Most of our ships carry between 65–100 passengers. Travelling on a small ship means you’ll spend less time waiting to embark or disembark and can get much closer to the shoreline. Life on board is relaxed and informal; you’ll receive a more personalised service from expert guides and get to know your fellow passengers.

 Polar experiences Our aim is to maximise your time spent off the ship, seeing amazing landscapes and wildlife up-close. Excellent Zodiac boat operations, make it as quick and easy as possible to get on and off the ship. Most of our trips offer a choice of walks on the landings and a few have extra hiking options. Kayaking and camping are also available on some of our voyages and can be organised in advance.

Although our polar itineraries aren’t exclusive to Explore clients, we have Explore friendships going back 25 years, with groups still meeting up for reunions decades after they first travelled with us. On board, you will find a strong emphasis placed on environmental guidelines and wider discussions of the issues facing these fragile environments and their wildlife. ASSISTANT EXPEDITION LEADER

Robyn Mundy Robyn has visited the polar regions almost every year since 1996. She was a field assistant at Davis Station, researching skuas and has over-wintered at Mawson Station, working with emperor penguins. Robyn has a PhD in Writing. Her first novel, The Nature of Ice, reflects her passion for Antarctica.

Susan Adie ORNITHOLOGIST AND MARINE MAMMAL EXPERT

Alex Cowan Alex draws upon his many years as a researcher and lecturer to explain climate change and the fascinating landforms encountered by our travellers from the decks of the ship. Alex is happiest when sharing his knowledge of natural history, marine wildlife and when exploring the Antarctic Peninsula.

Susan has led more than 140 expeditions in Antarctica. Her passion for the environment was fuelled from a very early age, growing up amid the lakes and mountains of New York State. Her enthusiasm continued through her education and into her work with state and national governments on environmental education and resource management. She has won awards for her work on re-introduction programmes for endangered species.

SCIENTIST AND ZODIAC MASTER

Terence (Scobie) Pye Terence (Scobie) Pye is a research scientist with decades of research time in Antarctica. His main scientific interests are focused on the conservation and management of the sub-Antarctic islands, the impact of mammals introduced to these fragile ecosystems, sustainable tourism in Antarctica and the history of the region. In 1978, Scobie was awarded the Fuchs Medal for outstanding service to the British Antarctic Survey.

Scott Portelli Scott is an international award-winning wildlife, nature and underwater photographer. He has spent over a decade working in the polar regions with a focus on Antarctica and the sub-Antarctic areas, producing a unique portfolio of fine art photography. His images provide a rarely seen glimpse above and below the surface, in some of the harshest places on the planet.

Why small ships? Most of our ships carry between 65-100 passengers. With so few on board, you can expect the whole experience to be more exible and personalised than on larger vessels. On a small ship you spend less time waiting to embark or disembark for shore landings, plus the ship gets you much closer to the action - be it the wildlife or the spectacular scenery.

Life on board Your day will generally start with a breakfast wakeup call at around 7am. We aim to make two landings a day and your captain will ensure the schedule, landings and Zodiac excursions are in tune with the wildlife, your route and variable weather conditions. During your voyage you can spend time on the bridge, talking to the ship’s crew about polar navigation, observe the passing scenery on deck, read in the library, or, where there is one, exercise in the on-board gym. Lunch and dinner are served in the dining room, and there’s usually an after-dinner lecture before retiring to your cabin or the bar.

Choosing your polar voyage Visiting the Arctic or Antarctica is a truly once-in-a-lifetime experience. Our knowledge and experience make us the preferred choice for hundreds of travellers heading to these regions each year. When it comes to planning your next polar adventure, you’ll find lots of information in this brochure and on our website; and we’re always on hand to help, just give us a call.

When is the best time to go to the Arctic? Our Arctic voyages run between May and September, when up to 24-hour daylight is experienced, allowing you to make the most of every minute on board. If you travel early in the season, you’re likely to see more ice. Go in July or early August to get the best chance of circumnavigating Spitsbergen, as the ice starts to break up.

