From the Master, Professor Tim Burt Welcome to Hatfield College! I am delighted that you have joined Hatfield College. I hope your time here as a member of our postgraduate community will be fruitful and enjoyable. We have tried over recent years to expand our postgraduate community (which we refer to as ‘the Middle Common Room’ or ‘MCR’) and to enhance its position within the College. Fulltime students are Full Members of the MCR. A significant recent development has been to welcome part-time postgraduate members (most of whom are ‘distance learners’) as Affiliated Members. Fourth year undergraduate students can join as Associate Members. Whether you are a resident or non-resident member of the MCR, a Full Member, an Affiliated Member or an Associate, you will find a lively community which both does its own thing, yet (when it can) joins in more widely with general College events, sports teams, and so on. There are good links with the Junior Common Room (undergraduates) and Senior Common Room (College officers, mentors and others) and I hope you will meet many of these people during your membership of the College. Hatfield is an active and lively society so I encourage you to join in and make the most of the place! I have been Master of Hatfield College for 20 years. I am also a Professor in the Geography Department, where my research interests are in hydrology, water pollution and climate change. I live with my wife Elizabeth in Kingsgate House, the white house in Bow Lane just opposite the blue door into College. We have two children: Emma, who lives in Seattle, and Tom, who lives in New Zealand. Inevitably, there is a lot to learn about a new place, but you can be assured of a warm welcome. The College staff are kind, loyal and ever helpful; there are none better, as you will soon find out. You have made a wise choice and I look forward to meeting you very soon. I know you will enjoy Hatfield!

Floreat collegium!

From the Senior Tutor, Professor Anthony Bash I would like to add my warmest welcome to you as you read this Handbook about the MCR. I look forward to meeting you in person over the course of your Induction Week. Hatfield MCR is a vibrant and diverse community and you will discover many opportunities to participate in it; many of its activities are mentioned elsewhere in this booklet. The members of the MCR Exec are the voice of the postgraduate community on College Committees. Do get to know the members of the Exec quickly. Perhaps you might consider standing for a position and taking an active role in the organisation and running of the postgraduate community? As Senior Tutor, I am part of the College’s senior management team, working closely with the Master, the Bursar and the Assistant Senior Tutor (the latter’s post is currently vacant). If you have any problems with any aspect of your student life while you here, please do not hesitate to contact me (hatfield.seniortutor@durham.ac.uk). We can only help resolve problems if we know they exist.

From the MCR President, Abigail Steed A warm welcome to all our new members! And to those returning for another year, I hope you have had an enjoyable summer. Whether you are a returning student or arriving in Durham for the first time I hope this will be the start of a fantastic year for you as a member of Hatfield MCR. Durham is a wonderful place to live and study, and being a member of Hatfield plays a big part in shaping that experience irrespective of whether you live in college or in and around Durham. The Middle Common Room (MCR) is the postgraduate student body of our College. It is a diverse community, with both Masters and PhD students from all over the world and studying a wide range of disciplines. We also have part-time and distance learners (“PTDLs”) in our ranks. The MCR Executive Committee (‘Exec’ for short) seeks to offer activities for all members of this group of young researchers. The Exec is composed of annually elected volunteers from within our community. The President, Treasurer and Chair were elected in March, while elections for the other positions will be held this October. New students are particularly encouraged to be part of this enthusiastic committee! Activities range from formal dinners to research symposia, and include a wide range of social events. Through all of these, we hope to provide a forum for mutual inspiration, motivation, networking and friendship. 2

The MCR takes its place in College life between the Junior Common Room (JCR) and the Senior Common Room (SCR). The JCR consists of all undergraduate students, many of whom live in college accommodation. Although undergraduate students run most College societies, such as sport, music and theatre, their activities are open to MCR members as well. The SCR is a group of established professionals and academics who are often voluntary College mentors as well. They are an interesting group of people, willing to share their experiences in life over a formal dinner or on other occasions. I wish you a successful year as a member of Hatfield College. Please feel free to get in touch (hatfield.mcrpresident@durham.ac.uk) if you have any questions, comments or suggestions, and I look forward to meeting you all as the year progresses.

The Middle Common Room What Is It? The Middle Common Room is the community of postgraduate students within the College. The MCR is sandwiched between the Junior Common Room (JCR) and Senior Common Room (SCR). The JCR contains undergraduate members of the College (about 850); the SCR is a diverse group of College mentors, officers, fellows, former students and local people with an age range from 21 to over 80. The common room itself in Kitchen Stairs is the postgraduate base on the main College site.

