And while adult attendees have always been able to share in the learning experiences of their students by attending workshops and classes together at ITF, this year, we’re thrilled to offer theatre educators the opportunity to enhance their festival experience by adding on the Theatre Education Conference, held conjointly during the first few days of ITF. Get Ready to Shine at ITF!
What is ITF?
The International Thespian Festival is the premier experience for Thespians (students inducted into the International Thespian Society, the national honor society for theatre students). ITF celebrates outstanding student work and elevates the teachers who create those opportunities to learn and excel. ITF showcases dozens of student performances on a national stage, including full-length and one-act productions of plays and musicals. ITF is also home to the culmination of the International Thespian Excellence Awards (Thespys®), in which more than 1,500 finalists are adjudicated in theatrical categories for superior honors – the highest achievement in school theatre. Students can take workshops in every aspect of theatre, attend talkbacks with Broadway and theatre industry professionals, and participate in various other programs and activities that celebrate the skills and art of theatre making.
Who Can Attend?
All International Thespian Society (ITS) troupes and future Thespians (students not yet inducted into ITS) are invited to attend with their Adult Leaders. Additionally, any student interested in theatre, whether or not they are associated with an ITS troupe, are welcome to attend and experience the immersive week of theatre. Students must be in grades 6-12 at the time of registration (February 2025). Note that several activities at ITF require students to be inducted Thespians or working toward induction as a Thespian with an incorporated Thespian troupe.
Adult Leaders accompanying students to ITF can include Thespian troupe directors, theatre educators, parents, or guardians. Adult Leaders must be 21 years of age at the time of ITF.
Theatre education partners (industry and college representatives) are also encouraged to attend.
What is TEC?
EdTA’s annual Theatre Education Conference (TEC) will be held in conjunction with ITF in 2025 for the first time. TEC offers timely, innovative resources and support for theatre educators, inspiring them to grow their skills and advance the field of educational theatre. TEC features interactive workshops, inspiring keynotes, and abundant collaboration and mentorship opportunities for professional growth and continued learning.
Attendees & Required Forms
You’ve made the decision to attend ITF and we’re so excited for you to join us in Bloomington in June! It’s now time to register yourself and any students and chaperones who will be attending with you. This guide is here to help you gather all the information you will need to make registration as easy as possible. Let’s get started!
Primary Adult Leader
Groups attending ITF should select one adult to serve as their Primary Adult Leader (PAL). This person must be 21 years of age or older at the time of the event. They may be a Thespian troupe director, teacher, parent/guardian, or any other adult approved by your school or local authority as needed. This individual will also serve as the contact person for all communications with EdTA regarding the festival, including pre-event and onsite communications. The PAL must be registered to attend ITF and be present onsite with their group from June 22-27, 2025. There may be only one PAL per group.

Adult Leaders
ITF refers to chaperones as “Adult Leaders” and requires a minimum of one Adult Leader for every eight students in attendance (see Ratios on the following page) to ensure the best possible experience for all attendees.
Depending on the size of your group, additional adults may need to register and attend the festival to meet the ratio requirement. Adult Leaders must be at least 21 years of age at the time of the event and must share the same housing arrangements as the PAL and the students in their group. Attendees aged 18-20 who are not attending ITF as students may register, however they do not count toward the required 1:8 ratio of chaperones to students.
Adult Leaders are key to the ITF experience. While they are expected to supervise and address disciplinary issues, Adult Leaders also serve as mentors and guides for students throughout the week. Adults should encourage and empower students to make the most of their ITF experience.

All PALs and Adult Leaders are required to complete an online safety training and background check by June 11, 2025. Training instructions will be emailed after May 7, 2025.
Ratios
Please be mindful that ITF is an event designed for students. Each group should bring enough Adult Leaders to ensure a successful and safe experience for all attendees. The minimum requirement is one Adult Leader for every eight students; however, the following ratios are strongly encouraged:
These forms will be sent via email after the May 7 registration deadline as follows:
• Adult (non-student) forms will be sent directly to the attendee.
• Student forms (regardless of the student’s age) will be sent to – and must be completed by – the parent/guardian listed on the student’s registration. To ensure privacy and security, the forms cannot be sent to or completed by the PAL unless they are the legal guardian of the student.
Health & Consent Forms must be submitted by June 11, 2025. If a Health & Consent Form is incomplete upon check-in onsite, registration materials will not be provided until the form has been submitted.

Background Checks
All attendees over 18 years of age on June 22, 2025 (the first day of check-in) must successfully complete a background check. This includes both student and adult attendees. Invitations to begin the background check process will be sent directly to each attendee via the email listed for them by the PAL at the time of registration. Information for the background check must be submitted by June 11, 2025. If an adult’s background check is incomplete upon checkin onsite, registration materials will not be provided until the check has been successfully completed.
Health & Consent Forms
All attendees are required to complete a Health & Consent Form via CampDoc, our secure health information platform. CampDoc allows attendees to provide health information in a private and secure manner and allows ITF to remain HIPAA compliant.
Background Checks
and Health & Consent Forms will be sent to all attendees after the May 7, 2025 registration deadline Forms will not be sent immediately after registrations are submitted.

