ICA Festival Sponsorship Package

Welcome. The purpose of this Sponsorship Package is to provide the opportunity for businesses to become stakeholders in this year’s MCAST Institute for the Creative Arts Festival, which shall be taking place from the 30th June until the 4th July, opening every day between 09.00hrs and 21.00hrs. We are offering a Sponsorship Package that guarantees engagement with students and professionals in the industry. This year we are providing three different opportunities. The Sponsorship Package offers various pricing levels in order to cater for individual budgets. We are also offering promotional stands for the first time. This new initiative is aimed at closing the gap between students and the industry, giving the opportunity to businesses to really leave their mark and take on more of an active role in this year’s festival. We are also producing a professionally finished catalogue that will contain a compilation of the students’ finest projects that would be distributed by hand to everyone that attends the event.

The Context. The MCAST Institute for the Creative Arts was established in 2001, merging the expertise of the Art and Design Centre and Salvatore Dimech School for Craftsmen. Since its inception the students have organised a yearly exhibition, bringing all creative disciplines together to celebrate a year of creative work.

The ICA Festival Brand. The ICA Festival is a new approach to the annual exhibition held at MCAST Institute for the Creative Arts. Through changing the tone of voice, and turning it into an arts and design festival, our end goal is to increase the brand perception and create an event that builds hype and anticipation for years to come.

Festival Theme. The theme for this year is ‘It all starts here’ which brings the idea of new beginnings and opportunities. The theme revolves around an all inclusive and interactive experience. On one level, the audience will experience the wide scope of creative works that the students will be showcasing, demonstrating the variety of departments in the Institute. On another level, each department is going to have an evening whereby it will engage in a dialogue with the audience through a number of exciting and dynamic activities. The richness of the programme will be appealing to all visitors.

Sponsorship Packages. The ICA Festival will provide a week of free entertainment showcasing creative works to thousands of attendees. Guests will comprise the general public, up-and-coming creatives, as well as industry professionals. Should you choose to contribute towards the festival, your company will be promoted in the months leading up to the event with mentions on social media, the festival website, advertising and other forms of marketing. The ICA Festival’s aim is to organise and present an annual event that continues to promote and encourage creative endeavours, education and general appreciation for local talent: a place where creatives from all areas of the industry meet a vibrant community of students. Being part of the ICA Festival will allow you to stand out amongst attendees by prominently displaying your brand at the event. Instead of networking in the traditional way, a sponsorship will draw attendees’ attention directly to you.

Promotional Stands. Outdoor Tent

The tent offers an all-inclusive atmosphere where those promoting their product or service will be gathered under one roof. The aim of this area is to bring awareness to the different products and services that the industry has to offer when it comes to the field of the creative arts. Having a space in the tent will guarantee interaction which in turn will close the gap between students and the industry. This is also an opportunity for businesses to make students aware of their company, internships, vacancy opportunities and much more. The floor plan has been designed to maximise exposure and visibility for all participants. Should fewer than anticipated participants apply, the Festival Organisers reserve the right to make any alterations to the proposed floor plan that may be required.

Promotional Stands Tent Plan The above plan indicates the number of booking spaces allocated in the tent. Each area covers 2 x 2 metres in size. The height of each stand cannot exceed 2 metres.

The option to advertise your product/service at the main entrance gives you the opportunity to have attendees interact with your stand upon entering the festival. Foot traffic flow has been planned in such a way to maximise the exposure of these stands.

Catalogue. The catalogue is a compilation of the students’ finest projects. It will be professionally designed and printed in full colour on adequate paper stock. Each of the fields of study exhibiting will have a dedicated catalogue with a circulation of approximately 500 physical copies per department. We are dedicating one-fifth of this booklet to advertising space, to give ample promotion to the sponsors. Students will personally hand out the free catalogues to guests all week. In addition to this, the catalogue shall also be made available in digital format, further increasing its circulation to the festival’s entire online following. The prices listed opposite are per department catalogue (i.e. one run of 500 catalogues), however the option to buy advertisement space on multiple catalogues is also available. Catalogue Size: A5 Portrait - 148mm (w) x 210mm (h) + 5mm Bleed. Artworks are to be supplied in the correct sizes indicated. All images are to be in high resolution, and fonts converted to paths. Formats accepted are High RES PDF or JPEG (300 dpi). All colours have to be converted to CMYK to avoid colour fluctuations in printing. Margins | 9mm

Sponsorship Agreement Sponsorship Packages The below packages are available to an unlimited number of business or independent sponsors. Please indicate clearly which sponsor pack you have chosen by ticking the box.