When is the best time to travel to Antarctica? Our voyages to Antarctica take place between October and March. Early in the season, during October and November, pack ice is breaking up and the birds are mating, sometimes displaying with elaborate courtship rituals. Travel in December and January to see penguin chicks hatching and new-born seal pups. The long days in December mean more daylight hours and the opportunity for midnight sun photography. Whilst in February and March, various whale species gather and with less sea ice, you can head deeper into Antarctica on the most adventurous voyages.

Fly and cruise itineraries In Antarctica, we operate ship-only itineraries as well as our combined fly and cruise option – the perfect alternative for those who wish to avoid crossing the Drake Passage, or who are short on time. In less than two hours, you can fly from Punta Arenas, Chile, to King George Island in the South Shetland archipelago. Here you will join your small expedition ship, ready to explore the delights of Antarctica. Look out for our itineraries aboard the following ships: M/V Ocean Nova, M/S Hebridean Sky, M/V Magellan Explorer, M/V Greg Mortimer and its new sister ship.

Photographic departures Some of our voyages have a specific photography focus. Benefit from one-to-one tuition from the ship’s deck, on Zodiacs or while onshore. Informative photography workshops will help you frame your perfect shot and give you tips on how to deal with the tricky light conditions found in these regions. All voyages aboard the Expedition have a resident photographer as part of the crew and we also have a selection of photographic departures available on our polar bear trips in Churchill. Early starts and more time out in the elements, will ensure that you capture the best light conditions and wildlife opportunities.

Antarctica extensions We can offer you a selection of Latin American extensions at the start or end of your polar voyage – see page 55 for more details. Falkland Islands extensions are available on some of our itineraries aboard the M/V Greg Mortimer.

DAY 1:

Arrive in Longyearbyen, Spitsbergen’s capital, and board your expedition ship in the afternoon. Depart for the Arctic wilds in the early evening.

DAYS 2–7:

The Svalbard archipelago hosts a plethora of natural wonders. During your voyage, you’ll walk on land to see reindeer munching on nutrient-rich grasses, take photographs of walrus lying together in a heap on rocky crags and head out in Zodiacs beneath ice-covered fjords and glaciers. On board, experts will guide you through the area’s long history of polar exploration, including Ny-Alesund, an Arctic research station and base for the first flight to the North Pole in 1926. Polar bear are the highlight of any Arctic voyage and you’ll have ample opportunity to try and spot them hunting and swimming amid the ice. This is one of the best wildlife experiences there is. Spitsbergen has 24-hour daylight during the summer months, so your time to appreciate this majestic scenery is maximised.

DAYS 2–10:

Svalbard is one of the few places on the planet to offer such a plethora of natural and historical extravaganzas. Amid ice-covered fjords, lofty mountains and calving glaciers, keep your eyes peeled for polar bear, as they stalk the tundra looking for their next meal. You may see a mother teaching her cubs to swim, a solitary hunting male, or capture a photo of a polar bear in the archetypal icy landscape. At a number of stops, you may also see reindeer, walrus, seal and Arctic fox, while the Captain will do his best to ensure you experience the richest birdlife. Your Arctic adventure begins in Kirkenes. Board the M/V Greg Mortimer in the afternoon.

DAY 2:

We make a short stop in Murmansk, Russia, before we head to sea towards Franz Josef Land.

DAYS 3–6:

Enjoy a series of on-board lectures from the expedition crew, while at sea . En route to Franz Josef Land, you’ll pass through the rugged Novaya Zemlya archipelago, with time to explore.

DAYS 7–13:

Spend seven days exploring the world's northernmost archipelago. This is expedition sailing at its most authentic. Discover rare beauty following in the footsteps of great explorers such as Fridtjof Nansen. Enjoy the frenzy of noise from guillemot and kittiwake, as they nest in the cliffs above Cape Flora. Explore wide beaches with incredible birdlife and an area rich in polar exploration. Several different whale species can be spotted in the waters of Franz Josef Land including humpback, bowhead, white beluga and narwhal. The final route and landing sites in this beautiful region are heavily dependent on the conditions, but the captain will ensure that no opportunity is missed.

