one2one DEVICE PROGRAM

As responsible and professional educators, Hillcrest Christian College provides the technology required for a modern curriculum, in the hands of the students. The incorporation of individual devices for students provides self-guided control over their learning and supports the rapid communication and representation of knowledge within a variety of contexts and for a variety of audiences.

The College compulsory one2one Device Program seeks to provide students with the tools they need in a rapidly changing world coupled with the development of personal responsibility and ethical conduct in line with our College Vision and Mission statements.

As a community, Hillcrest Christian College has several guiding principles that underpin the decision making in relation to the implementation of the one2one program. These guiding principles are:

• The device supports and enhances learning.

• Our educational framework supports and directs valued learning and activities that utilise the tools that the device provides.

• Devices are one tool in creating a dynamic and innovative learning environment.

PAYMENT

Parents pay a levy as part of the program. This levy is billed to the student’s school fees per term for a three year cycle.

At the end of the three-year cycle, students have the option to keep the device they have been using, as-is. Families that wish to take advantage of this opportunity will make a residual final payment.

COLLECTION AND RETURN

Students collect their device during O-Day at the start of each device cycle. Should families not be able to attend, the compulsory one2one device can be collected by students during the first week of school.

Students will need to return the device and all accessories to the College at the conclusion of the device cycle. When returning the device to the school, genuine parts and accessories will need to be returned. Any missing components or damages that have not arisen from reasonable wear and tear will incur a cost to the family.

SUPPORT

Users may access the IT Support for any issues they may be having with their device. This support will be available from 8:00am to 4:00pm on College days. Users may access IT Support before and after school, during normal scheduled lunch breaks and not during class time, unless it is urgent.

If a user is experiencing issues during class time, it will be at the discretion of the teacher as to whether they give the student the permission to visit the IT Help Desk. Students who access support during class time must present written permission from the teacher or they will be redirected to return to class. Please note that technicians may not be available to service student issues during class time.

College-based technicians will only spend a short period of time attempting to resolve an issue presented by a user. If the diagnosis of the fault requires a longer period, the device will be sent away for repairs and a “Hot Swap” will be organised. Please note that hot swaps will not be given to users who have left their device at home, failed to charge their battery overnight, or to users who use their device outside the guidelines detailed in this document or the Acceptable Use Policy.

Note:

• Given that the device is formally leased by the College, all damage or problems must be reported to the College IT Help Desk as soon as possible.

• No work on the device by non-College technicians is permitted as this will void the warranty.

ABOUT THE INSURANCE POLICIES

The College leases the device. Therefore, the following conditions apply to damage, theft, and replacement:

• A manufacturer’s warranty covers all devices and batteries. The warranty covers manufacturer’s defects and normal use of the device. It does not cover negligence, abuse or malicious damage.

• Any problems, vandalism, damage, loss or theft of the device must be reported immediately to the College’s IT Support Team and a witnessed statutory declaration signed by a staff/parent/guardian must be provided. Please email one2one@hillcrest.qld.edu.au for a copy of the appropriate incident form.

• It is recommended that the device is included in your household contents insurance where possible to cover the device whilst outside the home. This policy will be the first point of call for a claim arising from loss or damage. However, due to the College owning the device until the end of the loan repayment period, it is wise to investigate whether it can be covered by your insurance company.

• Parents/guardians will be required to pay for the repairs that have not arisen from reasonable wear and tear and that insurance does not cover. Parents/guardians will also be required to pay the $100.00 excess on the accidental damage insurance policy.

• In the case of suspected theft, a police report must be made by the parent/guardian and a separate theft incident report is made to the insurer of the one2one device. Parents/Guardians will be required to pay the $100.00 excess on the insurance policy.

• If a device is damaged or lost through neglect, abuse or malicious act, the College will determine whether replacement is appropriate and/or whether the user retains access to a College device for home use.

• Users will be required to replace lost or damaged chargers, cases, and accessories with genuine Microsoft parts if returning the device to the College at the end of the 3 year loan period or if leaving the College for any reason.

Substitution of device due to fault or damage

If the device has an issue during the College term, it will be replaced whilst being repaired. Users, where practical, will be given a replacement device.

If the device has an issue during College holidays, it is the user’s responsibility to contact the College to arrange for the repair.

It is important that users continue to back up their work to OneDrive at all times so that if a problem does occur, their work is not lost.

In the event of a fault, Theft/Loss or damage:

• IT Support will endeavour to replace the device as soon as possible;

• The College will endeavour to replace it with an identical or similar device;

• The user is responsible for the data stored on the device and transfer to the new device;

• Where practical, the original device will be returned to the user. If this cannot occur, a device of similar age and condition will be supplied.

Who is responsible for covering the cost of a lost or damaged device?

The following conditions apply:

• Users are responsible for their devices always;

• Accidental Damage Cover: Two (2) claims can be made for the duration of the 3-year agreement. An excess of $100.00 applies to each claim;

• Theft/Loss Cover: An excess of $100 applies to each claim. A police report is also required.

• Parent/guardians will be required to pay the full cost for any claim that falls outside of the above conditions.

The College does not cover the cost of repairs when a device is damaged because of misuse where user guidelines have not been followed as outlined in the “Acceptable Use” policy, and the Insurance disclosure statement. The Parent/guardians will, in this case, be responsible for the full cost of repairs.

