The efficiencies and productivity provided by mobile devices and new technologies in collaborative working are having a profound effect on the way businesses can conduct meetings. Conference rooms and the boardroom are getting smaller. A trend towards providing more well-equipped spaces is predicted to continue as these fit the criteria for modern day, collaborative working. Certainly, we no longer require the physical presence of everyone to be in the same place to conduct a successful meeting. We take a look at the effect this is having in the workplace and the opportunity this presents for resellers on page 31.
With the ubiquitous use of mobile phones, it’s perhaps not surprising that cybercriminals have turned their attention to these devices, ramping up both the number and sophistication of their attacks. Indeed, many analysts expect that 2018 will see a steady increase. With more people bringing their mobiles into the workplace, it’s important, therefore, that both users and companies turn their attention to securing their devices and the corporate network. We look at some possible solutions on page 14. Of course, our mobile device is increasingly being used to access the internet and to also carry out a transaction. Companies need to ensure that their web sites display properly on whichever device is being used or risk losing business. In our “How to” article on page 27, we look at why responsive web design is key to the solution. There is no doubt that laptops have been getting slimmer and lighter, making them more portable than ever. Naturally, performance is still key and the ultrabook range seems to offer a great solution with their specified requirements. Cat has further improved the MyFlir app to allow for direct live streaming of the thermal image from your phone. NOKIA MAKES A POINT Having released a new range of smartphones at MWC, Nokia has made a strong performance point by upgrading its Nokia 5, 3 and 2 handsets. Reviews of these phones have praised the new sleek look design, bigger screen with higher resolution, increased performance and value for money. The Nokia 5.1 has a big full HD+5.5” IPS display with an 18:9 ratio that’s ideal for watching videos, browsing and gaming. Made from a single block of 6000 series aluminium, it features Gorilla glass for extra durability. It boasts a 16 MP main camera and an 8 MP front camera, runs on MT6755S Octa-Core 2.0 GHz processor making it 40% more powerful than its predecessor and offers a choice of RAM, storage and MicroSD card size. Nokia is challenging for a top three spot in UK market share and these additions are pointing them in the right direction. All three devices (5.1, 3.1 and 2.1) will be available from Exertis soon.
SMARTER WEARABLES MAKE FASHION STATEMENT Worldwide shipments of wearable devices grew 1.2% in the first quarter of 2018, as numbers reached 25.1m units according to data from IDC. However, that growth was much lower than the 18% year on year growth last year. Analysts put this down to a decline in basic wearables and a shift towards smarter devices and a shift to a number of fashion brands, an area which saw a 28% growth.

THE CURE FOR MOBILE PHONE ADDICTION: AN APP Reports in the media maintain that adults in the UK check their mobiles 33 times a day. For teenagers, it’s almost three times as much rising to an average of 90. One solution that has been recommended is downloading an app to monitor when and how long you spend on your mobile. Of course, we need to use our mobile phone to do that. But apparently, it will enable you to become more conscious of the things that trigger your phone use and, as a result, reduce your total phone time. Or you could just decide for yourself when, where and for how long you use your mobile phone. The bedroom seems a good place to start as studies show that a third of UK adults look at their phones within five minutes of waking, and more than half doing so within 15 minutes. Just keeping it out of your reach is one possible solution.

HAMMER COMES DOWN ON 5G Vodafone, EE, O2 and Three all won the bandwidth needed for the future 5G mobile internet services. Ofcom auctioned two spectrum bands: 3.4GHz, which is one of the spectrum bands earmarked for 5G, and 2.3 GHz, which is used by current mobile networks and will help improve 4G capacity. The auction raised £1.36bn, according to regulator Ofcom. In the second half of 2019, Ofcom will also auction spectrum in the 700MHz band. "To ensure widespread improvements in mobile coverage across the UK, we are proposing to attach coverage obligations to some of the licences we will award for the 700 MHz band," Ofcom said. "These obligations will require winning bidders to roll out improved mobile coverage in rural areas and the nations." Whilst 5G is not expected to be launched until 2020, EE have announced the first 5G trial in October, allowing consumers and businesses to test out the next generation of mobile networks in designated parts of London. Besides offering faster connections, it’s hoped that 5G will help extend the battery life of mobile phones, one of the biggest limitations to true mobile working.

