Welcome to the 7th edition of the Celebrations Wedding & Event Resource Guide. We are excited to be back for another year presenting you, the latest and greatest trends, ideas and the means to access the best professionals in the business of staging outrageous weddings and events. In order to give our readers more detailed information, last year started a precedent where we featured one specific area of wedding and event production. This also gave respective advertisers more exposure for their goods and services. This year on pages 18-23 we are focusing on the great expanse of “Event Locations” in Central Oregon. In this feature article we present numerous locations options in and around the high desert. Our goal is to educate our readership about these outstanding venues. Whether for a formal wedding or a casual outdoor setting, no matter the season Central Oregon can aptly accommodate any event with style and panache. Our second feature for this year focuses on how to personalize your wedding, making the day specific and special for you and your partner. In the article “50 Ways to Personalize your Wedding” on pages 35-37, we give you line by line ideas to take your wedding to the top. Making your wedding day as individual as you choose, and in so doing, creating lasting memories for family and friends. The third featured article “Beverages” on page 28 takes a different twist on refreshments and brings the party drinks into the art and decoration arena. Brides are purposefully selecting beverage choices that compliment their color palette and theme. This is a very fun way to punch up the overall sensation of the party with color and pizazz. Because of the challenging economy we have all been facing, we want to especially thank all our advertisers for this year’s magazine. We consider their support to be a great compliment to us. So many wonderful wedding and event professionals continue to value this resource guide because it brings them a steady stream of business throughout the year. The good news is that in economic tough times there are statistically more weddings. Couples tend to feel better when they face obstacles as a team. ing of the unique personalities of two loving people. Gone are the days of accepting a package deal from the local Elks Lodge. This is the era for “personality” to infuse inspiration into your special day making the celebration specific for the couple. Today’s grooms have as much influence in the planning and design of their wedding as the brides have had in the past. This year’s key trends are kicked up a notch from the previous year’s focusing on personality, a commitment to the environment and details that reflect the belief systems of the bride and groom. This year more couples than ever will unite in holy matrimony. History show us that a struggling economy has a way of bringing couples together, so they can build a life as a team, and succeed. While this year will see the most unions of record, they will be highlighted by the “details” and reflection of personal belief systems. A common theme throughout the world is that of going “Green”. This notion has expanded since our last year’s article which talked about recycling and communing with nature. Now “Green” has filtered into everything we do and how we think about the world around us. Re-using a wedding dress or other attire reflects the desire to reduce waste by making use of a quality garment. Transportation such as horse drawn carriages, carpooling and the use of eco-friendly transportation for guests reduces fuels released into the atmosphere. Using only china and crystal that can be washed rather than thrown away reduces disposable waste. Another compassionate option is to recycle centerpieces and bouquets to brighten the day of an elderly person or ill patient. The re-use of the wedding flowers brings an added joy to the couple by giving back to those less fortunate. “Green” is no longer a fad. It’s now a way of life! Color, Color, Color will be the motivation for the expression of couples throughout the year. Vibrant, fiery colors will dominate the wedding season with beautiful bright reds and fuchsia pinks. These colors will be displayed in floral arrangements, cakes, and ring stones, bridesmaid dresses, “shoes” and other accessories for brides. Look for bold combinations of color that reflect personalities and inject a twist of individualism to the color scheme. The hottest trends in recent years have been chocolate and teal, lime green with orange and the stunning combination of red with accents of black or ivory. These beautiful colors will be combined with luminescent colors such as the glitz and glamour of silver and gold. It’s all about breaking up the sameness of white and ivory wedding gowns with hot flashes of color. You can bet red will be everywhere, only this year it will include an additional accent color in a bold hue! Individuality and thoughtfulness go hand in hand. In the wedding world giving back to the guests is the most sincere form of kindness. Distinctive favors that reflect the personality of the couple are the best way to show your guests that you appreciate their presence at your wedding. Finding that specific favor that depicts the joined personalities of the couple can be difficult. The search to find the perfect favor is a pursuit for a communion of the union. Whether the two are full-time baristas with a passion for coffee, pizza lovers, or a classic duo that envisions traditional Jordan almonds in a custom gift box, favors are a way to enhance the table décor while sharing a small piece of the couple in the process. One of the most fun trends right now is custom M&M’s in their wedding colors. Imagine your face imprinted on an M&M in just the right color. These are just a few suggestions of ways to add your personality into your special day and let your guests take a little bit home with them. Trends in this year’s wedding market will ultimately be determined by you, the bride of the future. Anything is possible when you have a dream. Make that dream a reality by bringing elements into your special day that reflect your unique personalities and celebrate your union with style throughout.

