How to:
Register for Programs, Reserve a Council Property Events & Training Registration
All programs, events and trainings (even free ones) require registration. Events may fill up quickly before the deadline. Early registration helps assure your place and allows the program facilitator adequate time to prepare for the number of participants. Size is limited by the facility and number of facilitators. For these reasons, once the maximum has been met, additional participants cannot be added.
Finding Programs, Events and Trainings
• Check out the offerings in this guide! • Additional programs are added all the time, so remember to check our website at gsnypenn.org for the most up-todate offerings. • Click the “Programs & Events” tab on the top of the homepage. Events are listed in chronological order, so be sure to scroll down the page. • Click the event title to view complete information and be directed to the “Register Now” button. • The “Register Now” button will take you to either the partner’s own registration page or our Doubleknot platform.
Registering Through Doubleknot
From GSNYPENN website event listings: • After clicking the “Register Now” button on the web event listing, you will be automatically directed to Doubleknot to register. • Follow the steps to create a new user profile or log on with an existing account. Alternatively, you can visit Doubleknot directly at gsnypenn.org/doubleknot. • Browse our programs, events and trainings by following the tabs on the navigation bar at the top of the screen. • Click “Register” on the event you are interested in to be taken to an information page for the details. • Click “Register” again at the bottom of the page when you are ready to register for the program and follow the prompts. • Sit back, relax and daydream about the exciting program you just registered for!
Registration Confirmation
Upon completing registration through Doubleknot, you will receive a confirmation email. If you do not receive your confirmation, please contact Customer Care at program@gsnypenn.org.
gsnypenn.org/doubleknot
All property reservations are made through Doubleknot at gsnypenn.org/doubleknot. • Troops may reserve a site up to seven months in advance; Service Units up to nine months in advance. • Hover over the “Property Reservation” tab on the navigation bar at the top of the screen and click on the property you wish to reserve. • Select the type of features you wish to reserve at the property from the dropdown menu under “Category.” (Note: If any buildings, waterfront, archery range or equipment are not reserved by you, they will be available for other Girl Scout groups or the council to use – even when you are on the property.) • Select the date you wish to reserve – don’t forget to check how many nights you want to stay in the “Duration” box. If you are visiting camp for just the day, use the “Day Use” category. • Once you have selected the features and date(s) you wish to reserve, click the “Checkout” button. • You will be prompted to either log on or create a new user profile. • Follow the prompts to fill out the details of your reservation. • A deposit of 50% of the reservation fee is due at the time of your booking. • Upon completion, you will receive a reservation confirmation email. Council Policies
Cancellations, Refunds, Non-Girl Scouts & Financial Assistance Cancellations
By Troop or Individual: Prior to the registration deadline, email info@gsnypenn.org as soon as possible and include your name, names of all registrants needing to cancel, Troop/Service Unit #, event name and date, and details of cancellation. Please see refund policy below. Cancellations made after the registration deadline will not receive a refund unless someone on the waitlist for the program in question can fill the spot. If there is no waitlist or the spot doesn’t fill, no refund or credit will be given. By GSNYPENN: We do our best to not cancel events, however sometimes we may need to do so. If extreme weather occurs, a facilitator is ill, or an event does not fill to the minimum number of participants, we may cancel. We will contact you ASAP in the case of a cancellation. Every effort will be made to reschedule the event, but if you are unable to attend an alternate date, a refund will be issued in full. Please note: All programs have a minimum participant requirement in order to run and may be cancelled or rescheduled if that number is not met. All registrants will be given the option to reschedule (if option is available) or receive a refund at the time of cancelation.
Refund Policy
Full refunds are given if GSNYPENN cancels a council-run program or event. Troops, groups or individuals will be notified as soon as possible when a decision is made. Payments or deposit fees for all council programs and events are non-refundable, unless council cancels the event, or the registering person/group cancels PRIOR to the registration deadline. Any refund or credit requested will be settled on a case by case basis and is subject to a 25% processing fee, deducted from the original payment total. No refunds or credit will be given for “no-shows” for any reason.
Weather
As always, we want you and your girls to be safe when travelling to and from our programs. Programs will run rain or shine (or snow) unless council determines that inclement weather would adversely affect a program. In those cases, participants will be notified of a cancellation or rescheduling. If council cancels the event for weather, participants will receive a complete refund using the same method by which payment was made. If you choose to not attend a program for weather-related or safety concerns, refunds or credits will be determined on a case-by-case basis.
