HFPADL and E60 Teaching Lab USERS GUIDE As part of the School of Film/Video, the Hollywood Foreign Press Association Digital Labs (HFPADL) and E60 Teaching Lab offer post-production facilities primarily consisting of Mac-based systems with software including Final Cut Studio, Pro Tools, and Adobe applications, etc. OPERATION HOURS 1. The areas are available for 21 hours a day due to the Institute’s air conditioning (A/C) schedule. Under the normal A/C schedule, the areas will be closed from 4 am to 7 am everyday. Users must refrain from their activities during these off hours due to the lack of air conditioning depriving the rooms of a proper operational temperature. During the off hours, the checked out room key must be returned and if not, access can be taken away. 2. In the case of special events, vacations and holidays, the operation schedule may vary. The schedule changes will be announced in advance. ACCESS 1. Prior to getting access to these areas, users need to check if their F/V Server Accounts are active. If you need to reset your dormant account after a leave of absence, see the following Technical Staff who manage the F/V Server: Program in Film and Video and Film Directing Program - Nathan Crow in E104 (ncrow@calarts.edu) Experimental Animation – Scott Kozberg in F106 (scott@calarts.edu) Character Animation – Nathan Strum in A221Q (animtech@calarts.edu) 2. E60 access will be granted to students who are currently taking classes in the room or have previously taken classes in the room. Generally, new students who go through their first year in the School will have access to the room. HFPADL access to individual editing suites will be granted to returning students in their second or higher year in the School of Film/Video, who have taken required classes, i.e. Video Production Workshop, Digital Editing, Digital Path for Animation, etc. Students who are eligible for access need to fill out a Post-Production Questionnaire (available in the areas or School of Film/Video office), contact the Digital Labs Manager via email (syoo@calarts.edu) to get access to editing suites, and attend an HFPADL Entry Briefing about the area’s procedures. Access procedures to the online editing suites will be moderately different from that of offline editing suites. Please consult with the Digital Labs Manager for more information.

3. If you cannot prove your ability to use the software applications and fail to perform proficiently with the system, HFPADL staff will end your access temporarily and send you to your teacher for additional training. 4. Doors to E60 and HFPADL are passable when your key card (student/faculty ID card) is activated. Students must activate their own key card (see Patti Palmer, Administrative Services Manager, in the School of Film/Video office). Key cards need to be re-activated at the beginning of every school year or when returning from a leave of absence. Users must obtain their 4-digit passcode from Facilities Management. SIGN-UPS, LOG IN AND TEMPERATURE 1. Sign-up sheets for each suite in HFPADL are posted at noon every Thursday. You should be on time so you can communicate with other users sharing the suite and reserve your prospective working hours. 2. As for each suite in HFPADL, a maximum reservation of 10 hours a day (not to exceed more than 5 slots in a row) will be allowed. You cannot dominate the most popular slot, (i.e. 2-7 PM), even though you have a high priority or you’re the only one on time at sign-ups. You cannot use the best slot more than three times a week in a row unless there is consensus from your suitemates. You are not allowed to sign up for multiple suites for the same hours/date nor check out multiple keys. 3. Persons having priority are as follows (refer to Handbook of School of Film/Video): 1) Classes 2) Graduating students: MFA 3, MFA 2-2 Graduating, BFA 4, Faculty/staff 3) MFA 2 4) MFA1 5) BFA 3, 2, 1 However, if you are not a regular user of the areas, do not show up on time for sign-ups habitually or do not follow the area procedures, this priority won’t be applied to any case of sign-up conflicts. 4. Although you have signed up for a room, if you do not show up within 30 min. of your reserved time, another user may take your time slot. 5. Users must log in their In and Out time and room temperature within a Logging Book in every station. When unusual incidents occur including technical difficulties or violation of general procedures, users need to note the descriptions of them. KEYS TO INDIVIDUAL EDITING SUITES 1. A checked-out key to an individual editing suite in HFPADL must be returned to Facilities Management (before 5 pm) or the Security Office (after 5 pm) when you’re finished working. These areas are shared spaces. The key must be returned for the next

person. Additionally, in cases of offensive incidents like theft, damage to equipment and vandalism, the one who has the checked out key will be questioned. 2. If you keep the key repetitively when not in the suite or loan the key to others, your access will be suspended. WEEKLY MAINTENANCE 1. HFPADL staff conducts weekly maintenance in the areas. The tasks include general cleaning, checking reports from Logging Books, troubleshooting and technical updates. In general, maintenance takes three hours from 9:30 am to 12:30 pm every Monday in HFPADL. However, E60 maintenance can be held on a different day depending on a semester’s class schedule. Users will be notified at the beginning of each semester which day maintenance will be done. The maintenance schedule will be highlighted on the areas’ sign-up sheets. 2. During the maintenance period, users are not allowed to enter the areas. Users must pay attention to the maintenance schedule and plan accordingly. NO FOOD/BEVERAGE/PETS Food/Beverages/Pets are NOT allowed in HFPADL and E60 due to allergies and for the protection of equipment from pet hair, ants and food residues. NO EXCEPTIONS. You must comply with this procedure in order to maintain a pleasant environment in the labs. HANDOUTS AND BOOKS 1. For your instant reference, users can find the HFPADL Handouts for frequently asked questions within the Logging Books in HFPADL/E60. If you need to get PDF copies of them, please check out the HFPADL/E60 site. (http://fvtech.calarts.edu/hfpadl) 2. Reference books for Apple and Adobe applications are readily available in the office (E47) of HFPADL staff. Users can check out them for up to two weeks.
