Algeria Model United Nations Conference Secretariat Job Position Descriptions Honorable Ladies and Gentlemen, Dear Algerian Youth, We, Algeria Model United Nations Board, currently are looking for young and inspired individuals willing to join our Secretariat team, who shall act as the organizing committee of our 5th edition annual conference. An ideal Secretariat member is characterized by high commitment for the conference organization aspirations of his or her contribution, with good experience(s) in event(s) organization and knowledge of the social skills required to engage the youth in this conference. The conference will be held in English, Arabic and French language, a very good command of the languages is essential. The Secretariat members will benefit from an intensive training sessions about Model United Nations rules of procedures and a clear state of Job Descriptions for each position within the Secretariat. The following positions are planned for the 5th edition Secretariat team, all secretariat members are accountable to the Program Executive Board. • • • • • •

Algeria Model United Nations Conference is entirely organized by a dynamic group of young profiles from Algeria, the organizing team is called Algeria Model United Nations Secretariat, they are heart of the conference, and the backbone of conference organization. The Secretariat is the heart of the conference, and the backbone of conference organization. Algeria Model United Nations Secretariat team will participate in recruiting and training staff and registering delegates. Being part of the 5th edition of Algeria Model United Nations conference will be a unique chance to contribute in the progress and success of Model United Nations concept in Algeria and eventually you will surely have the opportunity to develop your skills and expand your network with our Algerian youth. Algeria Model United Nations known as AlgeriaMUN is an educational program, its activities are organized independently by E.U.R.L MOUBADARAT EL DJAZAIR ( )مؤسسة مبادرة الجزائرfor trainings development and consulting, which covers organizing the following: 1- A yearly annual conference edition. (led by secretariat and executive board); 2- Open days in different cities. (led by Ambassadors and Program Director); 3- Special Algeria MUN sessions. (led by Executive team, or a focal point coordinator appointed by the Program Director); 4- Algeria MUN Leadership-Academy, (led by Executive team); 5- Algeria MUN Youth Forum(s); 6- Algeria MUN sessions for kids. (Initiative led by Executive Board). AMUN 2018 conference will last for 4 days, the Conference aims to bring a minimum of 250 participants to play the role of Diplomat Delegates. Secretariat Job Position Description: -
Secretary General: o The Secretary-General is the individual ultimately in charge of all logistical matters at the Algeria Model United Nations conference. o He suggests the countries assignments to all delegates, serves as the master of opening and closing ceremony, and, most importantly, delegates’ duties to secretariat staff.

o The Secretary-General should make every effort to delegate duties to other secretariat members, particularly during the conference, where he or she will be busy performing many of the ceremonial duties. o Review and evaluate application forms of delegates, Clerks, DAIS, and Secretariat applicants. o The secretary-general oversees the whole secretariat coordination with Algeria MUN Executive team. o Deliver procedural trainings to committees’ officials and delegates. o Suggests to executive team; conference theme, committees’ names and topics. o Write and edit Secretariat activities’ reports and submit it to Program Director. o Submit conference edition final report to Program Director. -
Assistant Secretary General: o This person works closely with the Secretary-General and the Under-Secretary(ies) General(s), mainly in the assisting role. He or she may oversee secretariat training. o Writing/Editing background papers and review the rules of procedure. o Overseeing the logistical issues and dealing with the substantive issues. o Assume the role of Session Editor where he or she will be editing Newsletter, and Algeria Model United Nations Conference 4th edition final report. o Guide Press Corp Delegates during the conference. o Suggest Topics and committees for AMUN conference session. o Maintain contact with AMUN delegates, DAIS and the Secretariat.

Under Secretary General of Delegates Affairs: o Keeps in constant contact with delegates and responds to any delegate enquiries. o Ensure the trainings for delegation(s) and guide them in writing. o Manage Delegate registrations. o Responsible about creating conference policies, dress code, contributes in the development of Algeria MUN conference methodologies. o Assist the Secretary General in suggesting topics and committees.

o Works closely with the Assistant Secretary General in the development of the Committees background and its topics. o Suggest the awards criteria. o Work closely with Secretary General in dealing with the overall DAIS preparations. o Manage contact with the DAIS team members and their registrations. -
Under Secretary General of Public Relations: o Writes/Edits formal administrative letters ( Arabic/French/English) o Coordinate with external institutions on writing partnerships contracts. o Works closely with Secretary General to promote for the event, and get the needed contacts to facilitate the Secretariat’s work. o Editing Sponsoring Package. o Finds Potential Sponsors. o Represent the Secretariat at external institutions. o Maintain the Press and Media Lists o Edit Press Release (Arabic/French/English), and prepare briefing materials. o Managing Public Relations Crisis.

