Event Concept
Aabharana’s Deliverance: The event will be taking place at the San Diego Zoo. The whole event will be revolving around an Indian Elephant, which is one of the many endangered species around the world, and this gala will help raise money for her to procure her safekeeping. The San Diego Zoo will be partnering up with the World Wildlife Fund to bring the elephant to a safe environment and help the species procreate. We will be inviting members of the press to join us at our event, and will be featured in San Diego Publications as well as in the Zoo Nooz publication that is distributed nationwide. The whole evening will be revolving around an Indian Elephant we will create an “Indian Affair” and transform the Elephant Odyssey into an exotic Indian getaway for a night. As you are

coming up to the event you will encounter a wall made out of a cream colored draped sheer fabric. Once you cross the entrance you will instantly be enveloped into Indian experience. You will see that the whole event is covered by exotic colors such as reds, blues, and oranges throughout the whole event and listening to steel drums being played in the background by the live band. All of the tabletops will be covered by vibrant colored saris, and the VIP cabana will made out of a silk organza that is so thin you will be able to see out of it. We will be having a delicious menu at the event that will consist of food stations scattered throughout the venue. The food stations will have different types of curry, which will include chicken green curry, shrimp red curry with coconut, vegetarian yellow curry served with steamed jasmine rice, and many other types of curries. We will have some Mediterranean style food that will consistent of rosemary lamb chop lollipop with minted demi glace; traditional red pepper and garlic hummus, pita chip, and flat bread; tomato, cucumber and red onion salad with feta dressing; and many other delectable selections for your Mediterranean palate. Once the event comes to an end, you will be served dessert on elephant ice sculptures, not just regular ice sculptures; they will have a tray that will hold the guest’s desserts to keep cold. We did not forget about the swag bag for the guests, they will receive an authentic Indian satchel that will have a postcard of the event with an image of an elephant drawn by a local artist; the bag will also contain Indian bracelets, elephant and jade necklaces from Nordstrom, and many more interesting items.

Entertainment/Sound Scaping Plan Entertainment As the event starts, there will be a live Safari Bush Band featuring traditional Indian instruments, which will entertain arriving guests. Cocktail and food stations will be ready for arriving guests and will be serving delicious Indian inspired cuisine. After the live band ends, there will be an animal presentation of four endangered species to entertain guests while they are still mingling and enjoying their cocktails, appetizers, and the beautiful endangered species. After that guests will be seated for a special guest speaker from the world Wildlife Fund presenting a video on Aabharana’s history and informing guests about the importance of other endangered elephants like Aabharana. Immediately following the guest speaker, there will an auction held, auctioning off various items. Exotic coffee and delicious desserts will then be served at stations around the event. During coffee and desserts, there will be traditional Hindu dancers preforming around guests and the entire venue. After the performers leave the event will be come to a close. Sound Scaping At the event we will have large high quality speakers around where the entertainment will be preforming. We will also have miniature delay speakers hidden among the perimeters as well as inside of the event location creating a surround sound environment. Towards the silent auction area we will have fewer speakers with decreased volume compared to where the performers and entertainment will be.

Lighting, Decor, and Effects Plan Decor Table Decor All of the décor in this event will be exotic reds, blues, and oranges just like the lighting. The tables will be decorated and covered with very vibrant saris to incorporate the “Indian Affair” theme. VIP Cabanas We will also have VIP cabanas for important guests. These VIP cabanas will be covered with thin sheer organza, making the inside of the cabanas somewhat visible. Flower Centerpieces There will be center pieces made of flower bouquets in the shape of elephants. These flowers will include Foxtail orchids, lotuses, parrot tree flowers, siroi lilies, and nelumbo water lilies. Ice Sculptures As another aspect of décor, we will have ice sculptures; these will also be used as decoration and to keep deserts cold. Stone Statues There will be gnaesha sculptured statues to be used as either centerpieces or décor. These tie in with the “Indian Affair” theme, as well as showing how the Indian culture honors elephants. Main Venue Silk draped walls the entrance will welcome guests. Also, there will be elephant decorations made out of flower arrangements as well as a faux flower wall made out of sustainable materials. Water Filled Vases with Tea Light Candles We will also use clear vases filled with water, and have tea lights inside lilies to float on the water. The lighted tea lights on water will

add a nice effect to the lighting, making it somewhat of a moody ambience. Food Area There will be various food stations along the outsides of the venue. These food stations will include a Stir Fry stand, a curry stand, Mediterranean stand, a salad stand, and a dessert stand as well. Lighting Throughout the entire venue, it will be lit with vibrant purples, blues, reds, and oranges. These colors will be flooded thorough the event to give off that exotic feel. We will also be lighting up specific aspects of dĂŠcor in order to have that strategic mood carried throughout the event. We will have leaf shaped gobos lighting down on to the floor of the event as well as lighting up the ice sculptures. There will also be two gobos dedicated to all of the sponsors, having a slideshow with their logos throughout the event. Special Effects Photo Booth We will have a photo booth for our guests to remember this event. The Indian inspired theme of Bollywood will frame the pictures dispensed from the photo booth. Also, we will provide props for guests to dress up in or accessorize when using the photo booth.

