BUYBACK "PLAYBOOK" MAY 2011 OKWU Bookstore To all temporary and full time employees of Oklahoma Wesleyan University Bookstore, AKA Founders Bookstore, AKA OkWU Bookstore, I am very excited to have you working with us for this BuyBack week. Here are some tips on how to survive the week and to keep up that great attitude that keeps our customers coming back. 1. Take time out for yourself. When you are able to get a lunch break, take it. The schedule is set up so that everyone is able to get a rest. 2. Take deep breaths. After the first day, we get tired, and have heard the same Complaints from every customer that comes in. do not take it personally. We need to treat the last customer of the week with the same patience and care that we used with the first customer. 3. Do not rush yourself. When we rush our blood pressure goes up and causes Stress. While we need to take care of the customers in a timely manner, I would much rather you take a little more time with each one of them, Make them feel you care, and go slow therefore making less mistakes than if you were rushing. 4. Have FUN. As you can see from the branding throughout the store, NEEBO Nebraska Book Company, (the corporate name for our store) wants to Get across to the customers that this stressful process of buying and selling Expensive textbooks does not have to be boring or scary. We are there to Help students see that and to make them feel good about the investment They are making in their education. (in the form of textbooks - they really Really ARE an investment that actually bring dividends in the long run) In this packet, you will find instructions that I highly recommend you read. These are general things that you need to be aware of to be able to do your job. This is just an overview of procedures I thought were important for you to know. I will be walking each of you through these steps as well as showing you more things during our *training time*. You will also find the schedule that I complied based on the information you provided. As we are running out of time, either Emily or I will be doing "on-the-job" training with each of you the first time you are scheduled to work during the week, unless you feel you can stop by the store some time this week. BOOK BUYBACK POLICY

Books will be purchased at the discretion of the bookstore’s buyer, and the bookstore does not guarantee the buyback of any book at any time. Books can be brought to the bookstore during operational hours and cash will be given for any books that have value. In some cases, new editions of the textbook will be available, causing the old editions to lose all value. Books in poor condition (ripped or torn, water damage, broken binding, etc.) may not be purchased, or may be offered a lower price. If you wish to sell your book back to us without coming into the store, please email or fax us the following information: • • • •

Author of Book (first author listed if multiple authors) Title of Book Edition ISBN (ten-digit number usually found above barcode on back of book) • -orGo to http://www.okwesleyanbooks.com and enter in your book information. Here, you can get a quote for each book that is good for no more than*30 days.

• You can then mail in your books. Clearly mark the box as BUYBACK and include a copy of the quote. We will process the Buyback and send you a prepaid MasterCard for the amount. *Quoted prices are subject to change based on condition of book, wholesale market value, or other factors, and are subject to change at any time without notification.

From Prism main menu, go to: Purchasing, Buyback, Buy books, or jump 243 Hit the space bar when the red box with 'This terminal is not set-up for buyback' appears When the blue box with 'terminal' pops up, hit the F2 key, and select the bottom selection (line 133) Buyer: your first name, password: also your first name Student ID: last name of whoever is selling you the books Before scanning the books, check the books condition. Check for water/coffee damage, missing pages and excessive writing (highlighting and some writing is fine). If the book is ruined, do not buy the book back. If the damage is minimal, buy the book back for less. Scan the book. Search method needs to be BOOKKEY (B;) or XREF (X;). To see selections, hit the F2 button when the blue search box appears. If there is no barcode, type the ISBN number using the ISBN (I;) or BOOKEY (B;) search method. Once you scan the book or enter the ISBN number, hit the enter key. Follow any prompts (check condition of the book) and look to make sure there are CD's if the title says there should be. The value of the book will then appear. Enter the quantity amount. The default amount is 1. If you need to lessen the price, hit the up arrow, and change the amount. Hit enter when the quantity amount is correct. If there is no value to the book (overstock or old edition), we can buy the book back for $1.00 or $0.50. Any textbook that retails for over $30.00 is a $1.00. Anything less is $0.50. To enter a no-value (NV) book, change the search method to QUICK REF (Q;) and type 1 for a $1.00 book or 50 for a $0.50 book. Put these books to the side and not in the buyback box. If you need to delete a book or NV entry, highlight the entry and hit the F3 button. Type 'Y' to confirm the deletion. When the sale is finished, hit the escape button. A green box will appear. If you are indeed finished, select 'End Transaction'. If you hit escape by mistake, you can go back to the sale by selecting 'Edit Transaction'. At the top left of the screen, look at the transaction amount. You'll need this for the register. At the register, find the red 'BUYBACK' button located on the very top row of buttons. After hitting the button, select 9 - Nebraska Book Company as the purchaser. Type: 201000 as the Item to Buyback. This is a general SKU number for used books. Enter the price from the transaction. When the green box reappears, hit the Esc button. Then the Enter Tender Code appears: hit the cash button Enter the amount. Ex: $36.00 would be 3600 Ask the customer to fill out the BB log Hand the customer their cash - be sure to count it back to them


If doing a BB NOT during BB week: -

The register will prompt you to enter the ½ page receipt paper. Put it in and press the space bar. Ask the customer to fill everything out EXCEPT the ID and Cashier Signature entries. Give the customer the pink copy if they'd like it. Staple the receipt to the white and yellow copy and put in the box.