ACCIDENTAL AND NON-ACCIDENTAL DAMAGE COVER

There are two types of damage as defined by the College:

Accidental Damage: where a device is damaged and the user and parents have met all requirements as outlined in “User Responsibilities” and the conditions of the relevant insurance policies are followed.

Non-accidental Damage: where a device is lost, stolen or damaged and the requirements stated in “User Responsibilities” have NOT been adequately observed or the conditions of the relevant insurance or warranty policies have not been met.

The following are examples of NON-accidental damage or loss.

• Damage because of carrying the device inappropriately.

• Scratching of the casing and or bruising/cracking of the screen or keyboard because of misuse.

• Not using the supplied protective casing to protect the device from accidental damage.

• Loss of the device charger, Stylus tip or Stylus.

• Accidental damage to device may occur if not in the protective case/sleeve.

Notification of loss or damage

If the device is damaged, the user must report it to the IT Department as soon as practical during College hours. If a claim against the insurance policy is necessary, a link to the online payment form will be forwarded to parents.

THEFT/LOSS COVER

The following are examples of NON-Theft or loss.

• Theft from an unlocked and unattended vehicle;

• Theft from a vehicle when the device was left clearly visible.

• Theft while left unattended and out of view of the user. This includes leaving the device outside a shop, on a sporting field, bus or unattended in a classroom outside of normal College hours or whilst attending any cocurricular activity outside of College hours;

• Theft or loss of the device charger or pen.

Notification of loss or damage

If loss or theft occurs outside of the College, parents are required to inform the police immediately. The Incident Report number will be required to complete this paperwork. If the device is stolen, the user must report it to the IT Department as soon as practical during College hours. CARING FOR YOUR DEVICE

Users are responsible for the care and security of their device at all times. The device must be treated as a valuable piece of equipment; therefore, users will be held accountable for any damage or loss that occurs through negligence, in the form of additional financial costs. Specific details relating to the warranty and insurance can be found later in this documentation. Families are encouraged to read this documentation thoroughly.

Access to the internet, social media and email must be consistent with the Acceptable Use Policy. Since the device is the property of Hillcrest Christian College, the College IT staff reserve the right to access the contents of the device for the purposes of maintenance, security or to monitor appropriate usage. A yearly device and accessories check will be undertaken by the IT team.

At the College

Users are expected to bring their device to the College every day, in the same way in which they are expected to bring other resources. The device will be an essential component of their educational toolkit. For this to be effective, there are several routine practices that must be followed. These include:

• Charging – When fully charged, the battery will allow a user to conduct educational work continuously for a full school day It is the user’s responsibility to ensure that the battery is fully charged each night ready for the next school day;

• Protective Casing – All devices will be provided with a case/sleeve. These cases are designed to provide devices with a layer of protection and are not allowed to be removed; For further protection, users can purchase a laptop bag/sleeve or case for movement between classes.

• Sleep Mode – Closing the lid of the device will activate sleep mode and enable faster start up for your next class.

• Shut Down- At the end of the school day, students should take the time to completely shut down the device. This ensures regular updates are completed as needed.

• Graffiti – Users are not to deface or graffiti any part of the device.

• Updates – Users are expected to continually check for updates and complete the installation of said updates off campus.

At home for families

Parents are encouraged to ensure that their child has a balance of outside activities and cultural pursuits. The device provided by the College is not intended to dominate a student’s lifestyle, and parents are encouraged to monitor the amount of “screen time” to which students are exposed and discuss strategies with their child for ensuring a balanced lifestyle.

The following tips are provided as a guide to good practice:

• Furniture – encourage students to use the device on a desk when working for an extended period (e.g., when working on an assignment). This will ensure a better ergonomic position is adopted and removes the heat transmitted by the device from direct contact with the body;

• Position – place the device in a comfortable position when using it. The top of the screen should be just below eye level, approximately one arm’s length away and centred in front of the body;

• Optional extras – a better ergonomic setup can be achieved by adding a Bluetooth mouse and a large monitor if desired. Care should be taken in the selection of a monitor to ensure it is compatible with the device and the appropriate adaptors are purchased;

• Regular breaks – Students are encouraged to stand up or take a short break every 30 minutes when working for an extended period of time.

TECHNOLOGY – SAFE USE

Hillcrest Christian College shares responsibility with parents, government and the community to protect our children from the impact of inappropriate material and or use of the Internet. This protection comes in the form of many mechanisms to block inappropriate content at the College.

The College can block/unblock sites to allow an additional level of security. The College has the provision to unblock sites that may be filtered based on educational needs.

The College strongly encourages active supervision of your child’s use of technology at home. The internet is a fantastic learning tool and enables access to information that supports all areas of our curriculum.

The following guidelines should be followed when your child is using their device at home:

• Supervise your child in a public room like the lounge room;

• Avoid your child accessing computers in bedrooms or rooms that can be closed off to other members of the family;

• Ensure that you establish some expectations regarding internet use at home. You should feel empowered to ask your child for their passwords for any websites that they may be using;

• Most Internet browsers have a “History” menu that can be accessed to allow you to see the sites that your child has visited recently;

• Ensure your child never provides personal information on a global system to identify friends or themselves in photos;

• Educate yourself and your children about potential dangers online and how to make the right choices about online behaviour.

The College will endeavour to provide parents with supporting resources and information for appropriate and safe use of ICT tools including online environments.
