Ashoka Arab World Terms of Reference Fellowship Officer Background: Ashoka is the global association of the world’s leading social entrepreneurs—men and women with system changing solutions for the world’s most urgent social problems. Since 1981, we have elected over 3000 leading social entrepreneurs as Ashoka Fellows, providing them with living stipends, professional support, and access to a global network of peers in 80 countries. With our global community, we develop models for collaboration and design infrastructure needed to advance the field of social entrepreneurship and the citizen sector. Our Fellows inspire others to adopt and spread their innovations - demonstrating to all citizens that they too have the potential to be powerful changemakers. In the present political and social state in many of the countries of the Arab world, Ashoka helps leading social entrepreneurs step forward with leadership and ideas for a more open, developed, and democratic future. Ashoka Arab World (AAW) was launched in 2003. We now have over 80 Fellows in nine countries in the region.

Fellowship: once a Social Entrepreneur is elected as part of the Ashoka Fellowship, Fellows enter a

borderless community of creativity and collective action. Connected through Ashoka’s Fellowship network and by shared identity, values, goals, and approaches to social change, Ashoka Fellows seek support, ideas, inspiration, and motivation from their peers locally and globally. Ashoka supports collaboration between our Fellows so we can achieve results more powerful than Fellows could accomplish on their own, including new initiatives, publicity, or theoretical concepts that will guide their respective fields and advance the citizen sector.

collaborations among Ashoka Fellows. The Fellowship officer is responsible for stewarding Ashoka Arab World Fellows (80+ Social Entrepreneurs across the region working in an array of sectors). This means that the role of the Fellowship Officer is to support Ashoka Fellows and to ensure that they are ambassadors of Ashoka and Social Entrepreneurship.

Roles and Responsibilities: U

The Fellowship Officer reports to the AAW Country Rep and the Regional Director. The tasks include but are not limited to:

Category One: Integrate and on-board newly elected Fellows and enroll them into Fellowship

Program a. Work with newly elected Fellows to complete all their activation documents (Conditions of Association, Financial Disclosure Forms, Stipend Agreement and Stipend Approval) and creating Fellows folders in soft and hard copies to track their cases b. Carrying out new Fellows’ onboarding and orientation for the Ashoka Fellowship, aligning expectations of Fellows with Ashoka’s support c. Introducing newly elected Fellows to Ashoka’s network from existing Arab World Fellows, global Fellows and staff members (work closely with Search and Selection team on this) d. Enroll new Fellows into Ashoka’s global network (Welcome meetings/calls, Ashoka Hub, New Fellows call, etc) e. Create tailored engagement plans with timelines for new Fellows based on the stage of their initiatives and needs at the time of election as well as the agreed upon plans in their profiles 2- Category Two: Systematize Fellows stipends release process: a. Release quarterly stipends to all Arab World Fellows on stipend i. Create, maintain and update an automated stipend tracking system for all Fellows, together with the Finance Manager ii. Update and submit Stipend Wire Requests to Finance Team iii. Follow up on Fellows to submit Quarterly Reports for stipends release iv. Coordinate with Finance Team to release approved stipends U

Category Three: Enable and monitor AAW Fellows work in spreading their reach and increasing their impact by using Ashoka’s supporting tools and adding to it: a. Improving the quarterly reporting system to assess Ashoka Fellows’ needs and wants periodically b. Extending assistance to Ashoka Fellows, directly or through partner institutions c. Identifying funding, visibility, awards and networking opportunities for Ashoka Fellows and linking them to relevant parties (including other Ashoka Offices) U

d. Working with the Partnership and Communication Officer to increase and facilitate communication, collaboration and partnership between Fellows and regional Ashoka offices, based on regional or thematic interest/similarity e. Award Nominations: Nominate and provide Fellows with access to international, regional and national awards and conferences f. Monitoring and Evaluation: Monitoring Ashoka Fellows’ initiatives and progress i. Revising Fellows quarterly reports and annual plans ii. Providing feedback iii. Enhancing and professionalizing the monitoring and evaluation system for Ashoka Fellows iv. Enrol newly elected Fellows into AAW Monitoring and Evaluation tool, through setting key performance indicators and improving Quarterly Report template and regularly producing Impact Study v. Implement AAW Performance Management tool with Fellows through: 1. Annual reports, quarterly reports and needs assessment 2. Periodic Field visits – at least once a week g. Capacity Building: Developing a framework for capacity building, technical and legal assistance to Ashoka Fellows. Systematize the process of capacity building and assistance for Fellows i. Mapping current training providers and potential pro-bono partners, based on Fellows’ requirements ii. Coordinate periodic capacity building workshops to provide Fellows with the skills and the tools needed iii. Create a network of pro-bono supporters and consultants from different sectors (mainly business sector) that provides assistance and builds the capacity of Fellows and their organizations on needed skills (work closely with Development Team and Partnership and Communication Officer) iv. Tailor Ashoka’s Fellow supporting tools according to Fellow specific needs. v. Provide Fellows with the support needed with translations, Ashoka presence and/or support h. Media Coverage and Marketing Exposure: Work closely with the media and marketing team to ensure media and marketing coverage and visibility for Ashoka Fellows’ initiatives and events, and to spread the culture of Social Entrepreneurship through the media: i. Create a system of communications with Fellows to systematize the media support they get from Ashoka’s side and to track their achievements and news ii. Ensuring Fellows get proper local, regional and possibly global, coverage for their events and achievements (depending on the scale of events) iii. Ensure Ashoka is listed as the enabling platform for these Fellow Social Entrepreneurs in media outlets iv. Coordinate with Media & Marketing to provide Fellows with media exposure through publications, Fellows online promotional weeks, regular media appearances and social media support v. Keep track and update Media & Marketing with Fellow news, activities and awards U

