Reasons to be cheerful In this issue you’ll find reasons to be cheerful – Parts 1, 2 and 3 – as we ramp up our 50th anniversary celebrations. So far we’ve raced off to racedays and chortled at comedy nights and now we’re inviting you to join in the next three events on the cards – live filming of Rugby Tonight where you become the audience, a charity Golf Day at Kent’s spectacular Nevill Golf Club and of course a visit to our own base, the Right Royal Wedding town Windsor, and Windsor & Eton Brewery, who are celebrating the Royal Wedding with their very own Harry and Meghan’s Windsor Knot. (We’re also working on a number of celebratory House of Commons receptions with our industry association partners, so watch this space.) Other reasons to be cheerful? The government has agreed to extend licensing hours over the Royal Wedding weekend (see pages 44-45 in this issue) and there’s a free day’s racing on 30 November for everyone who joins us at the Awards Gala Dinner (see pages 24-25).

On the topic of Awards, there are two great opportunities to raise the profile of your club in this issue – the 2018 Club Awards and the Hospitality Social Media Awards. The Club Awards, now in their 27th Year, are simple to enter yet - as all finalists and winners will tell you – are an invaluable (and free) way to turn up the volume on the club. Some clubs shout out their success with banners and posters, others use it to engage suppliers, dignitaries and local press while others use the megaphone of social media to spread the word, with likes and tweets gaining kudos and members. Social Media in fact comes to the fore in the 2018 Hospitality Social Media Awards (see pages 32-35) providing a great forum for clubs to share their successes and demonstrate how social media – from websites and Facebook to Twitter and Trip Advisor – are helping maintain and grow club business. Growing business is of course essential for the stability and prosperity of clubs across the country so we’d encourage all clubs to take a look at HQ Building the Business (pages 42-43 and 46-48). Here you can explore – completely free – how you could be saving money. Also not to be missed is the CIU’s 27th Annual Beer & Trades Exhibition which takes place on April 13 (1-5pm at Norcalympia in the Norbreck Hotel, Blackpool). All CIU members are invited to attend this free event and meet up with club suppliers. CIU members are also encouraged to attend the Annual Meeting the next day at 10am sharp in Blackpool’s Globe Theatre. (More details on pages 22-23). So yes, there are many reasons to be cheerful and it’s time to make the most of them. Reasons not to be cheerful? Well, they might include the fact that the Royal Wedding is on the same day as the FA Cup Final. But then again, if you can pull in the extra screens and wing it with the wedding watchers (bunting, cake and fizz should do it) while keeping footie fans full-on, it could be a very profitable day. Enjoy!

Hospitality Social Media Awards 2018 Get ready for new data regulations

The second Hospitality Social Media Awards (HoSMA) have now launched. Social media is a game changer for clubs and the on-trade. The Awards were launched to encourage and applaud this, with finalists across all areas of the hospitality industry, from football and golf clubs to tennis clubs, pubs, hotels and restaurants, all coming under one roof to share successes and learnings. National Best Bar None Award winners announced The winners of the National Best Bar None Awards were announced at a parliamentary reception on February 5 at the House of Lords, hosted by ACC Chief Executive and Best Bar None Chairman, Lord Smith of Hindhead CBE. Plymouth picked up the title for Best Overall Scheme and Torquay was highly commended in the same category. Bolton received the Best New Scheme Awards, Sheffield won the Most Innovative Scheme category and PC Natalie Dolan of Greater Manchester Police received the Outstanding Commitment Award. 6 CLUB MIRROR

The General Data Protection Regulation comes into effect on 25 May with the aim of providing additional rights to individuals in connection with their personal data held by third parties. The new rules concern how and when someone, such as a club, individual, landlord or company, for example, can process personal data on individuals, be they clients, employees or suppliers. The system is regulated by the Information Commissioners Office (ICO) and failure to comply can result in penalties. Club Awards 2018 – date and venue announced The 27th annual Awards will be held at Doncaster Racecourse for a second year following the successful 2017 event in November. “The venue received so much praise last year it wasn’t a difficult decision to return here,” said the Club Awards’ Karen Foreman. “This year will be equally spectacular and we’re very much looking forward to welcoming finalists, clubs and suppliers to the 2018 event.” The Club Awards recognise the commitment of clubs, committees and individuals who work to ensure a healthy future for their clubs.

Britvic unveils new website Britvic has announced the launch of its new trade website, www.sensationaldrinks.com, to help foodservice and leisure (FS&L) operators prepare for the arrival of the soft drinks levy on 6 April and provide a host of tools to help them maximise their soft drinks sales. Initially, the online platform will offer support and advice, including useful tools such as a profit calculator, to help outlets understand the financial impact of the Soft Drinks Industry Levy. Customers can also order dispense conversion kits that will help them make changes to their range to offset the effects of the levy, by optimising their sugar free offer.

Britvic will be expanding the content featured on the site to include wider information about the category, its brands and the opportunities available to FS&L operators. Carlsberg UK rolls out new App Carlsberg UK has rolled out MRM’s POS Creator Software to its sales team, enabling sales managers to use its App on their iPads to create drinks menus and point of sale items in real time, during on-site meetings with operators. By sharing an interactive 3D visual, they can get instant customer approval during the sales visit. All items are printed and delivered to the venue within two working days in order to maximise the sales opportunity for operators. Tracy McIntosh, head of customer marketing at Carlsberg UK, said: “We give our on-

trade customers as much support as possible to maximise the competitive edge our market-leading brands give them, and we needed an updated solution for providing pubs and bars with POS items. “Having worked successfully with MRM for six years now, we know they bring both industry knowledge and IT expertise to the table, and so they were our first point of call. The POS tool they have delivered to support our sales teams has surpassed our expectations in terms of both functionality and ease of use, and the immediate buy-in from our team is very encouraging.”

