WELCOME TO EF VANCOUVER Dear students, Thank you for choosing to study at the EF International Language School in Vancouver. We are excited to have you with us, and we will do our best to help you feel at home. During your first few days, you may have many questions about the School, your classes, your accommodation and what to see in Vancouver. We hope that this handbook will help you. Please also come and speak to the EF School Staff. We are all here to help you not only learn English but enjoy Vancouver. Our mission is to open the world through education. There are often more than 60 countries represented at the school, and there are students of all ages and backgrounds. We love the diversity this brings to our school. To give all students the best opportunity to improve their language skills, we require speaking English at all times in the classrooms, hallways and even in the washrooms! By doing this, you will learn faster, and so will your friends. On behalf of the entire school team, I welcome you to Vancouver. Have a fantastic stay in our beautiful city! Reception Welcome to EF! My name is Anna and you will see me at the front desk or running around the school charging iPads! Ask me if you need directions to a grocery store, advice on Vancouver attractions or Canadian products, and pretty much anything else.

Student ID Card CardICards

EF student cards do not give discounts on public transportation (Canada Line, skytrain, seabus, or bus), but you can get discounts at selected tourist attractions and nearby restaurants, like the Subway on Smithe St.

I can help you with printing and your student ID, and if you are expecting mail, come see me at reception!

If you find an item that might be lost please bring it to reception. If you have lost an item, check here first - we might have it!

If you Get Sick… • If you get sick, please see Mira or any admin staff to schedule an appointment • There are many walk-in clinics around the school. One of the options is Stein Medical Clinic that provides service to our students by appointments for $150.00 per visit. • Telehealth BC (+1 800 663-7100) also offers FREE advice by a registered Nurse any time of the day or night in over 100 languages. • Walk-in Clinic: Students can go to any walk-in clinic and ask to see a Doctor; no appointment needed. See Mira for a list of the closest clinics. The fees are $125 Cad approx. Please keep your receipt to claim insurance reimbursement. • Hospitals in Canada are only for emergencies! Unless you need surgery or serious help, please do not go to a hospital. You might have to wait 3 to 5 hours before seeing a doctor and you will have to pay $700+ just to see a “hospital” doctor. • You will need to PAY first and keep your receipts. • Bring receipts to Mira to get help you with your Erika insurance claim.

RULE

Get everything you need to know about studying abroad with EF—from what your first day of school will look like to what to do when you’re absent.

Learning a language with EF is more than just classroom study. You’ll also sharpen your skills by practicing in real-world situations and in technology-enhanced lessons, which we call iLab. Make sure you speak English as much as you can—you’ll see results in no time.

YOUR LANGUAGE LEVEL Before you leave for Vancouver, BC, please log on to your My EF account and take the language test. If you can’t, don’t worry, you can take it on your first day. We’ll use your test results combined with your speaking test to make sure you are in the right class. If you feel that you are not in the right level, please speak with your teacher. There are 6 different stages and each stage has 3 different levels (i.e. B1-1, B1-2, B1-3).

YOUR SCHEDULE Your schedule is structured based on which course you’re studying. You’ll have either 16, 13, or 10 periods per week, each lasting 80 minutes (2 x 40 minutes) mostly organized in double lessons, with classes either in the morning or afternoon. There are no lessons on national holidays.

GENERAL LANGUAGE LESSONS Ten of your double lessons will focus on general language skills like vocabulary, grammar, reading, writing, listening, speaking and pronunciation. Seven of these lessons will be based in the classroom and three will be conducted in an interactive web-based class—one based in iLab and two using iPads.

MOVING TO THE NEXT LEVEL Each level lasts 5-6 weeks. At the end of the level, a level progress test is taken in iLab and is used to determine advancement to the next level—participation in class, classwork, and homework are also used to determine whether or not you progress to the next level.

ATTENDANCE It is really important to attend all of your classes. Please remember that we’ll have to send you a warning letter if your attendance falls below the minimum of 80% (90% for UP students.) If you arrive late to your class (1-9 min late) you will be marked as “late”. If you are “late” for the 3rd class in the same week, you will be marked as absent. If you arrive more than 10 min late you will be marked as absent.

CHANGING OR EXTENDING YOUR PROGRAM If you would like to change your program or extend your stay, just come to the Academic or Administration office at the school. We will be happy to help you! Level

Our way of teaching English combines classroom lessons with multimedia materials and EF course books—we call it the EF Efekta Learning System. It’s a blended learning approach, which means you’ll learn both in class and online, using iPads and iLabs, as well as textbooks.

