December 11, 2017 Sorors of the Fabulous Far Western Region: It is my pleasure to invite you to the 89th Far Western Regional Conference in picturesque Tucson, Arizona! The Sorors of the Inter-Mountain Cluster are working across the states of Utah, Nevada, and Arizona to plan an exciting time for you all. We are looking forward to the sisterly bonding and fellowship as we celebrate “Sisterhood & Service-The Tucson Experience”! Your sisterly presence is requested to join us in Tucson! Capable and eager Sorors are working diligently to deliver a spectacular conference filled with informative workshops, fun activities, and vendors galore are planning this Regional Conference! As always, we hope that you will leave inspired to support our International Programs in your communities. This year’s conference will be held at the beautiful Hilton Tucson El Conquistador Golf and Tennis Resort! This “oasis in the desert Southwest”, boasts a beautiful setting with amenities that are included in your room fees such as an 18-hole golf course, tennis courts, and swimming pools. There is also a spa on-site! If you are looking to relax in-between conference activities, you are in the right place! We are elated to bring you to the Southwest where the views are spectacular, and the weather is mild in March. There is much to see in and around Tucson! The University of Arizona is located in Tucson. There are also many outdoor activities, shopping districts, as well as two casinos! Tucson has many museums and street festivals. Tucson is located 115 miles from Phoenix, the capitol of Arizona. I am proud to serve as the Far Western Regional Director! We are proud of our Southwestern heritage, its glorious weather, and breathtaking sunsets. The Intermountain Cluster chapters have worked diligently and tirelessly developing exciting, informative workshops, plenary sessions, and other fun filled activities as we connect in “SISTERHOOD”, while reaching out in “SERVICE” to all mankind. We are excited about the conference events and all that you will enjoy as the conference unfolds, in beautiful Tucson, Arizona. We are honored to serve as the Vice Chairmen for the Fabulous 89th Far Western Regional Conference. Being a part of the leadership team has indeed been an esteemed opportunity. We are grateful for the leadership of Madam Regional Director, Soror Carol R. Dixon, who has provided vision, wisdom, and perspective as we have diligently worked to create excellence throughout the planning process. We also appreciate the leadership of our General Chairmen, Soror Patricia Crowell, in guiding the conference planning process. Our theme for this conference year is: Sisterhood and Service - The Tucson Experience. The theme frames the focus of our intentions in the context of service to all mankind. We have collaborated to bring you the finest of what our great sorority has to offer. The importance of scholarship funding is essential to preparing our future leaders to ensure impact and value in the community. Sisterhood is the essential tenet of who we are, collectively, to each other. And finally, service is paramount to having a global outreach plan of action and influence. This year’s theme guides us toward these important principles. The conference has been designed with you in mind. General Conference Information Please take a moment to review the following information to ensure that your registration and conference planning forms are accurate and complete. • • • •

Only financial sorors may participate in conference activities. Neither financial nor nonfinancial sorors may be guests of financial sorors at the conference. Basilei: Please provide conference information to all chapter sorors in a timely manner. If you have a Graduate Advisor as a member of your chapter, please make sure that she receives a copy of this registration packet for your undergraduate chapter. Please bring your confirmation letter and a photo identification to the conference. You will need these items in order to complete registration/check-in. If you lose your confirmation letter, please bring your financial card and a photo identification. Seating for designated meal functions will be by assigned tables as printed on your meal function ticket. You may not reserve seats at any meal function. Hostess sorors have the responsibility to ensure that all ticketed sorors are seated at their assigned tables. Your cooperation is appreciated. You must have tickets to be admitted to all events. Lost tickets will not be replaced. All event volunteers must have a paid ticket. FORMER DIRECTORATE MEMBERS, VERY SPECIAL GUESTS, DIAMOND and GOLDEN SORORS will have special seating at all functions. Forms must be completed and submitted for new Diamond, Golden, and Silver Sorors initiated in 1942-1943, 1967-1968 or 1992-1993 respectively. Important: There are many activities in Tucson, AZ and the surrounding area that are family friendly, however there are no children’s activities planned during the 89th Far Western Regional Conference. Therefore, sorors are solely responsible for the welfare and safety of their children during the conference. Children are not allowed in the plenary sessions.