Self-serve dispensing will challenge brand loyalty La Cimbali has extended its range of superautomatic professional coffee machines with the launch of the S20, designed to deliver up to 200 cups of coffee and milk based beverages a day. With self-serve alcoholic beverage dispensing technology gathering market momentum, major brands may need to adapt to ensure consumer loyalty, according to data and analytics company GlobalData. The company’s report, ForeSights: Selfserve Alcoholic Beverage Dispensing Technology states that the new on-premise concept has the potential to disrupt the bar and restaurant industry by enabling consumers to dispense their own alcoholic beverages from taps. The technology, which tracks consumer behaviour and encourages sampling, presents both opportunities and challenges to alcohol manufacturers. Tom Vierhile, Innovation Insights Director at GlobalData, said: “Self-serve alcoholic beverage technology frees the consumer from having to wait for beverage service in a crowded situation. Once an establishment validates a consumer is of legal drinking age

and is not over-served, it provides the consumer with a radio-frequency identification (RFID) card or bracelet to enable self-service of alcoholic beverages. The RFID system can link to a credit card for payment.” Three major benefits are cited as reduced waste, improved consumer choice (and sales) and lower labour costs. Selfserve also encourages sampling, according to Vierhile. “The technology encourages sampling while tracking consumer behavior at a granular level. Unlike with bottled products, a consumer does not have to commit to or purchase an entire bottle to try a new beverage,” he said. “Bars and restaurants have been the primary targets for self-serve alcoholic beverage technology, but new installations in supermarkets, hotels and other hospitality venues like cruise ships indicate that the concept may have broader application than first thought.”

Sky Bet Chase Meeting, Doncaster The Doncaster meeting on 27 January proved a great start to a great year of celebration, a great day out and a great chance to re-visit our host of the 2017 Club Awards. And guess what? We’re all booked in for the 2018 Club Awards Gala Dinner on 29 November with a free – yes that’s FREE – celebratory day of racing the following day. Oh, and of the Sky Bet Chase? Best bet of the day was our 8/1 winner Wakanda – bit of an 8/1 theme going on here! – who hadn’t won a race in two years, beating the 13/8 favourite (pictured) into third place. Not a bad return all things considered!

NEW HAND-FINISHED FONT FOR GUINNESS GUINNESS, the UK’s No.1 stout from Diageo, has launched a new, hand-finished, illuminated font, modelled on its iconic harp logo. The font is designed to drive optimum visibility and is streamlined to generate more space and better interaction between customers and licensees, says the company. The full suite of new GUINNESS assets includes the font, tap badges, tap handles and illuminated bottle openers. Taking inspiration from The Macallan Rare Cask and Rare Cask Black packaging, the new bottle design is broad-shouldered, with a distinctive chevron cut into the bottle as it tapers toward the neck. Calling all clubs... Haven’t entered the Club Awards yet? Then it’s time to get inspired with this whirlwind tour of just some of last year’s winners – from cricket clubs to rugby clubs and from social clubs to community clubs. KING OF CLUBS PHOENIX ARTIST CLUB The club has broadened its offering and successfully attracted in new members and new business. These members can now book online as the club now uses the same booking systems employed by restaurants. It has engaged with social. media to great effect and is seeing 2,000 hits daily on Facebook, leading to an increase of membership from 800 to 5,000. The club’s turnover has increased just as dramatically with extra revenues coming in via these new members. It was also voted Time Out Best Bar and Club 2016. BAR MANAGER OF THE YEAR BOOTHSTOWN RBL (JOINT WINNER) Boothstown RBL, founded in 1940, has a membership of 400 and the club is busy growing that figure in the community. “It’s been going well,” says Steward Kenny Bailey. “Turnover has increased and there’s been a steady increase in membership. We’ve done a few more refurbishments to the club as well; we’re updating it all the time.” Charity events prove popular as does the annual festival. The club also has snooker, darts and dominoes teams, and is proud of fostering its community spirit.

BUSINESS INITIATIVE OF THE YEAR COOKLEY SPORTS CLUB Cookley has two cricket fields, two football pitches, tennis courts, a multi-use games area, bowling green and screens both BT Sport and Sky Sports. The club launched a web site alongside Facebook. As a result, the huge boost in membership requests means the club has expansion plans to increase capacity from 1,500 to 2,000. The club’s annual beer festival is a huge success and attracts around 9,000 people, serving nearly 50 different ales, and all recorded via a drone, viewable on YouTube. The club’s 2017 Party in the Park saw 14 bands and thousands of guests enjoy a great day out.

BOWLS CLUB OF THE YEAR PENN BOWLING CLUB Penn’s 15 bowling teams had a good year with five players picked for the county team and two juniors picked for the junior county team. With the bowling season running from Easter to September the club works hard to bring in members all year round. Two beer festivals per annum with 43 beers plus ciders, an increased number of guest beers at the bar and large investment in the catering operations have all helped to grow membership by 10%. “As a result of the improved catering, we’re now fully booked for Friday and Saturday nights,” says Roger Baker, Treasurer.