How Does It Work? Hatfield MCR is run by an Executive Committee (or more commonly referred to as the ‘Exec’) responsible for the smooth running of the Common Room for the year. The President, Treasurer and Chair are elected in March so that they can welcome new students in October, and other positions are elected in late October. There are also a number of non-Exec assistant positions to be appointed shortly after the October election. We hope you will stand for election or apply for the non-Exec positions! The duties of each officer are outlined below.

MCR Executive Officers MCR President (Abigail (Abigail Steed) Steed) The President has the responsibility of coordinating the MCR Exec, representing the MCR in College meetings and College Council and liaising with other Durham colleges. The President chairs all MCR meetings and has final say in the interpretation of the MCR constitution.

3

Treasurer (Eleonore (Eleonore Vissol Gaudin) Gaudin) The Treasurer plays a key role in the smooth running of Hatfield MCR. Responsibilities include budgeting MCR expenditure, collecting incoming dues, paying bills and keeping basic accounts. The Treasurer is also called upon to liaise with the College Finance Assistant and to present MCR accounts to the Finance Committee. Being organised and having a good head for figures is all you really need to succeed in this position.

Secretary (To Be Elected) The Secretary keeps minutes of the meetings of the Exec and of the whole MCR. All minutes from the AGM, OGMs or EGMs are made available on DUO. It is also the Secretary’s job to communicate information about activities and administrative affairs to the wider MCR through a weekly news email and to run the MCR website and social media accounts. In addition, the Secretary is responsible for organising sales of College stash (clothing).

Event Officer (To Be Elected) It is the job of Event Officer, with the assistance of a non-exec events team, to organise social events for members and to ensure that each Full Member has the opportunity to enjoy a good social life within Hatfield. The Event Officer is responsible for arrangements for signing up for formal dinners for informal socials and for the allocation of Ball tickets.

Welfare Officer (To Be Elected) The Welfare Officer helps with the pastoral wellbeing of the MCR. If Full Members are experiencing problems during their time at Hatfield, the Welfare Officer is always available for a chat. You may be advised about how to get further help with anything that may be troubling you. The Welfare Officer can provide free contraception and pregnancy testing kits if you require these.

Academic Officer (To Be Be Elected) As an Exec member, the Academic Officer represents the scholarly interests of the MCR. The Academic Officer organises research events in College, helps assigning research funding and communicates with the Hatfield Trust to allocate funding appropriately.

MCR Chair (Linyue (Linyue Huang) Huang) The role of the Chair is to act in a non-voting capacity on the Exec, ensure all organisational procedures are followed correctly, and to organise all elections and general meetings. The Chair is also the first point of contact for MCR members for non-welfare advice or any concerns regarding the running of the MCR.

MCR Non Exec Officers Assistant Welfare Officer Purposefully of the opposite gender to the Welfare Officer, the Assistant is there to provide the same support should you wish to speak to the Assistant instead of the Welfare Officer. 4

The Events Team Consisting of about five people including an International Rep and a Livers Out Rep, the events team is there to assist the Events’ Officer with planning and running events, trips and formal sign up.

IT Officer The IT Officer works closely with the Secretary to maintain and update the MCR website and social media accounts.

MCR Membership Full Membership The cost of full membership is £50 per annum. New members of Hatfield are also invited to pay a one-off £10 contribution to the Hatfield Trust, and a £10 membership fee to the Hatfield Association. For further information (as well as information about the benefits of membership), please see: www.dur.ac.uk/hatfield.college/postgraduate/fees Please see below (“Opting out of MCR Membership”) on how to opt out of MCR membership.

Affiliated Membership Part-time students are Affiliated Members of the MCR, although part-time members may opt to be Full Members. For further information, please see: www.dur.ac.uk/hatfield.college/postgraduate/fees

Opting out of MCR Membership The deadline for opting out is 5.00pm on 21 October 2016 (or, if you join the University other than at the start of the academic year, within 14 days of joining the University) is a free trial period during which you can enjoy all the rights and privileges of Common Room membership. Unless you tell the College in writing before 5.00pm on 21 October 2016 (or within 14 days of joining the University if you join the University other than at the start of the academic year) that you wish to opt out of membership, the cost will appear on your first College bill. To opt out, please fill in the online form on the College website: www.dur.ac.uk/hatfield.college/local/current_students/students_staff/mcrlevies-opt-out/ Please note that no opt-out is possible after the deadlines above. The University reserves the right to charge in full for all those services from which you have not opted out.

