Embedding & inserting videos in Powerpoint presentations Firstly go to the Insert tab and click on Video.

Then you will have two options:  

To insert a video from the web or from your computer.

A word of warning – think carefully where you will be making this presentation. Will you have guaranteed Internet access? If there is wifi – is it good enough to stream a video? There is nothing worse than planning to liven a presentation up with a video, and then not to be able to play it! If in doubt – our advice is to actually embed an offline copy (see p 4).

Online Video Once clicking on this option, you will then find three options – inserting a video from SharePoint (if you are using this e.g. with Office 365, YouTube or using a video embed code.

Here you paste a video embed code into the box e.g from Vimeo or YouTube, and then click the small arrow to embed the video.

You should then see the video window in your PowerPoint slide. You can move it around to better organise the slide, and in Slide show mode, just click on play slide (or use the F5 shortcut), and this will give you a full screen.

This is what it should look like in Presentation mode. You can make it full screen by hovering the mouse over the video and clicking the full screen button (in the bottom right)

You can also copy a link from YouTube, and paste it into the YouTube box. Simple copy and paste, the click the magnifying glass symbol.

You then have the option to click on the thumbnail image you want displayed when the video is not playing, click the picture then press Insert.

This is what your PowerPoint should look like, as with the embedded video you can move the video around, allowing you to place text around it.

Selecting the From SharePoint will open up a Select file option, where you can select files that you have on a shared drive. It should look like this. Click browse and it will open up.

Then you select a file to insert and this will insert it into your PowerPoint slide.

Video on my PC The alternative option is to insert a video file from your computer, select Video on my PC.

A select file window will then open, where you can navigte through your files and select the appropriate video file on your PC. Once found, select the file and click Insert.

This is what it should look like after inserting – you can resize to fit and add a text box for any explanatory text.

Once you have moved onto this slide – you can click the play button at the bottom left to play the video. Please note that the file size of your PowerPoint presentation with an embedded offline video will be very big. If you are taking to present using someone else’s laptop - it’s always best to save to a memory stick to take with you. 5

Tips for a smooth start…

Click on the video box and you should then see Video Tools and a Playback tab appear

Under the Start option – you can select either for your video to start playing On Click (which really means when you click on the Play button), or alternatively Automatically when you move on to that slide.

You can also opt for the video to Play Full Screen – much easier than having to manually select the full screen option yourself once the video has started playing.