Your trip begins in Winnipeg. Transfer to your hotel and meet your expedition leader at an dinner.

DAY 2:

Fly to Churchill in the morning, the base for your polar bear adventure. We head to the tundra this evening for our first glimpse of the bear. If we are lucky, our night time excursion might reveal one of nature’s most exhilarating experiences – a chance to view the Northern Lights!

DAYS 3–4:

Our expedition leaders know the best places to see polar bear, as these majestic creatures congregate in the region each autumn. As you watch them interact, you will be delighted by their antics and rugged beauty. From the warmth of our vehicle, we may see mothers with cubs, young males playfighting, or a lone bear ambling over the tundra in solitary grandeur.

DAY 5:

You will have time to explore historic Churchill and enjoy a farewell lunch before boarding the afternoon flight back to Winnipeg. The adventure concludes with a final dinner reception.

You will be transferred to your hotel on arrival into Winnipeg, followed by a welcome dinner.

DAY 2:

Fly to Churchill in the morning. This evening, enjoy a lecture from our expedition leader on Arctic photography.

DAYS 3–5:

Spend three full days on the tundra, photographing polar bear. Our uniquely designed Polar Rovers are our mobile means for spending time among the bear. We take a maximum of 16 people in a vehicle that can hold double, ensuring that everyone has a window seat, space for camera gear and plenty of room to photograph. Our viewing platform also allows you to get up close to the wildlife, offering you a chance to view polar bear from literally inches away. Every evening, dinner will be followed by presentations on photography, wildlife and local culture. If the night skies are clear and we’re fortunate enough to see the dancing colours of the Aurora Borealis, we’ll head away from town to capture this magical event on camera.

DAY 6:

Explore Churchill before boarding your afternoon flight back to Winnipeg. Enjoy a farewell lunch and a final dinner in the evening.

Board your expedition ship in Oban and embark on your voyage around the Scottish islands.

DAYS 2–3:

Head to the Hebrides to explore remote lochs, jagged mountain peaks and picturesque villages. Around the Isle of Skye, look for whale, dolphin, otter and seal. You’ll also explore smaller islands, such as Barra, the Isle of Rum and Iona.

Make your own way to Reykjavik pier and embark the M/V Greg Mortimer in the late afternoon.

DAYS 2–3:

Over the next two days we explore the magnificent Westfjords region. Our first stop will be the small town of Isafjordur, an ancient church site and trading post since the 16th century. This area is a delight for bird-lovers, with remarkable seabird breeding cliffs and a chance-spot for photographing puffin.

DAY 4:

Cross the Denmark Strait to Jan Mayen Island, accompanied by sea birds.

DAY 5:

The approach to Jan Mayen is spectacular. The huge Beerenberg volcano (2,277 metres) is the world's northernmost active volcano. Explore the northern part of the island, a great spot to see whale. If conditions allow, take a hike from the Norwegian station at Olonkinbyen.

DAYS 6–7:

The sea around Jan Mayen offers excellent whale watching opportunities, with the possibility of seeing bottlenose, fin, and perhaps bowhead whale. We continue northwards, towards Svalbard.

DAYS 8–10:

In the coming days, if conditions allow, we hope to explore scenic Kongsfjorden and plan to cross 80° North, always on the lookout for polar bear on the pack ice, hopefully reaching Moffen Island and its famous walrus colony. You will have ample time to hike on the lush tundra and enjoy the remarkable wildlife of these parts.

