Introduction Tips for A+ fundraising when your child’s in early education Congratulations! You have a child under five and you are now part of the wonderful world of early childhood learning and care. This new chapter in your child’s life also opens a new chapter in yours: fundraising! Whether you’re using a childcare centre, a community kindergarten or a governmentfunded preschool, fundraising is practically a given. But don’t be scared off. In fact, embrace it. Both you and your child benefit. How? 1. Fundraising with a specific goal will enable your child to enjoy improved facilities, equipment or amenities. 2. By getting involved you get to: • meet other parents (invaluable for both stay-at-home or back-in-the-workplace mums and dads) • potentially sharpen or learn skills that can be transferred to the workplace ( a bonus if you’ve taken time out to stay home with your child for a while). • See the pride in your child’s eyes! It won’t last forever, but for now they love to see you around and being involved. Enjoy it while it lasts! Success rides on great planning, decisions and choices. That’s why I created the Fundraising Directory in the first place and the comprehensive free eBook Essentials of Fundraising, that draws on my own experience and that of parents across Australia. This mini-guide pulls out some of the issues I believe are ‘must know’ for fundraising efforts within childcare/kindy/pre-prep groups, particularly: • how to plan a fundraising calendar that works • volunteering – what’s involved and how to get involved • where to get support for your fundraiser • how to fundraise around the demands of littlies – when you’ve little time to yourself • what to do when a fundraiser is over (something that’s often forgotten). Together, we’ll reach your goals -- and put the FUN back into FUNDRAISING!
Happy fundraising!

Goal setting and Choosing the calendar fundraising planning options that are best for your The Essentials of Fundraising starts with a really basic question: Why do you need to group fundraise? No, the answer is not ‘because we should’: nor is it ‘because it’s needed’. Something like ‘We want to raise $5000 by 30 June to install shade sails in the playground’ is what I call a SMART goal because it is: • Specific – well-defined and clear • Measurable – in terms of progress towards the goal • Agreed – all key stakeholders agree to the goal and have a stake in it • Realistic – don’t be too ambitious
Browse the Fundraising Directory and you’ll see 17 distinct categories of products offered for fundraising either as product drives, party plans, events or spur-of-themoment spends: • artwork, stationery and labels
• a-thons and raffles • books and movies • chocolates and lollies • clothing and jewellery • custom-labelled beverages • entertainment • food and fruit
• Timely – a time frame is built in.
• glowsticks and flashing novelties
Once you have a SMART goal, you need to work towards it. That’s where calendar planning comes in. Try for at least six months in advance.
• homewares
Gold star if you make commitments to fundraising at the Annual General Meeting for the year ahead. I have found a mix of fundraising activities spread across the year – one per term – works best.
• novelties • personal care products • photography • printing and promotional products • shopping tours • silicone bracelets • toys and educational products Not every one of these works for every group. Look at your group’s demographics, disposable income, interests and values. Think timing too. Some fundraisers need more lead-time than others to deliver product, particularly if children are involved in personalising it.

The first half of the year is a good time to work with us because we run our annual Early Bird Special offering free tea towels for orders in Terms 1 and 2. Our tea towels, aprons and bags make popular gifts for Mother’s Day, Father’s Day and Christmas. Allow four weeks from the time we receive your artwork to delivery: six weeks for a Term 4 fundraiser.
Expressions
Narrow down your options and then ask questions of suppliers: particularly what’s in it for your group! Lesson 8 in The Essentials of Fundraising suggests the questions you must ask – and those a supplier should ask you.
Turning stumbling blocks into stepping stones You all have on thing in common: young children. This has both opportunities and drawbacks for fundraising; but creative thinking can turn those drawbacks into opportunities too!
Opportunities • Anything educational is likely to win support. Books and toys are proven fundraising winners.
• A child’s artwork is as valuable to a parent as an original Van Gogh! Drawings or hand prints turned into products – a tea towel, calendar, diary, plate, mug, clock or clothing for example – tick boxes for fundraising and gift-giving. • Custom-labelled wine, carrying a child’s art, suits both those who are child-struck and those who simply enjoy a good glass of wine! • A growing family equals a pantry and freezer in constant need of stock, particularly snack foods for impromptu play times. • Workplaces present fantastic opportunities in which to raise funds virtually with loose change, selling chocolates and lollies or distributing order forms for other food products (although do consider how you’ll deliver their orders!) • Is your early childhood education provider holding a night-time Christmas concert? Consider selling glow products to add sparkle to the event. Think carefully about numbers: you do need to buy them upfront and unsold product equals lost profit. Tip: Product fundraising drives are short and snappy: three weeks tops! Learn the different types of product drives and their pros and cons, by reading Chapter 3 of Essentials of Fundraising.
• Most parents are besotted by their child’s cuteness and like to share this quality with others – grandparents, extended family members and close friends. Family portraits are BIG and they can be fundraisers too.

