Dynaway optimises maintenance in Greenland Af Leif Lind Simonsen

In a joint-venture with Dynaway, Nukissiorfiit (Greenland’s Energy Supply) implemented an ITdevelopment project that optimizes the maintenance of the supply structure and ensures stable deliveries to the Greenlanders.

Nukissiorfiit is one of Greenland’s largest companies and is responsible for producing and delivering electricity, water and heating to the population in some of the world’s most inaccessible areas. The company has 14 local energy services at its disposal that supply a total of 17 towns and 56 villages at distances of up to 2,200 km. The extreme climate on Greenland means that security of supply is a vital necessity. Nukissiorfiit therefore places a high priority on the maintenance of buildings, production installations and supply network and the company is subject to political demands from Greenland’s Home Rule for reliability of supply. The notion of optimization was introduced after a change in the senior management. “The new management determined that there was a need for optimization in the administration. There should be a better balance between the budget and the maintenance. The result was a far greater degree of integration between the finance department and the technical department.

That created a need for a new IT solution that could increase integration and create synergy across the departments”, explains operations consultant Johnny Bak from Nukissiorfiit, who has been project manager and promoter for the cooperation between Dynaway and Nukissiorfiit. The demand from the management for rationalization and interdisciplinary synergy meant that Johnny Bak and the technical department wanted the company’s Microsoft Dynamics AX-platform expanded to be the company’s common platform. The way is thereby prepared for a cooperation with Dynaway for the development and implementation of Dynaway’s solution “Dynaway EAM”.

SPECIALLY DESIGNED STANDARD SOLUTION

The new times in Nukissiorfiit involved a strategic decision to move away from the cost-heavy special solutions.“We have previously experienced that we are stuck with specially designed software that costs a fortune every time it has to be updated. We have therefore arranged with Dynaway that our special requirements for an adaptation of Dynaway EAM will be incorporated into the standard solution. This has led to a specially designed standard solution that meets our requirements” explains Johnny Bak and is supported by Ulrich Kærgaard, account manager from Dynaway: “Our ambition is to market Dynaway EAM

as a solution with a relatively broad functionality compared to the competition. Since Nukissiorfiit covers several areas of activity, the company has been a really good case for us. The standard solution has for example been expanded with new functions for the administration of building maintenance and a task management system has also been added”, says Ulrich Kærgaard.

KNOWLEDGE GATHERING IS ALFA AND OMEGA

One of the major challenges for Nukissiorfiit is the large turnover of staff, which makes it difficult to retain and transfer knowledge in the company. According to Johnny Bak, the average seniority of a machinist or engineer has been as low as 18 months, so he is looking forward to being able to replace diverse personal spreadsheets distributed throughout the organization with one standardized administration tool that everyone can understand and can transfer to a colleague if necessary.

“We lose a lot of know-how every time an employee leaves the company. Moreover, it is far too expensive for us to pay e.g. a machinist to develop a spreadsheet, but luckily that is over now. The new system gives our documentation work a real boost. It is easier to report to the management and meet the authorities’ requirements for documentation and transparency” says Johnny Bak.

FROM FIRE FIGHTING TO 5-YEAR PLANS

Due to the vast scale and general inaccessibility of Greenland, it is vital for Nukissiorfiit to be able to draw up long-term plans for maintenance. Previously, it was up to the individual project manager to argue for the importance of a maintenance task. This entailed inappropriate prioritizing and cost-heavy ‘fire fighting’. Johnny Bak estimates that fire fighting is generally about 5 times more expensive than preventive maintenance and added to that is the risk that supplies will not be delivered to the residents in the towns and villages. “With Dynaway EAM we acquire an overview, we can prioritize appropriately and, not least, we can plan for the long-term. At the same time, we can avoid sending a mountain of faxes back and forth because now it can all be done digitally. Each task is registered in the system by the individual project manager. When the tasks are assessed and assigned for implementation, they appear on a clear list together with a description, photos, visualizations and whatever else is required to perform the task” explains Johnny Bak. The goal is to implement 5-year maintenance plans that will cover 80% of the overall requirements.

IT-INTEGRATION CREATES SYNERGY

The development cooperation between Dynaway and Nukissiorfiit is now so far advanced that only the usertraining needs to be completed before the new system is fully operational. “We are working with the budget report on the 1st of September as our deadline for implementation and everything seems to indicate that the coming budget can be reported in the new system” says Johnny Bak. “One of the major advantages is that the solution is integrated into the financial system. This allows a smooth exchange of data based on the Microsoft Dynamics AX-platform. For Nukissiorfiit, the IT integration between the finance department and the technical department opens up for the possibility of a whole range of positive synergies, since the two departments in the company are actually interested in a lot of the same data” adds Ulrich Kærgaard. The development cooperation with Nukissiorfiit has recently entailed that Dynaway shall also implement Dynaway EAM at Thule Airbase, where there is a similar need for systematic maintenance of power stations and supply facilities.