CATERING CLUB OF THE YEAR COBHAM SPORTS AND SOCIAL CLUB (JOINT WINNER) With a mighty membership of 2600, Cobham Sports and Social Club is one of the true jewels of the Dorset scene and one of the relative newcomers to boot, having only been open since 1971 – a mere baby compared to some. Part of the reason for the venue’s ongoing success and steady increase in membership is its modern, forward-thinking approach. This has included the redevelopment of their bowling alley into two alleys with a diner, which is proving hugely popular with children and groups. The members’ lounge is seeing the two food areas combined serving 2000 meals per week on average. There’s also a barbecue in the outside area. The club has two cricket fields, two football pitches, tennis courts, a multi-use games area and a bowling green as well as a 9-hole golf course, pool and darts. There's even a mini railway within the large grounds. The two well-stocked bars play host to sports screenings, and when the lights go down, customers can enjoy live music (including regular tribute acts) and quizzes which always go down a storm. ST JAMES’S CLUB (JOINT WINNER) St James’s main restaurant (30 covers) has retained its Michelin star and 4 AA rosettes since 2009 and

last year Food & Beverage revenues went up by 11%. But the club, founded in1857, is not about to rest on its laurels. Food & Beverage Manager Antonio Vigorito has introduced afternoon tea with a difference, partnering with renowned toy store Hamley’s to supply board games for members and their children to provide what he describes as an uplifting experience. He has also introduced a unique water menu with a variety of different waters from the UK, Italy, Denmark, Portugal and Scotland. There’s also a new coffee menu which includes exotic varieties such as Jamaican Blue Mountain and Kopi Luwak from Thailand, often referred to as the world’s most expensive coffee deriving its name from the Indonesian civic cat. As well as the main restaurant, described as French-style cuisine using British produce wherever possible, the club boasts a bistro, a bar and lounge menu. The club also won an award from Spirit Business for its cocktails.

COMMUNITY CLUB OF THE YEAR HAWTHORN SOCIAL CLUB St Anne’s has succeeded in introducing ladies cricket after advertising in the local press where they offered free tuition. “Once we had a few ladies, the word spread. Now we have a team and they played their first match in July last year,” says Secretary Tracy Cotton. Social members play a big part in the club and raised £10,000 which is being spent on a children’s play area. The club holds an annual four day beer festival with live music which brings in new members, and club activities are promoted via social media, fortnightly ads in the local press and via the club website and flyers. Hawthorn’s committee has embarked on a recruitment drive with a particular ambition to draw in younger members and families. Just over three years ago, the club went through tremendous changes and was awarded Club Mirror’s Best Turnaround Club of the Year. Now, in a happily stable position, everything goes through the committee and is voted on democratically at meetings held every two weeks. A further Finance Committee meets monthly and

ENTERTAINMENT CLUB OF THE YEAR NEW ELTHAM SOCIAL CLUB

< Founded in 1893, New Eltham Social Club remains contemporary, completing a refurbishment programme with a new bar and seating area. It has also built a new front entrance and reception area at a total cost of £80,000 which came out of the club’s funds. During the building work, the club remained open by using the upstairs bar. The club screens sport, has live music on Friday, Saturday and Sunday, runs bingo, quiz nights and has a pigeon club for racing pigeons.

CLUB AWARDS FAMILY CLUB OF THE YEAR NUNSFIELD SOCIAL CLUB (JOINT WINNER) Nunsfield Social Club has 1,500 members to look after. As a result, Steward Paul Walton employed a full time office member to oversee the membership database. Families are seen as the future of the club and are a major focus. “We've bought two inflatables – a smaller one for younger kids and a larger obstacle style inflatable for the older kids. They get inflated every Friday and then they're up for the entire weekend and it has been great for attracting families,” says Paul. “Allied to that, we've offered free soft drinks to kids when their parents buy drinks, something that doesn't cost us that much but is a real incentive to people with families.”

FAMILY CLUB OF THE YEAR WILLASTON SPORTS & SOCIAL CLUB (JOINT WINNER) “We’re very family orientated,” says Lesley Anderson, Club Stewardess. “We offer everything from senior citizen tea clubs and a kids’ play area to Zumba. We also have two football teams, a lads and dads club and a lads and dads senior team plus two snooker teams, three darts teams and four pool teams – this has helped bring people into the club who have become members.” The club has spent £100,000 on refurbishment and has introduced a new till system with a loyalty card – people collect points on their card and receive a free drink when it’s full.

GREEN CLUB OF THE YEAR DATCHET WATER SAILING CLUB

Datchet Water Sailing Club is proud to be a member of the ‘Sustainable Clubhouse’ initiative. Gabrielle Boase CMD, General Manager at Datchet Water Sailing Club says: “We are fundamentally a green sport and we operate a green clubhouse at Datchet Water. Spreading the word about environmental impact and sustainability with our younger sailors and newcomers to the sport is helping to keep our waters clean and safe. Engaging with them also creates a long-lasting impact for the club by helping to ensure even more people make sailing part of their future.” The club has installed a heating system which uses the reservoir as a heat source and a water source heat pump (instead of oil or gas boilers) has reduced the club’s carbon footprint. The project falls under the Renewable Heat Incentive which means that the club is paid for heat generation for the next 20 years. It also means that after repayments from OFGEN the club now receives more money than it spends on heating, while the excess electricity produced by the solar PV panels is used to power the heat pumps. The club has installed several eco-friendly measures such as double glazing and new energy-effi-

cient radiators, solar panels for renewable energy, new boilers, roof insulation and a cooling system for the conference room. The insulated roof helps to lower the building’s carbon footprint with an annual reduction of 21,000 kg of carbon dioxide emissions. MANAGER/SECRETARY OF THE YEAR BOYCE HILL GOLF & COUNTRY CLUB (JOINT WINNER) “The club is currently in a great position with more members bringing more guests, drinking more drinks and eating more food,” says Manager Alexander Woodward. The club has succeeded in attracting new ladies to the club with its new academy pathway to membership, and continues to bring in new ones at entry level with Family Open Days, Woman’s Golf Days and a thriving junior academy which is up to nearly 70 children.

