Item Code Elements Item Description – This is the item “title.” Limited to 50 Characters. Long Description – This is the “About the item.” Full description is limited to 500 characters with spaces, but only the first 70 characters show up on the catalog. Receipt Text – this is text that only shows up on the receipt when that item is purchased, and is displayed just below the item purchased. See page 9 (number 5) for an example. Price – If the customer can purchase multiple quantities, the price is effected in 3 ways. One-to-one pricing: Price is $3 per, and price goes up proportionally. By quantity value: 1 for $5, 2 for $8, and 3 for $10. The customer can only purchase the quantities you stipulate are available and selection will display as a drop down menu. By quantity range: 1-50 is $5 per item, 51-100 is $4 per item, 100+ is $2 per item Reference Fields – How you collect information from a customer. See Reference Fields section for additional information. Add-on Item – Add on items are when, at the bottom of another item (the parent item), it gives a customer the option to add additional items from the same page. These items can be exclusively addon (for example, you can only purchase drink tickets when you’re purchasing the BBQ lunch ticket) or can be available from the main catalog and other items. You must indicate which parent items you want the add-ons to be displayed on. It’s important to know that customers cannot enter reference fields on add-on items, and your report set up must take add-on items into consideration.

Reference Fields Reference Fields are how we collect information from the customer. At a minimum we collect name and email.

Types of Reference Fields 1. 2. 3. 4. 5.

Text – Fill in the blank style. You can limit how many characters they can enter. Explanatory Text – How you enter information into an item other than the descriptions. Checkbox – A simple ‘yes’ or ‘no’ field. Drop Down – Multiple choice options displayed in a compact manner Radio Buttons – Multiple choice options where all options are displayed. Vertical or horizontal.

Parts of a Reference Field Reference fields have 2 parts: the prompt and the input. The prompt is “Are you a vegetarian” the input is how the customer answers, which is based on which type of reference field it is. A word of caution – notice how the checkbox prompt wraps to another line, and the checkbox lines up oddly with it. This word wrapping will occur with all reference field types with the exception of explanatory text. If you have many checkboxes one after another, the customer may be confused about which box to check for which prompt. At this time we are unable to display the checkbox on the left side of the prompt.

Reports & Instant Notifications Reports and instant notifications are internal documents for the department to know who has made purchases. A report is a nicely packaged summary of multiple transactions. The report, including all of the data requested, can be all transactions on a certain item code, all transaction on a merchant within a particular date range, or you can even stipulate you want item codes x, y, and z during a certain date range. There are multiple formats for reports and it is recommended you think about how you want your report displayed and work backwards to figure out how your reference fields will behave. Communicate with the eCommerce & Payment Systems Administrator what your report needs are and they will make recommendations for your reference fields. Page 11 is an example of one style of a report. An instant notification is an email a designated person (or persons) will receive within minutes of a purchase being made on an eMarket. This email is unformatted, will only have the details for that one purchase, and who receives instant notifications is a merchant setting. We cannot stipulate one person getting notifications for one item and another person getting notifications for another item if those items are on the same eMarket. Page 12 is an example 10 of an instant notification.

This is the transaction number and is needed when requesting a refund

This is the item code for the first item purchased This is the total cost of that item code, and how many were purchased. This is the second item code that was purchased with the total cost and quantity immediately below that.

These are the reference fields collected on an item code. In this example, we collected their name, email, and student ID number.
