What is EDI? Short for Electronic Data Interchange, the transfer of data between different companies using networks, such as VAN’s or the Internet. As more and more companies get connected to the Internet, EDI is becoming increasingly important as an easy mechanism for companies to buy, sell, and trade information. Currently there are two sets of EDI standards known as the X12 standards and EDIFACT standards. Electronic Data Interchange (EDI) is the process of using computers to exchange business documents between companies. Previously, fax machines or traditional mail was used to exchange documents. Mailing and faxing are still used in business, but EDI is a much quicker way to do the same thing. EDI is used by a huge number of businesses. Over 100,000 businesses have replaced the more traditional methods with EDI. This new system has a number of benefits; cost is one of them. Computer to computer exchange is much less expensive than traditional methods of document exchange. Processing a paper-based order can cost up 70 US dollars (USD), whereas using EDI costs 1 USD or less. As a computer processes the documents in EDI, there is also less chance of human error. Speed is another benefit. A paper purchase order can take ten days to two weeks from the time the buyer requests it to the time the shipper sends it off. Now, the same order can be processed in less than a day. These faster transaction times help maintain efficient inventory levels. They also contribute to a better use of warehouse space, and less out-of-stock problems. This in turn leads to a reduction in freight costs, as there should be no need for last minute urgent delivery surcharges. There are a few drawbacks to the process. EDI can only work if everyone the company has deals with is using the same method. If the changeover has not been made within some businesses, other companies dealing with them may have to use EDI as well as the more traditional methods. This can be costly and time consuming. It may involve one member of staff maintaining the mailing process while another worker sends documents electronically.


The process of using EDI for purchasing is very simple. Once a purchase order has been written, the document is translated into a specific format and submitted to the supplier via the Internet. It must be ensured that the document used by both parties is in exactly the same format. Security is an important issue for companies using EDI. Data security is controlled throughout the process using passwords, encryption and user identification. The EDI has software that checks and edits the documents for accuracy. Basically, all that is needed to run this method of document exchange is a computer and access to the Internet. There are many companies that supply no-fuss EDI software application packages. These have their own encryption software and the installation process can be completed in a few minutes. From a small initial outlay, companies can use EDI to improve efficiency while saving time, money and labor.


Why should I use EDI? EDI and other similar technologies save a company money by providing an alternative to or replacing information flows that require a great deal of human interaction and materials such as paper documents, meetings, faxes, etc. Even when paper documents are maintained in parallel with EDI exchange, e.g. printed shipping manifests, electronic exchange and the use of data from that exchange reduces the handling costs of sorting, distributing, organizing, and searching paper documents. EDI and similar technologies allow a company to take advantage of the benefits of storing and manipulating data electronically without the cost of manual entry. Benefits of EDI include: • Reduced cycle time • Better inventory management • Increased productivity • Reduced costs • Improved accuracy • Improved business relationships • Enhanced customer service • Increased sales • Minimized paper use and storage • Increased cash flow Today, when companies move some of their business to the web and has to compete against other companies who already doing business online, not using the web consider suicide. The day that all businesses will be fully or partially online is not far and signs show that no matter what type of business it’s in, being on the web and having a web site is a must. If company won’t move to the web, then it will lose some or all of their business and might have a significant disadvantage from their competitors who uses the web to trade and do business. The EDI business is growing every year and in the past few years it grew from $3 billion U.S.D. in the year 2000 into a $32 billion U.S.D. There is a reason for that and the reason is that all companies want to sell online, trade over the web, send and receive business transactions online and by that save time and money. In addition, the speed of EDI and


online business and un-bitable and reliable, ready to be utilize by all types of companies. Every year, more standards are being added to EDI, make it possible for more types of businesses to trade electronic documents online.


EDI Pros and Cons Overview A lot was done and said about EDI, EDI implementations and ec. However there are other alternative to EDI and I will try to high-light the plus and minus of EDI file format while I'm going to focus on the X12 standard, but pretty much goes to EDIFACT as well. EDI Pros The EDI file format contain both data and data structure organize in a way where it contains both mandatory and optional segments and elements enabling the user to use any type of information and style he used to by his ERP system and the type of company he runs. All type of companies can find that the document they use will feet them in one way or another when they first wants to implement the EDI and integrate it with their ERP software package. AT the early stage of EDI, when the engineers from X12 sat down and planned how EDI is going to work they thought about only two industries, the Food and Car industries, however over the years when almost all businesses started to use computer systems with different types of software packages to manage their business, a new need was born. The need for a common denominator for all types of businesses to use electronic document and since that’s what EDI does, then X12 engineers started to add more and more documents to many other industries like the medical industry. When starting implementing EDI to other industries, they notice that there are major differences between each industry and that each industry works a little bit or a lot different than other industries, so they started to develop new documents for each industry based on that specific industry needs. So today when a company needs to start having a business relationship with other businesses, they can go to the X12 directory and look for a specific document that will fit their needs. The good thing about EDI is that by agreeing on an EDI document, both parties understand exactly how the file format looks like, yet they still have the option do some custom work and send some information in the file to their trading partners upon agreement with the other side. EDI files as open enough to hold mandatory fields and optional fields, so a company can set the optional fields to what ever they want to, with preference to something that reminds the field description.


