TERMS AND CONDITIONS • Provisional bookings must be confirmed within 14 days of the enquiry or they will be automatically released. • Groups of 12 guests or more will be catered for on more than 1 table. • Any special requests with regards to the seating arrangements of your party must be discussed with the Christmas Coordinator prior to the event. • The size of the tables will vary according to the configuration of all groups attending and at all times the hotel will decide on the most suitable layout for the event. • Children under 18 years old are not admitted to evening events. • No additional food or beverage of any kind from outside the venue is permitted into the hotel by any guests. • We reserve the right to vary, amend or cancel any of the arrangements or the facilities featured in this brochure should we find an alteration necessary. • All prices shown are inclusive of VAT however may be subject to changes of rate and any other relevant taxes or levies at the current prevailing rate in force on the date of the event. • In the unlikely event that the hotel is obliged to cancel the function for any reason, all monies will be refunded or an alternative date offered, without liability to the hotel. • Dress code for all Christmas events is smart casual – no trainers. • The customer shall be responsible for any damage caused to rooms, furnishings and equipment therein by any act, default or neglect of the customer or guests of the customer and will be required to reimburse the full amount to make good or remedy any such damage. • Some of our menu items may contain nuts, however all dietary requirements can be catered for. Please discuss this with your Christmas Coordinator. • To the best of our knowledge, none of our food contains ingredients produced from genetically modified soya/maize. • A pre-order is required for all private events, shared parties and bookings of 6 or more in Bread Street Brasserie and Monboddo throughout December with the exception of Christmas Day Lunch in Bread Street Brasserie. Pre-orders need to reach the hotel no later than 2 weeks prior to your event. Chef ’s choice applies where no pre-order is received. • For Christmas Day in Bread Street Brasserie, we respectfully ask you to return the table three hours after the confirmed booking time. DEPOSIT TERMS

CANCELLATION/ REDUCTION IN NUMBERS
• If you need to cancel your booking you must inform the hotel in writing. All deposits are nonrefundable and non-transferable. • Once full payment is made, in the event that you need to cancel your booking, no refund will be given. • If your booking is not confirmed with full payment, 4 weeks prior to the event, the hotel reserves the right to release your booking and the hotel will be entitled to retain your deposit in full. • We regret that should your party size decrease in numbers (including non-arrivals) payments (including deposits) cannot be offset against any aspect of the event – such as food, beverage or accommodation.

• Special accommodation rates are subject to availability and require a £10 deposit at the time of booking. • For 10 bedrooms or more you will be required to sign a group booking contract and full terms and conditions will apply. • If accommodation is required, bookings must be secured by a credit/debit card and fully prepaid with the final balance paid no later than 4 weeks prior to the event. EXCLUSIVE EVENTS
• For exclusive events (when the facilities are let solely to your party/organisation) you will be required to sign a contract and full terms and conditions will apply (these will be supplied with the contract). • Only when the hotel has received a deposit of £10 per person, signed contract and signed terms and conditions, will your exclusive event booking be considered as confirmed, unless you have credit in place. • Minimum numbers apply to exclusive events; please confirm the minimum number for your event with your Christmas Coordinator.