Boyce Hill GC is involved with six local schools taking the game out to them and is actively working with the Golf Foundation to help promote the game locally. “An extension to the clubhouse is being built, we are refurbishing the restaurant, bar and lounge and have made considerable investment in the golf course following the wish list of members, identified via a members survey,” says Alexander. “At the moment we enjoy over a 98% approval rating amongst the membership and the club is a wonderful place to be.” MARKETING CLUB OF THE YEAR NORTHERN FOOTBALL CLUB General Manager David Giles has had a challenging time thanks to government regulations which saw the club’s trading side and sporting side split into two separate entities. But the club is thriving under his tenure, with functions now so popular that the club is passing on customers to the local cricket club. “The bars are very busy and we’ve been doing different themed food nights which are all extremely popular,” says David. The club had a successful year on the pitches and the squash courts and nonplaying members can enjoy their sport via BT Sport and Sky Sports. “We’re expanding all the time,” says David.

MEMBERSHIP CLUB OF THE YEAR ST. GEORGES SPORTS & SOCIAL CLUB

A Shropshire sensation, Telford’s St. Georges Sports & Social Club is about as welcoming and friendly as they come. The club’s been in operation since 1954 and a change of stewardship has seen new policies implemented. One of these has been a drive to ensure that, as well as occasional guests popping in for a pint, they also retain their healthy membership for those wishing to use its facilities on a more regular basis. The club has cricket, football, bowling, hockey and darts teams as well as dominoes, and provides social activities in equal measure, with a function room regularly hired out and a members’ lounge serving food. For those preferring to watch sport than play it, both BT Sport and Sky Sports are on hand. Real ale is popular at the bar which has an impressive eight hand-pulls, and the club’s beer festival draws in the crowds. SPORTS CLUB OF THE YEAR ROEHAMPTON CLUB Roehampton has a golf course, 28 tennis courts, squash courts, a gym, swimming pool and four croquet lawns. A £3.5m development has seen the outdoor heated swimming pool replaced to become more familyfriendly and open for 11 months of the year rather than six, and the gym and health club is being redeveloped, going from one to three studios and increasing in size to 150 square metres.

“It was very challenging keeping the club open during the building work,” says General Manager and former CMAE President Marc Newey CCM CMD. “We built a temporary gym in the piazza and a temporary studio in the gardens.” Families are attracted to the club’s tuition programme, says Newey: “When people join the club, they don’t just want to participate in a sport, they want to get better at it so we offer this extensive tuition programme for adults and kids. Our biggest sports are by far tennis and golf, although we offer squash and croquet.” In April last year the club opened 10 grass tennis courts and the club is proud that Wimbledon tennis stars have been known to use the club to practise on, including by the Williams sisters. The 28 courts boast a variety of surfaces for year round play, and the club has many squash, golf and swimming pros. It is also an international venue for croquet. SPORTS & SOCIAL CLUB OF THE YEAR KINGS HEATH CRICKET & SPORTS CLUB (NORTH WINNER) Kings Heath’s does an exceptional job when it comes to catering for its 700 members. A team of chefs prepare food fresh every day, from a full menu to bar snacks. There are monthly themed events for

the Diners Club while Wednesday curry nights are well attended. The club became the 2016 Birmingham CAMRA Club of the Year and holds four beer festivals a year. TENNIS CLUB OF THE YEAR WOLVERHAMPTON LAWN TENNIS & SQUASH CLUB Wolverhampton Lawn Tennis & Squash Club has an inclusive approach to building the club, for example, holding a club visioning event with 50 people and tackling the relationship between paid staff and volunteer committee members by devising a communication plan. Innovatively, committee members are engaged for two years and then source their own successor. The club has gone out into the community and runs successful coaching programmes, helping people to become more active. The club also managed to get an interest-free grant from the LTA and has reduced its electricity bill through solar panels. TRADITIONAL CLUB OF THE YEAR BARNARD CASTLE WMC (JOINT WINNER)

“We’re really proud of what the club continues to achieve,” says Terry McKie, Chairman. “We’ve had the upstairs Function Room completely transformed. We've ripped out the main bar and put in a new one plus we have brand-new furniture throughout – tables and chairs – to give it a new look. “We’ve had a lift installed to ensure that disabled members have full access to the club's facilities. We spent over £150,000 on the whole project but we are looking at it as a necessary investment in the club which will stand us in good stead for the future. It's already had a galvanising effect on membership as we've had new people hearing about the improvements and consequently wanting to join. “We have also put in a big screen for showing live sport, a new stage, black-out blinds and a brand-new kitchen area.”

Doncaster is one of the oldest established centres for horse racing in Britain, with records of regular race meetings going back to the 16th century. In 1776 Colonel Anthony St. Leger founded a race in which five horses ran. Now, 241 years later, that race has become Doncaster’s prestigious four-day St. Leger Festival, the premier sporting occasion of the autumn calendar.

Social investment for community sports In January 2018, advisor Sporting Assets launched Sporting Capital. MD Pete Maguire explains how the £3m fund aims to bring simple, repayable social investment into the community sports market.