This flexibility to send information between computer systems is vital because most businesses who have relationships with other businesses use different ERP systems so when they finally wants to start using EDI they can do that without a problem even though, both ERP systems use different database structure and file format for their import and export routines. EDI Cons The EDI file format is complex, have many elements, segments and documents, so when a business wants to achieve a simple talk of sending and receiving an order and he already has a computer system inside but that computer system doesn't "talk" EDI, then it usually needs to contact some other software vendor who specialize in EDI to do the integration with EDI, that cost more money on the software package, implementation and integration of the EDI software and then having to pay a monthly fee for the EDI Administrator to check out that all EDI transactions went fine and that there are no errors. If there are errors the EDI administrator has to send some type of report to the company, let them know that something went wrong. All those extra cost and having two software packages, make things expensive and difficult to manage and synchronize.


Is EDI a Growing Industry? Short answer is Yes!!! EDI is Growing big time!!! EDI is expected to grow with business-to-business e-commerce overall, a sector that was growing quickly in the early 2000s. In 2000 alone, businessto-business sales were estimated to be $3.3 trillion, with forecasts predicting an increase to $5.2 trillion by 2004, according to Corporate EFT Report. The Gartner Group forecast sales in this sector to be even higher, reaching $7.29 trillion by 2004. The use of EDI also is expected to grow along with international trade agreements like the North American Free Trade Agreement (NAFTA). According to Corporate EFT Report, in the early 2000s the lines between EDI and other Internet channels—including hybrid EDI/Internet electronic trading networks, Internet e-marketplaces, extranets, Internet companyto-company links, and private emarkets-were beginning to blur, and companies were relying on a variety of channels to conduct business with suppliers, depending on the nature of their business goals. In a Planet IT article, David Yockelson provided a similar snapshot of EDI in the early 2000s, as well as a glimpse at the road ahead: "VANs haven't gone away, but the demands of businesses and their trading partners have changed dramatically. Internet-based transport, broader and more robust sets of information and real-time connectivity are just a few of the items that have been appended to the connectivity wish lists of most companies. Moreover, the basic language of data movement has suddenly become XML, despite the presence of decades-old EDI standards. VANs aren't dead. EDI isn't going away any time soon. And XML, while incredibly exciting as an application and data-neutralizing standard, is in its infancy." EDI was expected to grow, it was just a matter of time before internet will be everywhere and the low cost of electronic transactions reduced scientifically and EDI there are affordable EDI solutions of all sizes and to all types of companies. There is no way a business can continue to grow and trade with large vendors, retailers and suppliers without being able to exchange EDI documents online quickly. Every year more and more companies join the EDI network beginning to use electronic documents and enjoy the speed of electronic business.


Should I Invest in EDI? How can you find out if your EDI Investment produces a positive ROI? EDI can benefit your organization by having stronger and better relationships with suppliers, customers and vendors, bringing in a greater advantage against the competition. EDI also benefits by reducing time and human resources needed in order to complete order entry, and reducing strain on other resources. Calculating ROI Before implementing an EDI Solution, a company should answer the following questions in order to decide whether to implement EDI Solution or not: • • • • • •

Is the ability to meet suppliers, customer and vendor requirements is an important factor in your company, maybe even more important than pricing? Is the timing and accuracy for delivery of goods and services is crucial to your suppliers, customers and vendors? Could a 30% faster delivery time to your customers and vendors be turned into a competitive advantage? Will being "EDI enabled" allow your firm to penetrate new markets or find new suppliers? Is customer loyalty and long term alliances a high priority for your firm? Would an EDI-enabled A/P and A/R system favorably affect your payment terms and agreements with customers and suppliers?

All these areas can directly affect the perceived value of your firm, resulting in a positive ROI. Reports shows that gross sales for a supplier firm to a major retailer increased 18% after the company started to use an EDI. If your company increased its sales and number of customers and vendors by 5% after becoming "EDI compatible," generating 30% increase to the company annual gross sales, calculate the $ amount of increase.


After implementing EDI systems, most companies find a substantial amount of time and cost saving in processing and executing customer orders. Research show that it takes up to five times longer to process a purchase order manually as it does electronically with EDI, due to the fact that specific working requirements and terms have been agreed upon between each partner, documents such as Purchase Orders and Invoices are no longer manually created, mailed, entered, and then processed. Instead, they are processed electronically without errors, saving processing time and human resources. Reduction in EDI Administration cost: Research shows that it costs an average of $0.30 to manually process a customer order, whereas implementing an EDI order entry program would reduce that cost to $0.10 per customer order. Sum the number of purchase orders your firm processes annually, then multiply that figure by 0.20 each to estimate cost savings by using EDI. Reduction in Human Resource Standard EDI software will significantly reduce processing time and cost in the following administrative task areas: • • • • • • • •

Research has shown as much as a 50% saving in required human resources can result from a fully functional EDI Solution. If your company reduced the staff responsible for processing purchase orders and invoices by an average of 30%, Sum the annual dollar value of those human resources cost savings to get the saving you will get by using EDI Solution.