Because our event will be set up with a lounge type feel, it is important that our table scape fits on small low coffee tables. The colors of these flowers adds to the vibrance of the indian theme. Decorations on the table are low so guests can still interact with each other.

Integrated Marketing Strategy PRODUCT The goal for our event is not to sell a product, but to create awareness and secure Aabharana’s (Sumatran Elephant) safety. The World Wildlife Fund (WWF) and the San Diego Zoo will use monies generated from the event towards the conservation and protection of Aabharana at its new home, the world famous San Diego Zoo. To generate revenue we will be acquiring donations from sponsors and turning them into live auction items being featured as “experience packages,” i.e. a trip to Sumatra to see the other elephants being affected by their habitat being diminished due to human overpopulation. During the event, after the live auction portion, we will have a “call to action,” where the guests will have one last opportunity to make flat opportunities to make flat donations. The first amount being asked at the call to action will be at $25,000.00, $20,000.00, and so on until the last amount of of $100.00.
TARGET MARKET When determining who the attendees will be, we took the approach a little differently. We will only invite exclusive members from the San Diego Zoo and World Wildlife Fund, and the space will cap at 350 guests. The only way to attend the event will be by invitation, or press. We will acquire the information to invite guests through the San Diego Zoo and World Wildlife Fun lists. We will then send a sate the date notification to all these guests via email as a media kit,

featuring images and a short clip of Aabharana. We will then mail custom made invitations to the guests selected to attend the event. We will have a total of 350 guests attend the event at the Elephant odyssey inside the San Diego Zoo that has a capacity of 800 guests. The purpose to us keeping it a much more intimate event, is to maximize the impact of the cause and make guests feel like they are attending an ultra exclusive event, therefore making everyone feel like a VIP.
PROMOTION We will be promoting the event by reaching out to local print resources, i.e. San Diego Magazine, Riviera Magazine, San Diego Union Tribune, etc... Television: We will also utilize television stations such as KUSI, NBC SD, Channel 10 News, amongst many others. We will also be using the San Diego Zoo and WWF’s influential pull to get maximum exposure on the event, using ZooNooz, a magazine that has a partnership with the San Diego Zoo and get nationwide exposure for the Sumatran elephant being brought to the west. We will be creating an iPhone application/M-commerce to make it possible for the public to contribute and raise funds for Aabharana’s new home. Environmental promotion: We will be marketing and bringing awareness to the World Wildlife Fund’s partnership with the San Diego Zoo through billboard placement surrounding the Balboa Park area in San Diego, near the Zoo. The billboard will promote Aabharana’s arrival and the charities making it possible. Facebook and Twitter links will be on the billboard. We will ask the WWF, San Diego Zoo, and ZooNooz, to post information about the event on their Facebook pages and subscription feeds. We will be cross promoting by posting links and info about the event on relevant pages such as the Union Tribune, PETA, San Diego Magazine, and many others. We will

run a banner ad promoting the elephant necklace that will be in the gift bags for the attendees sponsored by Nordstrom. we will be setting up a Facebook and Twitter fan page for Aabharan’s Deliverance showing the process of the partnership between the San Diego Zoo and WWF working together to bring it to San Diego and showing updates at least 3 times per week. We will be showing pictures and video clips of Aabharana getting closer to San Diego, along with a live map so users can track the elephant’s travels. We will also make it possible for Facebook users to make donations towards the event and once they do, their contribution will be posted on their wall where his/her friend list can see and make a contribution as well. Upon registration, we will have signs that will suggest guests to “check in” and their name will be entered in a raffle that attendees will win at the end of the event. We will be putting the event on San Diego City’s Event Calendar as well as many other online event calendars that come as no cost to the Zoo. A press kit will be creating and it will be featured and sent out through the San Diego Zoo, WWF, as well as our database.
PRINT: We will run a full page spread in San Diego Magazine announcing the event and explaining how the public can get involved. The spread will include links to the Facebook and Twitter Pages, as well as a “QR” smartphone scanner icon that will direct readers to the “Aabharana’s Deliverance” application.
RADIO: We will pitch ideas to radio stations to get a representative from the Zoo or the WWF depending on availability to go on air and speak about the event and the importance of rescuing Aabharana.

TELEVISION: We will enlist film students at San Diego State University to create a 60 commercial spot that will air locally on NBC network. Media kits will be sent out to San Diego newsrooms. We will invite a select group of news anchors to attend the event to acheive live coverage. We would like the media to cover the attendees in their arrival at the red carpet and show the community how they can become an activist for the Sumatran elephant.