BUYBACK EXPECTATIONS May 2011 1. DRESS- Adhere to the dress code posted. Close-toed shoes and your nametag are mandatory at all times you are working. You may wear shorts as long as they are appropriate (no gym clothes allowed), and you may wear T-shirts as long as they are campus shirts. Expect to sweat. It's Oklahoma in May, so for heavens sake, wear deodorant! â˜ş You will wear the NEEBO apron. 2. ATTITUDE- You will likely deal with people that are upset about the buyback prices of their books. They may even lash out at you. Do NOT talk back to them. Simply explain that we have no control over the prices of the books, they have a choice of where to sell their books, either here or elsewhere, but we will be here if they change their mind. Be positive and friendly with them. Keep in mind that, like you, they are just as stressed during this week of finals. If a student gets out of line and starts personally attacking you, you can tell them that they've crossed the line, or let me (Jessica) step in. 3. PROCEDURES- Anyone can process the buybacks in PRISM. Only Jessica & Emily can hand out cash. One person is at the computer processing the transaction in PRISM, another person is processing the cash transaction at the register. If there are 3 of us in the store at the same time,* the other "floater" can open Register 2 for non-cash purchases*(Either Emily or Jessica), box up books, straighten shelves, help customers who are shopping, etc.(anyone) -STACK BUY- Do NOT give the students the price of each book unless they ask. Instead, tell them the total amount they will get back. It sounds a lot better to say "you get $25 back" instead of "$2 for this book, $10 for this book, and $13 for this book." -WATCH the screen in PRISM as to which shelf the books go to: Tier 1, Tier 2, and Keep in Store at Guide go one the cart. Nebraska goes into NBC, $1 or $0.50 books go into NV, and Corporate Titles go into CT. It is VERY IMPORTANT to make sure these books go in the correct places. They will fill up several times a day. Don't let books become the Leaning Tower of Pisa. That's how books get mixed up. -BUYBACK COUPONS- are being emailed to the students and distributed in their mailboxes and are valid ONLY for buybacks of $50 OR MORE. DO NOT hand out coupons in the store to students. They have 2 ways and 2 chances in which to get their coupons. It is their responsibility to bring their coupons with them if they want the extra cash back. One per customer per transaction -The customers have a choice of cash or the ULoad MasterCard. It is their choice, regardless of amount. (Uloads have to be more than $5.00) Simply ask which they prefer, and distribute accordingly. We cannot put money on a card We can not do


two tender types unless you split the buyback into 2 separate transactions. I doubt these issues will come up this week, but just in case. -EVERYONE who comes in for a transaction signs the Buyback clipboard. Do NOT have each person fill out an AR receipt. These are necessary for buybacks outside of this week only. -COUNT the cash back to each customer. This is helpful not only for them, but for us to make sure we are giving back the correct amount and our register will balance at the end. 4. FREE STUFF- Yes, we have freebies during Buyback. Draw the customer's attention to the free stuff. It's an easy way to boost morale during a crazy time for us and a stressful time for students. They only get to sign up for the drawing for the free stuff if they fill out a SURVEY 5. SURVEYS- are copied on bright yellow. It's not too early to start getting in surveys for this fiscal year. We only need 50, and if we can get them all done during buyback, that would be GREAT! Since there will be a lot of traffic in the store during that time, let's take advantage of this opportunity to get these surveys done. Enter each survey into the computer via our website 6. TEXTBOOK RESERVATIONS- are copied on bright blue. Ask each student if they have reserved their textbooks for the fall semester. If not, hand them a Reservation Form ask them if they're interested in reserving their books for next fall. If you can get them to complete the Reservation Form in the store- AWESOME! This will potentially help boost our sales for the fall semester as well as help us to know how many books to order for each class. 7. ONLINE RESERVATIONS- Students can go to our website and create an order, pay for it, etc. and pick the shipping option "pick up in store." All they have to do is come to school, stop by the bookstore, and pick up the books. Encourage this option as well so it drives people to the store. "While you are there, please fill out a survey" Okay, I think that covers it! Let's have a great buyback and thanks for you all of your hard work!