M

ention social investment to many sports sector bodies and the first thought is of social impact bonds. These have been discussed at length in sport, but have yet to become mainstream. By offering something we can all understand – simple unsecured repayable loans of between £50,000 and £150,000 – the Sporting Capital fund is trying to change the perception of social investment in sport. The fund is looking to support around 30 organisations by June 2020 to develop sustainable community sports businesses through support and investment. In doing this, we hope to open the eyes of the social investment sector to the validity of sport as a sector to invest into. Likewise, we aim to show the value of social investment to the sports sector, which is lagging behind many other comparable sectors. Sport has been underserved by the social investment market. We believe it is accessing less than £5m in a market that, according to the sectors wholesale funder, Big Society Capital, stands at around £3bn. Partly this is the fault of the social investment market itself, which has been slow to understand the impact sport and physical activity can have beyond mere participation. The sports sector itself has also been slow to recognise the value of, and engage with, social investment. We are starting to see changes, however. Greater impact measurement within the sports sector, and more honest reporting of successful impact, and failures, will help, as will the sharing of examples of sports organisations successfully accessing and benefiting from social investment. Both of these ideas were discussed at at January’s Fit for the Future Convention hosted by the Sport and Recreation Alliance. Street League talked honestly about reporting both their success and failures in their impact report and we explained how we are supporting the LTA nationally and locally to understand and engage with social investment. The recent Sporting Future update also touched on alternative investment in sport. So, with a new, easy to understand fund focused on community sport, a sector starting to engage, and support from Government, maybe 2018 will be the year sport embraces social investment. We will provide updates on the progress of the Sporting Capital fund throughout 2018.

New legislation on data protection What are the regulations for? The new law comes following the ever increasing digital era of the internet, mobile devices, online banking and social media, replacing the 1995 EU Data Protection Directive. This new legislation is intended to better protect your club members against data breaches caused by service providers. Businesses will benefit through the harmonisation of European data protection regulations therefore making it easier to comply. What is the impact on your club? You may have seen last year, TalkTalk received a £400,000 fine for their customers’ personal data being leaked. Those not conforming to the new requirements can expect fines amounting to as much as 4% of their previous year’s global revenue (or €20 million, depending on which is greater). Come 2018, your club must keep track of sensitive personal data and have proven audit trails of the processing of such information. Should a breach occur, notification to the data protection authorities must be provided within 72 hours; in the UK that's to the Information Commissioner’s Office. For those handling considerable amounts of sensitive customer information, a special data protection officer must be appointed. Arming these individuals with the tools for data governance will be key. Clubs face significant risk not only financially with potential fines but also the impact in reputation in the event of a data breach. With these new regulations, members are likely to challenge clubs on their data protection governance before making a decision. There is no doubt that this new law will affect almost every club in some way and therefore it will be essential to preserve members’ expectations and trust to remain successful. Any club not protecting their members’ data sufficiently will be at severe risk of losing custom to competitors. Recommendations include the following: Secure Print • Avoid sensitive documents sitting uncollected at the printer. • Encrypt print jobs from the user PC to device.

• Anonymise print file names. • Monitor content of documents being printed, copied or scanned to prevent duplication of documents of the highest sensitivity. Document Management • Automate the storage, management and tracking of all documents. • Distribute to the relevant department automatically from the scanner. • Apply rules based print and scan to prevent sensitive data from being copied.

• Create user identity profiles. unning a club restaurant can be a hugely rewarding experience, but it isn’t always easy. To succeed, it’s essential you have a firm grip on your finances. With a constant stream of transactions to process and razor-thin margins, you have to keep on top of your cash flow. Here are five top back-to-basics tips from Gary Turner, MD and co-founder of Xero

of businesses in which all the inventory is consumed on the premises! Managing stocks of food and drink can be a challenge. It’s expensive to hold too much stock, especially if it’s perishable meaning that regular deliveries are needed to keep the club kitchens supplied. Using software that can track inventory and stock easily will help you to avoid any nasty surprises.

1. Get a back-end system that’s flexible Club restaurants do the majority of their business outside conventional working hours. Lunchtimes, evenings, weekends and holidays are busy periods and this has an effect on payroll. You’ll need an industry solution that can handle open shifts and replacements, employee tips and a high turnover of staff.

5. Account for all receipts While you will have regular suppliers who bill you in the usual way, sometimes you can still run short of ingredients. For example, those 10 members who all order the same fish dish at the same time could exhaust the club’s supplies of fish for the night. Just be sure that when you send someone out for a speedy local shop to fill the gap that you make a record of everything you buy, and process every receipt, so you’re not out of pocket when it’s time to offset your expenses against tax. In summary, keeping your head above water in all areas of the restaurant industry is tough. By using cloud accounting software, you’ll have a far greater understanding of how your latest numbers are impacting the bottom line. Used wisely, it will help you manage and grow your club’s restaurant business.

2. Keep your pricing competitive Menu pricing is a balancing act. You need to account for the cost of ingredients and overheads whilst maintaining your competitive edge. Good accounting software can help create reports to estimate meal prices on a weekly or even daily basis. Armed with the numbers, you can check out the competition and make informed pricing decisions. 3. Get a POS system that ties in with the accounting software The majority of restaurants receive money from

customers in two different ways; cash or credit/debit cards. A good POS (Point of Sale) system will handle these different payments and connect to your accounting software. That will help you update your cash flow predictions daily. It’s not always practical to create an invoice for every meal in your accounting software. Instead, create daily sales invoices, then receive the money into a cash control bank account, or use the receive money option in your accounting software to record all the day’s takings in one go. Xero, for example, can easily be integrated with third-party apps for point of sale, inventory, CRM and more. It also allows users to create recurring invoices for regular suppliers. 4. fter a major refurbishment, most clubs report an increase in sales, which is why club décor is always high on the agenda. But where do you start? When it comes to choosing a new colour scheme, it’s a brave committee which deviates from the neutral norm. But before you head out to buy a tub of magnolia, have a look at what the experts say. There are apparently 11 basic colours which have psychological properties – positive and negative – which could affect the mood and ambience created in a club. RED Stimulating, lively and friendly, with warmth and energy, red is also a demanding and sometimes aggressive colour, so needs to be sparingly and in the right areas. BLUE Soothing, serene and calming, blue is an ‘intellectual’ colour that can also be perceived as cold and ‘unemotional’.