5

Many College events and activities are organised and delivered in partnership with the Common Room (including College clubs and societies). Benefits of membership of the Common Room include a member’s rate for Common Room clubs, societies, gyms and events and early-bird access. You will not be asked to pay any membership subscriptions for Common Room clubs and societies etc. until after the end of the opt-out period in order that the correct price can be charged. Membership of the Common Room confers the privilege of a member’s subscription rate; non-members of the Common Room will pay a premium relative to members. The precise size of the premium for non-members will be determined by reference to each specific club, society or event, but will always be at least 25%. For further details, please see: www.dur.ac.uk/hatfield.college/postgraduate/fees

About Hatfield College Hatfield College is the second oldest of Durham’s colleges. It was founded in 1846. The College was a social experiment based on the ideas of David Melville, a pioneer in the development of residential colleges. He believed that all rooms should be let furnished, that all meals should be taken in Hall, and that expenses should be fixed, reasonable and known in advance. This was revolutionary in its time, and has become a worldwide, accepted model. The motto of Hatfield College is (in Latin) vel primus vel cum primis which is popularly paraphrased as ‘Be the best you can be’. The College aims to provide the best possible opportunities for you as well as for the many undergraduates (about 850) who are also members of the College. We hope you will get to know and interact with a range of your fellow postgraduates, as well as with undergraduate students and members of the Senior Common Room. This will be in addition to the contacts you will also be making in your University department, and we hope that while here, you will be building a web of friendships for the future.

Social Life at Hatfield Hatfield has a full and varied social life with events run by the MCR and JCR, at which all members are welcome. (Non-members may attend many of the events on payment of a fee or premium: see above on MCR Membership.) Highlights include:

6

Formal Dinners (pictured) These are a unique Hatfield tradition and are held almost every Tuesday and Friday in the dining hall during Michaelmas Term (October-December) and Epiphany Term (January-March), and at less regular times in Easter Term (April-June). For regular formals the MCR is allocated 20 seats, with the rest of the hall filled by JCR members and High Table reserved for the SCR. Some formals are extra special such as Christmas and Burns Night, and there are occasional MCRonly formals where we get to fill out the Dining Hall.

The Lion in Winter Ball This occurs in late February or early March. It’s a fantastic black-tie event including a three-course dinner and entertainment (different theme every year) that transforms the whole College for a very special night. Kudos if you make it to the 6.00am survivors’ photo.

Hatfield Day This takes place in June after the exam period. It’s a day to celebrate our College community and its history with water fights, silly games, live music and whatever else has been planned, before ending with a night out in town.

Sport Clubs There are numerous College sporting activities, all of which are open to MCR members (and to non-members on payment of a fee). Sports include basketball, badminton, cricket, darts, rowing, football, football, hockey, lacrosse, pool, netball, squash, men’s and women’s rugby, men’s and women’s tennis, ultimate frisbee ... and even croquet! There will be taster sessions and the opportunity to sign up during Induction week.

The Gym There is a weights gym and a CV gym. You have to do an induction course for insurance reasons. After that, members may use it as often as they like, although the University requires that there should never be just one person in the gym for safety reasons. Details of the exact induction course times will be made available when demand is known at the start of Michaelmas Term. It is open from 9.00am-9.00pm, every day in term-time; out of term-time, the Porters will open it for you. It has recently been upgraded and is well equipped. 7

The Tennis Court The tennis court is available to use for tennis, basketball or football. You can sign up in the Porters’ Lodge to book the court and its central location in College acts as a perfect windbreak. No excuse for that dodgy serve then!

Societies Music There is a music room, which contains pianos and rehearsal space sufficient for a small ensemble. The College has a variety of musical ensembles of different standards, including an orchestra, big band, brass group, choirs, the Chapel Choir and a string orchestra. There are also several other ad hoc groups. Postgraduate involvement is welcomed. The Hatfield College Music Society, an umbrella organisation for the groups, provides the infrastructure for individuals to form their own groups if existing groups do not cater for their talents or tastes.

Theatre The Lion Theatre Company (LTC), Hatfield’s official drama society, puts on shows ranging from musical theatre and comedy to Pinter and Shakespeare, as well as some studentdevised plays. The LTC Arts Festival brings together musicians, dancers and actors from across the University. Anyone from any year is welcome to get involved, whatever your level of experience.

Art The Hatfield College Art Society arranges trips and talks throughout the year, maintains a store of materials for members’ use, and holds an annual Summer Exhibition. Whether you’re a schooled life-drawer, desk/dress designer, sneaky sketcher, cheeky cartoonist or interpretative mess-make, the Art Society welcomes you into its midst.