Officiants Once you set the date for your nuptials, you should be thinking about who is going to conduct the ceremony. Since time began, officiants have been marrying people with a variety of cultural and spiritual traditions. For some cou-

ples the choice is simple. They have regularly attended a church and have a connection with that particular priest or minister. Others will need to interview clergy or certified officiants to make their choice. Keep in mind some denominations have a set marital process in which all couples are required to participate. This process often includes pre-marital counseling. Once you make your selection, be sure to discuss with the minister or priest what your options are for personalizing your service. Personalizing could mean writing your own vows, selecting your music or adding elements to the ceremony which are nontraditional. If you are more inclined to have a nondenominational officiant, it is important to take some time to interview several. Be assured, that you know your spiritual needs will be met. You will more likely have the opportunity to personalize the service so that it reflects both people’s values.
Officiants are vital to the ceremony process. They are both the physical representative of the state and the ceremonious guide for the nuptial vows. They function as professional facilitators, gifted personal counselors and passionate spiritual communicators.

Start a wedding planning notebook to include your ideas, guest lists and thoughts for the day. Determine the type of wedding; formal or informal, indoor or outdoor, religious or civil ceremony. Choose a few dates that fit with personal and family schedules, work requirements, and honeymoon desires. Establish a budget and determine who is responsible for which expenses. Include ceremony, reception, and honeymoon. Consider hiring a wedding consultant/coordinator to make your dreams come true.

Choose your wedding attendants and request the honor of including them. Visit with the clergy and review any church/synagogue requirements. Determine your ceremony and reception location and finalize date with deposits. Meet with florists to help determine color theme considering flower availability and floral design, secure chosen florist with deposit. Select your wedding gown. Set appointments to meet with event professionals such as caterer, cake designer, photographer, videographer, musicians and disc jockeys. Secure your choices with a deposit. Select Bridesmaids gowns and have fitted. Contract with remaining professionals you have chosen and send deposits. Review all contracts and compare with your original budget, adjust if necessary. Compile names and addresses for your guest list. Notify any out-of-town travelers of the date and send package of travel information which can be obtained from the Chamber of Commerce and/or Visitors Bureau. Order invitations and thank-you notes. Reserve any needed rental equipment such as chairs, linens, tents or decorations.

Coordinators are the saving grace for stressed brides. Their knowledge of the planning process and close association with local industry professionals can save you countless hours of time and multiple trips to your “shrink.”

Planning a wedding may seem easy at first, but the reality is that it can take a tremendous amount of time as well as money to try to “do-it yourself.” That is why God made Event Coordinators; to not only “save the day” for the bride but to save months of worry and planning prior to the big day. Hiring an event coordinator can be the wisest choice a bride can make. The Coordinator’s sole role is to shoulder the burden of making the wedding happen as the bride has envisioned it. To find a qualified and competent Coordinator in Central Oregon is pretty simple. Select several to interview, make a list of questions and set a time when she will have ample opportunity to talk with you about your “dream day.” You can also ask for references from past brides to get a sense of how she works with the bridal party, families, officiants, musicians, entertainers and purveyors. You want someone who can see your vision and deliver it to you. Before making a decision make sure you have established a trust with the Coordinator. Trust is crucial with this one person because the event’s success hinges on this person being able to pull it all together. What should you expect from a Coordinator? From the beginning a Coordinator should be meeting with you on a regular basis or having conference calls if you are not in the same area. It is her job to listen to your ideas and help bring them to fruition. She can help with all aspects of the wedding such as site selection, caterers, florists, officiants, rentals, transportation, lodging, entertainment, musicians, cake designers, photographers and many more. She will most likely have relationships with these people who will give her a discounted rate for their goods and services. That will help with your budget. The Event Planner will not only get all these pieces lined up but she will be the “Ring Master” of the show so to speak. She will be directing the activities of all the players, ensuring that the sequence of events transpires as flawlessly as possible. In addition she will be your ‘new best friend” throughout the day to make sure you have all your needs met in a compassionate and timely manner. Weddings can be stressful but with a Coordinator you can relax more readily and enjoy the day.

