I hope everyone who celebrated Thanksgiving had a wonderful holiday and now it’s time to prepare for the Christmas Holidays.

This is a very magical time of year. Most are buying gifts, going to Christmas markets, putting up Christmas trees and decorating homes and offices to celebrate this wonderful season. It is a time to reflect over the past year and start preparing for the new year. I hope you are not like me and wait until the last minute - just waiting for the sales to get the gift that no one else bought. LOL

Looking forward to 2025, we have a lot going on. Nominations have been received for board positions and president-elect. It is important that we look closely at the nominations and carefully nominate candidates that will work for you as a member of i-SIGMA. All the present committee members are very dedicated to the organization and are willing to listen to your comments and take your suggestions and concerns to the board. We need members who will continue to do this for you.

Conference registrations are open, and this year’s conference is in the making to be better than ever. We are at the Gaylord in Grapevine, Texas right outside of Dallas. The dates are April 6-9, and the reservation link has been sent out. Early registration is normally the best option due to the room block being sold out early. It also helps with your planning and travel arrangements. Also, don’t forget to register for your CSDS certification. There have been some valuable changes, and the essay portion has been removed. You can still use the prior study guide to prepare. As always, a group of golfers show up early and get in a few rounds of golf prior to the conference, and yes, I will probably be one of them.

I want to take a moment and congratulate all the new and recertified companies on NAID AAA and Privacy + Certification. We are seeing an increase in the number of certifications, which is fantastic. I also want to welcome all the new members. We are seeing an increase in requests for membership. This year during Shred School in Chicago, we had non-members attend and most showed interest in becoming members of i-SIGMA. I believe this speaks volumes of the direction i-SIGMA is headed and the value it provides for our members in expanding and growing their business.

I want to wish all a very happy Holiday Season and a very Merry Christmas. See you in April.

First NAID AAA Certification and PRISM

Privacy+ Certification Awarded in Dominican Republic

i-SIGMA is proud to announce Flashpack Dominicana has been awarded NAID AAA and Privacy+ Certification, making it the first Dominican Republic-based company to do so. Read the full press release from Flashpack Dominicana below:

EL NUEVO DIARIO, SANTO DOMINGO – Flashpack Dominicana highlighted that it received PRISM Privacy+ certifications from the International Secure Information Governance & Management Association (i-SIGMA). This certification validates document storage and digitalization processes, in addition to the NAID AAA certification that endorses secure document destruction operations.

When it comes to service provider qualifications, choose the certification program with strength and integrity.

Audit Quality

On any day of the week, a NAID AAA or PRISM Privacy+ Certified company could be audited. A global network of accredited security consultants conduct biannual scheduled and random audits in the field and at all facilities. Free audit reports are available to clients.

Regulatory A lignment

The program requires written policies and procedures for each company to ensure incident response preparedness, employee training, and regulatory compliance.

Security Specifications

Accredited auditors review employee background screening and training, compliance with written procedures, access controls, operational security, destruction equipment, and confidentiality agreements.

How to Win Them Over

The Competitive Nature of Shredding

In most cities, shredding services are hyper-competitive. Not only do independent shredding companies compete against one another, but you also compete against regional and national service providers. That makes for a turbulent marketplace. Since the shredding company with the strongest online presence usually wins, you need a plan to stand out from the crowd. Fortunately, there are time-proven strategies to promote your business and attract new clientele. By adopting a marketing mindset, you are more likely to succeed in attracting new business. In fact, you could even consider yourself as a digital marketer that just happens to offer shredding as the end product.

Marketing Opportunities in Document Destruction

There is often urgency when people search for a document shredding service. Since many clients have boxes of files just waiting to be destroyed, the first company to give them what they are looking for usually wins the business. But appearing prominently in search results is only half of the battle. Your website must be tailored to convert visitors into paying customers, or people will continue searching. But the bar has raised on client expectations, people are comparing your website to the best experiences they have had online. Don’t disappoint them!

A conversion-friendly homepage or landing page can make all the difference. What’s “conversion-friendly”? That’s the idea of persuading people into action. On a shredding website, the action you want people to take is booking a purge or inquiring about route service.

Fortunately, there’s a long list of techniques you can use such as social proof, trust badges, calls-to-action, and click-to-call functionality. With a few tweaks, you can tip the odds in your favor of winning that next big purge or weekly route customer.