Social Spaces The Bar The Bar is right in the heart of Hatfield. It is normally open every evening from 7.00pm and sells a good range of beers, wines, spirits and soft drinks at University prices. It also has a pool table and Sky TV and often screens sporting events.

The Middle Common Room The MCR has its own Common Room in College It is located on the first floor in the Kitchen Stairs. While it’s not huge, it has comfy sofas, a couple of desk areas and some other items that make it a pleasant private place to work or relax as you please. We sometimes have pre– and post-formal get-togethers. You will need a specific door code 8

to get in here too, don’t hesitate to ask any Freps if you don’t know it. This code also gives you access to James Barber House, and it is essential that you keep it secret for safety reasons.

The Chapel The Chapel is in the Anglican tradition, but all members of the College community are warmly invited to attend any service, regardless of denominational affiliation (or none). The College has a strong Chapel choir (entry by audition in the first week of Michaelmas Term). Choral Evensong is the main College service, at 6.30pm every Monday during term-time. Organists are welcome to practise but must first register with the Chaplain as an approved user.

Academic Resources and Support Computer Facilities There is a computer room with University-networked printing facilities on the main College site.

The Library Hatfield College Library holds a limited but useful range of academic books, as well as a recreational reading section, a reference section, and photocopying facilities. Any member of the MCR may borrow books. There is also a Reading Room, which is a quiet place to work at any time of day. The Library itself is currently open 24h during termtime. The College Librarian is Dr Kevin Sheehan who will be able to help with any enquiries (E: hatfield.librarian@durham.ac.uk).

The Hatfield Trust The main aim of the Trust is to build up financial support for the College community, looking for help from alumni, parent members and friends to accomplish this. An endowment fund has been built up, the interest from which contributes towards prizes, bursaries, research grants, and equipment, and encourages students in their work, sports and travel initiatives. The Trust’s Director is Ian Curry (E: ian.curry@durham.ac.uk) and the Assistant Director is Cynthia Connolly (E: c.a.connolly@durham.ac.uk). The Trust Office is in Rectory.

9

MCR Research Awards The MCR Research Awards are jointly funded by the Hatfield Trust and Hatfield MCR, and are available to Hatfield postgraduates who are Full Members and whose academic studies require financial support. They may apply for an award to help fund the completion of their research. This may include, for example, conference registration fees, travel expenses to conferences or fees for books specific to your course that your department does not provide for you. Only one application per person per academic year is permitted. There are, in addition, some funds in College that can make small grants for travel or for other pressing needs. Prizes are also awarded - see: www.dur.ac.uk/hatfield.college/postgraduate/fees/scholarships_and_prizes

Research Symposia Symposia The MCR holds termly research symposia at which members are invited to present an aspect of their work and gain some feedback in a friendly and informal atmosphere. These are usually held in the Birley Room and include wine, non-alcohol drinks, and snacks!

Accommodation and Catering James Barber House (JBH) James Barber House provides accommodation for Hatfield postgraduate students and is a base for MCR social events, about a five-minute walk from the main College site. Livers out are also welcome to use the communal spaces in JBH, and can access it by the kitchen door (close to St Oswald Church graveyard) with the code (ask a Frep if you don’t know it). Kitchen and dining facilities are shared. Residents will be allocated a cupboard, fridgeand freezer-space upon arrival. There are also allotted cupboard and fridge spaces for livers-out who are welcome to use the facilities. The kitchen is well equipped with fridges, freezers, hobs, microwaves and cookers. There are some communal items of crockery, pans and utensils but it is advisable to bring some of your own. Laundry facilities are also shared. The washer and dryer are operated with a key fob which you will be given along with your room key. You will need to load money onto this at the Porters’ Lodge at the main College site where there is a machine for the purpose. The social spaces are what JBH is really all about. It has a large dining room and living room which between them host parties, pot luck dinners, board game nights, film nights and more. The building forms a square around an internal garden which has picnic tables and is a good sheltered place to be when the sun comes out. The living room also opens out onto a patio and another garden where there are more tables and a barbecue. 10

The Warden of James Barber House, Andres Olivares-del-Campo, is a resident postgraduate (E: hatfield.wardenjbh@durham.ac.uk). If you have any problems with your room – shuddering taps, jamming windows, broken light-bulbs – go and see the Warden and he will help you to sort it out. Otherwise, you can report the problem online: www.dur.ac.uk/hatfield.college/password/contact_us/maintenance

Meals in College MCR members who live out or in JBH are also entitled to eat regular meals in College during term time by purchasing meal tickets at the Porters’ Lodge. College meal-times are as follows: Breakfast (Mon - Fri)

Post The postal addresses for College and JBH are: Hatfield College North Bailey Durham DH1 3RQ

James Barber House Rear Anchorage Terrace Durham DH1 3DL

If you are expecting a parcel or delivery that needs signing for, it is best to use the main College address as there will always be someone there to sign for it and it will be kept at the Porters’ Lodge until you can collect it. Deliveries to College are at your own risk.

