Please do not disturb the residence assistant outside the office hours, except when you are dealing with an urgent problem (such as being locked out). Housing officer In the U-building one housing officer is active. The office of the housing officer is located on the 1st floor. The housing officer is present on: • Uneven weeks: Monday - Friday: 8.00 am - 4.30 pm • Even weeks: Monday, Tuesday, Thursday and Friday: 8.30 am - 4.30 pm Office hours are held at the office of the housing officer on the 1 st floor: • Uneven weeks: Monday - Friday: 3.00 pm - 4.00 pm • Even weeks: Monday, Tuesday, Thursday and Friday: 3.00 pm - 4.00 pm The responsibilities of a housing officer are (among others): - monitoring and maintaining the (technical) state of the building - monitoring and maintaining the general state of hygiene; - informing the residents about the proper use of the installations. The housing officer can help you with most of your questions or problems in your room or in the building for example concerning electricity, heating, inventory and key cards. If you want to pay your rent with your debit card or credit card (MasterCard or Visa), the housing officer is happy to help you at his office. What to do in case you are locked out: See if the housing officer or residence assistant is present or if you can reach the residence assistant by phone. This service will cost you EUR 10.00 (10.00 am - 10.00 pm) or EUR 25.00 at night (10.00 pm - 10.00 am). In case neither the housing officer or a residence assistant can be reached, call SSH Short Stay. This service will cost you at least EUR 100,Nuisance A party is allowed when you make sure there is no nuisance/complaints, vandalism and clean up immediately after the party. Damage caused by vandalism on your floor will be charged on the initiator, no exceptions will be made. You are responsible for the behaviour of any guests you may have. Causing nuisance could result into: notifying the educational institution and termination of your tenancy agreement. As a rule you and your fellow tenants needs to be quiet after 11.00 pm. Do you have to deal with nuisance? Take the following steps: Step 1: discuss it Discuss it with the person creating the nuisance. Often, this person is not aware of the nuisance he / she is creating. Step 2: contact the residence assistant/housing officer or SSH Short Stay Contact the residence assistant / housing officer if the nuisance does not end. When the nuisance does not stop after contacting the residence assistant / housing officer, you should contact SSH Short Stay. SSH Short Stay will contact the person who creates the nuisance and negotiate, if necessary. Make sure you register the nuisance well. Step 3: legal procedure nuisance SSH Short Stay If the nuisance does not stop after step 2, SSH Short Stay can initiate legal proceedings that will lead to the termination of the lease of the person who caused the nuisance. Registration nuisance It is important to keep good record of the nuisance. Facts make it easier for us to work towards a solution. Therefore, inform us immediately when there is a nuisance, also after your first report. Unsustainable nuisance situation If the situation is unsustainable, call the police. You can reach them on 0900 88 44 or call 112 in case of an emergency.

Registration When taking up residence, you have to apply for registration in the municipal population register within five days of your arrival in the Netherlands. For more information www.rotterdam.nl/expatdesk. If you stay in Rotterdam for less than 4 out of 6 months, it is not necessary to register in the population register. This period of time does not have to be uninterrupted, as long as you have had residency in Rotterdam for less than 4 months. MAINTENANCE REPAIR REQUESTS If you have a (technical) problem in your apartment or its inventory please contact the residence assistant or housing officer, preferably by email or log in on your personal page on www.sshxl.nl/shortstay to enter your request. Your password is mentioned in your confirmation and registration e-mail. During your stay you can enter service requests and you can see if a roommate or housemate already reported a repair or not. To see the requests made for the general areas of your address log in, go to service request and click on "open calls at your location". Please be sure to include the following in your request: - your name, apartment and phone number; - a clear description of the (technical) problem; - the cause of the (technical) problem; - state whether or not you give permission to SSH Short Stay or its contractors to enter your room in case you are absent in order to fix the problem. When permission is denied you need to be available in order to make an appointment as well as receiving SSH Short Stay or its contractors. In case of an emergency: when the residence assistant / housing officer cannot be reached, you can also call the emergency number 030 25 25 725 (during office hours) or 229 28 33 64 (outside office hours). CLEANING AND HYGIENE You are responsible for cleaning your own room and communal areas like the kitchen, shower, toilet, etc. Do make a cleaning schedule among yourselves. Our staff performs regular inspections to check the cleaning and hygienic state of your room. You can find a cleaning schedule on www.sshxl.nl/shortstay. When additional cleaning is necessary because of lack of cleaning by the tenants, SSH Short Stay will order a cleaning company to clean the common areas and you will be charged for these costs. GARBAGE There is a garbage container in every apartment available. The garbage needs to be disposed in the assigned containers which can be found in the basement of the building. This includes the full garbage bags from the kitchen and sanitary. Put a new garbage bag in the empty bin. If the assigned garbage containers in the basement are full, please contact the residence assistants or housing officer. They will call the garbage cleaners and order a extra round. Only dispose of bulk garbage after an appointment with ROTEB (on appointed date and location). The collection of bulk garbage is free of charge: call 14 010 for an appointment. Note: It is prohibited to dispose garbage in or around the building other than in the assigned containers. All hall(way)s and corridors are emergency exits in case of an emergency. In order to maintain the safety of all residents, it is critical that all halls, hallways and corridors remain free of obstacles. In accordance with the general rental conditions non compliance will be fined with the related costs added.

