BUSINESS LETTER
A business letter should always follow a certain format and structure to ensure it is received as professional and up-to-standard. Here are the parts of a business letter.
Sender’s address. Including your address plays a practical purpose, because you don’t want the recipient to have to look up your address in order to send a response.
Date: Whoever receives the letter needs to know when the letter was written. It’s best to use a standard U.S. format.
Recipient’s address: A full recipient address also helps ensure the letter doesn’t get lost in the office shuffle wherever you are sending it.
Salutation: A “To whom it may concern” or “Dear Sir or Madam” is a good way to ensure that your letter goes nowhere.
Body: Time is money in the business world, so get down to business and quickly make your case or communicate your message.
Closing/signature: Stick with a more formal closing such as “Sincerely” or “Thank you.” You should only capitalize the first word of the closing.
Enclosures: If there are additional items to enclose with the letter, it’s best to list them, so that the recipient remembers what was included with the letter.
LETTER
A Friendly Letter: If one wishes to write a letter to someone they already know, they will most likely write a friendly letter. Often, writers will craftfriendly letters to friends and family with whom they wish to stay connected.
The heading: Frequently, the header of a friendly letter will include the sender's mailing address and the date for the letter. Depending on the letter's recipient, it may take a little while for the letter to reach its destination
The greeting: friendly letters will have a greeting of "Dear person's name." Since the person sending this type of letter usually knows whom they are sending the letter to.
The body: In the body of a letter, the writer will include all information they are relaying to the person receiving the letter. This will consist of an introduction, a body, and a conclusion..
Closing: One of the final things a writer should include in a friendly letter is a closing. This may consist of "Best regards," "Warmly," "Truly," "Best wishes," "Sincerely," "Your friend," "Best," or any other ideas.
Signature: If possible, the last thing a writer should add to a friendly letter is their signature. If the writer were handwriting their letter, this is an obvious choice.