MOBILE SECURITY The number of mobile phone users is predicted to reach 6bn* globally by 2020, overtaking the number of landlines. Not surprisingly, cybercriminals have turned their attention to these devices, ramping up both the number and sophistication of their attacks. Indeed, many analysts expect that 2018 will see a steady increase. With more users bringing their devices into a business environment and accessing the corporate network, the risks around mobile security take on an added dimension. According to a joint report from the Center for Strategic and International Studies (CSIS) and a leading software security vendor, the cost of cybercrime is estimated to be $600bn this year, almost certainly an underestimate as many crimes don’t even get reported, but it reveals why criminals see this as a lucrative option. What’s more, mobile phones are just as susceptible to hacking, viruses and malware as computers and laptops. Vulnerabilities in both the Android and Apple operating systems have been reported in the past, so it’s a concern irrespective of the type of phone. According to a recent report from McAfee**, the primary motivation for mobile attacks is financial gain with more targeted attacks on account holders of large multi-national and regional banks, more virtual bank robberies and more targeted surveillance can be expected. The increase in the use of IoT devices was also seen as adding to the risk. So, what are the most common types of attack and what can be done to protect both the mobile phone user and a company from becoming a victim?
PUBLIC WI-FI NETWORKS Firstly, mobile users should be particularly careful using public Wi-Fi networks. Whilst most are legitimate they are not secure. An unsecured Wi-Fi network doesn’t require you to enter a password or login credentials to use the network. These "open" networks also involve un-encrypted connections, leaving users at great risk. Using password protected Wi-Fi connections help to keep unwanted third parties from carrying out man-in-the middle attacks between the user’s device and the intended destination. Fake Wi-Fi networks are often set up by hackers in coffee shops or shopping malls, tricking users to the legitimacy of the site and providing users with free Wi-Fi in exchange for information which can lead to the hacker gaining access to email addresses and passwords. As users often have common passwords for different applications, this can provide access to other more lucrative applications and information. Yet the use of a VPN can provide protection by encrypting your internet connection ensuring that your privacy and security is maintained at all times. However, the best security is simply not to connect to the company network and sensitive information on unsecured public Wi-Fi.
FRADULENT EMAILS Phishing remains a threat to mobile users, particularly as their devices are always on. This means that they are more likely to see and succumb to a fraudulent email that demands some immediate action. Many attackers still rely on malicious e-mail attachments to infect devices. The simple rule is not to open attachments and click on links from unknown sources. The same applies to downloading apps. It is highly recommended only to install apps from trusted sources, check on what permissions are being requested particularly when it comes to free or ad supported apps. If something sounds too good to be true, it’s probably a scam. Gift scams with fake promotions can lure you to websites that subsequently infect your device.

BRING YOUR OWN DEVICE BYOD has become increasingly popular but it also requires extra diligence and controls. When employees bring their mobile phone into the workplace, information about that device is unknown. The risk of malware infiltration and exposing the company to the risk of data loss or leakage increases. By default, corporate provisioned devices will have security controls in place. To be effective, BYOD users will require access to the corporate network both in and out of the workplace. A basic level of controlling access to the company network is essential. Indeed, most companies will be required to have a degree of management over the devices to track their usage.
MDM MOBILE OPERATING SYSTEM UPDATES Updates to your mobile phone’s operating system are often released and it’s important to ensure that these are installed. Often, these are updated to secure a weakness that has been exposed by a hacker. Of course, users and companies can help protect themselves by installing antivirus protection on their devices. Many of them do much more than run automatic scans, and they’ll actively try to prevent malicious web pages and files from being opened or downloaded in the first place. Another useful feature is “in app” locking where your device will ask for a PIN before opening certain apps. Some also have antitheft features allowing you to remotely lock or wipe an Android device if it goes missing, track its whereabouts and even take a picture of the thief. Setting an automatic lock and using a strong password to open your device is also recommended and features such as fingerprint scanning and facial recognition are also now more widely available and add to the security.