Under Secretary General for Conference Services (logistics): o This person works closely with the Secretary General mainly in the logistical assistance role. o Coordinate with executive team in recruiting volunteers for the conference. This includes Committee: Pages(Clerks), Photographers, and any other required auxiliary staff. o Maintain the list of Volunteers before and during the event. o The procurement, maintenance, distribution, and replacement of conference materials o Coordinate with the Secretary General and the team to make sure the logistical aspects of the conference are in place. o Oversees all conference logistics including staggering lunch/breaks, making any reservations, setting up conference registration, and organizing opening and closing ceremony. o Oversee Resources Room, by ensuring that computers, printers are available, and organize the placards (country name card).

Under Secretary General of Marketing and Communication: Algeria Model United Nations Conference 2018 | 5th Secretariat team
▪ Manages and supervises M&C officers, and maintain Information Services. ▪ Maintains the website, blog(s). ▪ In-charge of reporters, photographers before and after the conference. ▪ Directs the creation of graphic materials. ▪ Ensures the coordination among the secretariat. ▪ Ensures an effective liaison between the secretariat and the executive team. ▪ Work closely with the Executive team to promote the event. o Digital and Marketing Communication Officer: ▪ Creates all graphic materials including: Badges, Banners, Posters, Flyers, Sponsorship package, Social Media posting templates, and Cover folders. ▪ Directs the creation of graphic materials. ▪ Works with the USGMC to implement a communication plan. ▪ Executes the digital communication strategy. ▪ Manages Algeria MUN social e-community (Facebook & Twitter). ▪ Manages the website content. ▪ Create and maintain the website, blog and conference databases. ▪ Manages posts on social media, answers questions and requests. o Branding and Video Editing Officer: ▪ In-charge of reporters, photographers before and after the conference. ▪ Produces promotional teaser Videos. ▪ Produces session videos. ▪ Participate in the creation of graphic materials.

In-charge of Program activities and events. Finds and keeps contacts with potential partners and sponsors. Develop strategies to ensure milestones of program are achieved. Manages Algeria MUN Board; Executive team and secretariat team Review and signs sponsorship packs and contracts. Writes/Edits formal administrative letters (Arabic/French/English). Responsible for planning, creating, editing strategic plans related to special sessions and open days. Encourage the alumni coordination and engagements. Recruit, dismiss and evaluate secretariat team and ambassadors performances. Ensure Algeria MUN Code of conduct is respect by all program beneficiaries. Responsible about Program’s databases and information protection. Promote the program in different newspapers and media channels. Responsible about reviewing Administration and finance strategies. Maintains the conference budget reports and invoices.
Chief of staff / Program Manager / Program Specialist / Program Executive Officer o Ensure the results of the Public Relation strategy. o Responsible about the administrative tasks of Algeria Model United Nations program. o Coordinate with external institutions in writing partnerships contracts, and execution plans. o Works closely with Program Director to promote for the program activities, and get the needed contacts to facilitate the program’s work. o Represent Algeria MUN Program upon request from Program Director. o Finds potential sponsors, maintains the Program budget and invoices. o Managing Public Relations Crisis. Educational Specialist: o Program Educational Specialist work is to design, engage and develop educational curriculums and concept notes that will ensure the progress of Algeria MUN Program educational activities and practice-learning experiences. o Adapts own approach and style when interacting with teams and delegates, as opposed to requiring them to adapt. o Counsel and offer direct resources to Program individuals to support them overcome education barriers. o Collect and archive Program educational materials, events outcomes, reports and files. o Determine, develop and execute quality improvement educational activities. o Develop contents, policies, and goals of Quality Education Programs. o Lead and oversee Program Individuals (Ambassadors, Secretariat, DAIS and Delegates) recruitment. o Monitor Program Code of Conduct uphold on all the individuals. o Oversee experience-career planning and valorize higher education exploration and skills development workshops to program individuals and record participant development status.

IT and Communication Strategy Manager: o Creates and maintains the website. o In charge of editing website pages and data security protocols. o Responsible about reviewing and uploading contents. o Manage the social e-community. o Create, develop and manage content for AMUN’s web presence. o Copyedit and proofreading all web content. o Publishes information and materials on AMUN website, facebook and social media accounts. o Ensure correct promotion of Program brand and marketing policy. o Suggest and develop communication strategies for Program strategies.