Travel by coach in the morning to Akureyri, where you will board your ship, the M/V Greg Mortimer. The journey to Akureyri takes approximately six hours and you will get a glimpse of Iceland's dramatic landscape along the way. As we approach east Greenland, we may encounter more pack ice, offering an opportunity to see seal and a variety of seabirds, including northern fulmar and migratory Brunnichs guillemot. This stretch of coastline is ripe for exploration, with its many secrets locked in place by drift ice for up to eight months of the year. Home to polar bear, snowy owl and musk ox, it's the world's largest national park. Over the coming days, be prepared to experience a lot of ice. East Greenland contains some of the Arctic's most impressive scenery; deep fjords and narrow channels flanked by sharp ice-clad peaks that reach up to 2,000 metres high. Glaciers create gigantic icebergs that drift throughout the fjord system, creating breathtaking scenes and the landscape is filled with multi-coloured tundra. Enjoy ancient Thule archaeological sites, historical trappers' huts and Inuit villages.

Explore Ushuaia on a city-tour, before boarding your ship. Set sail in the early evening.

DAYS 3–4:

The expedition team will prepare you for your first landings, as they start their informative lecture program during our days at sea.

DAYS 5–9:

Over the next five days, a host of choices are open to us and depending on ice and weather conditions, the western side of the Antarctic Peninsula is ours to explore. There is plenty of time on shore and in Zodiacs, to soak up the breathtaking scenery.

DAYS 10–11:

We set course for Elephant Island and will attempt to make a landing on historic Point Wild. We then begin to position our ship in prime location for the eagerly awaited solar eclipse, deep into the Weddell Sea.

DAYS 12–13:

Head across the Scotia Sea, following the route of Shackleton and his men towards South Georgia.

DAYS 14–17:

Explore the wildlife oasis of South Georgia. Witness one of the world's largest king penguin rookeries, spot wandering albatross and enjoy informative lectures as your on-board historian retraces the journey of Ernest Shackleton.

DAYS 18–19:

Enjoy further on-board lectures while at sea, accompanied by many seabirds along the way.

Arrive in Punta Arenas, where you will be transferred to your downtown hotel. Tonight, meet your fellow expeditioners for a briefing on the first leg of your voyage.

VALDES PENINSULA: The Valdes Peninsula is a protected heritage site and Argentina’s premier nature reserve. Whale watching is at its best at the end of the year when up to 400 can be seen just off the coast, including orca and southern right whale.

MENDOZA: In the foothills of the Andes, Mendoza is at the heartland of Argentina’s wine-growing industry. Enjoy a fine food tour around the region’s many wineries (bodegas) or stay beneath snow-capped peaks at traditional estancias.

Construction will soon be underway on the sister ship of the M/V Greg Mortimer, due to start operating in the 2021/22 season. The 104 metre ship, purpose-built for expedition travel, will be built to world-class polar standards. With just 120 passengers, guests will enjoy the same added comforts such as spacious stateroom cabins, a large mud room and easy boarding access. The ship will be re-named on launch in January 2020. As well as some extra features, the ship will also have a library, wellness centre with a gym, sauna, spa and a multimedia room.

Essential Information about Explore Polar trips Please read carefully through the following information about booking an Explore Polar voyage. When you book (whether by phone, travel agent or online), you will be asked to confirm that you have read and understood these pages, as well as our Trip Notes and Booking Conditions (www.explore.co.uk/booking-conditions). The combination of travel services offered to you is a package within the meaning of the Package Travel and Linked Travel Arrangements Regulations. Therefore, you will benefit from all EU rights applying to packages. Explore will be fully responsible for the proper performance of the package as a whole. Additionally, as required by law, Explore has protection in place to refund your payments and, where transport is included in the package, to ensure your repatriation in the event that it becomes/they become insolvent. More information on your key rights under the Package Travel and Linked Travel Arrangements Regulations 2018 can be found here: www.explore.co.uk/travel-regulations.

Travelling on an Explore Polar voyage Your fellow passengers could be from anywhere in the world. Voyages are conducted in English, so most passengers tend to be from the UK, Ireland, Australia, New Zealand, Canada or the US. These polar ships are not operated by Explore and are not exclusive to Explore customers. Everyone joining a polar trip arrives with slightly different expectations. The crew aim to ensure everyone’s expectations are met. Voyage itineraries may vary from the published itinerary due to weather and ice conditions. Where possible, the crew will stick to a schedule to ensure that it all works logistically. It gets us off to a great start if everyone arrives on time, so please be prompt when joining your trip.