All-Access Pass
This registration type is available to Thespians, future Thespians (students not yet inducted into ITS), adult EdTA members, and other adults. It includes all standard event programming, residence hall housing and a meal plan. Add-On Activities are available for additional fees.
All-Access Pass
Activities-Only Pass
This registration type is available to all the same types of attendees as the All-Access Pass, and includes all standard event programming, but does not include residence hall housing or a meal plan. Attendees with Activities-Only Passes must book housing in one of the host hotels associated with ITF. Add-On Activities are available for additional fees.

Parent/Guardian Pass
Special Parent/Guardian Passes are available for adults wishing to bring individual students whose schools do not have a Thespian troupe and who plan to stay off campus. It includes access to ticketed performances and exhibit hall only. It does not include access to non-ticketed ITF activities like workshops or panels, residence hall housing, or a meal plan. Attendees with this pass must book housing in one of the host hotels associated with ITF. Meals are not included.
Registration fees support ITF’s logistical, programmatic, and administrative operations. Travel costs are not included in registration fees.

Thespians who are unable to attend ITF in person but who wish to be adjudicated in the final round of the Thespy Awards or audition for colleges and universities may participate virtually. Select Thespys, College Auditions, or both using the Virtual Programs registration form.
Cancellations & Substitutions
Substitutions for attendees that have registered but are no longer able to attend can be made in the Attendee Service Center up until May 14, 2025 If the PAL cannot make a substitution for another attendee and needs to cancel the registration, they may do so up until that date. Full refunds, less a $100 administrative fee, will be issued for any cancellations received by the cutoff date. Cancellations after May 14 will forfeit the entire registration fee.
Payments
All payment is due in full by June 11, 2025. At the time of registration, the PAL may select one of the following payment methods:
• Credit Card: Payment of the full balance due is supplied and processed at the time of registration submission. If you need to pay via credit card later or in installments, select Balance Due instead.
• Balance Due: Allows for registration to be submitted without immediate payment; the PAL can then opt to pay by check, ACH, or credit card at a later date. Credit card payments can be made in the Attendee Service Center at any time after submitting the registration. Payments can be split, but must cover the cost of one or more full registrations. For example, the system will not accept partial payments such as $1000. Instead, payments must match the exact cost of a full registration, such as $1099 (Future Thespian All-Access Pass) or $849 (EdTA Member All-Access Pass).
Note: ITF does not accept purchase orders as a form of payment. Balances must be paid by deadline or registrations may be cancelled.