The Value of High-Quality Web Content

Cornerstone Content

An often overlooked, yet simple, optimization strategy is to add highquality written content to your website. Compelling content is helpful for your web visitors as well as being a significant Google ranking factor. Since Google tends to reward content-rich pages, you’ll want to explain every facet of your service offerings in detail. In fact, every service should have its own dedicated webpage. For example, if you offer residential shredding, then be sure to have a residential page with 500-1000 words. Same goes for mobile shredding, plant-based shredding, hard drive destruction, route service, and purge services. These service pages are considered as your “cornerstone content”.

Geographic Content

Since shredders typically service a specific geographic area, then it only makes sense to sprinkle in geographic references throughout your copywriting. This helps Google understand your service area. It also reinforces your community presence to local clientele. If you service multiple towns, then each city should have a standalone landing page. The idea here is that searchers are more likely to stumble across your website if you are clear about which areas you service.

Blog Content

Once your cornerstone content is in place, then consider keeping your website current by publishing regular articles on industry topics. An up-to-date blog demonstrates your commitment to the industry. Think of it from the perspective of a potential client; wouldn’t you rather deal with a shredding company that lives-and-breathes the shredding industry? As an added bonus, blogs provide keyword-rich content for Google to analyze as their “Googlebots” come along to index your site.

Search Engine Optimization (SEO) Fundamentals

To be found on the first page of Google results, pay attention to SEO fundamentals. For example, did you know loading times directly impact your search rankings? Google knows your mobile and desktop loading speeds, and they’ll reward you for a fastloading website. And since people aren’t patient enough to wait around for a slow-loading site, speed is good for your visitors too. (In a Google study, half of people abandon websites that take longer than 3 seconds to load!)

Frustratingly, there’s no single fix that will skyrocket your SEO. It’s about making dozens of small, technical optimizations to stay in Google’s good graces. And to keep you on your toes, SEO is a moving target since Google regularly updates its algorithm.

In recent years, Google has placed a priority on establishing experience, expertise, authority and trust. But how do you do that? A strong backlinking strategy is a good start. Another consideration is favorable user reviews across multiple

channels. And lots of relevant content that actually helps users in their journey (instead of trying to pander to Google). Beyond that, it’s always a good idea to regularly update your website with industry news articles. Even a healthy social media following can make a difference. All of which will help develop and maintain a positive online reputation.

Google Ads for the Shredding Industry

Done correctly, pay-per-click ads are remarkably effective in the shredding industry. People tend to be motivated to get rid of old documents, so they click on the very first search result that crops up. More often that not, the first result is a paid ad (whether the searcher realizes it or not). So even if your website is ranking well organically, you still risk missing potential clicks if you’re not running digital ads.

For digital ads, the “cost-per-click” varies from city to city, depending on competitive influences. Be warned: Google will gladly accept your advertising dollars without question, so it’s up to you to ensure your campaign is performing efficiently. Regardless of your click cost, a persuasive ad can keep your acquisition cost at a minimum. And by tracking your success rate, you can benefit from a profitable pay-per-click campaign.

In Summary

There’s no single marketing activity that will move the needle on its own. That’s why we call it a “marketing mix”. It is about employing a robust marketing strategy across multiple channels. Fortunately, there are many common-sense activities that you can do on your own to boost your online visibility and increase your chances of winning that next shredding customer. Access Individual Training Program–Understanding Your Options

When you become NAID AAA Certified, you are making a statement to your customers that data security is your top priority. This is the cornerstone of NAID AAA Certification, and a major part of keeping your clients’ data protected from unauthorized access is ensuring all access individuals (that is, anyone who has or can grant access to confidential customer media) are properly trained.

Whether you are applying for NAID AAA Certification for the first time, or this is your 20th renewal, you will come across this requirement as you fill out your application, and it is important to understand your options.

i-SIGMA offers three options for this requirement, and while they are all similar, they also differ in important ways, so how do you know which one is right for you? Hopefully, this article can shed some light on this topic.

Option #1:

All Access Individuals have taken and passed the i-SIGMA Access Individual Training Program (AITP). (Submit “Access Individual Training Program Licensing” Form with application.)

This is by far the most common option that members choose. To purchase this training program from i-SIGMA, please sign into your Member Portal and navigate to the store which will bring you to the Online Store under the Documents+ drop-down menu at the top of the page. For a one-time payment of $79.95, members gain unlimited access to the i-SIGMA Access Individual Training Program which includes:

• 34-minute video covering the physical security and operational aspects of the NAID AAA Certification Program

• Test

• Test key (only for use by test administrator—please do not distribute to access employees)

• Documentation to track test scores and to verify completion

This training must be performed and documented annually for all access individuals, and your auditor will ask to see this documentation during an audit to verify that your organization meets the access individual training requirements.