The Porters’ Porters’ Lodge The Porters operate a 24-hour shift system at the Lodge located just inside the main College gates on North Bailey and can be contacted at any time on the mobile telephone number listed outside the Lodge.

Outside Hatfield Durham Students Union (DSU) The role of the DSU is rather different from that of students’ unions in other universities, mainly because of the major part that the colleges play in organising entertainment for their students. As a result, DSU concentrates on the provision of student services. All this is based in the prize-winning, concrete tour de force that is Dunelm House, across Kingsgate footbridge from Hatfield. The DSU houses the Kingsgate Bar and Riverside Café and is where you will find the University Welfare Office, the Student Community Action Office, the DUCK Office, Team Durham Office and Purple Radio Station. There are also a number of rooms for use by University societies for various activities. Further information can be found at www.durhamsu.com

12

University Sport and Societies Team Durham is the University-wide sports league and includes an even wider range of activities. Most facilities are located at Maiden Castle sports centre, which also has a gym. You do not have to be part of Team Durham to use the gym there but you do have to buy membership. If you’re into more extreme or outdoorsy type activities you will almost certainly find a University society for it. There are also societies for almost any activity or interest you could think of, broadly categorised under activism, charitable, hobbies, nationalities, and subject specific among many others. You will have the opportunity to sign up at the DSU Fair during Induction Week.

Durham and the Northeast There are many things to see and do in Durham and the surrounding area. The visit Northeast England website has a lot of information and ideas for sightseeing, places to eat and drink, events, accommodation etc: www.visitnortheastengland.com

University Essentials Computing and Information Services (CIS) CIS Username and Password You will be given a username (a combination of four letters and two numbers) which will be your identifier if you log in on DUO or your Durham University email account.

Durham University Online (DUO) DUO is Durham's online learning environment. You can access support and information for all your learning, teaching and research activities across the University. It also serves as a main tool for our MCR to organise social events – for instance, you will find sign up links for formal dinners in the section “Hatfield Postgraduate Student” of your DUO page.

University Email Address You can access your email account from www.dur.ac.uk/cis/email. As a username you will have to use the CIS username mentioned above. Make sure you check your e-mails on a regular basis. Much important information concerning your studies and concerning College events will be sent to this email address.

Helpdesk CIS has a helpdesk on the ground floor of the Bill Bryson Library where you can drop in with any problems. 13

Administrative Matters The Palatine Centre This is where to go for most central administrative matters. It is located next to the Bill Bryson Library and contains the International Office, Disability Support, the Careers Service and the Counselling Service.

Welfare and Healthcare University Health Centre The surgery is located on Green Lane, (easily walkable from town past the end of Old Elvet). You will have the opportunity to register during Induction Week. Opening times can be found on www.durhamstudenthealth.co.uk.

Nightline Beyond the College itself, there is Nightline – the University’s listening service – which is run by students every night of term. They are contactable on internal 46444. The full phone number is on the back of your DSU Card. Your Welfare Officer has all the info you need posted on a notice board in the MCR, or by personal contact.

College Welfare and Support Vice Master and Senior Tutor The Vice-Master and Senior Tutor, Professor Anthony Bash, is responsible for pastoral support at Hatfield. He is the College’s designated point of contact (independent of your department) and can be contacted should you need non-academic advice regarding (among other things) University and student procedures, work/life balance, disciplinary matters or applying to your department for concessions if you are ill or facing serious adverse circumstances which are preventing you from completing your academic assignments. The post of Assistant Senior Tutor is currently vacant.

College Mentor Every full-time student in College is allocated a College mentor. Your mentor is not an academic advisor, but is usually a member of the University’s staff who is available to help support you personally while you are in Durham. Your mentor is not a counsellor or a professional student supporter, but more of a ‘critical friend’ who will help you to reflect on and plan for your achievements and ambitions during your time at Durham University. Your mentor may also invite you to some social events within the College.

The Bursar The Bursar, Michelle Crawford, is responsible for ensuring that the College finances, buildings, grounds, facilities and services are in good order.
