Fun with Funnels - How to Grow your Database (without losing your hair) So you run a business...that’s awesome. No doubt you have a marketing plan, an auto-responder and client database to capture and nurture leads, plus an automated business process to handle as many back-end admin tasks as possible... Right? If not, don’t worry, you’re part of the 85% of small businesses who are still building their systems. We aren’t discussing automation here (although that is a sweet spot of ours) but rather the first part of the success equation - FUNNELS.

funnels include strategies to provide value (in the form of gifts - think ebooks, vouchers, etc) in return for contact details. Email copy should be designed with a ‘value up-front’ tone, and the primary goal is to gather contact information to build your database. You have to “wow” the customer with your generosity and create trust from the outset. Situation 2) You’ve got plenty of contacts but need to turn them into paying customers. You have a list, but not many of them are spending money. Possibly you have a lot of free subscribers or event attendees. In this case you might consider an Activation Funnel. These include simple surveys, tripwires and other sales strategies, which are simple to deploy and result in a flood of immediate conversions. Proven copy is critical as very few of us are tolerant of blatant marketing. Situation 3) You have lots of customers, but are looking for a quick win or instant cash flow. Monetization Funnels can be turned on quickly and should result in immediate ROI. But beware, this won’t work unless you have a contact list that knows, likes and trusts you. These include webinar and event sales campaigns as well as flash sales and ascension sequences.

So what is a marketing funnel? Well, as vague as it sounds, it’s essentially the “machine” that allows wouldbe customers to move from first awareness of your brand, through to raving fans. The number of converted customers in relation to the number of leads is referred to as your ‘funnel conversion rate’. Sounds simple enough. However, the magic lies in knowing which type of funnel to use for a given situation, such that your conversion rate is the best it can be. There are three basic marketing funnel categories: • Acquisition Funnels • Activation Funnels and • Monetization Funnels

It’s important that any funnels you deploy is managed through a system that allows you to measure the results and track what is and isn’t working. An intelligent Customer Relationship Management (CRM) system like Infusionsoft or Ontraport is critical to the success of an organisation. Creating Military Standards From my time in the military there is one thing that has stuck with me that many small businesses can implement to become more efficient and that isn’t the ability to do a bunch of push-ups. This key ingredient is knowing (and all your team knowing) your processes and standards. Over the last 100 years the military has developed and refined their SOP’s or standard operating procedures so that there is clear guidance on exactly what is expected of each and every soldier right from their job description, weapons, and formations all the way to exactly how many centimetres apart different badges need to be on their dress uniform for parade. Every soldier is drilled in each of these SOP’s so that it becomes second nature in the heat of battle when control may be lost and instinct takes over. It also provides for when one process ends and another begins. Now I’m not suggesting that small businesses need to be as thorough or regimented as the military but there are key take always from this approach that can make your business more efficient and thus more successful. The key part of having documented processes is so that everyone involved knows how they fit into the business cycle from client acquisition and product delivery to marketing and accounting. More than likely, in a small team, there are team members that satisfy more than one role but in order to have efficiency they need to know at which point of the cycle they are performing each role and when the trigger takes place to change roles.

As an example, you may have a team member that is employed as an admin assistant. Now that role could involve a number of tasks including ringing potential leads, opening mail, talking to suppliers and doing the banking. Each of these tasks has a different hat and trigger point and will affect the efficiency of the business cycle. By documenting the process by which this admin assistant is expected to complete each task it sets expectation and there will be less time lost on the transition from one task to the next. The second take away from having detailed standards is having a quality to your product or service. The standards create an inherent consistency by which your business will be known. Consider a café and a typical flat white. The amount of coffee in the handle, the amount of milk, and the temperature are all potential variables that will affect the finished product. By detailing the standard on each of these you will have consistent and a good tasting coffee that will bring customers back to your product. The final point to make in regards to designing a process flow is the ability to distance yourself from the day to day operations of your business. This then gives you, the owner, time to grow the business and ultimately put the business in a position to sell. Small Business Needs Better Planning to Survive McCrindle Research has done a study on the Australian Bureau of Statistics data which looked into the failure of new businesses. The purpose of this study was to discover what types of industries have the best survival rates. Estimates suggest there is one actively trading business for every 10 people in this country. Of all the new businesses started four years ago, a staggering 51.5% are no longer operating and more than 40% of the two million businesses operating in Australia four years ago no longer exist. (Navacue, 2014) Suzzanne Laidlaw, a Perth Business Coach and founder of Laidlaw (Aust) Pty Ltd says the biggest issue small business owners have isn’t knowing their trade but rather not understanding how to actually run a profitable business. “People start a business with great passion for what they do, but to survive long-term there are some essential business systems that need to be put in place. Essentially, if you don’t have a clear plan of where your business is going,

how can you expect to get there?” Suzzanne said. Many business owners begin without knowing where they want to be in five years’ time. “I had clients come in to see me a few years ago to put in a plan and when I asked where they saw themselves in a year, one said she’d like to be in Bali retired and the other owner just about fell off her chair,” Suzzanne said. Having a realistic vision of what your company can achieve is vital. Involving employees in goal planning allows them to see their role in achieving long-term results and their worth to the company. Suzzanne believes a great motivator is having your staff work towards a shared goal. Once a vision is set, the entire team should be involved. “It’s no secret that employees are more engaged when they know their work is meaningful,” Suzzanne said. Talk with your staff. Share and discuss the business and the competitive environment, be