Option #2:

All Access Individuals have taken and passed a third-party training course, which has been pre-approved by i-SIGMA. (Submit i-SIGMA “Access Individual Training Program Approval” (AITP) form with application for approval along with an outline of training, or if approval has already been obtained, submit the approved copy of the form for review.)

Members do have the option to use a third-party training program that has been pre-vetted by i-SIGMA, and these can be found in your Member Portal by selecting Corporate Partners from the Directories drops-down menu. From there you can search the directory; alternatively, you can also download the Buyers’ Guide, where on Page 29 you will find employee training service providers. All you need to do then is fill out the Access Individual Training Program approval form located at the back of the NAID AAA Certification application packet and submit it to the Certification Department at certification@isigmaonline.org, and we will sign it and send it back for you to keep on file. Just like Option 1, this training must be completed annually, and your auditor will check your documentation to verify.

Option #3:

All Access Individuals have taken and passed an in-house training, which has been pre-approved by i-SIGMA. This may be the least common option for this requirement, but it is probably the most often chosen by mistake. It seems that many members believe, if they have purchased the AITP training from i-SIGMA, that this now counts as their in-house training.

In actuality, this option is for members who have developed their own training, or who have found their own third-party training provider. Just as in Option #2, you must submit the AITP approval form to the Certification Department, but you must also submit an outline of the training that shows it meets the following requirements:

1. It must ensure the protection of confidential information.

2. It must protect against reasonably anticipated threats to the security of confidential information.

3. It must protect against unauthorized disclosure of confidential information.

4. It must ensure awareness of access individuals.

Once the Certification Department receives your approval form and reviews your training program outline, we will sign the form and send it back to you to keep in your records.

Choosing the right training program is a crucial decision, but whichever option you choose, it is even more important to practice the concepts of the training every day. One of the most common infractions the Certification Department sees in unannounced audit reports comes from drivers leaving trucks and confidential materials unsecured and unattended while they make their stops for the day. Not only can this incur fines and impact your standing with NAID AAA Certification, but if a data breach occurred as a result of negligence, it could lead to lawsuits, charges, and even the destruction of your entire business.

In life, it’s good to take risks; in data security, however, the only option is to play it safe.

A Security Risk Analysis allows service providers to identify and address vulnerabilities, measure existing controls, and implement practices that minimize the impact of potential cyber threats. Given the rise of increasingly sophisticated attacks, an SRA is not optional but essential. Here’s how your organization can prepare for a practical Security Risk Analysis.

1.Understanding the Scope and Purpose of an SRA

Before starting a Security Risk Analysis, it’s vital to understand its scope and objectives. An SRA aims to identify vulnerabilities and assess potential threats to an organization’s information assets, processes, and systems. The analysis should focus on data handling, storage, disposal, and transfer risks in secure data destruction and RIM services.

At a minimum the scope should cover:

• Digital Assets: Client records, internal databases, and digital repositories.

• Physical Assets: Workstations, storage media, shredders, and secure disposal facilities.

• People: Employees, contractors, and third-party vendors handling data.

• Processes: Data handling procedures, chain of custody protocols, and security controls.

Each area brings specific risks, and a comprehensive SRA will help map out an organization’s entire spectrum of threats. Incorporating these assets into the SRA ensures a thorough understanding of your digital environment and allows for better prioritization of security measures. It’s also beneficial to keep asset inventories regularly updated to reflect changes in technology or operational needs.

2.Assemble a Cross-Functional Team

To prepare for an SRA, bring together a cross-functional team of employees who understand the different facets of your organization. For a successful analysis, the team should include members from:

• Owners & Senior Leadership: To provide strategic oversight and ensure security initiatives align with business objectives.

• In-house or Outsourced IT: To assess technical vulnerabilities and security controls.

• Operations: To ensure alignment with data handling and destruction processes.

• Compliance & Legal: To maintain regulatory adherence.

• Human Resources: To provide insights into employeerelated risks, such as access control.

A diverse team is vital for a Security Risk Assessment (SRA) because it brings diverse perspectives, skills, and knowledge to the process. Cybersecurity risks affect nearly every part of an organization, and each department interacts with digital assets differently.

