Quick Bites 2019-20 Cookie Program

Welcome to the 2019-20 Cookie Program! As cookie entrepreneurs, girls learn valuable life skills while earning money to fund troop adventures and activities like camping, community service projects, travel, and more. All of this is possible because of you, our amazing volunteers, who dedicate valuable time and effort to supporting girls in the cookie program. Thank you for everything you do to ensure this program is an enriching, safe, and exciting experience for all girls.

Getting Started A successful Cookie Program is girl-led. Work with girls to create a year-long troop activity plan, then set cookie goals to support the troop budget. Download the GSEMA Troop Budget Plan at gsema.org/forsellers. o Ensure all girls are registered members for the 2019-20 troop year.

If you need to be introduced to your SUCM, please email customercare@gsema.org.

o Complete the required paperwork (available at gsema.org/forsellers): o Troop Cookie Coordinator (TCC) Volunteer Agreement o 2019-20 Troop Bank Account Form o 2019-20 Annual Girl Permission Form (all caregivers must complete for their girls)

o Log into Smart Cookies. Once your troop has completed the required paperwork, the TCC will receive an email from Smart Cookies with a registration link.

o Review the digital Cookie Book (gsema.org/forsellers) for all program policies and procedures. o Ensure each girl has cookie selling materials. Service Unit Cookie Mentors (SUCMs) for each town will provide TCCs with a packet of troop materials, which includes a copy of Quick Bites, cookie order card, recognition insert, parent guide, money envelope, and receipt booklet.

o Join an online Prep Talk and/or review training videos on gsema.org/forsellers. TCCs are responsible for the following in Smart Cookies: o entering Planned Orders o entering booth locations o allocating packages to girls o submitting recognition selections o managing troop finances o managing troop inventory

What's new this year? IMPROVED CREDIT CARD EXPERIENCE • Troops will now be able to use Smart Cookies to accept credit card payments at booth sales. This feature will be available in the TCC account. • Accepting credit card payment in Smart Cookies is easier and faster with a new streamlined process. • GSEMA will be covering all fees for credit card transactions made through Smart Cookies.

NEW COOKIE PACKAGING! Girl Scouts has updated the cookie packages with current photos of girls, updated nutritional labels, and Halal certification.

New to the Cookie Program? Review the Cookie Rookie section of the digital Cookie Book (gsema.org/forsellers) for full program details, a glossary of cookie terms, and advice on how to hold a booth sale, policies, and more!

How Girls Sell Cookies ORDER CARDS Girls use order cards to collect orders, and report them to the Troop Cookie Coordinator.

DIRECT SALES, BOOTH SALES, OR COUNCIL ORGANIZED BOOTH SALES (COBS) Troops pick up cookies at a Cookie Cupboard after placing a Planned Order and sell direct to customers.

SMART COOKIES MOBILE Girls collect orders in person and enter them into abcsmartcookies.com to collect payment and delivery information.

SMART COOKIES E-CARDS Girls create and send e-cards to friends and family. Customers can order and pay online, and choose to have cookies shipped directly to them.

THE COOKIE LINE UP (L TO R) Lemonades™ • Thin Mints® • Peanut Butter Sandwich • Caramel deLites® • Shortbread Peanut Butter Patties® • Caramel Chocolate Chip (Gluten & Nut-free) • Girl Scout S’mores™ Thanks-A-Lot®

The Perks TROOP PROCEEDS Troops earn $0.90 per package sold. Cadette, Senior, and Ambassador troops may choose to opt out of the recognition program and earn an additional $0.05 per package. Troops opting out of recognitions are eligible for the theme patch and 500 Club once they achieve the required milestone and packages are allocated in Smart Cookies.

COOKIE CREDITS In addition to recognition items, girls can also earn Cookie Credits once they have sold 100 packages of cookies. Credits can be used for GSEMA programs and camp, in GSEMA shops (excluding online), at camp trading posts, and for GSEMA or GSUSA Destinations programs.

Smart Cookies • abcsmartcookies.com Ordering Cookies for your Troop All cookies are ordered through Planned Orders in Smart Cookies and are picked up at Cookie Cupboards. The deadline to enter Planned Orders in Smart Cookies is 10 PM Sundays. Cookies can be picked up throughout the week. TCCs can place as many orders as necessary throughout the cookie program. Cookies are ordered by the case. There are 12 packages in a case. The name and phone number of the volunteer picking up the cookies must be included in the Order Notes field in the Planned Order. A photo ID is required to pick up cookies. To correct or adjust an order, call the Cookie Cupboard hotline at 844-727-2884.

How Girls Sell Online In Smart Cookies, girls can create goals, track their progress, send e-cards, view and select recognitions, and more. Girls can post their online cookie sale links to appropriate, family- and friend-facing social media pages, such as a private Facebook page. Please remember that girls, not caregivers, sell Girl Scout Cookies. Girls can sell online in two ways:

DIRECT SHIP A customer places an order and pays online, and cookies ship to them directly. GSEMA will pay 50% of the customer’s shipping costs for all orders of five packages or more.

GIRL DELIVERY A customer places an order online, and the Girl Scout delivers cookies and collects payment in person.

GSEMA’s health and safety policy does not allow cookies to be returned or exchanged in the Cookie Cupboard. However, you may exchange damaged cookie packages.

Troop to Girl Transfers A Troop to Girl Transfer in Smart Cookies is the way to give girls credit for selling packages picked up from a Cookie Cupboard. Allocating packages throughout the program allows girls to track their progress. All troop packages must be allocated by March 11. TIP: Use the Booth Divider in Smart Cookies to allocate packages sold during a booth sale.

HOW TO CREATE A TROOP TO GIRL TRANSFER 1

Choose Transfer under the Orders tab, then select Troop to Girl from the drop down.

2

The “From” row is pre-loaded. In the “To” row, click on the row with “Service Unit,” “Troop,” and “Girl.” Boxes will appear with the service unit and troop number pre-selected. Click on the girl you are transferring to, and click “Apply.”

3

Enter the number of packages per cookie variety to transfer in either the “Packages” or “Booths Packages” column. If you do not know which to choose, please reference the digital Cookie Book. • If you do not know the actual number per cookie variety, pick one variety and enter the total amount.

4

Add any order notes (optional), and click “Save” to complete the transfer. • At this point you can print a receipt, delete the order and start over if you made a mistake, or click “Make Another Transfer” to continue.

Smart Cookies is the Girl Scout Cookie Program online portal. Volunteers and girls are able to manage every aspect of their cookie business from a smartphone, tablet, or computer.

Inventory Tracking Always keep an accurate inventory of cookies on hand. Unsold cookies are the troop’s responsibility. Communication with families throughout the program is the best way to avoid excess inventory. Proactively share deadlines and expectations for money collection with families, and always provide receipts for cookies distributed to and payments received from families.

HELPFUL REPORTS Troop Balance Summary Report: to review all financial transactions generated, and balance owed to GSEMA. Girl Cookie Totals Summary Report: to see if package allocation to girls is up-to-date so they can track their progress toward their goals. Mobile and Ecard Summary Report: to check girls’ online sales progress. • This report will help track orders collected online that require girl delivery.
