Choosing the best reception venue
10 questions to ask
Besides your dress, The Venue is the second most important element of your special day. It is natural that every Bride & Quinceañera wants a magical, romantic venue that combines all the charm and elegance you would want it to be perfect. However, too often they fall in love with the beauty of the place they might fail to ask the right questions. Before you begin searching, be sure to read the following list of important questions to consider when speaking with potential venues to avoid unpleasant surprises.
Remember, this is your Special Day! 1
Decide on a budget:
Decide how much money you want to allocate to your special day, the average spend for a reception venue is 37% to 51 % of the budget (venue, catering and rentals). Catering and alcohol normally takes up a large chunk of the budget. There are plenty of ways you can add pretty and personal touches to your Wedding or Quinceañera without breaking the bank.
2 Make a list:
Find your top 3 locations and visit theme, ask permission if you can take pictures to remember the venue, make notes at each venue so you don’t mix or forget important information. Once you’ve visited your short listed venues and have a pretty clear idea which one it will be the one, schedule a second visit.
How many people does your 3 venue accommodate?
Either seating or standing, have a rough idea of how many guests are attending, guests need to have plenty of space for dancing and mingling during the course of the party, be sure to consider how many cars can be park. Do you need to hire a parking attendant?

4 Do you have my date available?
The more flexibility you have in this area, the better. If not, what days are available during the month you would like your Wedding or Quinceañera to take place? If an exact date is really important, start shopping early!
Will other events be taking place 5 on the same day?
If other parties are schedule for the same day, you might feel like you’re been rushed out if the venue needs the space for another reception taking place on the same day. The Wedding or Quinceañera party and family should have exclusive use of the entire venue.?
6 Do you offer packages?
9 Are there any restrictions?
7 What amenities are provided?
10 What are the contract terms?
Packages can be both cost-effective and convenient but don’t assume everything is included. Are the tables, chairs, linens, china, silverware included at no additional charge? Some venues offer basic packages that use disposable flatware. Do I have a choice of color or style of linens and chairs? What is the set-up/break-down fee? Some sites may offer low rent fee, but charge for the set-up/break-down. How many hours will the reception be? Is there a minimum spend?
Some important extras to consider; is there a changing room for the Bride or Quinceañera party? If so, how early will you have access to the room? Is there a venue coordinator? - The venue coordinator is working on behalf of the venue to make sure everything goes to plan. Is there a dance floor? Are there enough restrooms? Is there a coat room? (especially for winter season)Is there air conditioning or heating? Is the venue suitable for guest with a disability. It can be easy to get swept up in a breathtaking venue without considering all.
Can I use my own vendors or do 8 I have to use your vendors?
Sometimes a venue will be able to provide you with a list of recommended suppliers that you could use. These companies should be your most trusted experts to do an amazing job. It’s very important that you are comfortable with all your vendors and feel like he or she understands your vision. If you have a special vendor that isn’t on the list, check that if you are able to use them before signing the contract.
Some of the venues locations do have noise ordinance that requires the music be turned down by 11 pm. Make sure this is a question you get answered prior to booking. (Noise ordinance is a local law that regulates the amount, duration and type of noise allowed in an area) Are live bands and DJ permitted and will I need a permit? Candles, confetti, fireworks are they allowed? Are there restrictions for the photographer? Can I bring my own decorations?
Review all details of the venue’s cancellation and refund policy; some venues will refund most of your deposit after certain date, what are the payments terms? Before booking find out how the venue will require you to make payment; Does the venue have insurance? Details of any insurances or licenses the venue is obliged to hold such as public liability in case someone gets injured during the party, you don’t want to be held responsible – license to serve alcohol. If your venue does not require insurance for liability or alcohol, I recommend looking into whether you can purchase it for yourself.