Wedding apparel has taken on a whole new look. Today’s brides are stepping outside the box and infusing bold, dynamic colors into the bridal party palette. Take a chance and spice up the aesthetic appearance of your wedding party.

That might have been true a few years ago, but for today’s wedding celebration the dress is only part of the mix. It is true that the bride’s dress is the largest diamond in the setting for the wedding, but the groom’s attire has also come a long way and plays a great role in depicting his character and preferences. Adding a splash of color to both the wedding dress and the wedding party’s attire is very much envogue for 2009. The hottest colors for this year are the fiery reds and hot pink fuchsias. Many bridal gowns now are decorated with contrasting colors against the white or ivory background to bring more attention to the gown. These color swatches can manifest themselves in sashes or in ornamental design elements on the gown itself. The shoes of both the bride and bridesmaids can sport that accent color as well. For more formal weddings, the color shows up for the guys in vests, cummerbunds, and ties. For more casual affairs the color dominates in shirts. Tommy Bahama makes an appearance at the more casual summer celebrations paired with shorts or slacks. Again, these choices are totally personal and will reflect the style of wedding you want and clearly show people who you and your soon-to-be-better half are. Another trend this year for bridesmaid dresses is for the bride to select a color and length of dress and then allow each bridesmaid the option of picking out her own dress in accordance with her particular style. Coach, carriage or limousine? Transportation on your wedding day can be a unique part of your entire scheme. Nothing is too outrageous! From horses to Harleys and carriages to Cadillacs, choose something that will make a personal statement and get you where your going in style.

When the big day arrives, you want to know that your
day is going to go smoothly. One way to ensure that is to have a solid transportation plan for the day. This plan is developed to make sure that the bridal party gets to the ceremony site without a glitch. It can also serve to move friends and family members to and from the site. No matter what method of transportation you choose, a timetable for pick-up and delivery is paramount. This responsibility is sometimes given to a member of the wedding party such a groomsman or usher. More often, it falls on the shoulders of a hired chauffeur that will be in attendance throughout the event, catering to your every need. The latest trend is to choose a mode of transportation that is more “Green” such as a horse drawn carriage in the warmer weather or a sleigh in the winter. Both are available in Central Oregon. On another occasion a couple were married in their kayaks on the Deschutes River and then paddled away to their reception. The possibilities are limited only by your imagination. The best way to find the right fit is to select several companies in the area and go visit their showroom. You can tell a lot about the company by inspecting their wares sitting in the showroom. Interviewing each group is important as well. You want to make sure you have a person you can trust and like working with. It is perfectly acceptable to ask for references so that you can check for things like reliability, quality, timeliness, and accountability. This professional will be able to help you with a myriad of decisions about your events needs. They can provide items such as tents, tables, chairs, china, crystal, linens, dance floors, stages, heaters and even candelabras. Once you have the agency selected you meet with them to discuss the actual event. Once you have shared those details they will be able to give you a line by line estimate of everything you will need in terms of quantity and price. They are experts and can calculate your needs easily. They will provide you with a contract that should be reviewed carefully. Make sure you understand all your responsibilities. Make sure they are clear on things like set-up and breakdown times. The rental company should understand how long it will take to get the event site ready for the celebration. Conversely they will also know how long it will take to breakdown the event. When they arrive at the site their items should be clean and in good repair. If not, replacements should be provided. They should be easy to work with and accommodating to the bride and/or event coordinator. Their focus should be on providing great customer service. Using a Professional Party Rental Company should take a big load off your mind as far as planning the details of the event. Find a reputable company with good references and let the “professionals” do their job.