Sponsorship Agreement. Confirmation is to be made as soon as possible. Artwork of the logo and full payment are to be sent by Wednesday 31st May 2017. No responsibility will be assumed if the logo does not reach MCAST Institute for the Creative Arts prior to printing as stipulated by the given date. Artworks are to be in high resolution. Formats accepted are High RES PDF or JPEG (300 dpi). All donations are exclusive of VAT. Terms and Conditions. Interpretation of Terms In these conditions of participation the following terms shall have the following meaning: 1. ‘Organisers’ shall mean MCAST Institute for the Creative Arts and its representatives, which may include administration, lecturers and students. 2. ‘Participants’ shall refer to any sponsors who are willing to form part of this year’s ICA Festival. Sponsorship and Cancelation Organisers reserve the right to decline or to accept any application for sponsorship at the event without giving reasons for such refusal. If a participant decides to cancel his/her booking after confirmation, the organisers will not be able to refund any donations. All donations together with a signed Sponsorship Agreement Form must be submitted together at the time of booking by not later than the 31st of May 2017.

Terms and Conditions. General Conditions All participants must submit their 250 word company profile to be featured on the Festival’s Website, Mobile App and Social Media by the deadline stated on the requirements form. Failure to submit a company profile by the specified deadline date will result in either a previous company profile being used (where applicable) or no profile being included within the designated packs. On confirmation of booking, all participants should send their logo in high resolution. Formats accepted are High RES PDF, JPEG (300 dpi), PNG or EPS. Failure to send your logo may result in it not being included on the relevant marketing material. Organisers also have the right to alter any logo to follow brand guidelines (either black or white) when deemed necessary. Artworks, including the participants’ logo, will be sent by the organisers for approval if requested by the participant. The participants are entitled to one set of amendments to the artwork.

Terms and Conditions. Promotional Stands 1. Promotional spaces can only be used during the opening hours of the festival. Participants are free to do what they choose with the space provided within certain limitations. Participants should aim to utilise their area in a conventional manner that would stand out as unique and impactful. 2. Fees include space, carpet and power supply. Participants’ Responsibilities 1. Participants may enter the exhibition grounds to prepare their display during the working period prior to the start of the event. Clearing of any material placed on the stands is under the participant’s responsibility. 2. Participants are responsible for every item they possess. It is not in the Organiser’s responsibility if any items are stolen or broken or if any items are left behind once the festival is terminated. Stand Design 1. Participants must submit drawings or photos of their proposed stands and what they are going to display for approval at least one month prior to the event. 2. Participants shall not display or advise on their boundaries any product or service which is not listed in their proposal.

Conduct of Participants 1. Participants are not allowed to sell any items or services during the festival. 2. Participants are strongly encouraged to hand out freebies. Distribution of freebies or literature must be made from the given boundaries. 3. It is advised that there should be a representative on behalf of each participant. 4. All promoted material must be of a non-political content. Any content promoted must be of an non-offensive nature. Anything that is to be used for promotion is subject to the approval of the organisers. 5. Products/Services promoted must be related to the 6 fields of study found at MCAST Institute for the Creative Arts. 6. Participants must provide the organisers with an outline of the activities taking place at their stand for approval at least one month prior to the event. Character of Promotion 1. The organisers encourage participants to incorporate some form of interaction with attendees in their stands (this could involve product demonstrations or similar hands-on activities). 2. The organisers reserve the right to refuse any promotion the weight or character of which, in the opinion of the organisers is unsuitable for the site/stand made available to the exhibit. 3. Organisers can stop participants from promoting any activity that may cause or is causing danger, annoyance or inconvenience to the rest of the festival. Damage 1. No changes should be made to the structure. 2. The participant is solely reliable for any damages caused by their negligence.