GENERAL LANGUAGE LESSONS Ten of your double lessons will focus on general language skills like vocabulary, grammar, reading, writing, listening, speaking and pronunciation. Seven of these lessons will be held in the classroom and three will be conducted in an interactive web-based class—one based in iLab and two using iPads.

SPECIAL INTEREST CLASSES (SPIN) In addition to your General Language classes, you’ll have some Special Interest classes (SPIN classes) for subjects that you’re interested in or that you’d like to use for your career or education goals. Your options for SPIN classes vary by availability and depend on your program and level.

ILAB iLab is a computer room where you will complete some of your course work or other classwork.

CULTURAL WORKSHOP You will have one lecture every week. Each one will focus on a different subject—like history, art, local culture or current affairs.

OUTSIDE THE CLASSROOM Traveling to another country to learn English exposes you to unlimited opportunities to practice. To really advance your fluency, speak English outside of the classroom and make friends with students from other countries. And remember: don’t be afraid to make mistakes! (Even native speakers make mistakes).

MONITORING YOUR PROGRESS To check that you’re in the right level, teachers do assessment each week. We’ll also give you a progress test at the end of each level. You can follow your progress on your iTracker in your My EF account.

PROOF OF YOUR SUCCESS If you’ve attended at least 80% of your classes, you can take the EFSET in your final week at school. This test evaluates your language level using the internationally-recognized Common European Framework of Reference standards. If you have any questions regarding your academic program, please speak with someone on the Academic Team.

Cambridge Exams

If you are looking for a challenge and interested in taking an exam, you might want to consider a Cambridge class! Classes run for 8 – 12 weeks from January to March, April to June, and September to December. You must be able to commit to the whole program to join. Students that complete a Cambridge class can then take a test which is recognized by governments, universities and businesses around the world! Please talk to me about exam dates and opportunities. Accommodation Team Hello! My name is Yunuen and I am in charge of coordinating Host Families and Residences for new students. Give yourself time to adjust to the city, to the food, to your new schedule, to your host family & to your roommate. In order to get familiar with your new environment, communication is the key! Note: You are responsible for getting to and from school on your own. Commuting in the city is easy and we consider that as part of your course experience. Although your HF is not responsible for driving you or taking you to the school, you can always ask for directions/help

We have a diverse pool of multicultural families; large/small, families with kids, retired people, families with pets, various religions and backgrounds, etc.

Basic Wifi is FREE; but if students wish extra bandwidth to stream/download, some families charge extra $. Laundry use is free; but some families offer to do laundry and provide laundry detergent and dryer sheets for students for an extra fee $

Keep the bathroom clean; wipe down any water on the walls, pick up loose hair, and clean any dirt.

Report anything you see that is damaged/broken to the host family immediately

Do any chores the host parents ask you to do (ie. Sweep, vacuum, window cleaning, etc)

WATER & ENERGY USE •

Use electricity and water with caution o

5 minute showers – once per day

Do not let the water run while brushing your teeth

Turn off all lights when not in use

unplug laptops and other devices when not in use

Turn off heaters/air conditioning units/fans etc when not in the house

Do not use the stove or oven (unless your host family has given explicit permission to use)

Please ask permission to use any other appliances in the kitchen or house

Buy your own snacks or specialized items if you want to eat at other hours

Please remember to speak English

Remember: Each host family is a little different, just like normal families. Just like all normal Canadian families in 2016-17, often both parents are working. Communication is key to a happy and successful experience. Enjoy & have fun!

If you would like to change your accommodation for any reasons that are not deemed an emergency by the Accommodation Coordinator you will be required to give 2 weeks’ notice if you are a short-term student or 4 weeks’ notice if you are an Academic Year or Semester Student. If you have already moved once and would like to move again for any reason which is not deemed an emergency by the Accommodation Coordinator you will need to give the same notice periods as above and pay an accommodation change fee which is the equivalent of CAN$75.

Community Standards & Disciplinary Procedures for Students EF International Language Schools Residence Code of Conduct Read through the following rules carefully. You are responsible for following them during your stay here. If you have difficulty understanding these rules, please ask an EF staff member for an explanation. Individuals may be required to leave EF at their own expense, subject to fine/or other disciplinary action(s) if these rules are broken. The opportunity to participate in this academic community requires individual responsibilities. By choosing to come to EF, you indicate knowledge and acceptance of the responsibilities outlined in this document. Three general principles guide EF’s Community Standards: • Respect for Academic Integrity • Respect for People • Respect for Property Should the rules and responsibilities outlined in this document not be adhered to the following progressive discipline schedule will be followed: Rule violation

If you want to join an activity, book your trip a couple of days before the activity (one week preferred) to guarantee that you will be able to go. Tickets for trips and parties go really fast, so make sure you get yours in time! Caution!! TransLink (legally the South Coast British Columbia Transportation Authority) is the organization responsible for the regional transportation network of Metro Vancouver in British Columbia, Canada, including public transport and major roads and bridges. The public transportation includes skytrain (Expo line, Millennium line and Canada line), buses, seabus.