Age limits The recommended minimum age on all of our expedition ships is 10 years old. Some ship operators will accept younger children, however 5 years old would be the absolute minimum and would depend on the individual ship operator. For our Churchill bears trips, the age is limited to a minimum of 12 years old. Under 18 year olds must be accompanied by a parent or guardian for all trips. We do not have a maximum age, however, we do recognise that at some point during our customers’ journey with us they will reach an age where we will have to review their fitness and ability to participate in the trips they’ve chosen to book. Should you be 80 or older at the time of travel, we will discuss the itinerary with you before booking you on the trip and may ask you additional questions about your health and fitness.

Fitness and trip participation Although high levels of fitness are not necessary for most activities on our polar trips, some physical participation from passengers is required, for example climbing into and out of the Zodiacs and short walks ashore. If in doubt, please discuss with one of our polar team. It is your responsibility to let us know if you have any concerns about your ability to participate. If you have any medical condition or disability which may affect your trip arrangements in any way, you must provide us with full details at the time of booking. Each passenger must fill in a medical questionnaire before the booking can be fully accepted by the ship operator. On our Polar trips there will be water-based activities. For your personal safety and enjoyment, an ability to swim is therefore strongly recommended.

Travel insurance and pre-existing medical conditions Travel insurance is mandatory for all voyages. You must carry your insurance policy documents with you on the trip. Please ensure that your documentation shows you as the named policyholder and that the cover is valid for the entire period of travel. It must include cover for visiting polar regions as well as indicate that you have cover for (at least) medical expenses and emergency repatriation in the event of illness or injury. Please ensure that a 24 hour contact telephone number for your insurance company is written on your documentation in case of an emergency. If you are unable to provide this information at the start of the trip you will not be able to continue with us unless you purchase a suitable insurance policy. If you, your travelling companions, or anyone upon whom your travel depends (such as a friend or family member) has a pre-existing medical condition, you must disclose this to your travel insurer’s medical screening helpline when you purchase your insurance policy. Failure to do so may result in your claim being declined. Please ensure that you receive written confirmation from your insurance provider that the medical condition is covered. You must take this written confirmation with you on the trip in addition to the insurance policy itself. If you don’t, you may not have appropriate cover. We reserve the right to cancel your booking at any point if you do not fully insure your pre-existing medical condition.

Itineraries Polar voyage itineraries are best kept flexible: the weather or the ice conditions

may require the captain to make itinerary changes. Itineraries can also be adjusted to take advantage of opportunities such as wildlife sightings. The maps provided are indicative only; each ship tends to follow its own preferred route, which may vary from one voyage to the next, depending on conditions. From time to time, some elements of the voyage may change from those that have been published. This could be the result of inclement weather, a change in the local political situation or other circumstances beyond our control. We will keep you as well informed as possible about these changes. Significant changes to your holiday will be notified as soon as we feasibly can. Minor amendments to your trip will be detailed on your final trip documentation, although our website will be regularly updated should you wish to check the information at any time.

Ship accommodation Most cabins are based on two people sharing, however triples and quads are also available; some ships have a limited number of single cabins (see individual ship details). Double beds are available in some cabins, while most other cabins have twin beds. If you are travelling on your own you can choose to share a cabin with another solo traveller of the same sex (except on M/S Fram and M/S Spitsbergen) or pay a supplement for sole occupancy of a cabin, if single cabins are unavailable. Single rooms are available on our Churchill Bears trips, but due to the limited accommodation in Churchill, availability is also limited. If you are booking onto our Churchill trips as a single traveller, our operator will try to match you in a twin share. If they are unable to match you with the same gender, you will be obliged to pay half of the single supplement fee. We recommend booking early to avoid disappointment.

Onboard meals All meals are included while on board and all the ships can cater for specific diets: please tell us about any dietary requirements when you make your booking.