The San Diego Zoo will premier a new endangered infant Indian elephant, named Aabharana. The event will benefit the World Wildlife Fund’s conservation of these animals in their homeland India. Guests are to expect an Indian theme throughout, unforgettable entertainment, the latest technology, wild animals, authentic food, signature drinks, silent auctions, and celebrity guests. Elephants are Indian symbols of wisdom, love, and hope. The World Wildlife Fund hopes that by provided wisdom to guests by making them aware of the endangered elephant crisis in India, that guests will develop a love for these animals and hopefully give them hope by donating to this important cause. This event is unique because the general public can help this cause before the event by donating through Facebook/Twitter, and by purchasing elephant necklaces. The World Wildlife Fund has paired up with Nordstrom to create an 14k gold and jade elephant necklace that will be sold in stores, online, and through Gilt Groupe prior to the event to benefit WWF’s Elephant Conservation. Guests at the event can help baby elephant Aabharana’s family in India by participating in silent auctions auctioneered by Bill Menish. Guests speaker Steve-O, animal activist and comedian, is also set to entertain party goers. Guests will also be able to have a personal experience with wild cats and elephants. This event will be truly unique.

Event Contract CONTRACT NO. 1551 Contract CLIENT SERVICE CONTRACT BETWEEN San Diego Zoo Events Division AND AC Events
This Contract is made and entered into by and between the San Diego Zoo, hereinafter referred to as the "DEPARTMENT", and the below named firm, AC Events, hereinafter referred to as “CONTRACTOR.” AC Events 1000 Hope St. Los Angeles, Ca acevents@gmail.com 555-555-5555 PURPOSE The purpose of this contract is to: outline the services provided by the CONTRACTOR. SCOPE OF WORK Exhibit A, attached hereto and incorporated by reference, contains the General Terms and Conditions governing work to be performed under this contract, the nature of the working relationship between the AGENCY and the CONTRACTOR, and specific obligations of both parties. The CONTRACTOR will provide services and staff, and otherwise do all things necessary for or incidental to the performance of work, as set forth below: Option 1: Identify all tasks, work elements and objectives of the contract, and timetables by which major parts of the work are to be completed. The scope of work may be included within the text of the contract or attached as a separate exhibit as shown in Option 2 below. COMPENSATION/ PAYMENT DEPARTMENT shall pay an amount not to exceed 5,000 ($5,000) for the performance of all things necessary for or incidental to the performance of work as set forth in the Scope of Work. CONTRACTOR'S compensation for services rendered shall be based on the following rates or in accordance with the following terms: [insert rates and/or terms of compensation] NOTES: List detail of compensation to be paid, e.g., hourly rates, number of hours per task, unit prices, cost per task, cost per deliverable, etc. or reference documents that specify CONTRACTOR's compensation and payment, e.g., CONTRACTOR's compensation for services rendered shall be based on the schedule set forth in Exhibit B, Fees and Expenses. Identify federal and state dollar amounts when relevant reporting requirements apply. EXPENSES NOTE: Expenses are optional. Do not include “Expenses” paragraph below if expenses are not allowable. CONTRACTOR shall receive reimbursement for travel and other expenses as identified below or as authorized in advance by the DEPARTMENT as reimbursable. The maximum amount to be paid to the CONTRACTOR for authorized expenses shall not exceed $ , which amount is included in the contract total above Paragraph A, "Amount of Compensation”. Such expenses may include: airfare (economy or coach class only), other transportation expenses, and lodging and subsistence necessary during periods of required travel. CONTRACTOR shall receive compensation for travel expenses at current state travel reimbursement rates. To receive reimbursement, CONTRACTOR must provide a detailed breakdown of authorized expenses, identifying what was expended and when.
BILLING PROCEDURES NOTE: Payment may be based upon satisfactory acceptance of each deliverable, payment after completion of each major part of the contract, payment at conclusion of the contract, etc. DEPARTMENT will pay CONTRACTOR upon receipt of properly completed invoices, which shall be submitted to the contract manager not more often than monthly. The invoices shall describe and document, to the DEPARTMENT'S satisfaction, the work performed, the progress of the project, and fees. NOTE: Add this language if expenses are allowed. If expenses are invoiced, provide a detailed breakdown of each type. A receipt must accompany any single expense exceeding $50.00 in order to receive reimbursement. Payment shall be considered timely if made by the DEPARTMENT within thirty (30) days after receipt of properly completed invoices. Payment shall be sent to the address designated by the CONTRACTOR. The DEPARTMENT may, in its sole discretion, terminate the contract or withhold payments claimed by the CONTRACTOR for services rendered if the CONTRACTOR fails to satisfactorily comply with any term or condition of this contract.

