Media and Marketing Assistant Ashoka Arab World Terms of Reference Background: Ashoka is the global association of the world’s leading social entrepreneurs—men and women with system changing solutions for the world’s most urgent social problems. Social entrepreneurs are individuals with innovative solutions to society’s most pressing social problems. From its regional office in Cairo, Ashoka Arab World creates a competitive, entrepreneurial, and globally integrated citizen sector and develops the profession of social entrepreneurship. Ashoka currently works with 69 Ashoka Fellows located in Egypt, Jordan, Lebanon, Morocco, Palestine, Kuwait and Saudi Arabia. Position Title: Media and Marketing Assistant Reports to: Operations Manager Employment: Full time. At least one year commitment Office hours: 9 am to 5 pm (unless assigned to stay later fulfilling work requirements) Working days: Sunday through Thursday, with weekends on Friday and Saturday. Work-related obligations sometimes require weekend attendance. Duties and Responsibilities: Assists the Executive team (Regional Director (RD), Country Representative (CR), and Operations Manager (OM) and the Media Officer in the following areas: Media: within the overall policy of the office, and under the direct supervision of the executive team, the Media Assistant: -

Develops and implement an overall engagement strategy for local, regional, and international media in English and Arabic, to promote social entrepreneurship, Ashoka Fellows, and bridge the gap between social and business sectors. Works closely with different AAW programs (Diaspora/ Fellowship/ venture/ CP/ Danone project) to develop specific Media and Marketing strategies, under the umbrella of the overall engagement strategy. Develops strategy for AAW’s MAVENS (key marketing individuals who have a large reach and influence in the region and the world). Junior to senior levels in all different outlets, in order to educate and engage them to spread social entrepreneurship and promote for AAW as the platform of social entrepreneurship in the region, as well as promoting for our Fellows. Identifies and activates additional use of internet-based media and marketing tools.

Develops and executes AAW Social Media strategy in an innovative way that engages different AAW audiences (entrepreneurs, partners, youth, diaspora… etc.), and moderates AAW social media outlets (including blogs, FB, Twitter, Tumblr, YouTube). Engages volunteers, interns, staff, Fellows, other stakeholders to feed our Social Media content and share it in their own outlets. Moderates Ashoka Arab World Regional Website. Update content regularly and upload new marketing materials as necessary. Updates and moderates Google-alerts on all media coverage of Ashoka and Fellows. Researches successful Social Media campaigns and use their learnings with AAW ones. Develops and executes a promotion plan for Ashoka Fellows on Social Media.

Publications: under supervision of Operations Manager -

Prepares and distribute a monthly e-newsletter, Fellows’ Newsletter, and events’ Newsletters. Creates updated marketing materials (general, events, meetings, partnerships…etc.), that are creative, fresh image, compelling language. Makes inventory of existent marketing materials and helps in preparing other marketing materials as required. Develops articles/ features about AAW and Ashoka Fellows for promotion usages. Assists Executive Team in preparing the Annual Report: Collects the information on a monthly basis, works on the design with the Executive Team and puts the information in indesign program. Also, works with the administration officer on getting the printing house, and supervise the printing process. Supports Executive Team in preparing AWSEF publications as needed. Explores new media publication possibilities, for instance, Ashoka Arab World Podcast.

Marketing: under supervision of Operations Manager -

Designs and coordinate production of constantly updated Marketing tools (Roll-ups, banners… etc.) Coordinates with printing companies to print flyers, folders, brochures… etc. Designs online marketing materials (e-invitations, specified flyers… etc.) Designs layouts for all AAW publication, using Ashoka Style Guide. Events preparation: comes up with creative events ideas, and coordinates logistics (sound, visual, translation… etc.)

Partnerships: under supervision of Operations Manager -

Researches new media partnerships. Develops engagement strategy for each and all partnerships. Follows-up with existing partnerships.

Research: under supervision of Operations Manager - Researches and supports preparation of briefs for potential donors and strategic partners. - Supports Executive Team and Development Officer in proposal-writing. - Provides other research support upon request of Executive team. Documentation: -

Documents all Ashoka events, field visits, etc. and relate to feed AAW Social Media outlets. Develops ideas and assists in coordinating for relevant video and other visual productions as required. Develops a series of videos for AAW different audiences and purposes.

Other: -

Assists Executive Team in any admin, research or programmatic task when needed. Prepares weekly time sheet that shows daily activities Submits to supervisor a monthly interim report based on monthly plan derived from this agreement. Assists Executive Team to update Salesforce system.

Performance management a. Together with her/his supervisor, the staff member will develop a performance agreement at the beginning of her/his term. This agreement will include goals, measures and expected results and will be the baseline for the performance review to take place after the first six months and the end of the year. b. Together with her/his supervisor, the staff member will develop an annual plan of action. This plan will be created at the beginning of the year and updated on a monthly basis. c. Based on annual action plan, a monthly work plan with all activities to be executed during the month will be sent to Regional Director and supervisor. d. Staff member will send a weekly time-sheet to be sent at the end of Thursdays to the Operations Manager. e. Staff member will send a monthly report with all activities executed during the month; to be sent to Operations Manager, Financial Manager and Regional Director on the 25th of each month. Experience and Requirements - 1 year of relevant experience is preferred - Excellent writing and analytical skills - Professional in Microsoft applications including Word, Excel, Power point, etc. - Experience with desk-top publishing and graphic design applications like Adobe Indesign, Illustrator, and Adobe Photo Shop - Person must have strong initiative, independence, creativity and sound judgment. They must be service-oriented and flexible, with excellent communication and organizational skills. Language Fluency in written and spoken English and Arabic is a must. The Person:  Must be creative within her/his scope of work and very resourceful in problem solving  Must understand Ashoka’s vision and work.  Must demonstrate her/his commitment with social change.  Must be a deeply trustworthy person.  Must be service-oriented and flexible.  Must be detail-oriented and able to manage multiple high-priority tasks at once.  Must be a team player with a high level of commitment.  Must maintain cooperative working relationships and interact with others in a helpful, courteous and friendly manner.  Must demonstrate sensitivity to, and respect for, a diverse population and be able to work with persons of different cultural and ethnic backgrounds across all areas of the world.
