Welcome to the Preparatory School Dear Parents, It is a pleasure to welcome you and your children to the Prep School. We will do all we can to ensure that your child feels happy and is settled as soon as possible. I encourage your children to embrace all that is on offer at the Prep School, in and out of the classroom. The brilliant teaching and the cocurricular clubs, plays, concerts and fixtures can offer your child the opportunity to flourish as they make the exciting journey through the Prep School. I hope this guide will provide some insight into their time over the next four years. We have dedicated teachers, an open door policy and we believe that a strong collaboration with families is the bedrock of an outstanding education, so please do not hesitate to get in contact with any questions you might have. Pastoral Information In the Prep School, we take pride in providing individualised care to our pupils. We offer them a breadth of opportunities, encourage them, support them and celebrate their successes whenever we see them. The pastoral role of all our members of staff is of paramount importance to them, and is anchored in fostering the students’ curiosity, courage and kindness. Our aim is to nurture your children as members of the Haberdashers’ family, offering a safe and secure environment for their learning and play. The development of strong character traits is key, and pupils are actively encouraged to attend the many extra-curricular clubs and activities that are available at lunchtimes and after school. As a vital part of their social development, new friendships are formed across the year groups and a sense of “community” emerges. The House system plays a very important role in each child’s pastoral progression. House meetings are held regularly to celebrate pupil achievements. House Leaders retain an oversight of the pastoral progression of your child throughout his time with us and act as a consistent point of contact for you as parents. We view your child’s education as a partnership. Should you feel there is a reason to inform us about a particular circumstance affecting your child then, in the first instance, please contact your child’s form teacher. This may be by email or telephone. These vital and open lines of communication ensure your child’s happiness and welfare are fully met. We have a House point system which your child can receive House points for work, for sport and for demonstrating behaviours that reflect our values.


Absences Absences can only be reported by a parent and must be done by email. This is to maintain a written record of authorised absences for illness or other reasons. In the Prep emails must be sent to – prepabsences@habsboys.org.uk Absences must be reported every day by 8.40am. No letter is required on return to school. If your child is marked not present, and we have received no communication, we will contact you by telephone by 9.30am, to ascertain the whereabouts of your child and ask you to report the absence by email. Absences will only be authorised by those emails. The email will be sent onto the Form Teacher but will be filed by the Prep Office in the child’s electronic file in a special ‘Absence’ file.

Leave of Absence (for non-religious reasons) Leave of absence is only granted in exceptional circumstances and requires a written request to the Head of the Preparatory and Pre-Preparatory School. Please note our School policy states: “There is no right to leave of absence for parental holidays in term time. In very exceptional circumstances the Head of Prep is prepared to consider a request made in writing before any commitment or booking is made by you.” Please try to avoid absences except on account of illness or religious observance.

Leave of Absence (for religious reasons) Pupils will be granted a leave of absence for religious purposes but must make a request in writing to the Head of Prep (PrepOffice@habsboys.org.uk). Parents are requested to provide the School with five days notice for Leave of Absence for religious reasons.

Emergency telephone numbers/email Please ensure that your child carries with them at all times current emergency telephone numbers. This will be noted by their Form Teacher on their first day of School, and must be placed in their yellow Homework Diary. In the event of an emergency e.g. if the School should close due to adverse weather or any other reason, we will operate an emergency SMS Alert, and we will email all parents directly on the School’s iSAMS system. Therefore, it is important that you alert us of any changes to your contact telephone numbers or email.


Communications We should like to point out that the Homework Diary is for you and your child’s Form Teacher to communicate regularly between yourselves and there are ample pages for you to use for sending messages. Should you wish to get an urgent message to the Form Teacher during the day, please communicate by telephoning the School directly on – 0208 266 1779. Alternatively, you may wish to speak to Mrs Jones – School Office Manager.

Messages to Form Teachers The principal point of contact about a pupil should be the Form Teacher by email. Emails can be sent about any of the following issues: • Academic progress: subject queries that may arise from pupils’ work and grades or following a parents’ evening. • Wherever relevant, subject related matters should be emailed directly to the subject teacher with the form teacher copied in if necessary. • Pastoral Issues: Form Tutors should be made aware of issues such as a change in contact details, family circumstances, long-term illness, etc. or any other issues or questions parents may wish to bring to the attention of the School.

Responses We value open and fluid communication. Staff are responsive and depending on the nature of the query, the School will contact parents as soon as possible. Please note that some queries (academic or pastoral) may need personal contact (e.g. individual appointments). The response may thus be in the form of a letter, note in the homework diary or via a call to the Prep Office.