In Case of an Emergency! EF International Language Centers Vancouver is equipped with several fire extinguishers on each floor for easy access during an emergency and can be seen on Floor Plan maps posted in the school and on the next two pages of this Handbook.

In case of a fire or Fire drill, you will need to exit the building through the fire exits. There are two exits. Please follow your teacher’s instructions to leave the building. Follow the fire exit signs and use the fire exit stairs.

Never use the elevator during an emergency. In case we need to exit the building for any reason, our meeting point will be the opposite side of Granville Street outside The Roxy nightclub. See below:

General Tips for New Students On your first day at EF you will be placed into your class and get your books. You can check your schedule on

www.my.ef.com Lounge calendar schedules. If you are not sure about your level placement after attending classes, talk to your teacher and the Academic Office within your first week. They can help review your placement.

It’s common for students to advance to the next level after 5 to 6 weeks of active and productive participation in a General English class. However, different students tend to progress at different rates, so there are no guarantees about when you might be able to move up in level or stage. Your General English teacher may eventually support you to advance in level and you may feel free to speak with him/her about your progress at any time.

Certificates At the end of your course your certificate will be ready to be picked up at Reception on Friday, after 12:40 PM. If you do not pick up your certificate before you go home, it will be mailed to your Sales Office in your country. Remember: You MUST have at least 80% attendance (90% for UP students) to receive your certificate! If you need your certificate earlier than your official departure week, please see the Academic Office before your last week. Do not forget to take your Graduation test during your last week before Wednesday 1pm. You will find it on my.ef.com You will also find there EF final evaluation. It only takes 5 minutes!

General Code of Conduct for Students The following Code of Conduct has been established to ensure your safety and that of others. Besides abiding by all local, state, provincial and national laws, you will be required to abide by all EF rules. Violation of these rules will lead to disciplinary action at the discretion of the School Director. If you have difficulty understanding them, please ask an EF staff member for an explanation. Individuals may be required to leave EF at their own expense, subject to fine/or other disciplinary action(s) if these rules are broken.

Should the rules and responsibilities outlined in this document not be adhered to the following progressive discipline schedule will be followed: Rule violation 1st offense 2nd offense 3rd offense

1. You must abide by all local, state, provincial and national laws. Remember that you are legally governed by the laws of the country you are in. Neither EF nor your consulate can offer you free legal assistance or bail you out of jail. You are responsible for your own actions. • I understand that it is prohibited to buy, sell, possess or use any controlled or illegal drugs. • I understand that I must be of the appropriate legal age to buy or drink alcohol. I understand that it is illegal to buy alcohol for persons below the legal age limit. The legal age in Canada is 19 years old. • I understand that it is illegal to drink alcohol or take illegal drugs and drive a car. • I understand it is forbidden to threaten, commit, or take part in any act of violence. • I understand it is prohibited to possess any firearms, ammunition and explosives. • I understand shoplifting and all forms of theft are illegal and forbidden. • I understand it is prohibited to vandalize or cause intentional damage to public or private property. • I understand that if I violate these laws, or any laws of my host country, I may be arrested and risk immediate expulsion from my EF program. • If you are not using EF housing (no accommodation), you MUST report any change of address to EF as soon as it happens. This is a federal (Canadian Government) requirement for all students on a study visa. 2. For students staying with host families: • I agree to treat the members of my host family and their property with respect. • I agree to be responsible for a reasonable amount of chores and housework. • I agree to have read and signed the EF Host Family Terms and Conditions prior to arrival. • I agree to that I will not stay at the residence during quiet hours of 10pm to 8 am • I agree that I will be held responsible to follow all rules as outlined in the Host Family Community Standards. A copy of these rules is also available in the housing office.