YELLOW An emotional colour, in the right tones, yellow can convey optimism, confidence, friendliness and creativity. GREEN Green is a refreshing, balanced, ‘environmental’ colour which conveys equilibrium and peace. It’s a tough colour to use, though, and can lead to a ‘bland’ result. VIOLET With historical associations with royalty, violet (or purple) reflects luxury and quality, as well as spiritual awareness, authenticity and truth, when used in the right quantities ORANGE Orange creates an aura of physical comfort, warmth and security, as well as passion and fun. Too much orange is over-powering, however. PINK Pink is nurturing and physically soothing.

Tranquility, warmth, femininity and sexuality are also associated with the colour. GREY Grey needs to be used carefully if a depressing effect is to be avoided. BLACK Used in the right quantities black reflects sophistication, glamour, security and emotional safety. Overstep the mark and it becomes oppressive and cold. WHITE Linked in the mind with purity, cleanness and simplicity, white can reflect sophistication, and coldness in equal measures. It lends a heightened perception of space. BROWN A warm and earthy colour which needs to be used in the right shades and blends to avoid a feeling of heaviness. So – magnolia it is then. Happy painting!

Extended Hours for Royal Wedding The Home Secretary is authorised to make an order relaxing licensing hours for licensed premises in relation to a ‘celebration period’ to mark an occasion of exceptional international, national or local significance. The Royal Wedding on Saturday, 19 May is one such event, coinciding with the FA Cup Final, which also takes place on the same day. The Government had announced that it would undertake a consultation on an Order that allows the extension of licensing hours in England and Wales during the weekend of the Royal Wedding. period and responses were received from a range of stakeholders which included community groups, police, licensing authorities, the licensed trade and trade associations. Representatives from the licensed trade were supportive of the proposed order and felt that extending licensing hours during the Royal Wedding would have an extremely positive effect for the trade. Following consideration of the consultation responses the Government has published a Draft Order that will allow the extension of licensing hours in England and Wales during the weekend of the Royal Wedding.

The Order will apply to premises that are authorised for the sale or supply of alcohol for consumption on the premises under a premises licence or a club premises certificate and will include the provision of late night refreshment. The Order will not apply to late night refreshment premises that are not licensed to sell alcohol for consumption on the premises. The extended hours that will be allowed are as follows: • Friday 18 May from 23:00 to 01:00 hours (the following morning)


• Saturday 19 May from 23:00 to 01:00 hours (the following morning). The extended hours will not apply to off sales or the provision of regulated entertainment activities. A temporary event notices may be given for those premises that do not benefit from the extended timings or wish to operate beyond 01:00 hours. Motion Picture Licensing Company We are all familiar with the Performing Rights Society (PRS) and Phonographic Performance Limited (PPL), who manage music rights. The Motion Picture Licensing Company (MPLC) manages the rights relating to films and television programmes. The company represents film studios and television producers, including 20th Century Fox, BBC Worldwide, Discovery Channel, Granada Media, DreamWorks, Lionsgate, Miramax, Paramount, MGM and Universal Studios. MPLC has contacted licensees suggesting that venues will need a licence if they have a television screen. That is not necessarily the case as there are exceptions. Generally speaking, a licence will be required if a

venue shows by any means (in a public or staff area) a television programme or film produced by an organisation represented by MPLC. It does not matter if a film or television programme shown by a venue is a live broadcast or recorded and whether or not the sound is on. However, if a venue only shows sports, rolling news or music channels (terrestrial or subscription services) a licence is not required. A licence will not be required in private accommodation, such as a manager’s flat. If a venue requires an MPLC licence, the fee is calculated by reference to the relevant tariff. Company change of Designated Premises Supervisor Any venue that is authorised to sell alcohol under a premises licence requires a Designated Premises Supervisor (DPS) to be named in the licence. Without a current DPS, the venue has no authority to sell alcohol. It is for that reason that there is a specific process by which a premises licence can be varied to change the DPS and the application may be expedited if necessary.

ASK THE EXPERTS – GDPR

Are you ready for GDPR? General Data Protection Regulation (GDPR) law comes into play on May 25, 2018. So just what impact will this have for clubs with websites? Studio 44’s Doug Rubashaw explains the web perspective.

J

ust to caveat, we’re not lawyers, nor are we GDPR experts. If your business holds sensitive, personal information, we would strongly recommend speaking to an expert to ensure everything you’re doing is compliant – let us know if this is the case and we would be delighted to put you in touch with someone who can help. As we see it, from a website perspective, there are three areas you need to be aware of. These are where your website is hosted, how your data is collected and how you ensure all those on your database want to hear from you. To cover each of these in turn: Where your website is hosted The ‘data processor’ who hosts your website will hopefully have taken steps to ensure their service is GDPR compliant. As a result, the onus is on you as the website owner to check with your hosting provider that they have this covered. It’s also worth noting here that you should ensure your website host uses an SSL certificate for encryption. This protects the data being collected via contact forms and any other personal data being stored on your hosting account. How you collect data Collecting data on your website to be GDPR compliant is all about ensuring you have the right consent from whoever you are receiving the information from. You need to explicitly tell the user what you’re signing them up for, and ensure they’re opting in, as opposed to the traditional confusing tick box you see on pre-GDPR consent forms! Every website is different, and businesses collect data on their website for a myriad of reasons but if you have a website that collects personal data, it’s worth speaking to a GDPR consultant to ensure your means of collecting data via your website is correct. As a generic sample, wording like this could work… “We’d love you to join our community so we can send you news and exclusive promotions from us and carefully selected partner organisations. We always treat your details with the utmost care and will never sell them to other companies for marketing purposes. And you’re free to unsubscribe at any time!” You could then have a tickbox which says “Yes please, I’d love to hear about offers and services.” It may be worth speaking to a GDPR expert to tailor the wording for your exact situation and audience, but hopefully that at least gives you an idea about wording you could use! Your current database Ensuring all those in your current database want to

