Years ago this sheet was typically mimeographed and later Xeroxed so it could be mailed. Today, it is more likely to be a Word document or PDF file so it can be attached to an e-mail. While there is no “official” list of information, it should include whatever is appropriate for that particular site. Certainly you would start off with the company or site name and all basic contact information including mailing address, Web site address, contact name, phone number and an e-mail address. Next, I would provide details on what you have available for bus and group tours and what is optionally available. In addition to providing your group rates, you should mention when booking is required, whether a deposit is necessary, when the balance must be paid, and acceptable methods of payment.

If you offer any packages, they should be mentioned along with pricing information. If you do not have packages, it would be nice to list other nearby attractions, restaurants or lodging that cater to bus and group tours (as appropriate) to assist the tour planners in additional planning in the area. You can also list a contact from the local convention and visitor bureau or similar organization. Finally, I would include information on any nearby facility where they can do a wash and dump on the coach and the location of any nearby bus garage or other facility where service might be available. I have sometimes seen driving instructions from the nearest major road or even a simple map showing the location.

The photo should be vertical (portrait) format. When possible, we look for subject matter that reflects one of the key topics that appears in that issue. Part of the problem with cover photos is that we need a lot of quality. Digital photos should be at least 2,700 pixels wide and at least 3,450 pixels high. We look for photos where the main subject is near the center of the photo while both the top and the bottom are relatively plain (sky and grass or pavement) so we can superimpose our masthead, address box and content lines.
