropic Tours, Hospitality Staff are included. Site Inspections: We are delighted to provide all inbound and outbound airport transfers on a complimentary basis. Other ground transportation needs will be discounted 50%, there may be a charge for meals or tours that are not made available, on a complimentary basis, to us by our suppliers. Payment: Tropic Tours requests 100% prepayment 30 days prior to your groups arrival, based on estimated ground and tour services reserved. Adjustment for an up or down count with minimums or guarantees taken into account, will be handled prior to your groups departure. Balances due are appreciated 30 days after program operation.

Airport Procedures for Arrivals and Departures traveling to or from the Virgin Islands Because many airports observe differing arrival and departure procedures, Tropic Tours recommends the following guide which will facilitate your group travel to or from The U. S. Virgin Islands.
Thirty (30) days prior to program operation, Tropic Tours requires:

An alphabetical arrival and departure manifest listed chronologically by, airline, flight number and scheduled arrival and departure time. A sample of your baggage identification tag. Full prepayment on all anticipated transfers. Adjustments can only be made if Tropic Tours is notified 24 hours prior to a scheduled transfer.
Group participants should be provided with these instructions prior to their home country departure: • • •

Attach group baggage tags to all luggage. The islands of St Thomas, St John & St Croix are a Territory of the United States; therefore Canadian citizens and US citizens do not need passports to enter the Virgin Islands. Should your group itinerary include travel excursions to the British Virgin Islands, U. S. and Canadian citizens are required to bring one of the following types of proof of citizenship. • Valid passport • Birth certificate and a photo ID • Voters registration card and a photo ID Passports are required for citizens of all other countries Upon arrival, please proceed to the Tropic Tours counter located in the main terminal, directly across from baggage carousel #1. Identify themselves as a member of your group to our airport personnel. Once luggage has been identified and pulled by our staff, it will be sent directly to the hotel in a separate vehicle, a procedure which generally involves a time lapse of up to an hour. We suggest all passengers carry necessary medication along with appropriate clothing in the event of lost or delayed luggage. If additional airport staff is desired to further ease the arrival process and serve as your “Ambassador of Good Will” our trained Hospitality Staff can be made available on an hourly fee basis.
Tropic Tours’ large fleet of Safari buses is a unique way to facilitate large or small group Arrivals or Departures as they accommodate up to 25 passengers at a time. Luggage trucks are used in tandem on arrivals and departures. For scattered arrivals we have access to the conventional air-conditioned vans, with 10-14 seats. These vehicles can be arranged for your VIP’s, who need private or exclusive transfers. In these instances their luggage would travel with them.

Airport Procedures for Arrivals and Departures (Cont.) For groups staying at the Westin Resort or Caneel Bay on St. John • • •
Upon arrival at the Cyril E. King airport your clients should be directed to look for the Westin Resort or Caneel Bay airport staff member positioned in the baggage claim area. All transfers will take your clients to downtown Charlotte Amalie or the National Park Dock located at the eastern tip of St. Thomas, where their hotel ferry or private water taxi will take them directly to their resort on St. John. All hotel owned ferries or private water taxi transfers are coordinated around your group's flight arrival and departure times. Therefore, the size of boats may vary depending on the number of participants arriving or departing at any one given time.
Prior to departure, your group participants should be advised that their hotel pick-up will be scheduled approximately 1 ½ - 2 hours prior to their scheduled departure time. Passengers inbound to the USA will be required to clear customs and immigrations in St. Thomas prior to boarding their return flight.