hear from you is hugely important. This essentially means getting all those on your current database to opt in to receiving communications from you. In a way, it’s a positive. You can cleanse your data, and those who you’re emailing actually want to hear from you! So how do you go about this? Well this one is quite straightforward if, like us you use a good email marketing platform (we use Campaign Monitor – https://www.campaignmonitor.com). Campaign Monitor actually give a great breakdown on GDPR and how they’re preparing for it which is well worth a read (https://www.campaignmonitor.com/trust/gdpr-compliance). When re-gaining consent, we think you want to keep things simple and transparent. Send out an email to your current database explaining the situation with GDPR, and that you’re obliged to give current subscribers advanced warning about continuing to receive communications about special offers, events or whatever you’re promoting. Use this as an opportunity to sell them on the benefits of re-subscribing with you, and then provide them with a link

to sign-up/re-subscribe. Simple! Subscribers will be getting used to this as they get more and more re-subscribe requests to their inbox, so they will sign-up if they want to hear from you. We would also recommend doing this periodically down the line to ensure your data is as clean as it possibly can be, and that your subscriber list really do want to hear from you. So there you have it, hopefully a practical guide to how GDPR will impact your web presence. Are you ready to take the heat? With the clocks going forward and Summer planning underway, have you considered your insurance requirements as the temperature heats up? Victoria Romero-Trigo of Club Insure offers the following advice.

A

s we plan ahead for warmer temperatures it’s time to build in your outdoor events to entice members into your club – from barbeques to music festivals. Here are a few considerations to ensure that you are adequately covered and that your licensee is aware of the latest legislation. Does your insurance cover such an event? Are you aware of your insurance responsibilities? Legislation All entertainment events are classed as work, as are most activities. As such, they are subject to the Health and Safety at Work Act and the various other regulations passed under it. Also it is almost certain that any volunteers working at the event will be classed as employees for the purposes of Employers Liability and Health and Safety legislation. An event organiser has a duty to ensure that any premises, open spaces, means of access and egress, and any plant, equipment and substances are safe and without risk to the health of any employees, volunteers or visitors. As you want to hold a safe event, make sure you carry out a risk assessment and act upon its findings to eliminate and mitigate risk to your employees and volunteers and the members of the public who attend. Make sure that you know whether you need a Temporary Event Notice from the local licensing authority. Insurance If you are planning any event which includes activities of a hazardous nature, then you must contact your insurer as soon as possible because liability

insurance may not be in place unless specifically agreed with your insurer. Hazardous events might include (but not be limited to): archery, assault courses, bouncy castles bungee jumping, clay pigeon shooting, firework displays and bonfires. If outside contractors are employed to provide attractions, the event organiser should check that each attraction provider holds adequate public liability insurance with an indemnity. If you allow people who are not employed by you to run stalls, displays, rides, sideshows etc., you should ensure that they have their own public liability insurance to cover both property damage and accident or injury to members of the public. Despite the Unfair Contract Terms Act, some conditions observed recently have endeavoured to place onerous responsibilities upon the event organiser which should have been catered for by the suppliers’ own liability insurance. Planning the Venue Organisers need to consider the suitability of the venue. Whilst the owners of any buildings and land that are used have a responsibility to ensure that their property is safe, it is the organisers who have a primary responsibility. Points to consider: • Has the local Fire Prevention Officer been contacted to ensure that the proposed use is acceptable and that there is no breach of any fire regulations? • Are buildings large enough with sufficient entrances and exits for the numbers anticipated? • Are fire exits clearly marked? • Are sufficient fire extinguishers provided?

• Do exhibitors or stallholders need to bring in equipment? • Are doorways wide enough to accommodate such equipment? • Are there awkward steps or corridors to negotiate? • Are there sufficient numbers of people to help unload? • Will vehicles need to be brought close to entrances and what are the traffic implications? Warning Whilst inebriated customers are par for the course in the late night and leisure and hospitality industry all year round, the summer sun can be bring out the worst in many. It is important therefore that all licensees and bar staff are aware that under the Legal Aid, Sentencing and Punishment of Offenders Act 2012 fines are up to £1000 for selling alcohol to somebody who is drunk, or being drunk and disorderly in public.

CMAE CONFERENCE

CMAE Conference hailed a success The Oxford English Dictionary defines the word ‘Conference’ as ‘a formal meeting of people with a shared interest, typically one that takes place over several days’ – and this could not be any more accurate for the CMAE event in Marbella in November. CMAE President David Roy CCM reports.

I

t should come as no surprise that people who are drawn to work in the hospitality industry are in themselves, easy company and willing conversationalists. However, it was quickly very obvious that in addition to this character trait, the CMAE members are focussed professionals, determined to use every opportunity to improve themselves and their clubs. The Conference was constructed to mix up networking, social activities, workshops and formal presentations, spread over three days. Sunday 26 November saw the Conference open with workshops hosted by Rob Hill, Global Golf Advisors, Bill Sanderson, the Professional Business Coach, Marc Newey CCM CCE, Roehampton Club CEO and Javier Revireigo, Valderrama CEO. These sessions proved very popular as they were aimed specifically at engaging delegates on arrival, generating a more friendly environment than a lecture theatre ever could. As a consequence, the ensuing drinks reception (sponsored by Tolchards) turned into the perfect opportunity for old friends to catch up and new acquaintances to be made. Monday 27 November saw a packed room eagerly listening to the first presentation on governance given by CMAE regular Kevin Fish CCM. Consistently evaluated by delegates as one of our most popular presenters, Kevin did not disappoint and got the day off to a cracking start.

