L ESSON 1

Create Category

Right click on an email message to display a contextual menu.

Categories are a good way to help organize email. There are several generic categories created for you. We will learn how to create our own categories.

Hover over the categorize menu choice. Several predefined categories will display to the right. Click on the Manage categories choice.

A pop up menu will open to display the current categories. Click the Add new category button.

A dialogue box will open with a space to enter the category name.

Type a descriptive name for the category. New categories are automatically assigned a white color. This color can be changed. Click on the color palette disclosure triangle.

A color palette of 25 color options will display. Click once on a color.

The color will be assigned to the category. Click ok to save the category.

The category will be listed with the other categories. Click ok to save and finish.

To assign the category, right click on a message, go to categorize and select a category from the list. The category will be selected and the menu will close. We are currently doing this manually but it can also be done automatically with mail rules.

The email will display a colored bar. This colored bar represents the category we assigned.

Right click on the message and go to the categorize option in the contextual menu. The category I assigned to this message displays a check mark.

The category is also displayed within the body of the message.

L ESSON 2

Multiple Categories

Right click on the message, go to the categorize choice and select another category.

An email can be assigned multiple categories. In this example I currently have this message assigned to one category.

The message will now display two color bars representing the two assigned categories.

The two categories assigned will also appear within the body of the message.

Remove Category

To remove a category from a message, right click the message and click on the category you want to remove.

This message has been assigned two categories.

The message is now assigned to only one category.

The category change is also displayed in the body of the message.