Parental Contact Opportunities Keeping you updated on your child’s progress is of the upmost importance to us. Throughout the academic year, there will be opportunities for you to meet with teachers and discuss your child’s development, from informal drop-in sessions and open working mornings (where you are invited to join your child’s lessons) to parent consultation evenings and formal reports. The cycle of reports and consultation evenings vary slightly depending on the year group your child is in. There is either a consultation evening or a report each term. Parents are kept informed through regular progress grades that give an indication of both attainment and effort. We actively encourage you to meet with your child’s teachers if there is anything you wish to discuss and we look forward to welcoming you to the Preparatory School.


Parent Voice Committee The Parent Voice Committee is formed by parent representatives from each class in the Prep and Pre-Prep School. It is a forum where parents can share their experiences of the Prep and Pre-Prep School, share suggestions and where the School can garner parents’ thoughts on any initiative. The Committee meets three times a year and minutes are shared via the Parent Portal. Early in the term, the School will contact parents about volunteering to be on the Committee and if there are multiple volunteers, the School will organise a vote. The term of office is two years. If you have any questions, please contact the Prep Office.

Individual Needs The School’s Individual Needs Policy aims to ensure that each pupil at Haberdashers’ enjoys personal and academic success. We hope to achieve this by sustaining a close partnership with parents and offering access to relevant support as your child progresses through the School. Support can occur at various levels in School life e.g. through the Form Tutor, Head of House and subject teachers. The School’s Individual Needs policy is available on the School website. At this point of entry, it is important for all staff to be aware of any identified specific learning need (e.g. dyslexia, dyspraxia, ADHD, hypermobility, visual and hearing impairments) relating to your child.


Medical Centre Information The Medical Centre is situated in Aldenham House and is open during School term time from 8am to 5.30pm, Monday to Friday. There is Paramedic cover provided on a Saturday for home sports fixtures. Phone number

General Health Information Please keep us updated, via the Parent Portal, of any changes such as hospital admissions, illnesses or new medication. It is extremely important to keep this information updated in case of emergency. It would also be of benefit to inform us of any significant events such as divorce or bereavement which my affect your child emotionally. We are always happy to talk about any existing medical conditions which your child may have and which may influence our care of them in School, e.g. food allergies/diabetes/asthma/any severe reactions your child has had which requires use of an AAI (Adrenaline Auto Injector). Relevant information will be shared with appropriate staff if essential to your son’s wellbeing. If your child develops any contagious disease (chicken pox, measles, etc.) please inform the Medical Centre as soon as possible. If your child is unwell, e.g. has a raised temperature, has episodes of diarrhoea or vomiting, please ensure that you wait 48 hours after the symptoms have stopped before they return to School.

Request for School to Dispense Prescription Medicines If your child requires any prescription medicine to be taken at School, please complete the form on the Parent Portal (Request for School to Dispense Prescription Medicines), and either you or your child bring it to the Medical Centre along with the medication to be dispensed. It is your child’s responsibility to attend the Medical Centre to be given their medication.

Collection of unwell boys from School It is important that a parent/carer is always available to collect an unwell/injured child from the Medical Centre. Please notify the Medical Centre as soon as possible if parents are away even for short periods and please provide a contact number of a suitable carer who can act on your behalf in case of an emergency.


Rewards House Meetings are held regularly and Inter-House competitions run throughout the year. In the Preparatory foyer, there are House Tubes which contain House points in the form of coloured tokens. These tokens are awarded for outstanding behaviour or work. Should a pupil be awarded a silver star, then five points are given. If the pupil is asked to sign in ‘The Book of Excellence’, then a gold star is awarded which equals 10 House points. A trophy is awarded to the winning House at the end of each term.



General Information Mobile Phones All pupils using the coach must have a mobile phone. We recommend a simple phone rather than a smart phone as this may encourage use of social media apps which are banned for pupils in the Prep School. Mobile phones must remain in their School bag and turned off. If your child needs to contact you during the day it is not permissible for them to use a mobile telephone and they should contact you via the Prep Office. We are unable to take responsibility for mobile telephones if they are lost or stolen.

Parking Parents are respectfully reminded that the security barrier on Butterfly Lane is lowered daily at 5.30pm Monday to Friday. Access for non-School staff after that time is via the Girls’ School car park until 6pm, after which the coach park on Aldenham Road is to be used. The routine drop off and pick up point for pupils is the car park on Pitch 5 at the Boys’ School on Butterfly Lane. Parents are kindly requested not to park in the Girls’ School Car Park after 6pm for evening events (e.g. Parents’ Evening, Concerts etc. at the Boys’ School); the allocated parking for these events is the coach park.