vi. Develop content for media promotional materials on Fellows (content for videos, one pagers, content for info graphics, input for newsletters, etc) vii. Category Four: Creating a vibrant Fellowship community through fostering collaboration, co-

creation and group entrepreneurship among Fellows to scale their impact a. Mapping Fellows sectors, focus areas and target audiences b. Designing and monitoring collaboration among Ashoka Fellows working in similar sectors c. Engage Ashoka Fellows through hosting different Ashoka events to showcase their ideas and achievements (Ashoka Fellow meetings/salons, Ashoka Innovation Network events, etc...) d. Sending out Fellows Newsletters to keep Fellows updated of their peers work, Ashoka’s recent news and initiatives as well potential opportunities 5- Category Five: Engage AAW Fellows in Ashoka’s Everyone A Changemaker - EACH vision and ensure Fellows are part of building the EACH movement in the Arab World and that they are ambassadors for social entrepreneurship a. Update Fellows about Ashoka activities and news b. Identify opportunities for Fellows’ engagement with the different Ashoka opportunities and initiatives 6- Category Six: Create, harvest and manage knowledge from AAW Fellowship to document and monitor Fellow best practices, models, patterns and trends to build AAW’s institutional memory a. Systematize, track and document all Fellowship services offered to Fellows by AAW b. Develop and implement a tool to measure the impact Ashoka Fellowship has had on Fellows c. Report on Fellowship activities (events, meetings and visits,…etc). Provide ad-hoc reports to other departments when needed d. Maintain Fellowship Folders in soft copies and hard copies e. Update Fellows’ information on Salesforce.com (Ashoka’s online system for institutional memory) and provide information for other tools (eg. Ashoka Wheel) f. Maintain and update Fellow Contacts database g. Collaborate with Senior Research Assistant and Development Assistant to ensure all knowledge management efforts (related to Fellows) are streamlined h. Ensure that all files – including all files related to Fellows and their relevant information – are well kept (in hard and soft copy), properly maintained and highly professional U

Category Seven: Be the central communications channel with Fellows. Collaborate with other Ashoka teams depending on needs from the Fellowship community: a. Liaising between Fellows needs and all staff members and vice versa (media and marketing team, collaborative platforms team, search and selection team and development team). U

b. Collaborate with the Development Officer to identify and pursue funding opportunities to Ashoka Fellows working on a specific sector. i. Preparing reports, one pagers and other materials as needed. c. Assist and participate in Candidate Retreats, where Fellowship candidates meet with Ashoka Arab World staff to hone their presentation skills prior to regional Selection Panels. (work closely with the search and selection team on this) 8- Category Eight: Regularly submit progress reports on the progress, analysis and status of the Fellowship community to the Regional Director U

Performance Management: U

• Together with the Country Representative, the Fellowship Officer will develop a Performance Agreement at the beginning of her/his term. This agreement will include goals, measures and expected results and will be the baseline for the performance review to take place after the first six months and the end of the year. • Together with the Country Representative, the Fellowship Officer will develop her/his work plan for the year with bi-annual, quarterly and monthly targets. • A monthly report with all activities measured against objectives and concrete targets to be executed during the month will be sent to the Regional Director, the Country Representative and the Operations Manager on the 25th of each month.

Remuneration Between LE 144,000 and LE 180,000 gross per annum, in addition to private local health insurance. U

Qualifications: U

Education: • B.A. in a relevant field, preferably in Social Sciences, Business, Entrepreneurship, Development, Economics, or Political Science. Experience: • 5 years of full time relevant experience is required, preferably in capacity building and/or monitoring & evaluation Language requirements: • Fluency in written and spoken English and Arabic The Person:

• Must have been raised in and be very familiar with the Arab World. Local knowledge of the social entrepreneurship ecosystem within Egypt and the wider Arab World a definite advantage. • Must be creative within her/his scope of work and very resourceful in problem solving. • Must be entrepreneurial in nature. i.e. pro-active, initiative, tenacious and innovative. • Must understand Ashoka’s vision and work. • Must demonstrate her/his commitment with social change. • Must be a deeply trustworthy person. • Must be service-oriented and flexible. • Must be detail-oriented and able to manage multiple high-priority tasks at once. • Must be a team player with a high level of commitment. • Must maintain cooperative working relationships and interact with others in a helpful, courteous and friendly manner. • Must demonstrate sensitivity to, and respect for, a diverse population and be able to work with persons of different cultural and ethnic backgrounds across all areas of the world.

Work Conditions: U

70% of the work hours are in the office and 30% in the field Official working hours are from 9-5, five days a week (which represents 50- 60 % of the time) On average we work until 6 or 7 p.m. at least 20 % of the time. During major events we work until 8 or 9 (20 % of the time) Sometimes we work during holidays if needed (10% of the time)