Tag-a-longs & Siblings
Unless otherwise indicated in the event description and registration information, due to space and safety reasons please do not bring siblings or non-Girl Scouts. Bring only those you registered for an event. Do not assume that “there
will be room for one more person.” All program participants, girl or adult, must be registered Girl Scouts unless otherwise indicated. Please refer to council policies (available on our website) for more information.
Financial Assistance
Financial assistance may be available for girls attending council-sponsored programs and events. Access the request for Financial Assistance at gsnypenn.org via the “Forms” page.
Event and Program Etiquette GSNYPENN offers council-sponsored programs and events for troops and girls. These events bring together girls from across our 26-county footprint to enjoy an opportunity that they might not be able to create on their own. Please note that each event has a registration deadline and that some events may fill before this date. You may register online using the “Programs & Events” tab at gsnypenn.org. (Please refer to this guide’s “How to Register” page for complete registration process and information.) • Have the girls plan. Show them this guide or visit the “Programs & Events” tab on our homepage. • Individually registered girls (or Juliettes) can attend all events with an adult or occasionally on their own. • Questions about registering should be directed to Customer Care at 1.855.213.8555 or program@gsnypenn.org. • Please register on time and be aware of deadlines. Nothing is sadder than cancelling an event due to low participant numbers and then having people ask if they can still register. Please also understand that sometimes events fill before the deadline. Early registration is always recommended. • Adults staying overnight at Girl Scout events must be currently registered Girl Scout members and have an eligible background check on file. • If you have special needs or specific questions about event programming, contact program@gsnypenn.org. Please be aware that programming often isn’t fine-tuned until the registration deadline, when we know how many girls to expect. • Bring only those who registered for an event to an event. Some sites are very limited in space. Please don’t assume we can just “add one more.” • Be prepared. Be sure to have directions to the site and plan on arriving in time to walk to check-in. Double check that you have what you need for the day (attire, lunch, etc.) • Adults: It’s great to meet and network! If you’d like to have conversations, ask the facilitator if it’s OK if you step out of the room, go for a walk, etc. Conversations are distracting at an event, so in most cases the answer will be, “Yes, please!” • Whether it is a GSNYPENN staff member, volunteer, or community partner, whomever is facilitating the program loves sharing their skills and experiences with the girls and puts a lot of effort into what they do. Please remind girls that a “thank you” goes a long way and is always appreciated.

NEW Council Guidelines! In order to help girls and leaders better understand requirements and expectations of earning a highest award, we have created guidelines available on our website at gsnypenn.org. These guidelines will make things clearer and more consistent, so that every girl feels confident in the awards process. As part of the new guidelines, we require awards training prior to submitting Silver and Gold Award proposals. We have an online training option for girls and/or troops to view at their convenience. Each girl must submit the quiz at the end of the video to get credit for the training and will receive an email acknowledging approval to submit your proposal. The videos can be found on our website at gsnypenn.org/highestawards. Choose the Silver or Gold Trefoil icon to view the video training you need.
What Happens After You Earn a Highest Award? Service Units are eligible to request a $50 stipend to be used toward celebrating Bronze and Silver Award Girl Scouts. To request your stipend, fill out a short form on our website or contact program@gsnypenn.org for more information. Gold Award Girl Scouts are invited to a council-sponsored dinner to honor their achievements. The dinner this member year will be held in November 23, 2019. If you plan to earn your Gold Award, save the date! Every final Gold project that has been approved is automatically considered for our council’s Gold Award Scholarship. Projects are carefully reviewed by the Gold Award Committee to determine scholarship recipients. Over the last two years, we have offered scholarships totaling $4,000 thanks to our generous donors!

The Girl Scout Mission
Girl Scout Law
Girl Scouting builds girls of courage, confidence, and character, who make the world a better place.
I will do my best to be honest and fair, friendly and helpful, considerate and caring, courageous and strong, and responsible for what I say and do, and to respect myself and others, respect authority, use resources wisely, make the world a better place, and be a sister to every Girl Scout.
Girl Scout Promise On my honor, I will try: To serve God and my country, To help people at all times, And to live by the Girl Scout Law.
Thanks for being awesome, supportive, my hero, a role model, strong, there for me, kind, loving, generous, helpful
my Troop Leader!
Use this tear-out postcard to tell your Troop Leader how much you appreciate them!