Photographs in School Parents who do not want their child’s image to appear in promotional material must make sure their child knows this and must email immediately to the Head of Prep requesting an acknowledgement of their email. The School’s policy on taking, using and storing images can be found on the School website.


The School Day When your child arrives at School at 8am they will have 30 minutes to play in the playground before going to class to register. We have whole school assemblies on Wednesdays and Fridays.

We would be grateful if you would ensure your child arrives punctually in the morning. Your child should arrive at School between 8am and 8.30am and wait on the Prep playground. A member of the Prep staff is on duty from 8am each morning. Registration is at 8.30am.

Lunchtime Prep pupils have lunch in the Bates Dining Room in the Senior School between 11.50am and 12.20pm. There is an extensive daily menu with multiple choices including hot meals, a vegetarian option and sandwich and salad bar as well as fruit, yoghurt and a hot dessert, although your child is able to bring in a packed lunch if they would rather do so.

Before and After School Before and After School Care is shared across both the Boys’ and Girls’ School. Breakfast Club is hosted and co-ordinated by the Girls’ Junior School and the After School Care Provision by the Boys’ Prep School. Breakfast Club is open from 7.30am to 8.15am in the Girls’ School Dining Room. The cost of each session is £4.50 with breakfast included. Please email mwalsh@habsgirls.org.uk for a booking form. After School Care is from Monday to Thursday 4pm to 5.30pm. The cost is £4.50. Pupils will be provided with a snack.. Please email ascf@habsboys.org.uk for a booking form.


The School Day - Catering Our catering services are provided by Holroyd Howe, a specialist caterer to schools in the Independent sector. Holroyd Howe prides itself on sourcing the finest British ingredients, as locally as possible and approaches food with a no fuss attitude. Nothing processed, nothing added – just honest, delicious food every day. Placing a strong emphasis on the health and wellbeing of pupils, our caterers have introduced new menus designed to elevate nutritional standards across the board. Each day, the menu, updated weekly on our website, will include a wide variety of ingredients, cuisines and culinary styles to encourage our pupils to try new things and enjoy a balanced diet. The catering team are experienced in handling all dietary and allergy needs and are on hand to answer any questions you or your child might have. The Bates Dining Room operates a cashless catering system via ParentPay® which also enable parents to monitor their son’s eating habits. For boys engaged in lunchtime activities, or in need of variety, the self-service area in the Bates dining room provides a range of sandwiches, paninis, fruit pots, salads and soft drinks.


Uniform The Boys’ School uniform is be provided by Uniform4Kids, a family run business consisting of five school uniform and sportswear retail stores. The stores are complemented by their online uniform shop www.uniform4kids.com. The warehouse in Centennial Park, Elstree, is five minutes from the School, and is often used as a ‘Click and Collect’ location. The stores are well positioned to service families who travel from a variety of locations and our school coaches currently stop outside two of the stores. There is a weekly, complimentary drop off service to the School for pre-paid orders placed on the telephone or online. The delivery is packaged and labelled with the child’s name, class, and parent’s contact number. Other orders are dispatched within 24 hours using Parcel Force, their next day courier, or can be collected from the store. Returns and Exchanges can be carried out in store, facilitated via the complimentary weekly delivery to school service or via the post. We expect pupils to take a real pride in their appearance and to be smartly dressed on all occasions.

Curriculum Information Our courses of study include all the subjects required by the National Curriculum, including Design and Technology and ICT, but also French, German and Spanish for older boys. Our teachers are specially trained for work within this age range. Specialist teachers from the Senior School assist with the teaching of Music, French, German, Spanish and Sport. In order to establish the habit of study, appropriate homework is regularly set for all age-groups.

Games, Physical Education and Swimming Year 3 pupils will have two periods of Games per week: one period of Swimming, and one period of PE. A variety of sports fixtures takes place during term time and a fixture card with all the events will be sent to parents at the beginning of each term. All the pupils will represent the School in fixtures on a regular basis. The priority sports are Rugby (Autumn Term), Football (Spring Term) and Cricket (Summer Term). Incorporated into your child’s swimming lessons will be the opportunity to complete the ASA Swimming Programme, a nationally recognised swimming awards scheme. The pupils will be continuously monitored and assessed during their weekly lessons and, depending on their progress, will be awarded badges and certificates highlighting their achievements. Early in the Autumn Term we will invite you to a meeting to explain the sporting opportunities available to your child during their four years in the Preparatory School. Your child must understand that selection to play in a team requires commitment, whether it is at the weekend or on a weekday afternoon, and must take priority. Fixture dates are published in the school calendar and fixture card during the start of term.

