introduction Hello CNH KIWIN’S! Welcome to the District Convention Manual; it’s DCON season! I’m ready to see you and your club at Woodland Hills on April 4-7. This year, our DCON theme is called “CNH KIWIN’S Volume 43: Service Saves the Day! This weekend will leave you excited for the new edition - I can promise you that! Convention Chair Jenna Nguyen, Convention Subcommittees, the CNH KIWIN’S Breaking BEARriers, and the Adult Board have put in an endless amount of time and effort to ensure that everyone will have an unforgettable weekend. We want you to immerse yourself into the KIWIN’S Ohana. Get out of your comfort zone and try new things! Whether it be your first DCON, or your last, I encourage you to attend workshops, meet new people, and cheer your heart out! This three-day weekend will honor you and the service you’ve provided your community. We want to recognize you for all the accomplishments you’ve reached this term. Without your contribution, we would not have been able to raise money or service hours. I hope you’re all ready for DCON because the end of the term is fast approaching with only two months left!!! *surprised pikRegistration achu meme* I am so incredibly proud of our Ohana and the accomplishments we have completed over this year. GatherOpening Session ing together for the final time this term, you will be able to see old and new friends, learn new things, cheer your hearts out, Caucus see amazing people get awards, and so much more. Thank you to the Convention Committee and everyone that has Icebreakers aided me along the way on this VERY bumpy journey planning DCON. I hope you’re all prepared to find the missing gemstones of service at our 43rd Annual District Convention!! With the information in this manual, you will know what to expect on each day, see the tentative schedule, figure out what you can wear, learn how to successfully register for DCON and the hotel, and so much more! As you all prepare for DCON, please make sure that your clubs are working hard and diligently on completing forms and sending in your checks! This year, District Convention will be held in the beautiful Woodland Hills, CA (Turquoise territory!). For the divisions that do not live nearby, I hope you all have a safe and enjoyable trip down to this part of Southern California! club duties SCHOOL PAPERWORK FRONT Depending on your school, you may need to fill out paperwork and get approvals from your administration, faculty advisors, parents, and ASB. CHECK WITH YOUR SCHOOL IMMEDIATELY FOR ANY NECESSARY PAPERWORK AS SOON AS POSSIBLE! Forms can take several months to process so Make sure to allow yourself an ample amount of time! Note: If you are leaving school early to Travel, make sure to get the proper Administration and parent approval.�

chaperone info CLUBS MUST HAVE 1 MALE CHAPERONE FOR EVERY 10 MALE ATTENDEES AND 1 FEMALE CHAPERONE FOR EVERY 10 FEMALE ATTENDEES. A chaperone can be a Kiwanian, parent, faculty member, or legal guardian, as long as they are over 21 years of age and obtain approval from the Sponsoring Kiwanis club and by the school district to supervise members. ALL PARENT, KIWANIAN, AND GUARDIAN CHAPERONES ARE REQUIRED TO USE OUR BACKGROUND CHECK EVERY TWO YEARS. Chaperones who are faculty advisors DO NOT HAVE TO FILL OUT A BACKGROUND CHECK. Chaperones must be registered and paid for too. It is recommended that clubs pay the expenses. **TIP: SHARE CHAPERONES WITH OTHER CLUBS IN ORDER TO SAVE MONEY ON THE COST OF CHAPERONES***


Hotel Attendees and Chaperones MUST stay at the hotel regardless of how far they live from the location. Additionally, advisors and students MAY NOT share rooms if they are not family.

Transportation KIWIN’S members may NOT drive themselves or other members to the convention. Only background checked chaperones are approved to do so. It is important to work with your Lieutenant Governor to arrange the appropriate transportation for your club early so that there are no problems. Buses also must be from the school or a school-approved vendor.