Tropic Tours is the only DMC with an Airport Booth located opposite Baggage Claim Carousel #1, offering complimentary Counter check-in service. Six full-time uniformed airport desk personnel, on duty seven days a week, first to last flight airport and hotel arrival/departure service with guaranteed availability for both in-bound and out-bound transfers. Tropic Tours is the only DMC having it’s own fleet of vehicles, including the popular open-air Safari Bus or our Air Conditioned Motorcoaches both with capacities of 21-25 passengers. Availability of up to 4,000 additional seats at any given time, utilizing hand picked Airconditioned Vans (holding 10-14 passengers) All in-bound and out-bound Airport Porter’s charges. Separate Baggage Handling and Trucking charges for Arrivals and/or Departures. Top insurance coverage: $100,000/$300,000/$500,000, plus excess liability. Tropic Tours Hospitality Staff Tropic Tours recommends hiring our hospitality staff as your “on site experts” with their extensive island knowledge and professionalism to assist you and your group from “Touch down to Take off”. They’ll help coordinate airport arrivals and departures by Meeting & Greeting your groups in the baggage claim with signs. Provide orientations; help coordinate pre-arranged tours, by working with your staff at your Hospitality desk, dispatching all transfers for golf, fishing, sailing and all island tours. On Dine Arounds our staff can also be of assistance in advancing restaurants. Our staff is hired on a minimum of four hours.

Sightseeing Tours Around the Islands (Including two of the top ten beaches in the world) Caribbean waters are not to be believed as you witness the multicolored hues of our varied beaches, abundant with white sand. Experience Trunk Bay with its famed underwater snorkel trail th or the mile long beach at Magen’s Bay, listed as the 7 best beach in the world by National Geographic. Magen’s Bay is a great location for any off property sporting event or a casual barbecue picnic under a pavilion. All Virgin Islands beaches are “public” so you are welcome, and free to explore. Dress is always casual as you tour through these islands, riding an open-air safari bus that affords panoramic and down-island views from mountaintops peaking at 1574 feet. Downtown is always a “stop” and one would be remiss if they missed the experience of the myriad of duty free shops in Charlotte Amalie Enjoy the flora and fauna as your drive through the National Park on our neighboring island of St John. The overlooks at each turn as you continue through the park entice you for a photo opportunity. Snorkeling at the world famous Trunk bay, listed as the 10th most beautiful beach in the world by National Geographic, is also not to be missed. All island tours of St Thomas or St John utilize the open-air safari buses. In fact the major choice of vehicle on St John is the “safari” bus for all off property events and optional tours.

Watersport Activities B. V. I. Baths and Treasure Island Tour This is a 70 mile trip aboard a uniquely styled power boat around the British Virgin Islands! Learn about both the history and folklore of the British Virgin Islands, which include "The Baths on Virgin Gorda" and "The Caves on Norman Island.” The Baths are randomly placed large granite boulders that form small grottoes and pools on the beach's edge. Upon arriving on Virgin Gorda, the crew will handle clearing customs for the guests while they are taken by safari to the top of the “Baths”. A crewmember guides the group down a 10-minute trail and provides a brief explanation of the area. Guests have approximately an hour and a half to hike/tour and swim on their own before returning to the vessel for a complimentary "picnic lunch" on board. There is an open bar on aboard all day. Sailing As you set sail from St. Thomas on a two-hour trip for a truly unique day to one of the most unspoiled gems in the Caribbean: Jost Van Dyke, the British Virgin Islands’ 3rd largest island. Your first stop is at one of the finest areas off St. John, called Lavongo. Your experienced crew will guide you through this underwater wonderland, while the boat anchors for 45 minutes. Continuing the sail into Great Harbor Bay on Jost Van Dyke, where immediately upon arrival customs and immigration procedures will take place. Customs forms are provided upon boarding. After customs everyone is escorted to “Foxy’s on the Beach”, a classic Caribbean restaurant with thatched roofs, picnic tables and a sandy floor. At Foxy’s you will enjoy it’s friendly West Indian atmosphere, beautiful views and excellent food, while enjoying humorous songs, jokes and island music. There will be plenty of time for drinks, lunch, beaching and shopping. After lunch you’ll take a short sail over to White Bay and the Soggy Dollar Bar where you can relax and enjoy swimming or lounging in hammocks tied to palm trees. Then relax on a downwind spinnaker run back to St. Thomas. Snacks, open bar and good conversation will end a delightful day of relaxation and adventure in the British Virgin Islands. Private or Public Water Transfers Public ferries run between Red Hook on St. Thomas and Cruz Bay on St. John in either directions every hour on the hour 7 days a week. Private water taxis are available daily between St. Thomas and St. John as well as on charter to The British Virgin Islands. Ferris and private water taxis are also available on charter for groups traveling from St. Thomas to St. John for Dine Arounds or visa versa.