Protocol Reminders Please adhere to the following protocol reminders: • •

Wear appropriate business attire to all plenary sessions, unless otherwise noted. Wear shoes that are appropriate and comfortable to all plenary sessions. Flip-flops, house shoes and sneakers are never acceptable unless under direction from physician for medical reasons. Sorors must wear their conference badge for meetings and events. Only members with badges will be admitted to plenary sessions. Stand for the procession of dais members. Stand when the Regional Director enters the room and when introduced. Stand when the Supreme Basileus or former Supreme Basilei enter the room and when they are introduced. Refrain from walking during dais introductions, the meditation and when the Regional Director or the Supreme Basileus is giving her address to the delegation. Respect designated seating for delegates, Diamond/Golden Sorors, the physically challenged and reserved seating for conference guests. Silence or turn off all electronic communication devices. Please step out of the meeting if you must use a phone. No video or audio recordings during the plenary sessions. Voting delegates must wear delegate identification and arrive early for proper seating. Speak only after being recognized by the presiding officer. Address the presiding officer as “Madam Regional Director” or “Madam Supreme Basileus.” Cooperate with meal function hostesses by sitting at your assigned table only if designated seating is required at that meal function, by not attempting to reserve seats and by refraining from disruptive and distracting conversations during presentations and/or performances at the dais. Be considerate of other conference attendees and take only ONE gift when they are distributed at functions. Refrain from overloading your plate during receptions. One or two pieces of each food item is appropriate. Soror volunteers, hostesses, and participants for meal functions must have a ticket and a seat assignment for the event.

Online registration is now open. Late registration is February 2, 2018 – February 8, 2018 Registration closes on February 8, 2018 at 11:00 pm PST. We understand that sometimes emergencies or job commitments arise. Please understand that ALL requests for refunds must be in writing to the Regional Director, and postmarked by February 10, 2018. Refunds will be made following the end of the Regional Conference pending funds availability. Requests postmarked after February 10, 2018 will not be honored. Refunds will be considered and processed after all bills of the conference have been paid. A processing fee of $25.00 will be assessed.

A late fee of $50.00 will be assessed for registrations after February 2, 2018 at 12:00 am PST. Registration closes on February 8, 2018 at 11:00 pm PST. No registrations will be accepted after February 8, 2018.
REGISTRATION MATERIALS PICK-UP Sorors unable to attend the conference should arrange for their registration kits to be picked up by their Chapter Basileus only. • General members may designate a soror to pick up their kits. General members are to send correspondence, via email, to the Registration Chairman identifying the soror who will pick up their conference kits in their absence. • No registration kits or souvenirs will be mailed • Host Chapter Registration check-in area will open on Tuesday, March 6, 2018 from 6:00 p.m. to 9:00 p.m. • Registration Area Open: Wednesday, March 7, 2018 from 12:00 noon to 9 p.m. • Registration Area Open: Thursday, March 8, 2018 from 7 a.m. to 9:30 p.m. • Registration Area Open: Friday, March 9, 2018 from 8 a.m. to 8:00 p.m. • Registration Area Open: 9:00 a.m., and will close at 12:00 noon, Saturday, March 10,2018 •