(FIRE) SAFETY Junctions for the fire hose can be found in the stairwells and corridors. In order to ensure that the safety and fire-prevention equipment is kept in good condition and in a state of readiness, it is prohibited to temper or meddle with these junctions. Any sign of malfunction or damage must be immediately reported to the housing officer or the residence assistant. Note: In accordance with the general rental conditions non compliance will be fined with the related costs added. Keep passages clear according to the Dutch fire regulations. Objects that obstruct entrances or exits will be removed instantly and you will be fined for all costs made.
If the fire alarm sounds, evacuate the building immediately (by stairs, never by elevator). Make sure you know where the emergency exits are. Keep burglars out, keep all doors in the building closed and lock your room at all times. Even when you are leaving your room for one minute. Emergency siren outside: These sirens warn citizens in case of a national or regional emergency and are nationally tested on every first Monday of the month on 12.00 pm. When these sirens sound on any other day and time: immediately go inside and close doors and windows. BICYCLE STORAGE In the U-building you can find the storage for bicycles on basement level. This storage is accessible via the bicycle entry (side of Sportlaan). In front of the building there is a bicycle rack available. Storage and / or parking of bicycles outside these storages is not allowed. To park your bicycle on Woudestein campus, there are bicycle racks at all campus buildings and various public bicycle parks, covered and/or lockable. Please only park your bicycle in the designated areas. See also the information about bicycle parks and parking regulations bicycles & mopeds on the website of Erasmus University Rotterdam. No motorised vehicles in the bicycle storage It is prohibited to park a motorbike, scooter or moped in the bicycle storages due to the fire and safety regulation of the building. Students living on campus may apply for a parking permit for the duration of their tenancy agreement in order to store these. Contact Erasmus University Rotterdam for more information. CAMPUS FACILITIES At the campus there are several facilities available, visit the website of Erasmus University Rotterdam for more information. At the campus a new international lively campus heart will be developed where it is nice to sit, relax and to meet friends. CAR PARKING Students living on campus may apply for a parking permit for the duration of their tenancy agreement. Contact Erasmus University Rotterdam for more information. LAUNDRY ROOM (Miele Laundrette) The communal laundrette is located on basement level of the U-building. Here you can wash and dry your clothes. The Miele Laundrette is fitted with modern washing and drying equipment in order to ensure the best care for your clothing due to the special programs for washing and drying as well as the unique SoftCare-drum. How does it work? After registering on http://www.miele.nl/laundrette you can access ‘My Laundrette’. Here you can: - edit your username and password - make a reservation for the laundrette - switch on/off the reminder by SMS for your reservation - add credits to your Laundrette-card In the laundrette on basement level it is also possible to log on to ‘My Laundrette’. Here you can: - check the credits on your Laundrette-card - make a reservation for the laundrette - switch on a SMS reminder for when your program has finished For registration and information about prices go to www.miele.nl/laundrette. CHECK-OUT You have to leave your room on the last renting day before 10.00 am as stated on your tenancy agreement. Two weeks before your departure you will receive an email with the date and time your apartment will be checked by an inspector of SSH Short Stay. The inspector will note down the things which have to be done before you leave (for example cleaning, removing extra furniture etc.), also the possible costs which go with these advices will be noted down on the report. Around the day of your departure a final check will take place to see if you have followed up the advice of the first check. Based upon the checks, you will receive your deposit in return. In case there are any damages, the costs for this will be deducted from your deposit. Please note the importance to report any damages or missing items on the inventory list when you check-in to the room, so you will not be charged unjust.
RETURNING THE KEY Your electronic key needs to be returned on the last day of your renting day before 10.00 am to the reception desk at Kralingse Zoom 91 in person. Note: When you do not return the key on the final day of rent, SSH Short Stay is forced to replace or reprogram the lock of the apartment. All costs (approximately EUR 150.00) will be deducted from your deposit. More information about the check-out can be read in the departure manual. INVENTORY LIST Together with your electronic key you have received an inventory list of all the items which you find in your room. Keep the inventory in your room at all times. In case you damage, loose or break an item during your stay, you will be charged for this at the end of your rental period. The amount will be deducted from your deposit. So if there are already damages or missing items in your room at the day of your arrival, please report this on the inventory list and hand it to the residence assistant within 5 days after your arrival. They can replace the items for you. If you decide to buy a missing item yourself, SSH Short Stay does not compensate these costs. More information about the items which you find in your room with the costs per item can be found in the inventory list. NON-SMOKING It is not allowed to smoke in the rooms of the U-building. Please note you will risk a penalty for the costs of dry-cleaning the curtains when you have smoked in your room. FACEBOOK The residence assistants have opened facebook for the residents of the U-building. On facebook you can find accurate information about the U-building and you can get to know your neighbours.