Connecting flights and additional accommodation You may require international flights or hotel accommodation before or after your voyage. This can be organised through Explore: when you make your enquiry your polar specialist will be happy to look at options with you. If you are planning on making your own connecting flight arrangements we strongly recommend you book flights that are flexible

and refundable. Due to the nature of our polar trips, days of operation and itineraries can change. It is important that you are able to amend your connecting travel arrangements, should the need arise. Also, in the event of a trip being cancelled (for whatever reason), it is important that you are able to get your flight cost refunded. We regret we cannot accept liability for any connecting travel arrangements you make (including any cancellation or amendment charges) in the event of changes to or cancellation of our polar trip.

Seating on flights Although it is possible to request specific seats from the majority of airlines and train operators, it’s important to note that the carrier may ask you for an additional fee to pre-book your seats in advance. To ensure your request is fulfilled we recommend that you contact the airline/train operators directly via their website and use their ‘manage my booking’ facility. Although this facility will be available for the majority of flights and train bookings, there are some airlines that don’t enable this option. If you find you’re not able to access your booking directly through the airline/train website, then please contact Explore with your seating request and we’ll submit it on your behalf. It’s important to note that we are unable to guarantee your seating requests and that failure to grant your request will not be a breach of contract on our part. Sometimes seats are booked as part of a block booking (allocation) – the relevant airline/train will automatically allocate your seating and so it is possible that you might not be close to other members of your party. For these journeys you’ll be unable to check in online and so we recommend arriving and checking in at the airport/train station as early as possible so that you have a better chance of selecting alternative seats should the need arise. If you require specific seats because of a disability/reduced mobility/a medical condition, please make this clear at the time of booking. Subject to safety requirements and availability, EU airlines are required to make all reasonable efforts to arrange seating to meet the requirements of individuals with a disability or reduced mobility. You may be required to provide written confirmation of your disability, reduced mobility or medical condition and fitness to travel from your doctor.

In-flight meals Although meals are still provided on most international flights, you should be aware that there is a trend towards them not being included on shorter flights, and particularly those within Europe. On many routes with connections within Europe, a meal will be provided on the inter-continental sector, but

not on the sector between the UK and the connecting European airport. We cannot therefore guarantee that a meal will be provided on all flights. If you have a special dietary requirement, please let us know at the time of booking. We will send an automated request through to the airline. Please be aware that in most cases airlines do not confirm individual meal requests, so it is worth double checking that the meal has been ordered at check-in.

Changes to flight information When you book a flight-inclusive trip with Explore, your holiday confirmation will contain provisional flight details. The timings, flight numbers or route could change several times before departure. We will confirm final timings with your final documents. We will notify you immediately of any significant airline schedule change which occurs after your tickets have been issued. We recommend that you defer booking any connecting travel to the airport or arrangements such as car parking or overnight hotels until you have received your final documents, with confirmed travel times. Where Explore are arranging domestic regional flights, these will be automatically rebooked to connect with your international flights. We strongly recommend that you do not purchase non-flexible, non-refundable connecting rail, air or bus tickets, as they usually incur cancellation or penalty charges in the event of a change to the departure time or date.

Banned airlines In accordance with EU Directive (EC) No 2111/2005 Article 9, we are required to bring to your attention the existence of a “Community List” which contains details of air carriers which are subject to an operating ban within the EU. The Community List is available for inspection at www.europa. eu. In accordance with EU Regulations we are required to advise you of the actual carrier(s) (or, if the actual carrier(s) is not known, the likely carrier(s) that will operate your international flight(s) to and from an EU airport at the time of booking. Where we are only able to inform you of the likely carrier(s) at the time of booking, we shall inform you of the identity of the actual carrier(s) as soon as we become aware of this. Any change to the operating carrier(s) after your booking has been confirmed will be notified to you as soon as possible. If the carrier with whom you have a confirmed reservation becomes subject to an operating ban and, as a result, we or the carrier are unable to offer you a suitable alternative, the provisions of our Booking Conditions “If we change your trip” will apply. Please note that we will not book our customers onto banned airlines whose flights may be available for general sale and accessible to the public.

