June 2013 Dear Students: Welcome to Aspen! Many of you are returning alumni and you probably have some great ideas about how to get the most from your summer here. Some of you are coming for the first time; I hope I can give you some advice, and, even better, I hope the returning students will help you. Aspen is a place like no other, where we hope you will see your future in music through an exciting combination of work and play. Aspen alumni who are performing everywhere in the world often feel that their experience here was a crucial entrance into a lifetime of music-making – the friendships you will form and the unique opportunities to live, learn, and perform side by side with some of the world’s leading musicians create a powerful network for your future. You are coming for an especially important and happy moment in the history of Aspen: the opening of Phase One of our new teaching campus. If you’ve been in Aspen before, you will appreciate the dramatic positive change we’ll experience being able to rehearse two orchestras on the campus and the new practice rooms (and especially the fantastic new percussion center!). If it’s your first time, I think you’ll agree that we now have teaching and practice facilities worthy of you, and comparable to our beautiful Harris Hall and Music Tent. This summer parking will be very limited on the campus, but the bus service and the opportunity to use our bikes should make transportation easy. A deeply important part of your Aspen experience should be non-musical: you should spend some serious time outdoors. People of all ages who live in Aspen tend to be very athletic, and if this describes you, you’re in luck, because the Aspen Experience is all about outdoor sports. But if you are absolutely un-athletic, you will also find plenty of company. Hike (walk) the Rio Grande Trail, ride the gondola, go rafting, sit under a tree (that’s outdoors, after all) – just take a break! It’s stunning how many of the leading musicians of the world – soloists, chamber musicians, teachers, orchestral players, arts managers, conductors – are Aspen alumni. In every case, they found something unique here. We want to help you to join them. My email is afletcher@aspenmusic.org. Most of the time, I’ll be roaming around the campus and town looking into rehearsals and meetings, but my office is in the Business Building of the Bucksbaum Campus. Alpine Bank requires additional identification from any non-bank customer for cashing a check. Below is a summary of the procedures and requirements for cashing checks at Alpine Bank.     

Students must show their AMFS Student ID to cash a check. Alpine Bank does not maintain a list of current students. One additional non-expired, photo ID issued by a state or US government agency is required (i.e., current state-issued driver’s license, passport, etc.) A foreign driver’s license is not considered sufficient identification. The student’s fingerprint may also be required. Second party checks will NOT be accepted. Checks being cashed must be made out to the student. Any bounced checks and associated fees are the responsibility of the student, not AMFS.

Emergency care at Aspen Valley Hospital 401 Castle Creek Road, 970-925-1120 If emergency room visit is not deemed to be an emergency by the attending physician, student will be charged a $50 fee at the time of service.

Three sessions of physical therapy at Aspen Valley Hospital Student MUST have a referral from Internal Medicine Associates before beginning physical therapy.

Plan does not cover pre-existing conditions, suicide, routine physicals, hernias, dentistry, optical, pregnancy, or injuries due to motorcycle driving, scuba diving, skiing, mountain climbing, sky diving, professional or amateur racing or piloting an aircraft (note that this is a partial list of the most relevant issues). 3. For all hospital costs, a student’s personal insurance will be considered primary, and will be billed prior to the AMFS insurance, which will cover remaining amounts up to $25,000 per accident. The student is responsible for any outstanding charges. The School’s policy does not cover sickness visits to the Aspen Valley Hospital. STUDENT HEALTH SERVICE: ■

A team of physicians at Aspen Internal Medicine Associates (970-544-1131) has been engaged by the Aspen Music Festival and School to provide health service this summer.

Referrals to local specialists and for physical therapy must be obtained in writing from the School team of physicians in order to be covered by the Student Health Service.

A personal medical history form, which will be forwarded to Aspen Valley Hospital, has been provided to the Aspen Music Festival and School.

Supplemental medical information detailing the specifics of the School’s health policy is found on page 21-23 of the Aspen Music Festival and School Student Handbook.