3. For students staying in the EF Residence: • I understand moving off campus is only possible at some EF locations and only if I have the approval of the Program Director. • I agree that EF has the right to enter my room in case of emergency, or in order to do maintenance. In nonemergencies EF will provide reasonable notice prior to entry wherever possible. • I agree to follow all rules as outlined in the Residence Community Standards or I will face disciplinary action including but not limited to losing accommodations at the residences. 4. School Attendance • I agree to attend the minimum number of classes required by the Academic Director (80% for all courses) • I understand the remaining 20 or 10% includes absence due to illness or for personal reasons. • I agree to actively participate in class and fulfill all class assignments. I understand that if I do not fulfill these expectations I will risk expulsion from the program. • I understand that attendance is a legal requirement to maintain my student visa status and that a continued absence of under 80% will result in EF contacting immigration. • Please refer to the Canadian EF Attendance Policy in the Student Handbook 5. Insurance • I understand that I must have medical/health insurance and that I am responsible for all medical bills. • I understand that in order to rent, own or drive a car I must have adequate car insurance. For rental cars I understand that all drivers must be on the rental agreement in order to ensure proper rental car insurance coverage. 6. EF Rules of Behavior • I understand that if I leave the program early, EF has the right to contact immigration, revoke my student visa and advise me to return home. • I agree to abide by all the rules listed in the EF Host Family Terms and Conditions (if appropriate) and all rules of the school as provided in writing and explained during the new student orientation. • I agree that I will not engage in any behavior which harasses or threatens any other person or group. I understand that verbal or physical assault will not be tolerated, and may lead to immediate expulsion from my EF program. • I understand that I must have a valid visa for my respective course centre before arriving at the school. While EF provides visa application support, I am ultimately responsible for the visa application process.

Frequently Asked Questions Where can I set up a bank account or exchange money? You need to see Mira (Administrative Coordinator) in order to open up a bank account. You will also have to provide personal identification and a study permit. If you do not have a study permit, it is very difficult to open a bank account. For those without a study permit, you can get a pre-paid credit card from Money Mart/Western Union for a monthly fee. You can also exchange money at any Canadian bank as well as Money Mart/ Western Union for a fee. The best exchange rates are offered at Vancouver Bullion Exchange (800 West Pender Street or 2576 Granville Street) Someone sent me a package (or other mail), where can I receive it? Our Reception Team will keep the package at reception and will contact you to come pick it up. Where can I find my schedule? You can find your schedule on my.ef.com. (Lounge – Calendar) If I want to extend my course, where should I go? If you wish to extend your course, speak with Mira on the 4th floor and she will be able to provide you with all the information in order to extend. I want to have more grammar lessons; where can I go? First, sign up on the Student Board in reception for a Grammar Spin class. Second, talk to your teacher and let them know what you want more or less of. Teachers love to hear from you so be open and communicate. Third, you can always go to the Academic Office to ask for more support or advice. I am leaving this weekend, how can I arrange a transfer to the airport? See Mira on the 4th floor to arrange a transfer from either your House Family or Residence to the airport by Wednesday in your final week. I want to change my level. I think my classes are too easy or too difficult, what should I do? Talk to your teacher and see if he/she agrees with you. If your teacher thinks that you should move to a higher or lower level class, then he/she will notify the Academic Office and they will reassess your placement test, and help find a solution. If you have been in school for more than 1 week, you will be required to take a level test to help reassess your skills.