Discount Codes
The use of a discount code is only valid at the time of the initial purchase/registration submission. Refunds will not be authorized for existing registrations where a special offer was received after the initial registration was submitted. Limit one (1) discount code per individual registration.
Scholarships
ITF Scholarships enable more Thespians to participate in the life-changing experience of the festival and are awarded through the Educational Theatre Foundation. Applications open February 1 and close April 1, 2025. Scholarship winners will be notified by April 8, 2025 Learn more about scholarships offered through the Foundation.
Quotes
To receive a quote, complete the group’s registration and select Balance Due as the method of payment. Then, email events@schooltheatre.org and request a quote for the registration. Be sure to provide the first and last name of the PAL in the email. Note that quotes are subject to all registration policies including payment, cancellation, and administrative fees.
Housing
ITF housing includes residence halls (dormitories) and hotels.
Residence Halls
All-Access Passes include housing and meals at a designated residence hall on campus. Residence halls will be assigned to attendees on a first-come, first-served basis based on their registration date, accessibility requests, and other factors.
Room styles and bathroom accommodations (including private, semi-private, and community) vary by building. Most beds are twin-XL sized and lofted approximately four feet off the ground. It is critical for the PAL to indicate any accessibility requests when completing housing forms, including if anyone in the registration group needs their bed lowered, as ITF is required to submit requests to lower beds in advance of the festival.
ITF is unable to accommodate specific dorm building requests. Attendees may be assigned to dorms that have community bathrooms. ITF is also unable to guarantee requests to house separate registration
groups together in the same residence hall. Any groups who need to be guaranteed housing together must be registered as a single group by one PAL.
Campus Housing Forms & Roommate Assignments
The PAL for each registration group is responsible for submitting a Campus Housing Form by May 14, 2025. All adults will be housed in singleoccupancy dorm rooms. Students will be housed with roommates as assigned by their PAL on the housing form. If the group has an odd number of students, any student without a designated roommate will be housed alone. ITF will not randomly assign roommates across registration groups.
ITF is often asked if students and adults are allowed to share a room. ITF works diligently to honor individual school administration policies, as well as to remain in compliance with Indiana University’s Programs Involving Children (PIC) policy. If staying in a residence hall, adults and students are not permitted to sleep in the same room, per IU’s PIC policy.
Hotels
Activities-Only Passes do not include housing or meals. To participate at ITF, all registered attendees are required to stay in either campus housing (with AllAccess Passes) or in an ITF host hotel (with ActivitiesOnly Passes). This requirement allows ITF to effectively manage risk, logistics, and agreements with Indiana University Bloomington and local law enforcement. Other accommodations are not available.
Groups who prefer to stay off-campus should select the Activities-Only Pass when registering. ITF has contracted with a variety of hotels at varying price points. Room types (king, double/double, suites) vary in each hotel, but for budgeting purposes, expect to accommodate an average of three people per room.
All hotel reservations require a credit card to hold the reservation. No payment will be processed until after the conclusion of the group’s stay. ITF is not able to provide official quotes or invoices for hotel stays; all invoices and balances due will be managed by the hotel, and all payments will be made to the hotel directly.
All hotel reservations made through the registration process will be listed as “pending” in the Attendee Service Center until after the reservation deadline on May 28, 2025. Please do not contact the hotel regarding reservations before this date. Once a hotel has finalized their reservations, the PAL should receive a confirmation number directly from the hotel. This confirmation number can also be viewed in the Attendee Service Center beginning about a week prior to the event’s start date.
Some groups choose to arrive early or extend their stays. ITF’s contracts with the host hotels include a limited number of rooms available at the discounted ITF rate both before and after the event. Instructions for adding additional days to your stay will be included with the reservation confirmation.
Hotel Roommate Assignments
If staying in one of the ITF host hotels, it is strongly recommended that students and adults sleep in separate rooms and never share a bed. Check with your school administrator for your district’s best practices related to safe boundaries between adults and students.
Ticketing
Diversity & Inclusion
All PALs are required to reserve performance tickets for their registration group by June 4, 2025. Any group without performance tickets reserved by the deadline will have performances assigned to their group by the IU Box Office based on availability and will not be able to modify their assigned performances. EdTA and ITS pledge to support the well-being of all attendees and foster a welcoming, safe environment for participants of all races, gender identities, and abilities. We recognize that each attendee is an expert on their own needs for physical and psychological safety and commit to honoring
requests from attendees for accommodations to help them feel comfortable and included in a workshop or activity.
EdTA and ITS aim to offer brave spaces, promote inclusion, build cultural competency, and broaden attendees’ horizons. We want every student and educator to feel at home, while challenging our community to always strive to do more and do better toward access and inclusion.
Registration Instructions
Ready to register? Great! Follow these instructions after collecting all the information needed from each attendee joining your group at ITF. Registration should be completed by the PAL. If the PAL is unable to complete the registration for their group, another adult may complete the registration with special attention to the note in step 6.
Before beginning, note that the registration system is unable to save an incomplete registration cart. If the form times out, all progress will be lost. You must click Submit at the end of the process to save your registration information.
1. Collect all attendee information using the Adult and Student Registration Information Collection Worksheets provided at the end of this document.
2. Navigate to the Register Now page of the ITF website.
3. Use the Create/Update Accounts button to create and/or update accounts for all attendees in your registration group. Note that a Thespian troupe number is required for account creation. If you do not know your troupe number, email members@schooltheatre.org and provide your school’s name, city, and state.
4. Click on the appropriate registration type for your group: All-Access Pass, Activities-Only Pass, or Virtual Programs (for students unable to attend ITF in person).
5. Log in to the registration form using your EdTA account credentials.
6. The registration form will assume that you want to register yourself first and be assigned as the PAL for your group. Click to proceed.
• Important! If anyone other than the PAL is completing the registration, they must not register themselves first and register the person who is the PAL
instead. Click Search Again and find the PAL’s record. Each registration MUST begin with the PAL Enter all registration information for the PAL using the information provided on their Adult Info Collection Form (if used).
7. Select registration fees.
8. If registering for Activities-Only Passes, make a hotel reservation. (Note: Those registering for All-Access Passes will receive a separate Campus Housing Form following registration; you will not see a housing reservation step at this point.)
9. Review your group’s registration in your shopping cart. Click Add Additional Attendee if applicable.
10. Search for the next attendee. Add all adults first and then add student attendees.
11. Repeat steps to add all attendees in your group to the registration until all attendees appear in your shopping cart.
12. Proceed to the payment, and either pay now via credit card or select Balance Due to pay at a later date. Review the acknowledgement and submit the registration.
Registration Tips
• If you can’t register your entire group in one sitting, you can add additional attendees in the Attendee Service Center after the initial registration is submitted. The only required member of a group registration is the PAL, who must be registered first. All other attendees can be added separately as the group finalizes plans to attend.
• If adding additional attendees to your registration from the Attendee Service Center, the email confirmations will be sent to the email address associated with each individual attendee (rather than to the PAL). Use email addresses that you know are able to receive communications from outside organizations. Encourage all attendees to add edta@schooltheatre.org and events@schooltheatre.org to safe sender lists.
• Students not attending ITF, but participating in virtual programs must register separately from the group that is attending in person. The virtual program confirmation and subsequent communications are sent directly to the students’ email addresses, and it is important that they receive their Attendee Service Center credentials accurately to manage Thespy or College Audition submissions.