Reduction in Round Trip time Round Trip time refers to the amount of time necessary for a customer to receive an purchase order after it is placed. Companies reduce order round trip time to increase competitive advantage, decrease carrying costs, decrease shrinkage costs, and improve cash flow. Research involving a supplier and a retailer shows a 50% reduction in order round trip time was achieved by using an EDI Software. If your company could reduce order round trip time by an average of 25%, and that will create a competitive advantage increased sales orders by 15%. If your company has a 5% profit margin, sum the profit increase resulting from the 15% increase in sales. Reduction in Inventory EDI Solution can reduce expenses that are related to storing inventory. EDI customer supplier relationships can provide your company with more accurate demand forecasts, reduced round trip time, and other dependable supplier schedules. Calculating the reduction of inventory is by multiplying number of days that order round trip time is decreased by amount of inventory on hand. For example, a company might have an eight week supply of products. If the company started to use EDI with its customers and subsequently reduced round trip time by 25% from 30 days to 22 days, could the company reduce inventory accordingly? Because the company could more accurately predict short term demand with EDI, it may only be necessary to hold a six week supply of products. This would result in reduced costs including cost of products, storage space, service, and risk (insurance). If your company reduced inventory by 10% because they have more accurate forecasting, how much money would your company save annually on inventory carrying costs? Cash Flow Increase Lower operating expenses and increase accuracy in procurement areas are directly beneficial to a company financial cash flow. EDI orders, processed quickly and received on time by your customers, will also allow your company to negotiate incentives such as better payment terms, discounts, and long term contracts.


For example, many EDI enabled companies report a lower number of open account receivables. Even though this area is difficult to quantify, most accounting departments can attest to the benefits of improved cash flow. If your company recovered cash savings from reduced carrying costs, improved payment terms, and transaction accuracy, how much money could your company place in cash reserves? Better Order Fulfillment EDI reporting provides managers access to data and status information, which allow them to make accurate and informed business decisions. EDI reporting can also improve analysis of pricing changes and promotions. Most importantly, it can improve product availability despite shifting demand by enabling faster reaction and recognition of demand trends. Companies report an average inventory reduction of 10% by using EDI Software. If your company reduced stock outs and backorders by 10% because they have more accurate reporting and demand forecasting, sum the increase in sales volume in annual dollars. Conclusion Using EDI Software/EDI Solution can and will save you money, directly or indirectly! EDI Integration What is EDI Integration? EDI Integration is the process of connecting an EDI tools and ERP software. While EDI tools, EDI Services and EDI Software can process, display EDI Documents (Transaction sets), Integration is needed for a complete EDI Solution. Your ERP software will manage all your Purchase Orders, Invoices, Checks, Inventory, Human Resources, Reports and other modules you may have purchased with the ERP Software, it can’t understand EDI Document. That’s why you need to have another peace of software to read and write EDI documents like Purchase Orders. But how can the EDI Software know about your purchase orders stored in the ERP software? After all, they both using different database and there is no way that your ERP will know which EDI software you decided to purchase eventually and vice versa. That’s where Integration between both Software packages in needed (EDI and ERP Software packages), in order to make those two software packages “talk” with one another. The process of connecting those two software packages called EDI Integration because it integrate between the EDI Solution and the ERP solution and make them send data from one to another. It all starts with the fact that they are using different databases! And since there are so many EDI Software packages and so many ERP Packages out there, it can’t guess which one you decided to purchase. Also even if the EDI Software will scan your computer hard disk and try to learn which ERP Software installed, it can’t guaranty to work because you may have installed multiple ERP Software packages and there fore there is no meaning to what’s on the hard disk. EDI Integration should be done by a human, not computer! Since there are so many flavors of EDI Documents, versions, standards and industries, each and every one uses the same EDI Documents a little bit different. More so, some companies who offer EDI Services will get you EDI transactions and format it in an Excel file and mail or send it you over the internet, but the problem with that is that each company will format the excel file differently, so when you receive that formatted file, it is no longer an EDI document and you need EDI Programmer/Software Engineer to step in and process the Excel file into your ERP system. Some of the large ERP Software packages offer EDI Support by being able to get an additional EDI Module that process EDI Documents, and then have a software engineer coming over and configure it. Well that my friends is EDI Integration!


If human needs to step in and do some extra configuration in order to make those two software packages pass data between one another, then you have EDI Integration.