Dispute Resolution: If you are unhappy… General Concerns We want you to have the best EF experience possible. If you are unhappy in any way, we encourage you to speak with an EF staff member as soon as possible. If you are unhappy with your English lessons, please first speak with your teacher. Your teacher is here to help and only wants the best for your English education. If you are not comfortable speaking with your teacher, the academic office is always willing to help. If you are unhappy with your accommodation, please speak with the housing office as soon as possible. The Accommodation Coordinator will help you to find a solution to any concerns you may have with your accommodation. If you would like to change your accommodation for any reasons that are not deemed an emergency by the Accommodation Coordinator you will be required to give 2 weeks’ notice if you are a short-term student or 4 weeks’ notice if you are an Academic Year or Semester Student. If you have already moved once and would like to move again for any reason which is not deemed an emergency by the Accommodation Coordinator you will need to give the same notice periods as above and pay an accommodation change fee which is the equivalent of CAN$75. If you are unhappy with any other aspect of your course or feel that you did not resolve your issue with any other department, please speak to the School Director. The school director will talk to you to about your concerns and provide a follow up action plan, to ensure student satisfaction. STEP 1: If you are not satisfied with your program in general at EF in Vancouver, you are encouraged to speak with the School Director as soon as possible. Alternatively, the school director will contact you if you have provided a low score in any categories on the initial questionnaire which you filled out during the first week here. We will try to resolve any problems as early as possible in your program. The school director will ensure that the relevant department (academics, housing, activities) are made aware of your problem. STEP 2: The department representative or the school director will follow up with you to make sure your problem has been addressed and resolved. STEP 3: If you are not satisfied with the resolution at the school, we will contact your admissions office for help in resolving any outstanding issues. If you request a withdrawal from program, EF will follow the withdrawal and refund policy. STEP 4: If you do not feel that your issue has been resolved by the School Director, you may contact your overseas admissions office or the Vice President for North America, Daniel Curran, at Daniel.Curran@ef.com. STEP 5: EF’s Vancouver centre is a member of Languages Canada, an association for accredited language schools in Canada. If you do not feel that your complaint has been resolved by EF, you can contact them by post at Languages Canada, 5886 - 169A Street, Surrey, BC, Canada V3S 6Z8. Alternatively, you may contact PCTIA, Private Career Training Institutions Agency of British Columbia if you are unable to resolve your dispute with EF. Questionnaires All students complete an initial “Arrival questionnaire� and our policy is that a staff member goes over the questionnaire face to face with each student to ensure comprehension. Students studying for more than 3 weeks also have a mid-point questionnaire, and all students complete a departure questionnaire. Although you should speak to someone in person as soon as possible when you have any questions or concerns, it is very important that you complete the questionnaires when they come up on MyEF. We read each questionnaire carefully and follow up within a day or two. Specific concerns: Changing, shortening or terminating your program 1. If you would like to finish your program earlier than the original date planned, please talk to the Administration Coordinator: The Administration Coordinator will contact the EF admissions office in your home country or representative sales office for your home country. The Administration Coordinator will provide you with a copy of the Refund Policy. 2. If you would like to change your course type please talk to the Administration Coordinator: The Administration Coordinator will contact the EF admissions office in your home country or representative sales office for your home country and you will need to sign a Course Change Notification Form. You also have to pay a course change fee which is the equivalent of CAD$75. Your change will be effective the next Monday. 3. If you would like to transfer to another EF School, please talk to the Administration Coordinator: The Administration Coordinator will contact the EF sales office in your home country or representative sales office for your home country and you will need to sign a Transfer Form and pay a transfer change fee. The fee depends on which school you are switching to and what course you will be taking. The average transfer change fee will be around CAD$225. 4. If you would like to change your level, please talk to your class teachers who will make a recommendation to the Academic Director if they are in agreement that you are ready to move up or down. You may be required to take a level test, and once assessed the decision will be made whether you can advance or not. Please remember: if you have any concerns at all you can talk to any of the school staff who are always ready to listen and assist or put you in touch with the member of staff who can help you.

Admission Policy Short statement (from Student Enrolment) There are no specific prerequisites or minimum admission requirements for an EF language program, except that the student must be 16 years of age or older (13 years for the junior program). Anyone can benefit from English language instruction. Therefore, all students 13/16 years of age or older who desire to learn English as a foreign language have met the admission requirements.

ADMISSION POLICY General admission policy How to enroll: Students may enroll by phone, online, by mail at an EF office or with an EF representative. The student has to complete the Enrollment Form and send it to the EF office along with the equivalent of $CAN 500 ($195 nonrefundable Enrollment Fee, $65 non-refundable Cancellation Protection Fee, and $240 deposit toward course). This may be paid by credit card. Please note: students enrolling in a course that begins within 30 days, send Enrolment Form, Enrolment Fee, Cancellation Protection Fee and Course Fee. A non-refund-able courier fee may be charged in order to expedite student enrollment. Age: EF is open to everyone aged 16 years and over. Parents and guardians of students under the age of 19 are required to sign a Medical Release Waiver. Students under the age of 19 may be required to pay a guardian fee in Canada.

Admission policy for University Foundation Semester and Year Courses University Preparation courses are long-term courses and have some specific prerequisites in terms of academic requirements. • • • •

The English language requirement for the 9 months University Foundation Year course is as follows: IELTS 5.0/TOEFL 510 PBT/180 CBT/ 62 IBT minimum or 45 on the free EF UPiBT placement test. For the 6 months course it is IELTS 5.5, TOEFL 525 PBT/ 194 CBT/ 71 IBT or 50 on the free EF UPiBT placement test. The English language requirement for University Foundation Year Accelerated College Degree Program for the 9 month course is; IELTS 4.0, TOEFL 380 PBT/ 83 CBT/ 26 IBT or the equivalent on the free EF EFSET test. For the 6 month course the requirements are an IELTS score of 4.5, TOEFL 410 PBT/ 103 CBT/34 IBT or the equivalent on the EFSET test.