EMERGENCY ROOM POLICY: ■

Medical emergencies and accidental emergency after-hours care will be handled by the Aspen Valley Hospital Emergency Room.

Be prepared to provide the Hospital with personal health insurance information at the time of treatment.

A $50 fee will be charged for visits to the Emergency Room. If after review, the hospital does not deem the visit as emergent care, the $50 fee will not be refunded.

Remember that the Emergency Room is for emergent care only. All nonemergencies should be treated by the team of physicians at the Aspen Clinic Internal Medicine Associates.

Please present your AMFS student ID to hospital staff. This is necessary to avoid billing problems.

AMFS SOCIAL ACTIVITY INFORMATION Student Dinner Program We are once again pleased to offer the Student Dinner program this summer! Aspen families and local restaurant establishments generously host groups of students for dinners ranging from informal barbecues to formal sit-down suppers. Attending a student dinner can be a fun opportunity to interact with the Aspen community and to eat good, free food! Students are invited to sign up for two dinners maximum and must confirm with the host(s) at least 48 hours in advance. If you are unable to attend, you are responsible for calling the host(s) or finding a replacement. DO NOT BE A NO SHOW! The SIGN-UP SHEET is located on the bulletin board outside of Student Services. Lunch with Alan Fletcher This program offers students the opportunity to become acquainted with Aspen Music Festival and School President and CEO Alan Fletcher over a casual lunch. This opportunity allows students to ask questions, discuss their Aspen experience, and learn about pursuing a career in music. A great break from School activities! Students are invited to sign up for one lunch. If you are unable to attend, you are responsible for contacting the Office of Student Services immediately, so a replacement can be found. The SIGN-UP SHEET is located on the bulletin board outside of Student Services Monday Activities Every Monday is a day off for students. Required musical activities resume at 5pm; artist-faculty may offer but may not require attendance at lessons on Mondays. AMFS VIDEO TAPING POLICY __________________________________________________________________________________________ Videotaping is NOT allowed in any AMFS Facility at ANY time unless a Videotaping Permission Form is completed and signed by all appropriate parties. Videotaping rights may be granted if: • you are performing as a soloist or chamber musician at a concert • you are performing at a master class or all-student recital How to videotape: • obtain a Videotaping Permission Form from the Media Intern in the Administration Office • complete form with ALL signatures (performers, conductors, masterclass coach, etc.) • return completed form to the Media Intern no later than 48 hours prior to the event 13 | 2013 Student Registration Packet

Forms may also be picked up from the Office of Student Services. Forms are due back to Matthew at least 48 hours before the event or before the dress rehearsal, whichever comes first; late forms will not be honored. If you are granted permission to videotape your performance, please make sure to notify the house manager on duty before the start of the performance. YOU ARE RESPONSIBLE FOR SECURING ALL VIDEO EQUIPMENT IF YOU ARE APPROVED TO VIDEOTAPE— there are no video recorders available through the Aspen Music Festival and School.

Wheeler Opera House Videotaping is NOT allowed in the Wheeler Opera House at any time. For details on how to obtain tapes of opera dress rehearsals, please contact Justin Johnson or Emily Wells at AOTC@aspenmusic.org or 970-319-2174.

Other Venues You may tape your own master class or chamber music performance at a non-AMFS venue with permission from the teacher of the master class and/or anyone else who will appear in the tape. No form is necessary. NEWS from the DEPARTMENT OF OPERATIONS

SMOKING POLICY REMINDER All AMFS buildings and housing facilities, including Burlingame, Marolt as well as the Meadows and Bucksbaum Campus grounds are smoke-free. Smoking is also strictly prohibited at the Aspen Middle School and High School grounds! It is illegal to smoke on any school property in the state of Colorado. PARKING AND PUBLIC TRANSPORTATION Students living in student housing--Burlingame, Marolt, Highlands—will receive a parking hangtag. Displaying this hangtag will be critical as we will tow vehicles that do not have permits. Student parking for the Tent and Harris Hall is limited to the large Gillespie Street lots located in front of the Benedict Music Tent. The newly-renovated Bucksbaum Campus is a PEDESTRIAN Campus. There is NO STUDENT OR VISITOR PARKING. Unauthorized cars parked on Campus will be booted and/or fined. 14 | 2013 Student Registration Packet