Identifying threats relevant to the RIM and data destruction industry is a critical preparatory step. Typical threats may include:

• Cyber Attacks: Malware, phishing, ransomware, and denial-of-service (DoS) attacks.

• Insider Threats: Unauthorized access or malicious actions by employees or contractors.

• Data Breaches: Unauthorized access to client information, either digital or physical.

• Physical Security Threats: Theft or tampering with physical media.

• Third-Party Risks: Vulnerabilities arising from vendors or service providers with access to sensitive data.

Each threat must be ranked based on its likelihood of occurrence and potential impact. First, focus on high-priority threats, especially those that could lead to significant financial, operational, or reputational damage.

5.Identify Regulatory and Industry Compliance Requirements

A strong SRA aligns with industry standards and regulations, ensuring your organization meets compliance requirements. Relevant frameworks might include:

• NIST Cybersecurity Framework (CSF): Provides guidelines for managing and reducing cybersecurity risk.

• ISO/IEC 27001: An international standard for information security management.

• COBIT (Control Objectives for Information and Related Technologies): Developed by ISACA for enterprise IT governance and management.

Identifying and adhering to these standards will shape your SRA, ensuring your organization is secure and compliant. Organizations can combine elements from multiple frameworks, tailoring a hybrid approach that fits their unique needs.

6.Evaluate Existing Security Controls

Review your organization’s existing security controls to assess their effectiveness. Key areas to evaluate include:

• Access Control: Are there policies to restrict access to data only to authorized personnel?

• Encryption: Is data encrypted at rest and in transit?

• Incident Response Plans: Does the organization have a formalized incident response plan for potential breaches or cyber incidents? Has that plan been tested by an outside third party?

• Training and Awareness: Are employees trained in cybersecurity best practices?

• Data Destruction Protocols: How is data disposed of, and are methods compliant with industry standards?

By regularly evaluating security controls, RIM service providers can effectively manage risk, maintain compliance, and build a reputation as trusted stewards of sensitive information. This process safeguards their operations and strengthens client relationships and market positioning.

Information Disposition contains everything one needs to know, including policies and templates, to create a state-of-the-art, compliant and secure information destruction program. Before launching into a full-scale SRA, conducting a preliminary risk assessment can be helpful. This will provide a snapshot of existing vulnerabilities and help guide the focus of the SRA. The preliminary assessment should focus on:

• Identifying Immediate Vulnerabilities: Any highrisk vulnerabilities discovered should be addressed immediately.

• Assessing Critical Assets: Identify and evaluate risks to high-value assets.

• Gathering Employee Feedback: Engage employees to understand security pain points or process gaps.

A preliminary SRA helps organizations focus their security efforts, allocate resources effectively, and establish a roadmap for ongoing risk management. It’s an essential step in proactive, strategic cybersecurity planning.

9.Document Processes and Collect Evidence

Documentation is an essential preparatory step in an SRA, as it provides a detailed overview of current practices and can uncover areas of improvement. Essential documentation should include:

• Access Logs: To review who has accessed sensitive data or facilities.

• Network Logs: To analyze potential vulnerabilities in your network infrastructure.

• Incident Reports: To examine past security events and identify patterns.

• Policies and Procedures: Document existing protocols for data handling, access control, and incident response.

Documentation is the backbone of an effective SRA. It provides structure, clarity, and a thorough understanding of the organization’s security environment, enabling assessors to conduct a more accurate, efficient, and insightful assessment. Proper documentation makes the SRA process smoother and lays the groundwork for informed risk management decisions and continuous improvement in security practices.

10. Develop a Risk Management Strategy

Finally, a core part of preparing for an SRA is to outline your organization’s risk management strategy. This should cover:

• Risk Tolerance: Define what level of risk is acceptable to your organization, especially considering the sensitive nature of the data managed.

• Risk Mitigation Techniques: Document techniques to reduce risk, including technical and administrative controls.

• Response and Recovery Plans: Outline steps to respond to and recover from a cyber incident, including how data destruction is handled post-breach.

• Continuous Monitoring: Implement a system for ongoing threat monitoring to keep track of emerging vulnerabilities.

A risk management strategy is vital because it provides a structured, ongoing approach to securing the organization, minimizing potential damage, and fostering a proactive and resilient operational environment. It enables the organization to thrive while navigating risks confidently and responsibly.