Aircraft weight restrictions For the purposes of flight safety, it is essential that you adhere to the luggage weight restrictions imposed by the airline you are flying with, particularly when flying on internal flights on smaller aircraft.

Lost luggage In the rare event that your luggage is either misplaced or damaged during a flight, a PIR (Property Irregularity Report) will need to be filed with the airline before you leave the airport to allow an insurance claim to be processed at a later date.

Preparing for your holiday Travelling to far-flung corners of the earth involves adapting to living conditions that are often very different from your own. Please be prepared for unusual situations, local differences and unpredictable events. The very nature of adventure holidays means your most enjoyable moments are likely to come from the unexpected. You need to be sure you are happy to swap luxury for experience when joining an Explore trip. If you are someone who prefers things to go as planned and enjoys some pampering along the way, then maybe think twice about an adventure holiday. You should also be aware that some countries around the world have security problems. Unsavoury characters are likely to be active in big cities and street markets and certain areas may be considered ‘out-ofbounds’ for tourists. However, most crime is opportunistic. Using your common sense will reduce the risks. Unfortunately, no destination can be guaranteed to be safe from terrorism. We constantly monitor the political situation in the regions we visit and will re-route or cancel a trip if we feel it is necessary. While we endeavour to provide as much information as possible in our brochure and individual Trip Notes regarding the areas our trips travel to, we would always recommend that you undertake some background research about the places you will be visiting and the type of climate and local conditions you can expect in order to get the most from your holiday.

Foreign Office travel advice The Foreign & Commonwealth Office (FCO) Travel Advice Unit – www.gov.uk/ foreign-travel-advice – provides detailed information about your destination. We strongly recommend that you read their comments about the country you are planning to visit, both when you book and again just before you leave and that you sign up to the

government travel alert service. For the UK, the FCO alert service can be found here: www. gov.uk/foreign-travel-advice/email-signup. We monitor FCO travel warnings and advice, and based on them, may cancel trips before departure, or re-route or make other changes to trips operating in or throughout the country concerned. Any decision we take about whether to operate or cancel a trip or make other changes will always be in the interests of your safety and security. We will make these decisions at least four weeks before departure, unless we believe that local conditions will improve before the start of the trip.

Our prices Prices shown in this brochure are per person in GBP. They represent the basic per person cost of the trip at the time of publication of this brochure. Prices may increase or decrease at any time during the life of the brochure. The price you pay may vary depending on when you book, as our operators occasionally run price promotions. The most current price for each polar trip can be found at explore.co.uk/ polar. The lead-in prices for our ship-based trips are usually based on quad or triple share. For our Churchill Bears trips, the lead-in price is based on twin share. Please contact our Polar Sales team to discuss cabin and room options.

NO SURCHARGE PRICE GUARANTEE Once we have confirmed your booking we guarantee the price of your confirmed services won’t change: we will not pass on surcharges of any kind. Unlike most other tour operators we will not pass on unexpected additional costs like fuel surcharges and tax increases.

Its member companies, usually owner-managed, strive to create overseas holidays with high levels of professionalism and a shared concern for quality and personal service. Monitoring standards

AITO sets criteria regarding ownership, finance and quality which must be satisfied before new companies are admitted to membership. All members are required to adhere to a Code of Business Practice which encourages high operational standards and conduct.

AITO endeavours to monitor quality standards regularly. All customers should receive a post-holiday questionnaire, the results of which are scrutinised by the Association.

Financial security An AITO member is required to arrange financial protection for all holidays and other arrangements (including accommodation only) booked by customers with the member under the AITO logo. This financial protection applies to customers who are resident in the UK at the time of booking and to most overseas customers who have booked directly with the member. In doing so, the member must comply with UK Government regulations. Members are required to submit details of their financial protection arrangements to AITO on a regular basis.