Meals Friday night’s dinner and Saturday morning’s breakfast are NOT covered in the registration price. Lieutenant Governors will be in charge of organizing food for Friday night. You can also work with your advisor to have sack lunches or tell your members to bring their own food. At the Woodland Hills Convention location, there is also a Starbucks that members may go to for Saturday morning’s breakfast. Make sure to have a meal plan so that your members don’t go hungry.�

Collect the following information for your attendees (students AND chaperones): Name, email, t-shirt size, and any dietary needs (vegetarian, vegan, allergies) Any current office held by an attendee (if applicable) ** REMINDER THAT ALL CHAPERONES MUST BE REGISTERED FOR DCON AND PAY FOR REGISTRATION & HOTEL ** Download this excel sheet http://bit.ly/2019kwdconregistration and save the file as your school’s name (ex: 2019 KIWIN’S DCON_La Quinta High School) This MUST be done through MICROSOFT EXCEL. No exceptions. Fill out the excel spreadsheet to list all the convention attendees as well as the required information from each attendee. THIS INCLUDES CHAPERONES! Provide your club contact and indicate the quantities for early or late registrations for all attendees (including chaperones). Upload your registration list (excel spreadsheet) and then click “Submit Form.” Print at least TWO copies of the confirmation email (to be safe). Submit ONE check made payable to “Cal-Nev-Ha KIWIN’S” with a copy of the confirmation page(s), Delegate form, Sergeant-at-Arms Form. Send your check to the CNH Kiwanis DIstrict Office:

hotel registration 1.) Download the DCON Housing List Excel Sheet at http://bit.ly/kiwinshousinglist. Make sure to use a computer that uses Microsoft Excel. Neither Numbers nor Google Sheets can be used. 2.) Fill out the DCON Housing List. Each row is one hotel room. Under columns A and B, write the name of the person in charge of that room. From Columns C through H, write the names of the other members in that room. REMEMBER TO INCLUDE CHAPERONES. Save the file under your school’s name as it says in the directions. 3.) Email the DCON Housing List to lacosta-shearer@warnercentermarriott.com by MARCH 24. 4.) The cost of each hotel room is $322 for the two nights at the hotel. (Ex: If you have four hotel rooms, multiply $322 x 4 = $1288 and that would be your amount for the check. You can either pay by credit card or by check. (We highly suggest paying by check). a.)To pay by CREDIT CARD, download the Credit Card Authorization form on the KIWIN’S website. (kiwins.org > Events > DCON > scroll to the bottom of the page) Carefully read and follow the directions. Fill out the form and fax to the hotel at (818) 887-4800. b.)To pay by CHECK, write out a check to the Warner Center Marriott from your club bank account. Print a copy of your DCON Housing List. Send both the DCON Housing List and the check to the WARNER CENTER MARRIOTT HOTEL (21850 Oxnard St, Woodland Hills, CA 91367). The hotel must receive the check by MARCH 24. We ask chaperones to attend all workshop sessions so that there is adequate supervision at all activities. We are seeking adults to judge scrapbook, oratorical, and essay contests. (Check in at the awards table on Friday night) We invite chaperones to attend the ice cream social on Saturday afternoon. (More details will be in the DCON program)


frequently asked questions Q: How do you cancel a registered member? A: A club may cancel a registered member by emailing bruce@cnhkiwanis.org by February 22nd. There will be a $10 processing fee per cancelled registration. Q: What is the address of the CNH Kiwanis District Office? The hotel? A: District Office - 8360 Red Oak Street, Suite 201, Rancho Cucamonga, CA 91730 Hotel - 21850 Oxnard St, Woodland Hills, CA 91367 Q: Can a club swap members before DCON? A: Clubs may only swap members within the same club by emailing bruce@cnhkiwanis.org with the name of the person dropping out and the name of the new person being added on (along with their new information) before February 22nd. Any last minute swaps may only be due to emergencies, and may only be made with the SAME GENDER AND CLUB. Q: What are the accepted forms of payment for the DCON Registration and the hotel? A: CHECKS are the only accepted form of payment for DCON REGISTRATION. For the hotel rooming payment, CHECK OR CREDIT may be used to pay.
