Introduction

The media archive of EAO is a storage of assets (asset= pictures, documents, animations, movies, etc.) that are used in Corporate Communications. All assets They must be stored in this system. EHQ will collect these assets and the necessary information and implement them into the system. All assets within the media archive are tagged with keywords that help to find certain file. The keywords are collected in different groups like «Series», «Media use», «Industry» etc. We have 3 groups of users: administrators, internal users and public users. Each group does have their own view to the system:

Login

Go to the URL www.eao.com/archive.asp and log-in by filling in username and password. You can also select your prefered language. You can choose between 3 languages: German, English or French If you need a login or forgot your login data please contact mediaarchive@eao.com

After the login you will see the overview of the archive. You have different possibilites to search for your prefered asset.

1. Keyword tree On the left side you have a tree with different categories including keywords. A click on the «+» will open the category. A click on a keyword will show the results in the main area.

2. Browse through previews In the centre, you see all pictures or the filtered results of a keyword.

3. Quick search Put a keyword into the search field and see the result below. Note that only the tagged keywords will be found.

4. Advanced search This is a efficient way to search assets. You can combine, merge or except different Categories or keywords.

Views

You have 5 different possibilities to view the search results

1. Big thumbnails Include less information about asset. Functions in footer line Show a bigger thumbnail and all information of the asset (keywords, resolution, file size, etc) Preview of the picture Add to basket Download

2. Small thumbnails No additional information, just funtions below picture.

3. List view No thumbnails, but basic information about the asset and funtions on the right side.

4. Asset details Small preview with all information about the asset and funtions at the bottom.

5. Preview Big preview without any information or funtions.

Collection basket / MultiBaskets 1. Collection basket The collection basket contains all files that where selected. You can change the selection by activating the basket icon below the picture. Also can you download the files as a ZIP-file (Button above the pictures «Download all as zip-file»)

This is also necessary when you want to create a Multibasket. This function will be explained below.

MultiBasket With the «MultiBasket Manager» you can manage different baskets with extended functions: • You can save your collection baskets • You can send the basket by e-mail to different receipients. • You can copy and modify the baskets content Note: Only for internal user available How to manage a MultiBasket 1. Choose pictures and put them into the collection basket 2. Go to MultiBasket-Manager 3. Create a new MultiBasket 4. Define a MultiBasket Name. Below you can check the number of collected files 5. Choose user type. You have 3 possibilities: - HiresUser (All file types) - LowresUser (Only lowes-data) - ViewOnlyUser 6. Choose «Access limit» - 7 days (Link will expire thereafter) - 5 times - unlimited 7. As an option you can receive a notification when receipient did use the basket

Collection basket / MultiBaskets 2. MultiBasket How to manage a MultiBasket (continue) 8. Click «send to» for next steps 9. Fill in the sender and the receipients (separated by semi-colon) 10. Fill in your personal «subject» IMPORTANT: The «subject» and sender are the first information a receipient will see. Use cleare wording. 11. Message: The message for receipients is best written in your personal e-mail client. Because you will send e-mail not directly from this system it is easier to write it into the client. 12. Press «Open Mail» 13. Finalise the text of your e-mail into your client and send the basket. The picture on the right hand shows the automatically generated message with the link to the basket. You can modify the whole message with the exception of the link (Just position of link could be changed by crop/paste).

IMPORTANT: Dont modify the link.