Accurate Brochures / Web Sites

All members are committed to high standards of service and believe in regular and thorough training of employees. Members continually seek to review and improve their holidays. They listen to their customers and always welcome suggestions for improving standards.

Sustainable tourism All members acknowledge the importance of AITO’s Sustainable Tourism guidelines, which recognise the social, economic and environmental responsibilities of tour operating.

Customer relations All members endeavour to deal swiftly and fairly with any issues their customers may raise. In the unlikely event that a dispute between an AITO member and a customer cannot be settled amicably, AITO’s low-cost Independent Dispute Settlement Service may be called upon by either side to bring the matter to a speedy and acceptable conclusion. Passport and Visa Requirements British and Irish passport holder information Please note it is your responsibility to ensure you have the correct, current information in good time before departure and that you act on it. Please ensure that you are in possession of a full passport, with the correct validity and appropriate number of blank pages for your chosen destination. You must also have all visas and vaccination certificates that are necessary to enter or pass through any countries involved in the journey or trip.

Visas Many countries require a visa to be obtained before travel or on arrival. A summary of requirements for British passport holders can be found on the individual Trip Notes but please note that visa and passport information is subject to change at any time. If required, visas can be obtained through a Visa Service or the relevant Embassy or Consular Office.

General Note Some countries refuse admission to travellers not meeting their accepted standards of dress or appearance (even if they hold a visa). Entry may also be refused to some countries if your passport bears stamps or visas (valid or expired) from certain countries. Please bear this in mind when booking/travelling to these destinations as it can negatively affect your future travel plans. Further information can be found on our Trip Notes where applicable.

Vaccinations It is your responsibility to ensure you have the correct vaccinations required for all countries that you will visit on your trip. Explore Trip

Notes detail the recommended vaccinations for each trip but you must consult with your doctor or a travel health clinic to ensure you have the most up to date advice. Please note that some inoculation programmes require two injections, administered four weeks apart. You should leave plenty of time for this. As a general rule, please note that health requirements and recommendations may change and you must check the current requirements in good time before departure. This gives us specific feedback on any issue you may have experienced, and statistical data we can amalgamate in order to monitor the quality of our holidays.

We will need to share your data with third party service providers, used in the delivery of your purchased holiday arrangements, some of which may be based outside the EEA. These providers include accommodation, restaurants and transport providers; local ground partners and agents, where we use them; equipment hire operators, including our polar voyage partners and guides, tutors and local attractions where booked on your behalf.

We keep the information related to your booking for a period which enables us to handle or respond to any complaints or queries and to fulfil our obligations to our third party suppliers who provided your holiday arrangements. From time-to-time, our staff, customers and suppliers may take photographs and video footage of trips in progress, including photos and video footage of our customers. You will be invited to sign a model release form to consent to this. These images may be used in future marketing materials and stored physically and digitally. If you do not wish to be filmed or for your pictures to be taken or used in this manner, please advise your Explore Leader and/or the photographer at the start of your trip.

By law we have to keep basic information about our customers for legal and tax purposes for up to 7 years after they cease being customers.

If you fail to provide personal information

Should you fail to provide data required either by law, or necessary to provide your chosen travel arrangements, we will not be able to provide the services you have booked or are attempting to book. This may result in Explore being unable to process your booking and be forced to cancel the booking. In this case, we will treat this as a ‘cancellation by you’ in accordance with the relevant Booking Terms & Conditions and notify you accordingly.

Marketing communications

We may use your information to provide you with brochures, newsletters and other communications if you have provided your prior consent or we are permitted under an identified and assessed legitimate interest. We sell our holidays directly to customers and so sending out brochures and other marketing communications by post from time-to-time is very important to the way we do business. We use data we have collected from bookings, brochure requests and other forms of engagement to decide what marketing information our customers may like to receive, and we have identified this as in our legitimate interest. We do provide an opportunity to opt-out of this direct marketing during the booking or enquiry process and in subsequent communications, or you may contact us at any time to do so.