No payments in advance or in anticipation of services or supplies to be provided under this contract shall be made by the DEPARTMENT. The DEPARTMENT shall not pay any claims for payment for services submitted more than twelve (12) months after the calendar month in which the services were performed. DUPLICATION OF BILLED COSTS: The CONTRACTOR shall not bill the DEPARTMENT for services performed under this contract, and the DEPARTMENT shall not pay the CONTRACTOR, if the CONTRACTOR is entitled to payment or has been or will be paid by any other source, including grants, for that service. DISALLOWED COSTS: The CONTRACTOR is responsible for any audit exceptions or disallowed costs incurred by its own organization or that of its subcontractors.
NOTE: Optional Provision - The DEPARTMENT shall withhold ten percent (10%) from each payment until acceptance by the DEPARTMENT of the final report (or completion of the project, etc.) Optional Provision - The CONTRACTOR warrants that the cost charged for services under the terms of this contract are not in excess of those charged any other client for the same services performed by the same individuals. INSURANCE NOTE: The insurance provisions may be waived or modified to fit the specific needs of the DEPARTMENT and the CONTRACTOR. It is very important to consult with Department staff familiar with insurance requirements when deciding insurance language to be included in contracts. The CONTRACTOR shall provide insurance coverage as set out in this section. The intent of the required insurance is to protect the state should there be any claims, suits, actions, costs, damages or expenses

arising from any negligent or intentional act or omission of the CONTRACTOR or subcontractor or agents of either, while performing under the terms of this contract. The insurance required shall be issued by an insurance company(s) authorized to do business within the state of Washington, and shall name the state of Washington, its agents and employees, as additional insureds under the insurance policy(s). All policies shall be primary to any other valid and collectable insurance. CONTRACTOR shall instruct the insurers to give DEPARTMENT 30-days advance notice of any insurance cancellation. CONTRACTOR shall submit to DEPARTMENT within 15-days of the contract effective date, a certificate of insurance, which outlines the coverage and limits defined in the Insurance section. CONTRACTOR shall submit renewal certificates as appropriate during the term of the contract. The CONTRACTOR shall provide insurance coverage that shall be maintained in full force and effect during the term of this contract, as follows: Commercial General Liability Insurance Policy Provide a Commercial General Liability Insurance Policy, including contractual liability, written on an occurrence basis, in adequate quantity to protect against legal liability arising out of contract activity but no less than $1,000,000 per occurrence. Additionally, the CONTRACTOR is responsible for ensuring that any subcontractors provide adequate insurance coverage for the activities arising out of subcontracts. Automobile Liability In the event that services delivered pursuant to this contract involve the use of vehicles, owned or operated by the CONTRACTOR, automobile liability insurance shall be required. The minimum limit for automobile liability is: $1,000,000 per occurrence, using a Combined Single Limit for bodily injury and property damage.
Professional Liability, Errors and Omissions Insurance The CONTRACTOR shall maintain Professional Liability or Errors and Omissions Insurance. The CONTRACTOR shall maintain minimum limits of no less than $1,000,000 per occurrence to cover all program activities by the CONTRACTOR and licensed staff employed or under contract to the CONTRACTOR. The state of Washington, its agents and employees need not be named as additional insureds under this policy. The required insurance shall be issued by an insurance company(s) authorized to do business within the state of Washington, and except for Professional Liability or Errors and Omissions Insurance, shall name the state of Washington, its agents and employees as additional insureds under the insurance policy(s). All policies shall be primary to any other valid and collectable insurance. The CONTRACTOR shall instruct the insurers to give the DEPARTMENT 30-days advance notice of any insurance cancellation. ASSURANCES DEPARTMENT and the CONTRACTOR agree that all activity pursuant to this contract will be in accordance with all the applicable current federal, state and local laws, rules, and regulations. ORDER OF PRECEDENCE Each of the exhibits listed below is by this reference hereby incorporated into this contract. In the event of an inconsistency in this contract, the inconsistency shall be resolved by giving precedence in the following order: Applicable federal and state of Washington statutes and regulations. ENTIRE AGREEMENT This contract, including referenced exhibits, represents all the terms and conditions agreed upon by the parties. No other understandings or representations oral or otherwise, regarding the subject matter of this contract shall be deemed to exist or to bind any of the parties hereto. CONFORMANCE If any provision of this contract violates any statute or rule of law of the state of Washington, it is considered modified to conform to that statute or rule of law. APPROVAL This contract shall be subject to the written approval of the DEPARTMENT'S authorized representative and shall not be binding until so approved. The contract may be altered, amended or waived only by a written amendment executed by both parties. THIS CONTRACT, consisting of 1 pages and 8 attachments, is executed by the persons signing below who warrant that they have the authority to execute the contract.