Go to the Far Western Region website at http://www.aka1908.com/FarWestern 2. Scroll down to the link to Register for Regional Events. This will take you to the netForum registration page. 3. To register, select “Login” on the left menu or at the bottom of the page. Your login is the email address you have on file with the Corporate Office. Your password is your financial card number. 4. Once you have successfully logged in, information for all current online events will be listed. Click “Upcoming Events” on the left Menu. Scroll to the bottom of the screen and select 89th Far Western Regional Conference. 6. Before clicking “Register for this Event” button, you might want to review, save or print the registration packet. In completing the registration forms, select the activities and workshops you want to attend for each date/time slot. NOTE: All events are listed by date and by page. There are several pages. Select each page (at the top, right above the word “Session”) to find events by day. DO NOT CLICK NEXT UNTIL YOU HAVE REVIEWED EACH PAGE AND SELECTED THE ACTIVITIES YOU WANT TO ATTEND. Click on the Next button and then Register Now button. 7. Complete your registration online by processing your payment. Individual soror registration must be paid by credit card. Online Registration - Group Online Registration Instructions for Chapter/Group Registration All Chapters that want to do Chapter/Group registration must submit the proper registration fees to their chapter Pecunious Grammateus for processing. The group registration form can be completed ONLY by the Chapter Basileus or the Graduate Advisor. The Chapter Basileus or Graduate Advisor will use the Registration Summary form to register her chapter members online as follows: Registration will be available ONLINE ONLY. Registration instructions are as follows: 1. Follow steps 1-4 on previous page. 2. Click “Online Store” on left navigation menu. 3. Select Chapter in drop down for “Shop For” and click “Go to Shopping” button at the bottom of screen. 4. Select “89th Far Western Regional Conference” item in the store. 5. Select “Group” for your registration choice. You will be walked through an Event Registration Wizard to enter the group registration for your chapter. 6. Please ensure the “Fee Type” is correct (Undergraduate or Graduate/ General Members), then click “Next” button. 7. Select the Soror(s) you want to register and click “Next.” Note: use page numbers at the top of the list to find all Sorors that are being registered before you click the “Next” button. 8. Enter the Appropriate data for each Soror selected and click “Next”. 9. There will be a line item for each Soror registered. Confirm the list of Sorors is correct, and then click “Register Now”. 10. Verify the total for the Item Price is correct, and then click “Proceed to Check Out.” 11. Please ensure that “BILL Organization” information is correct and click “Next.” 12. A prompt is received to enter payment information. Select “Purchase Order” from the drop down menu and enter check # in the Purchase Order text box. Verify “Order Summary” and complete transaction by clicking “Next.” 13. Complete transaction by clicking “Submit Order” button. 14. Chapters utilizing this method of payment for online registration are to mail the payment and a copy of the registration confirmation email immediately after the online registration request is made. Payment must be postmarked within three (3) business days of registering online or your registration may be cancelled. A $25 per person cancellation fee will be assessed on all cancelled registrations. A $75 fee will be assessed for a Returned Chapter Check. Make your chapter check payable to: FAR WESTERN REGION. Refund Policy Once you register for a Regional Event, the Planning Committee includes your presence at the event in the planning activities for the event. The size of the meeting room and the meal counts consider your registration as part of the number of sorors attending the event. We understand that unexpected events occur that may require you to cancel your attendance at the Regional Event. If you must cancel, please note the following criteria will determine whether you are eligible for a refund of your entire registration fee: 1. The refund request must be in writing and submitted to the Regional Director with a copy to the Regional Treasurer and the Regional Technology Chairperson at the e-mail addresses listed below. 2. The refund request must be postmarked no later than Friday, February 10, 2018 in order to receive a full refund less a processing fee of $25.00. 3. The reason for the refund must be included in the request; i.e., work related, family emergency, etc. 4. Requests postmarked after Friday, February 10, 2018 may be considered at the discretion of the Regional Director. Additional justification regarding the refund request may be required. In general, refunds will be made after consideration of the following factors: 1. Funds are available after all expenses associated with the event have been paid. (The refund may not be paid until up to 45 days after the event) 2. A processing fee of $25.00 will be applied to the total registration fee. 3. If the request for refund is received within 10 days prior to the Regional Event, the portion of the registration fee applied to meal events will be reduced to cover the cost of the meal. 4. DESCRIPTION Title: WK01: Launching New Dimensions in Bylaw Amendments – Proposed Amendments to Alpha Kappa Alpha Sorority’s Constitution and Bylaws This forum will review proposed amendments to the sorority’s constitution and bylaws that will be voted on at the 2018 Boule. Sorors will have an opportunity to ask questions and gain clarity regarding all proposed changes. Title: WK02: Budget Forum