honest about challenges, and wins. Welcome genuine input and tough questions. The biggest downfall of a small business owner is trying to be everything to everyone. If you give your staff the appropriate training to provide sufficient and effective customer service, this will give you the confidence as a business owners to step away from working “in” the business to working “on” the business. “If you prioritise looking after your staff, it becomes a nice big circle where your staff then look after your clients, the clients then look after your business and of course then, your business looks after you,” Suzzanne said. Hot Tips for a Well Run Financial Reporting System It should never be underestimated how important good financial reporting systems are. It has a huge impact on a whole raft of business issues. Yet for many small businesses it is largely neglected because it’s too hard, the owner can’t be bothered doing it late at night or it takes up too much time. The whole function for many small businesses is down played as not important enough. But I know after seeing many businesses, both successes and failures, the best decisions are based on the best data. I’ve seen it all too many times poor decisions being made on poor financial

data. Here are a few of the things in business that this data relies on: • Simple ATO compliance with Business Activity Statements, GST, PAYG Withholding, yearend income tax returns and the cost in meeting your obligations. • Finance applications whether it be for equipment finance, refinancing loans, buying another business, home loans etc. • Bank reporting covenants. • Determining Trading Performance, cash flow monitoring etc.

• Business valuations and sale of your business together with the associated due diligence scrutiny.

The common factor among financially struggling businesses is poor financial records but also gross ignorance, inept management and “garbage in, garbage out.” You need reliable information on which to base your decisions. It’s not that hard, the processes are relatively simple. Your accountant should be only too happy to help and give you some

direction, they don’t want to trawl through your rubbish. It’s not only extremely costly for you in terms of accounting costs but you end up becoming unprofitable for them too. So be smart, be humble, and ask for help.

So for business owners, here are some tips for how to improve your financial systems. 1. Be honest with yourself. If bookkeeping isn’t one of your strong points, call your accountant and ask for a referral to a good bookkeeper. Get a proper bookkeeper who knows their stuff. District32 Interviews: Tammy George 1) Please introduce yourself and your business. Hello I’m Tammy George and I run Marketing by George. 2) What services do you offer and to who? I offer copywriting and marketing services to a range of businesses from a WA owned franchise group to local small businesses. 3) What aspect of your business are you most passionate about? It would have to be the copywriting side of the business. I enjoy sitting down with business owners during the client brief to hear what it is they want help with and delivering the copy they need. 4) What does customer service mean to you and how do you demonstrate it in your business? Taking a genuine interest in your clients’ businesses is an important part of B2B customer service. If you take the time to get to know the owner and their business, you will want to serve them well. I’ve been interested in small business for many years and I enjoy hearing people’s stories about the journey so it comes easy to me plus it all helps with crafting their message. 5) Why do you think it’s important to support local? Over the past 20 years I’ve watched large advertising accounts go to agencies in the eastern states and more recently parts of an account will go overseas. Clients often realise they miss out on the personal contact and the quality of work has dropped. I have two primary school aged children and I often wonder how many more jobs will be outsourced before they reach the workforce. It’s important we support local jobs not just for this generation of workers but those generations to follow.

6) How did you come to be involved with District32? I was reading the local newspaper and saw an article about the launch of District32. At the time I’d been working on contract for the same client for a few years and was looking for a wider range of clients like when I worked for ad agencies. I like the concept of District32 so I met with Frances and soon after I was writing copy for District32 and Exclusive Providers. 7) What has been your experience of being part of District32 so far? Fantastic! I’ve completed a range of writing projects including blog posts, web and brochure copy, media releases and articles for a number of District32 contacts. All the clients have been wonderful to work with and I’m enjoying the variety of work. I’m excited about the future and I’m looking forward to a long association with District32.

PROUD SUPPORTERS OF JUST START IT District32 is thrilled to be supporting local charity Just Start IT at this year’s SME Spectacular. Just Start It is an 18 week high school program that takes engaged learning to the next level through exploration, discovery and creativity. The multidimensional mentor-led program crosses industries and generations with the aim to build a force of business and technology savvy job creators, not job dependants. High school students work with mentors to take an idea from concept to product and in the process build their confidence, promote critical thinking and problem solving and applying creativity to solutions. Students complete one unit on investigating micro business and one unit on innovation. Additional units guide students to develop the ‘bread and butter’ skills that industry requires young workforce entrants to have - teamwork, communication, spread sheeting, word processing and business use of social media. Teaching students to take action now and learn as your go helps them build a technology start-up ensuring they have the skills needed in the future to create their own job. The program is run in a number of WA high schools as part of the curriculum or as an extracurricular activity and has already resulted in 17 businesses being taken to market. All proceeds from the raffle prize tickets sales will be donated to helping Just Start It get more kids across WA involved in this amazing program.