Cake making has gone from the “ordinary” to the “extraordinary!” The
traditional layered, cake with beautiful white icing, white swirled beading and frosting roses has been replaced by outrageous geometric shapes with dazzling seamless coverings. Today’s modern bakers are nothing short of “Culinary Picasso’s,” whose work has advanced from post-dinner delights ...to edible art! Whether you prefer “rolled fondant” or standard butter cream icing, cake making has taken on a whole new look. No matter what your taste in icing, it’s the decorations on the cake that set it apart from the rest. From fresh flowers to dynamic graphics, there is no limit to the possibilities. Fresh flowers are still a mainstay in decorations, due in part to their range of colors and their affordability. However, anything that fortifies the theme or compliments the color scheme is pretty much acceptable. Items from nature, beads, jewels or figurines are often implemented to enhance the creation. As your father takes hold of your arm, he hugs you and tells you that you are the most beautiful bride he has seen since your mother, 28 years ago. Together, you march down the isle. The ceremony ensues, concluded with a kiss! You glide down the isle to the recessional wedding march! The Reception! The dinner! The dancing! How much do you actually remember? You can have each an every moment captured, just as it happened by hiring a professional videographer to document your special day. Their experience affords them the opportunity to be one step ahead of all the action. A seasoned professional can produce the raw footage that will encompass all aspects of your Wedding day, from the ceremony to personal testimonials from guests. Every videographer has a distinctive style. Choose the one that best meets your vision of what you want to see. The addition of live music for the ceremony can bring more depth and warmth to the celebration. There are many styles of live music that are available in our area. The use of a small duo or quartet featuring classical chamber music is appropriate for any wedding ceremony. As you envision your service you will need to plan exactly what songs you want and how they will fit into the ceremony. The musician(s) you select should have ample time to learn any songs that you may want. If at all possible provide them with a CD of the rendition you like so that they perform it in the same style.

You may also use the same musician(s) for the reception as well if their repertoire lends itself to the type of entertainment you want for the party. When selecting musicians for your reception, you should be able to ask for a demo tape or CD to review their style and quality. Another alternative is to attend a live performance so you can see first hand how they perform and work with a crowd. If you are planning an outside venue, you will need to determine if electrical power is needed, or if their instruments are loud enough for your guests to hear. Be sure to check with the reception facility to determine space requirements and stage layout for the band. It will vary depending on the size of the group and the type of equipment they use. Once you have chosen the type of music and the performer or group you prefer, be sure to get all of your details in a written contract. Many professional entertainers have their own contract form which they will fill in all the data such as charges, set-up time, length of entertainment, breaks for the band during the gig and other items such as lodging or transportation costs. And finally, if you are requesting particular music, plan the sequence of the music to be performed. During the actual ceremony you will need to have a coordinator work with your musicians to give them cues as to when to start the ceremony music or change songs. If you have professional musicians the event should run quite smoothly. Professionals are used to the wedding format and can easily adapt to almost any situation or request. Your guests will enjoy and appreciate your entertainers both during the ceremony and reception. It’s important that you have a clear picture of your expectations. Then, make sure your DJ clearly understands your expectations and agrees to comply. Next, discuss appearance. Do you want them in a sophisticated tuxedo or a Hawaiian shirt? If you have a unique theme, discuss the options. Equipment can vary widely from DJ to DJ. Ask for details of the equipment they will be bringing, how much space they will require and in case of problems, do they have a backup? Equipment appearance can also be an issue. Will their station have covered tables and will cords be taped or covered. Clarify their power requirements and clearly outline any additional needs such as lights or microphones for special presentations. Most facilities will require DJ’s to provide their own liability insurance up to $1 million dollars of coverage. Ask for proof of this policy so you won’t be held liable in the event of some unfortunate mishap. Once you have narrowed your search, request a personal consultation to assess the professionalism and personality of your DJ. Once you are comfortable, sign a detailed contract outlining all your needs. This is a legally binding agreement that explains each party’s responsibilities and commitments.
