Regional Final Requirements Space requirements The Regional Final requite approximately (if they are straightforward square plan) a minimum of 25m x 4m to a maximum of 30m x 8m of space. Space needed depends largely on the number of teams registered for each regional heat. There are several ways to accommodate the following and these are registered for each regional heat. There are several ways to accommodate the following and these are only recommended space/sizes, which can be adapted to suite each regional final venue. Of course each area can be set out separately and the space need to be all in one specified area. The equipment/areas that we need to house within the Regional Final venue should include: Area Event Control/Reception Desk

Stage – No specific size, space is used mainly for introduction and prizes giving this often takes place in venues designated area e.g. theatre. PA – We like to play music during the event and make announcements if there is facility to do this and the displays and track are in the same place.

Catering The following catering would be required:  Refreshments Tea/coffee on arrival for judges and VIP guests (approx. 15 people)  A buffet lunch with water/juice for judges and VIP guests (approx. 15 people)  Students and teachers will be instructed to bring their own packed lunch. Set up The venue would need to set up the day before the event. The set up can be done in half a day from midday onwards and will be done by the venue staff. Additional For some events we may have promotional vehicles for the challenge such as a Land Rover Discovery or Jaguar XK that we would like to place in a prominent position in front of the venue or wherever possible inside. Any additional items of interest that could be supplied by the venue would be much appreciated. Judging Brief A full judges briefing should be given on the morning of the event where you assign one of the above judging elements to pair of judges. Below are recommended tips, hints and questions when judging the various elements of the competition. By the end of the day all judges will have their own views of each team, but a judging debrief will be held to discuss how each team did across all the judging elements to build a combined evaluation and determine the winners. For all the judging elements follow the below tips and hints:     

Introduce yourself and ask the team to introduce themselves to you. When asking question, try to ask individuals to avoid one team member answering all the questions. Please make as many notes as possible to refer to in the judges debrief. If you would like to give a team any feedback, make a note of it and pass it on after the event. Please reframe from giving feedback during the judging slot. Below are a few recommended questions for you to ask, but if they have already been answered feel free to include your own based on what you have seen.

Recommended Questions 1. What problems did you encounter during the project and how did you overcome them? 2. Did you have to make any compromises or trade off’s with your design and if so how did you decide what to do? 3. Why did you choose your team design/colours/logo etc? 4. How did you test your car? 5. What element of the challenge did you as a team like & dislike the most? 6. What have you learnt from taking part in the challenge? (Ask all members) 7. What would you do differently next year and why? 8. Would you take part again?

Judging Brief Continued… Engineering    

Ask the team to explain their team and car in detail. Using the judging categories as a guide, prompt the team to describe and explain certain elements of their car such as the aerodynamic design, the wheel or the axels. Again using the judging categories as a guide, prompt the team to describe and explain how they manufactured their car. Be aware of the following - If all team members speak and answer questions - Their presence & confidence - Eye contact - Knowledge of their car how it was manufactured

Portfolio and Pit Display     

Each team has 15 minutes to showcase their pit display and present their team’s portfolio. Ask for their portfolio and explain you are going to take it away to review for 5 minutes (maximum) and then will return. After reviewing their portfolio, ask the team to explain their car/team and display. The judging panel then has 5 minutes to ask questions to the team based on their portfolio, and pit display Be aware of the following: - If all team members speak - If the team uses presentation aids/cue cards - Their presence & confidence - Eye contact - Pit boards/stands - Pit graphics/logos - Portfolio print - No. of portfolio pages

Verbal Presentation    

Each team is allowed 5 minutes maximum to present (plus time to set up their presentation). Using a stop watch timer, notify team when they have 1 minute remaining. Inform the team before they start this is what you will be doing so they know they need to “wrap up”. The judging panel then as 5 minutes to ask questions to the team based on their presentation. Be aware of the following: - If all team member speak - If the team uses presentation aids/cue cards - Their presentation skills - Their graphics/slide show - Their presence & confidence - Eye contact