Turning drawbacks into opportunities Drawback 1 Many families with young children have reduced disposable incomes, either because a parent is staying at home or working part-time. Money’s tight. I have found day-to-day purchases turned into fundraisers don’t burn a hole in the budget. They simply require a change in where the ‘spend’ happens. Marisa, parent, Newcastle
Product selection and timing is critical. For example, think books and toys. How much are you likely to spend for Christmas for your own child and others? With an advance promotion, you can get other parents to plan to buy from book or toy catalogues and give a gift that helps others too, by supporting your kindy’s fundraising goals. Your fundraiser is not burning a hole in a tight budget: it’s changing where the money is spent. Offer something that is universally popular and easy to sell; something that patrons will enjoy and appreciate.

Drawback 2 If you use a childcare centre, there’s generally no specific starting time or pick up: it’s guided by your own work schedule. But every child must be checked in and out. This is the fundraising committee’s opportunity! • Organise a display complete with order forms, invitations, samples etc right next to the check-in. • Make an ally of the staff member supervising check-in to mention the fundraiser to parents. • Check-in is the place for a volunteer sign-up board too. We deal with that in ‘How to get volunteer support’. • As the fundraising drive progresses, change the display: a countdown reminder can be useful. So can a progress indicator. • PLUS, set up a group page on a social networking site like Facebook or a page on your child care provider’s website, that’s specifically for fundraising news.
Drawback 3
centre, providing a safe and familiar waiting environment for your children. Families are usually booked in at 15-minute intervals – virtually in and out without fuss. A party – or showing – becomes more of a social occasion combining two things women particularly love (linen and a chance to chat!). You could charge a gold coin entry and offer door prizes and light refreshments. Your group will get 10% of sales and $10 for every subsequent party booked at the event. Lorraine Lea Linen catalogues can be distributed ahead of the gathering so that those unable to attend may still order.

Parents of small children have very little ‘me’ time. Children need supervision and if it’s not parental, it usually costs! Consider a party plan type fundraiser – perhaps for jewellery, homewares, books or clothing – either at your kindy or at a parent’s house. At the kindy, it could be just before pick-up on a particular day, for example. Family portraits as fundraisers can be organised on a Saturday morning at your

How to get volunteer support: my four best strategies Fundraising is not a one-person job. It needs a core few that are committed to the big picture and others who can provide a little time here and there to support the cause.
1. Know who has what to offer Talk to your childcare director about the enrolment form: is there potential to include some questions that will help with fundraising such as particular interests or skills that could be shared with the group. If they’re forthcoming, you’ll know that John S has a minivan and can make deliveries, Barbara C is a bookkeeper and that a former Olympic swimmer has a child in the ‘possum’ group.
2. Divide jobs into manageable micro-tasks Volunteering becomes much more do-able particularly if someone can see that a task may only require one hour of time, tops. A volunteer sign-on board near the check-in desk is a great encourager. Lesson 19 of The Essentials of Fundraising details how this works.
3. Spread the ‘ask’ around Don’t rely on the same people every time. fundraisingideas.com.au
4. Value your helpers Personally thank them afterwards.
When the fundraiser’s over Orders have been dispatched, the money’s banked, and it’s all over, right? Not quite. Your fundraising committee must still complete FOUR key tasks:
1
Share the outcome with your community.
2
Provide your fundraising supplier with feedback.
Too often, a fundraiser just fades away. People want to know what happened! Communicate the result with all who took part – committee members, volunteers, and supporters – using your newsletter, website, noticeboard: “Thanks to your support at the <name>fundraiser, we can buy a sun-sail to go over the sandpit”.
Leave feedback for your provider on their page on the Fundraising Directory so that others can benefit from your experience with them.
3
Congratulate your volunteers on a job well done. They’ll be more receptive to helping again. Handwritten notes from the group president are a nice touch: a blanket group email is crass. Fundraising for Childcare - e-book
19
4
Complete the Report Card in your Fundraiser’s Handover Manual (free to download from www.fundraisingdirectory.com.au). This provides a record of what worked, what didn’t; and why. It includes timelines, quantities, costs, profit, and volunteer and supplier details. It’s an essential tool to help measure success and plan a bigger and better fundraiser next time.