HUMAN ERROR Probably the most common reason for security breaches is simply down to human error. This is particularly the case with mobile phones where work and life often becomes merged. Whilst using your mobile phone at work is often an easy option, employees need to appreciate the need to adhere to the company’s security policy and that an IT department needs to protect company assets. Of course, most employee lapses aren’t deliberate, they are more often simple mistakes such as posting a company file to a public cloud storage platform, forwarding an e-mail to the wrong recipient or losing the device. Humans are often the weakest link. Data loss prevention tools are intended to prevent inadvertent or malicious loss of sensitive company information by identifying content, tracking activity and potentially blocking sensitive data from being moved.

The lease agreement is made between the leasing company and the end customer. Provided that the credit check is satisfactory the reseller gets paid in full by the company immediately, improving their cash flow. In addition, the credit risk sits with the bank.
WHAT’S ALL THE DAAS ABOUT? As a service models are nothing new. Indeed, they are well established in some areas of IT, most notably in software. The concept isn’t entirely new for hardware either. Companies have long been using this type of method in the copier market, where leasing rather than investing in an expensive piece of equipment made more sense. Coupled with a maintenance and service contract, it quickly became the procurement choice for organisations. DaaS is much the same combining hardware leasing and end-to-end life cycle services into a monthly contract for a device. With smartphone values increasing for the latest flagship handsets and users holding on to their devices for longer periods, DaaS offers a solution for companies wishing to control, maintain and provide the latest offering to their employees in a cost-effective manner. Purchasing a fleet of handsets, clearly limits most companies with the ability to keep up with the latest equipment. With DaaS, companies have the flexibility of scaling the number of devices based on demand, refreshing the technology at regular intervals and outsourcing maintenance and asset tracking to their provider as a bundled service. For many companies, this can free up valuable time spent by IT in reporting and tracking devices. It also makes it easier for a company to standardise the handset and software deployed, rather than be faced with the issues encountered with a BYOD policy and ensure that security management services like updates and patches are routinely deployed. For FDs, it has the advantage of moving from a capex to an opex model and freeing up cash for other investments. Also, with more millennials in the workplace, research has shown that technology can be a key competitive differentiator for recruiting the best people. Having the latest equipment can certainly be a draw.
The customer and reseller can also choose to add any of the managed services to the lease, providing a complete, mobile solutions bundle that can incorporate repair, refreshment and asset tagging as well as the devices. The new Exertis DaaS portal provides the reseller with a unique ID and log-in where they can get a tailored view of existing contracts and previous quotes. Resellers can pick and choose devices from Exertis’ mobile portfolio, filter by price point, brand, storage or other features and once selected, they can add a range of services. Special requests can be handled via a bespoke button. The reseller can also get an estimate of the residual value of existing devices they might wish to trade in either for cash or as part of a future lease agreement. Both residual values and lease prices can be calculated on the system. The service is initially available for phones and tablets, but the intention is to add other hardware in the future. Companies moving to the Exertis DaaS model can avoid large capital investments, enjoy more predictable costs, reduce the burden of maintenance and management from their IT department and increase security whilst providing their employees with the latest technology. MOBILITY IS CHANGING THE SHAPE AND SIZE OF
MEETING SPACES Powerful mobile devices, robust wi-fi, sophisticated mobility software and better data security, coupled with increasing ways to collaborate, are providing greater options for when and where we work. Flexible working arrangements are increasingly common. As a result, companies have taken advantage of the ability to downsize the footprint of their estate, to create more open space environments in the office to maximise space but minimise costs, provide hot-desking facilities and change the layout of their workspaces to accommodate a different style of working. The efficiencies and productivity provided by mobile devices and new technologies in collaborative working no longer require the physical presence of everyone to be in the same place to conduct a successful meeting. Indeed, collaborative meetings can span globally if required. Whilst the style and dynamics of meetings might be changing, the need for technology to optimise this is increasingly important.