The Roaring Fork Transit Authority (RFTA) has generously printed a schedule that is targeted specifically for festival students, faculty and staff. These schedules have been included in your registration packet and extra copies are available at the Office of Student Services. In addition, a weekly schedule which notes the bus routes that divert to the Music Tent/Harris Hall will be posted at the Bucksbaum Campus bus shelter, backstage at the Benedict Music Tent and at the Marolt housing. If more than 10 people on a RFTA bus request that the driver make an unscheduled stop at the Tent, the bus WILL accommodate. NOTE: The Cross Town Shuttle will continue to run during the 2013 season with service ending at 9pm. This service is very helpful if you want to travel to the Tent and don’t want to risk taking a bus that may or may not be able to accommodate the Tent stop. You will damage trees and other equipment if you chain your bike to a place where it does not belong. The Bucksbaum Campus racks are located in various locations throughout the grounds. The racks at the Meadows are located on the south side of the grounds near the bus stop and hospitality tent area. A limited number of racks will also be available on the north side of the Meadows grounds. ASPEN PUBLIC SCHOOLS CAMPUS Many rehearsals, lessons, and coachings take place at the Aspen Middle School and Aspen High School located on Maroon Creek Road. While using the facilities, please observe the following policies: food or drink is not permitted inside the building or classrooms; smoking anywhere on the campus is strictly prohibited; and classroom windows must remain closed.

THE GREAT WILD… Is right at our back door, and you may encounter bears during your stay here. If you come across a bear, make yourself as big as possible and make loud noises. These actions should cause the bear to go away. IMPORTANT: If you see a bear with cubs (younger bears), speak words in a quiet, soothing tone, and back away slowly. A mother with cubs will be more protective and dangerous in this situation and may act aggressively if you make loud, “scary” noises. Above all, DO NOT FEED ANY BEARS. Regardless of the gender of the bear, if you try to feed it, you are putting yourself at risk. To discourage bears from coming to the Campus, we have several bear-proof trash cans. They are large brown boxes that have a latch lid on top. Please discard your garbage in these cans to help us keep bear sighting to a minimum. Food and drink are NOT allowed in practice rooms. Please help us keep practice rooms safe from bears and do not bring or leave any food in the practice rooms! The environment of the AMFS is a casual and friendly one where staff members work in close quarters with their colleagues and must always be respectful of others. Having dogs on campus can contribute to that relaxed, friendly feeling, if owners continue to respect their colleagues and others. The following apply to all dogs on campus:  There are no dogs permitted inside any AMFS buildings.  Dogs should be kept under control at all times.  Dogs should be kept in the owner’s immediate work area and should not be left to wander around buildings unattended.  Barking should be kept to a minimum as it disturbs people who are working or are on the phone.  If a staff member has an issue with a dog’s behavior, they should feel free to bring the issue up with the owner or the owner’s manager.  Owners MUST pick up after their dogs. Dogs should not be left outside unattended for this reason. PLEASE CONSULT YOUR CAMPUS AND ASPEN PUBLIC SCHOOL MAPS FOR ADDITIONAL OFFICE, STUDIO AND PRACTICE ROOM LOCATIONS.

