Sharing Calendars
A pane will display. In the share with field, enter the person to share the calendar. There are many reasons why you would need to share your calendar. In this lesson we will learn how to do that and how to filter the information visible in the shared calendar. On the right hand side of the calendar page, you will see a link to share your calendar. Click the share link.
2
If the contacts are already in your contact list they will display in the pull down menu.
Select the person, and his or her information will display below the field.
3
Enter additional people as needed.
When a calendar is shared and you select contacts, each is automatically given the permission to view the full details of your calendar. These details include the event name, location and other information.
4
The permissions provided for each contact can be changed. Click the pull down menu and you will be provided with five choices. • Available only will display the dates and times during the work week when you don’t have and event. • Limited details will show the event name and location.
At the bottom of the list of users is a subject field. It automatically includes a generic subject tile. Change this subject to anything you wish. Below the subject field is a calendar pull down menu. If you have more than one calendar, use this to select the calendar you would like to share with all the users listed above.
• Full details will show all the information about events in your calendar. • The editor can read, create and modify items. • When you delegate a calendar, the person has the same rights to the calendar you do, including the right to delete events.
5
To share your calendar, click the send button. This will send each person an email with an invitation to your calendar.
When the person receives the email for your calendar they will click the add calendar link. They can also choose to share their calendar with you by clicking the share my calendar back link.
6
Calendars that are shared will appear in the left pane.
To see who you've given permission to your calendar, right click on the calendar and select permissions.
7
A list of all the contacts you shared the calendar with will appear in a pane on the right. You will also see the permission granted to each. While here, you can change permissions or click the 'X' next to the permission to stop sharing the calendar with the person. When your done viewing the list of contacts or making changes, click the save button.
