Data Protection Guidelines The University is subject to data protection regulations under UK law, which control the use of personal contacts and data. It is a condition of being an officially recognised volunteer-led Alumni Group that the Group takes proper care of personal data obtained because of its status as an Alumni Group. If you are using information about the University or its alumni you must respect data protection regulations and personal privacy. This means your Group must: • comply with data protection laws of the country in which your group operates • respect individual’s wishes about not being contacted • look after and dispose of data in such a way that no third party will be able to gain access • not lose the data - so don't store unencrypted on portable devices • use the data only for alumni events and initiatives • not keep or use out-of-date data • not use the data for other (private or business) purposes unless the person concerned agrees • if you collect data, make sure people are told in writing that their data will be used by you and the University for alumni purposes - email/website notification is sufficient • if you share data in order to organise an alumni event or initiative make sure the person receiving the data knows the rules Please visit the CARO website for more information and an example Data Protection template for the use of your Group. alumni.cam.ac.uk/data
