Assist the CEO by managing the documentation process including, creating, reviewing, editing, mailing and filing documents. Receive visitors, answer phone calls and conduct various tasks to ensure all items requested by the CEO are completed to ensure meetings are successful. This position is located in Arlington, TX on the North Side of I-30 across from Six Flags.
Essential Functions
• Assistance and support to content-related processing through independent processing of documents and statistics. • Customer correspondence, manage document delivery on the basis of specifications. • Coordinate and supervise visitors; organize, manage and optimize office operations; carry out internal and external correspondence in accordance with general guidelines (also in a prevalent foreign language). • Organize, handle and monitor mail box for the superior or for the team • Obtain and forward information from/to other locations. Organize and manage departmental and team meetings including preparation of minutes. • Lead and organize meetings to include communicating with caterers and hospitality industry partners. • Carry out general office tasks (verify completeness and accuracy of business processes, and compile reports). • Create files and file documents. Classify, file and monitor written documentation under observance of relevant time periods. • Compile data in accordance with general guidelines, enter into computer systems and process (printing, saving, forwarding). Prepare numerical data statistically and graphically, carry out simple calculations. • Organize, book and invoice trips in accordance with company guidelines. • Keep kitchen, office and other supplies stocked. • Regular attendance at the facility is required. • This is a Regular full-time position with a minimum of 40 hours per week. • Some overtime may be required.
Preferred Education and Experience
• Administrative experience in a sales or corporate environment. • Experience typing and using computer various programs including Excel, Word and Power point. • SAP experience preferred but not required. • Bilingual a plus but not required.
Work Environment
This job operates in a professional office environment and is largely a sedentary role. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines Some filing is required; must have the ability to lift files, open filing cabinets and bend or stand as necessary. While performing the duties of his job, the employee is regularly required to talk or hear. The employee frequently is required to stand, walk, use hands to finger, handle or feel, and reach with hands and arms. The employee is required to regularly required to use hands, fingers, operate controls such as computer equipment and communicate clearly with all employees. Local, domestic and international travel will be at least two times a yea, weeks at a time. The position requires many hours on the computer and creating documents on a daily basis.