Homework On their first day, pupils will be given a small yellow book. This will be used to write any messages given to them by their teacher, as well as homework tasks and their going home arrangements. You will be able to write messages for your child’s teacher on certain pages of the book. You will also be asked to sign your child’s homework book every day and your child’s teacher will then check it at School. Your child will not be given homework for the first couple of weeks. However, when the teachers feel that the pupils are ready, they will begin to set homework. Reading and spellings will be provided for pupils to practice and learn.



Co-curricular Information During your child’s time in the Prep School a huge range of co-curricular activities will be on offer to your child: board games, bushcraft, chess club, choir, cricket club, drama club, gymnastics, football, history, judo, orchestra, premier strings, rugby, swimming, thinking skills, table tennis.

Music Of the 1,430 pupils in the School, more than 600 are learning to play musical instruments of all types. With a music staff of 25, the School is able to offer tuition in piano, organ, acoustic guitar and every orchestral instrument, including percussion. The proportion of instrumentalists in the School is very high and the Head of Prep and music staff are keen that this tradition should be maintained. The lessons are, for the most part, given in School time but they are rotated week by week so that a pupil does not miss the same lesson on every occasion. Instrumental lessons (approximately 10 lessons per term of 30 minutes each) are organised in two ways: • Group Lessons As a general rule, beginners on orchestral instruments are advised to learn in small groups. • Individual Lessons Boys who already have some experience of playing instruments are advised to have individual lessons. For obvious reasons, all piano and organ pupils, whether beginners or not, have to take individual lessons and all potential pianists must have an instrument at home for practice If you would like your child to learn to play a musical instrument or continue to develop on an instrument they already play, please complete the relevant forms on the Parent Portal.

Instruments The School has a pool of instruments for hire at a charge but competition is strong for the limited number we possess and therefore most pupils buy their own. If you are going to purchase an instrument please seek the advice of the music staff. There is a scheme whereby parents may purchase any instrument on an instalment system (pianos excepted) if they wish to do so. Organ lessons can be given only to pupils who have reached a good standard on the piano.

Getting started It is our hope that through learning a musical instrument your child will gain enormous musical and social enjoyment, artistic and expressive satisfaction, and a real sense of achievement which will continue throughout their life. Although learning to play a musical instrument is a long process requiring commitment and hard work, there will be many occasions along the way to celebrate and enjoy. Opportunities to share music-making with others in the vast array of cocurricular ensembles on offer at Haberdashers’ naturally culminate in performance opportunities through the concerts scheduled during the year.


Choosing the ‘right’ instrument We are often asked to advise parents and pupils on what instrument to learn. There is no hard and fast answer to this question, however one should not underestimate the ‘gut feeling’ that children may have towards specific instruments. It is important that your child is aware of the sounds that particular instruments make as they are going to be spending a lot of time hearing and perfecting that sound. You can help this process by taking your child to an appropriate concert and by encouraging them to take the opportunity to sit in on rehearsals of orchestras and bands at School and to watch and listen carefully. It is important that you discuss these things with your child, as this joint approach will help you understand and support the learning process later.

Instrumental Music Scheme The School has an Instrumental Scheme which previously applied to Year 5 pupils. From this year, the School will be introducing it to Year 3 pupils. The Scheme will provide every pupil in the School an opportunity to learn an orchestral instrument free of charge for a full year. Pupils will have a weekly 45-minute lesson in small groups of 2-4 and will play one of the following instruments: Violin Viola Cello Double bass

French Horn Trumpet Trombone

If a pupil is already learning an orchestral instrument when they arrive in Year 3, they will be placed in a small chamber ensemble which will rehearse during the same period. At the end of the year, pupils will have the option to continue with individual lessons at the usual cost.

Sport The main aim of the PE and Games department in the Prep School is to foster a lifelong love of sport through the delivery of fun and engaging lessons across a wide range of sports and activities. All the pupils have the opportunity to represent the School in fixtures on a regular basis. The School enters local and national tournaments in a variety of sports across the age groups and also hosts sports festivals and tournaments. Developing character is a key aspect of our provision and our sports values of Courage, Creativity, Leadership, Respect and Teamwork underpin everything that we do.