Visit the Chamber Music Library for the following reasons:  Pick up music for the Aspen Contemporary Ensemble (ACE), Special Events, and Recitals  Check out solo repertoire, vocal repertoire, miniature orchestral scores and chamber music Getting your part: Before you go to the appropriate library to pick-up your music, make sure you know: 1) what orchestra you are in; 2) what your part assignment is; 3) what piece(s) you’re playing, and; 4) when your first rehearsal is. Once you get your part, you must sign for it with the understanding that it is a borrowed part and should be taken care of appropriately. If a folder is not issued to you, you may request one from your librarian. Wind, brass, percussion and outside string players are issued original parts. Inside string players have the option of sharing music with their stand partner or requesting a practice copy from their librarian. At Rehearsals: If you pick up your parts before the first rehearsal, remember to bring it with you to rehearsal. If you didn’t pick up your parts, it will be on your stand 30 minutes before the first rehearsal. *You may take your parts home after rehearsal, provided that you remember to bring them to the next service. The black folders used for all ensembles must NOT be taken from rehearsals or concerts. Please use other folders from your librarian to help protect your music when taking it home. *You may also choose to leave your parts after rehearsal, but please leave them in a closed folder on your stand At Concerts: Please leave ALL music and folders on the stand after your performance. Any music not picked up by your librarian immediately after the concert is subject a fine of $1 per part per day. If you would like to borrow your part past the performance, please ask your librarian BEFORE the concert. Replacement costs for parts not turned in range from $15-$75+, depending on whether the part is purchasable. Individual Part Requests: If you would like to take a look at an orchestral part for an audition, or just for fun, come to the Student Orchestra Library. Our orchestral catalog has over 1,650 titles. All you need to do is fill out a form (you can request up to three parts at a time), and give us at least three days to get the parts ready for you. Unfortunately, we cannot let you use our photocopy machine (try City Market or the public library downtown).

Chamber Music Library Information Sheet 2013 What is the Chamber Music Library? The Chamber Music library is a circulation library that holds chamber music, solo music, vocal music, scores, and books. It functions like an academic or public library therefore you’re able to peruse the collection. Below are the library policies and procedures: Checking out Library Materials • Students must present their AMFS ID cards to borrow items. • Students may have up to two items on loan at a time. • All student library loans are for one week. • Items may be renewed if there is no “hold request” for the item. • A student borrowing ensemble chamber music will be held responsible for all parts and folders. • A student checking out ensemble music is responsible for taking all of the parts at the time of check out. No parts can be left here for another member of their ensemble to pick up. • Students who have any fines or overdue items on their record may not check out any additional items. Hold • • •

Requests Students may place a Hold on a checked out item. Items that have a Hold request on them are NOT renewable. Patrons who place a Hold on an item will be contacted when the item is returned. If the item is not retrieved within 24 hours, the item will be returned to the shelf. • A patron can have one item on hold at a time.

Returning Items/Overdue Items • An overdue fine of $.25 per day per item will be charged for all late returns. • Items will NOT be checked in unless ALL the parts are in the folder. NO EXCEPTIONS! • In the event of an incomplete return, the borrower will be charged for a complete set of new parts plus $15.00 to cover processing costs. • Items MUST be returned during hours of operation!! If you leave any materials by the door, or slide them under while the library is closed, you will be fined $2.00 in addition to any overdue fines. Library materials will not be available for use after the last Wednesday of the festival season (August 14, 2013). The final day of library check-out clearance is the last Saturday of the festival season (August 18, 2013).

COMPUTER LAB, Castle Creek 8 (lower level) Monday-Friday: 9 am – 7 pm Saturday/Sunday: 10 am – 4 pm The AMFS is pleased to provide its students with access to computers and high speed internet. The student lab consists of several desktop computers as well as an area to access power and high speed internet on personal laptops. Scanning, black and white printing, and copying are available, but are limited to 20 pages per visit. To continue this service, we ask that you follow a few simple rules while using the lab. 

No food or drinks around the computers and absolutely no smoking in the room.

Limit your session to 20 minutes during periods when other students are waiting.

Limit your print jobs to less than 20 pages and do not print complex graphics or photographs. When printing web pages, please save them as text first and then print through MS Word.

No installation of personal software.

You may temporarily save documents on the desktop or to the “Documents” folder, but please remember that they will be deleted periodically.

Please do not ask the office manager or anyone working in the Gordon Hardy Administrative Building for computer or printing help as that is not their job. If there is a problem, please speak with the Computer Lab monitor on duty.

Please keep the lab clean by disposing of your own garbage and pushing in your chair.

Please respect the equipment. Due to limited resources, equipment that is damaged or destroyed may not be replaced.
