How to plan on-site logistics for a Sports Event
- Is there is an official appointed freight forwarder for the event?
- Venue Inspection – some venues are very tricky to arrange the deliveries and pick-ups, very well trained manpower is needed
- Have you identified the specificity/ complexity of the delivery for this specific event? (Each event is totally different)
- Ask yourself the following:
- Verify if you need to bring your own forklift with authorised driver, crane, side loader etc.
- Does the forklift have to be registered and require a registered number plate due to being driven on a street/in the City during build-up and breakdown?
- Do you need Special Permission to work on evenings, weekends, bank holidays?
- Are there truck mobility restrictions on specific days in the area of the event?
- What equipment can you use- fuel or electric-driven equipment?
- Where can you leave your tanks to re-fuel your forklifts? You might have to apply for permission from the authorities or city responsible
- Is the staff fully equipped with safety jacket, helmets and safety shoes?
- Check the access. Most of the Sports Event Venues only let you enter with your shipment if you have booked a time slot and registered your vehicle/shipment, in some cases also the driver (name, passport etc.)
- Communicate with the organiser – it is of upmost importance that they know the complexity of the delivery