INFORMATION APARTMENT U-BUILDING Electricity – fuse box Every apartment is fitted with an fuse box. The main switch is situated in the service cupboard in the hallway next to the entrance door of the apartment. The cupboard can only be opened by the housing officer of the U-building. Contact the housing officer when it is necessary to use the main switch.

Fuse box Main water tap The main water tap is situated in the sanitary behind the toilet. Close the main tap if necessary and contact the residence assistant or housing officer.
Heating and thermostat In order to heat the apartment, the apartment is fitted with a heating system. In the sanitary and kitchen area the system is fitted with a thermostat. With this device you can regulate the temperature within the apartment. In the living area the system is not fitted with a thermostat; with the device available you can turn the system on/off.

Cable connection/ television and radio The apartments in the U-building are not fitted with a coax infrastructure in order to receive TV and radio. This service can be provided via broadband services. Please contact a commercial provider for more information. The (analog) TV and radio signal is not activated and is not included in the rent.

UTP infrastructure/internet The apartment is fitted with a UTP (CAT5) infrastructure for broadband services. The UTP-network is connected. You can find the installation instructions and internet problems – troubleshooting on www.sshxl.nl/shortstay. An internet cable is available. UTP
Telephone The apartments of the U-building are not equipped with a standard telephone connection. Related services, such as VOIP, can be provided through the broadband services. Please contact a commercial provider for more information. With SKYPE you can make (free) calls via internet. Operator for phone numbers within Holland: 0900 80 08. Operator for phone numbers International: 0900-8418. The national phone book is available online. Kitchen Your apartment is fitted with a Bruynzeel kitchen. The top and cupboard are best cleaned with a moist and soft cloth. Make sure to rub it dry with a clean cloth. Never use aggressive or abrasive cleaners or (furniture) waxes. Never place hot pans directly on the surface of the worktop; this leads to serious damage of the worktop! Always make sure to use a pan coaster. Note: The cooker hood works on the general extraction system. The cooker hood does not have an engine, so you do not hear it go on / off. Walls Any alterations to the apartment is prohibited including taping, nailing and / or screwing pictures, posters, photos etc. to the wall. If any pictures needs to be put up please be sure to use the magnetic whiteboard. Note: Costs as a result of any alteration / damage to the apartment or its inventory will be charged to the deposit of the guest. Windows The windows can be opened in the titled-position as well as in the rotating-position. Note: If you push the lock on the handle, the window will be locked. There is only one key available in your room to open the window again. Note: All apartments are fitted with a fence in front of the window: it is strictly prohibited to meddle with the fencing.

Smoke detector The apartment is fitted with a smoke detector. cleaning Since these detectors are sensitive to dust and dirt, make sure to carefully clean the detector with a soft brush and a vacuum cleaner. testing You can test if the unit still functions properly by pressing the button until the alarm signal sounds. The alarm will stop after a few seconds. Smoke detector
False alarm The detector is equipped with a “pause-function”. This function is used in case of a false alarm: press the button until the alarm stops. The alarm is now set on mute for 15 minutes. Make sure the cause of the false alarm is resolved within this period. Replace battery Contact the housing officer or the residence assistants when the detector sounds a signal every minute. This signal indicates the battery is almost empty and needs to be replaced. Note: The smoke detectors in the apartments are not connected to a central fire safety system. Intercom The apartments are fitted with an intercom system which enables you to communicate with your visitors and giving them access to the building.

When you receive a call from the entrance you will hear a call signal. Pick up the phone (a). You can communicate with the visitor. When you wish to open the door, press the door opener key (c). Hang up the phone.

Keys You receive one electronic key (tag) for your apartment. Beside your apartment, this key unlocks the main entrance, the bicycle shed and your mailbox. Note: When you did not use your key for 48 hours, you have to activate your key again. Use the online reader near the mailbox between 6.00 am and 6.00 pm. Between 6.00 pm and 6.00 am you have to use the online reader near the entrance of the bicycle shed. When you lose your key, contact SSH Short Stay by phone via 030 25 25 725 in order to reserve a spare key. You can pick up the spare key at the office of the housing officer after presenting a valid ID and paying EUR 15.00. Ventilation Central ventilation The apartments are connected to a centralized, mechanical ventilation. Air discharge The discharge of air is enabled by the self-regulating valves. Make sure no obstacles are blocking the valves. Air supply The windows are fitted with a ventilation grid which can be opened or closed. A sufficient discharge of air is only possible with an unobstructed air supply. Therefore it is essential not to block any gaps (e.g. underneath the doors of the apartment) which enable the supply of air.