Next up was Rob Hill, Global Golf Advisors, who provided an in-depth summation of their survey on club industry trends. The key findings of the survey included the fact that clubs that innovate and strive to include millennials are more likely to be successful than those who stick rigidly to the more traditional club model. [Editor's note: see pages 34-35 for more details.] Trevor Coughlan, Marketing Director of Jonas, then delivered an inspiring and impressive insight

into the world of technology, starkly illustrating the rapid advance of artificial intelligence into our everyday world and demonstrating how some clubs are at the cutting edge, utilising IBM’s powerful ‘Watson’ system. With many other more accessible tech opportunities at the fingertips of the modern club manager, Trevor quantified how such innovation drives revenues and assists in attracting and retaining the next generation of club members. Susan Stevenson, newly published author of Penguins and Polar Bears, firmly challenged the delegates to do more to manage the performance of their employees, using simple techniques to create a culture of excellence. The worryingly time-consuming


A perspective from the Director of Education The 9th European Conference on Club Management welcomed delegates from no less than 22 countries over its three days. It was a fantastic feeling to meet so many people from so many countries who all share the same passion for education and networking. I was delighted to be involved just a month into my new role as Director of Education. My main contribution for this Conference was the opening Welcome and closing Farewell, as well as making sure all the presentations were in place - a task I’m very familiar with having handled 14 conferences in Sweden over the last seven years. The presentations had their learning outcomes from the globally recognised 10 core competencies (everyone involved in our MDP Programme will be familiar with learning outcomes). It’s always our aim to source presenters who can talk about tools and facts that managers can turn into action and we evaluate all sessions to be sure we put the right speakers in front of our Tribe. As a result, the Conference presentations threw up a lot of action points which could be taken away and used immediately back in the workplace. The remaining job to be done at the moment is to decide on the European Conference for 2018. Everything points to a new Conference around the same time of year and in the same region. Spain’s Marbella was a beautiful venue for the Conference’s comeback, having rested for a couple of years, and delegates were able to enjoy all it had to offer before, alongside and after the Conference. I would be extremely happy to see even more CMAE members now gathering annually for great networking days and superb presentations. There are so many things in the Club World yet to be explored – together! Torbjörn Johansson, CMAE Director of Education attention to record keeping, realistic targets and goal setting and performance reviews was placed in context and it was unambiguously explained how vital these tasks are for the club manager to act as a leader. The ever popular Darshan Singh admitted to the difficulty that every presenter faces in rousing an audience immediately after lunch. Delegates were asked to stand, stretch and balance on one leg to get the blood pumping and before they knew what was happening, the entire room was dancing to an infectious bhangra beat. With such an audacious start to his presentation, Darshan was guaranteed to hold the attention of those already willing to hear his lessons on building high performing teams. For anyone lucky enough to have heard Bill McFarlan lecture on the art of communication, it is blindingly obvious that he has enjoyed a highly successful career as a professional TV and radio broadcaster. His impeccable delivery and pithy style ensure that delegates remain rapt and eager to learn more from his extensive experience. The summation of a first class day of learning could easily be captured with the ancient Chinese proverb delivered in Bill’s distinctive Scottish brogue: “Be careful of your thoughts, for your thoughts become your words. Be careful of your words, for your words become your actions. Be careful of your actions, for your actions become your habits. Be careful of your habits, for your habits become your character. Be careful of your character, for your character becomes your destiny.” Wonderful words from the past that remain pertinent and deserve to be adhered to today. After a very brief break, the day’s proceedings continued with the CMAE AGM, which enjoyed its largest attendance to date. Before stepping down from his role as President, Marc Newey reviewed the previous year’s activity, highlighting the success of the education programme and recruitment of Torbjorn Johansson as the new Director of Education. The gala dinner was graced with the presence of the legendary Spanish golfer, Manuel Pinero, who told the story of his luminous career through an interview with Javier Revireigo. In these days of wunderkind golfers it is remarkable that Manuel and Seve Ballesteros retain the record for being the youngest winners of the World Cup of Golf, claiming the title for Spain in 1976 by beating Lanny Watkins and Jerry Pate in Palm Springs. The dinner also afforded the opportunity for the

association to recognise the grateful thanks of the members to Michael Braidwood for his hard work and dedication to the role of Director of Education. It is a mark of the high esteem in which he is held that he was afforded a heartfelt and well deserved standing ovation when receiving his parting gifts. Tuesday 28 November started with an enlivened panel Q&A conversation from Syngenta with Marylou Watkins, Jennifer Allmark, Rod Burke and Alaistar Spink facilitated by Gary Firkins on female participation. GEO’s Jonathan Smith guided the delegates through the landscape of environmental responsibility before Lodewijk Klootwijk of the EOGOA enlightened the audience into the relationship between the chemicals generated by the central nervous system and our resultant need to belong to a ‘tribe’. Formal lectures were completed by Le Golf National CEO, Paul Armitage, who provided a unique insight into the dramatic transformation of the Ryder Cup venue and the challenges he has faced in doing so. The final event of the Conference gave the delegates the opportunity to test their golf skills at Valderrama, one of the world’s accredited greatest golf courses. The pristine turf and immaculate landscaping provided a memorable and lasting impression and was the epitome of the excellence that the CMAE members strive for daily at their own clubs. All in all a highly memorable interactive three days which I’m sure has put the CMAE European Conference firmly back on the Club Manager’s busy calendar. We’ll be sending out details of the 2018 event shortly, so watch this space!