The forum will allow members an opportunity to ask financial questions. The forum addresses the 2019 & 2020 budgets planned for presentation at the 2018 Boule, chapter financial operations, chapter obligations pertaining to the chapter income tax payment process and any other financial questions. Step Show Registration The Far Western Region of Alpha Kappa Alpha Sorority, Incorporated cordially invites all eligible teams to participate in its annual Step Competition on Friday, March 10, 2018. All step competition teams must meet and abide by all requirements of their member organization, including any rules or regulations pertaining to stepping mandated by their member organization. All step teams must consist of members who understand and are willing to uphold the stated guidelines within this registration packet. All step teams must report to all scheduled meetings and practice sessions on time. All step team representatives must attend the sound check on the day of the event. 1. Registration Fees: There is NO registration fee for participants. This includes complimentary entry for step competition participants, one (1) Manager, and one (1) Sound Assistant. Participants must be listed on the Step Competition Registration form. Persons not identified on the team’s registration form must purchase a ticket to the show. Those participating in the show solely as prop, cane or primp participants, must purchase a ticket to the show. Please note: Participants, Managers and Assistants will be asked to show proof of I.D. 2. Performance Timing: Each team will have a total of 8 minutes but no less than 5 minutes to perform, including introduction and exit. The clock starts when the first member steps in full view of the judges and timekeeper and/or when the music or vocals start. Routines over 8 minutes will be deducted 10 points from the total score for each minute over. Similarly, routines under 5 minutes will be deducted 10 points from the total score for each minute under. 3. Group Limits: The maximum number of participants per team is 10. 4. Audio: Each team must provide all performance audio on a USB device with the edited version. The Sound Assistant identified on the registration form must be available to instruct the Show’s sound technician during their team’s performance. All music/recordings will be the responsibility of the step team. USB Device and written sound cueing procedures must be submitted to Keysa Rogers at keysa1908@icloud.com by no later than March 3, 2018. Additionally, at check-in, each team must provide a printed copy of their previously submitted written cueing procedures. The individual or team representative will be responsible for the music until the completion of the performance.

Step Show Contract 1. Whereas Alpha Kappa Alpha Sorority, Inc. Far Western Region (hereinafter referred to as “FWR”) agrees to plan, organize and execute a step show to be called the 89th Far Western Region Annual Step Show Competition to be held at the Hilton Tucson El Conquistador Hotel 10000 North Oracle Road, Tucson, AZ 85704. 2. FWR agrees to provide the following Step Show prizes per fraternity/sorority category to the first place and second place teams: • 1st Place (AKA Undergraduate Chapter) ~ $250.00 • 1st Place (AKA Graduate Chapter) ~ $250.00 • 1st Place (NPHC Contestant) ~ $250.00 3. FWR agrees to provide a suitable venue for the Step Show competition including but not limited to efficient sound equipment, secure staging, staffing and all other production requirements to facilitate the successful presentation of the program. Regional Committee Participation Archives: This committee shall establish and make recommendations for the implementation of a method of receiving, preservation and storage of materials of historical significance to the Far Western Region. Awards: This committee will be responsible for revising the Regional Awards Manual as necessary and will also be responsible for the International Awards as required. Only non-delegates may serve on the Awards Committee. Chaplains Committee: This committee will engage sorors in pre-plenary devotional and motivational experiences prior to beginning of plenary sessions. Connection Committee: This committee assists chapters to implement the sorority’s public policy agenda, including voter registration, voter education, government and the states’ AKA Days at the Capitol. Constitution and Bylaws: This committee shall propose and accept needed changes in the Constitution and Bylaws. Data Analysis & Evaluations: This committee will focus on identifying trends in practices, and, tracking strategies and tactics used to advance the region within the sphere of Alpha Kappa Alpha Sorority, Inc. Music/Regional Chorus: This committee is responsible for the conference music as requested by the Regional Director. Philacters: The Philacters Committee will serve as the doorkeepers during the closed sessions of the regional conference. They will be responsible for admission to the sessions of registered sorors, collecting late fees, and ascertaining knowledge of the current password prior to admittance to each session. During the ceremonies, the Philacters Committee will admit only those sorors properly attired. Once the ceremonies have begun, the Philacters Committee will ensure no additional sorors are admitted. Program: This committee will develop strategies for chapters to implement the internationally adopted program targets of Launching New Dimensions of Service adopted by current Supreme Basileus, Soror Dorothy Buckhanan Wilson. Protocol Committee: This committee facilitates the proper protocol for the region’s meetings and conferences. Each chapter in the Far West is requested to appoint two members to the Protocol committee. Recommendations: This committee will receive, compile, edit, and present to the conference recommendations from chapters and committees. Resolutions: This committee will receive, recommend, and edit resolutions from chapters and committees. Resolutions are binding. Therefore, this committee must evaluate the relevance and appropriateness of resolutions received.