SMALLER, WELL EQUIPPED SPACES. These changes are continuing to impact the office layout. Conference rooms and the boardroom are getting smaller. Analysts predict that a trend towards smaller but more productive spaces will continue as they fit the criteria for collaborative working. According to a study in the US by Wainhouse Research*, medium sized spaces that accommodate up to ten participants account for 44% of all conference rooms. Small spaces seating up to 4 people account for 26% of all meeting spaces and the largest rooms that can take 10 or more represent 30% of all conference rooms. Of course, meeting space is still an essential part of the office landscape. Indeed, more so if companies wish to reap the benefits of collaborative working. Providing small, convenient spaces where a few can gather away from the open-office environment is an enabler to collaborative working. Huddle rooms, as they are commonly referred to, are becoming increasingly popular. Whilst an open-office is said to encourage a better flow of information amongst employees, there is still a need for private and enclosed spaces where colleagues can meet. If fitted with the right technology and there are a range of bundled collaboration solutions on the market, these can facilitate collaboration with colleagues at other locations, suppliers or customers. According to the Wainhouse Research, the number and use of huddle rooms are increasing.
In addition to these rooms other standing room areas with barheight meeting tables and optional stools, often deployed on the fringes of an open space environment, can also be incorporated. Open areas with more comfy style furniture can also be part of the office layout providing a more informal place to collaborate. These are ideal for small sized and short length meetings that can be quickly convened but still take advantage of collaborative mobile working. WHAT MAKES THE ULTRA SO SPECIAL? Ultrabooks are unquestionably a special type of laptop: thin, light and fast, they are an increasingly popular choice for the mobile worker. Now unbelievably thin, at less than an inch thick, they still pack a punch when it comes to performance. Intel, the company that created the category and administer the specification, believe they will become more popular than standard laptops. To be considered an ultrabook, these computers need to meet a certain specification which distinguishes them from a standard laptop. Intel requires ultrabooks to be slim although there is no parameters on screen size. A 14-inch screen or larger has to be 21mm thick or less, unless it’s touchscreen, in which case it can go up to 23mm – still under an inch. Screens smaller that 13.3 inch need to be 18mm thick or less. There is no restriction on weight but as a rule of thumb, the smaller sized ultrabooks weigh around 1.3kg or less while the larger versions come in at between 1.8kg and 2kg. Ultrabooks also need to reside on an ULV platform, Intel’s low-power hardware processors from the Sandy Bridge, Ivy Bridge, Haswell or Broadwell families. These are designed to combine performance with efficiency. They also have to meet another important criteria using either SSD storage or a mix of HDD and SDD storage. Memory is also important but whilst there is no regulation most ship with at least 4 GB of RAM. Ultrabooks are expected to boot quickly, as a result of the SSD/hybrid storage and resume from sleep in under 7 seconds. A certain battery life is also expected as ultrabooks are designed to be used on charge. Intel requires Ivy Bridge or older to run for at least 5 hours, whilst newer Haswell versions need to meet 9 hours in idle, 6 or more of video playing and at least 7 days of standby time. There are a few other requirements and features. An ultrabook needs to have at least one USB 3.0 slot or a Thunderport port. Due to their slim size, they don’t always have the capacity for an ethernet socket or in many cases an optical drive. Higher-end ultrabooks usually feature Intel’s Anti-Theft and Identity Protection which allows you to remotely lock the laptop and render it unusable if it’s lost or stolen, and even help you to relocate it. Build quality or materials aren’t specified but most ultrabooks look smart and reasonably durable. In order to save space, the batteries are usually encased along with the main hardware components.
