SWEET CORN FESTIVAL PARKING ASSIGNMENTS

Friday, Saturday & Sunday, August 18-20, 2023

On Saturday and Sunday, August 18 and 19, we will again be responsible for parking at the Sweet Corn Festival This event is one of our major fundraising activities for the year Your cooperation in working your assigned hours is essential for the success of this project .

In the event you are unable to work your assigned time, it is your obligation to trade work assignment times with a fellow Lion or to hire a substitute Substitutes must be 17 years of age or older or approved by your field captain Failure to fulfill your obligation will result in someone else having to cover for you at club expense Please notify your field captain if you trade with someone or hire a substitute

Please report at least 15 minutes in advance of your shift to your shift captain at the Hwy . N Park Entrance . All shift captains, please contact the members on your shift at least 5 days in advance to make sure they know what their responsibility is to the club and to our success at the Sweet Corn Festival

Email Lion Matt Paske at matt@thepaskegroup .com in advance if you need a substitute .

All members will be scheduled to park cars and/or staff entrance/exit gates . Please DO NOT wear your Lions Club shirts .

The world’s largest and most active service club, The International Associations of Lions Clubs, first met on June 17, 1917 in Chicago, Illinois under the leadership of Melvin Jones Since its inception, the Lions Clubs have offered people the opportunity to give something back to their community Today, with more than 45,000 clubs in 206 counties, Lions have expanded their focus to help meet the ever-increasing needs of our global community . From involving members in projects both locally and internationally, Lions Clubs have always embraced those committed to building a brighter future for their community .

The Sun Prairie Lions Club (S P L C ) is part of District 27-D1, Region 3, Zone 1 . The S .P .L .C . was granted its charter by Lions International on September 28, 1933 At the time of its charter, the S .P .L .C . had 25 members .

The EMBLEM is a large letter “L” standing for LawLiberty-Labor-Love-Lions on a circle representing the Lions and Lions Clubs all bound together into one

The COLORS of all Lions are LCI blue, yellow and gray

The SLOGAN of Lions is Liberty, Intelligence, our Nation’s Safety

The MOTTO of all Lions is “WE SERVE” . “We Serve” has been our motto since being adopted by Lions International in 1954 .

In October 2006, Wisconsin Lions Foundation volunteers along with a Council of Governor’s Representative, formed a mission statement Committee and formally adopted this Mission Statement in March 2007:

The Sun Prairie Lions Club promotes this mission statement by implementing the following:

1 Maintaining and increasing membership by encouraging the recruitment of new members .

2 . Building a sense of pride and spirit within our club by supporting and participating in club projects and activities .

3 Maintaining the financial strength of the club and encouraging self sufficiency .

Our theme of reaching, touching and improving lives results in a mission statement that is brief and emotionally powerful . It is the foundation of who and what we are as Lions Club members .

GENERAL INFORMATION

DUES AND MEALS

$260 per year which is billed quarterly in advance Of the total dues, $70 goes to Lions International, State and District for operating expenses . Any member who is sixty days in arrears can be dropped from the Club by action of the Board of Directors . See Page 11 .

ATTENDANCE

Each member is encouraged to attend the regular meetings and participate in Club activities . Members can earn a perfect attendance pin each year Missed meetings can be made up by attending a Board of Directors meeting, other Lions Club meetings, a Lions Convention, a Zone meeting, a committee meeting or work detail, excluding food and bar committee work Made up meetings must be reported to the Secretary by the member to receive attendance credit .

BOARD OF DIRECTORS MEETING

Board meetings are held at the clubhouse on the first Thursday of each month starting at 6:30 p m EXCEPT in December Any changes will be brought to the attention of the membership . All board meetings are open to the membership .

REGULAR MEETINGS

The club meets on the second and fourth Thursday of each month at the clubhouse EXCEPT IN NOVEMBER when we meet only on the second Thursday of the month We do not have membership meetings in December . Our meetings start at 6:45 p .m . Robert’s Rules of Order will be followed and member’s courtesy and respect is appreciated .

MAILING ADDRESS

Our mailing address is P O Box 242, Sun Prairie, WI 53590 . Our Secretary collects the mail .

ENTRY FEES

All entry fees for state golf, bowling, curling and district sporting events will be the responsibility of the participants involved If there is a request for the club Treasurer to write a check for any of the above entry fees, all monies must be prepaid to the Treasurer by the last meeting night prior to when the check is needed . If only a portion of the entry fee is prepaid, the Treasurer will only write a check for the portion that was prepaid .

INSURANCE

The clubhouse and furnishings, and other personal property of the Sun Prairie Lions Club is covered against Risks of Direct Physical Loss (fire, wind, hail, etc .) by an insurance policy purchased by the club

A Comprehensive General Liability policy protects all Lions for loss resulting from personal acts or premises accidents . This policy is provided by the International Association of Lions Club . As members of the Sun Prairie Lions Club, you are included as insured under this policy Volunteer workers are also insured for liability losses incurred while working for Lions projects . The policy provides coverage for sums up to $1,000,000 which our club and/or you as individual Lions members shall become legally obligated to pay for damages to third parties because of Bodily Injury of Property Damage caused by an occurrence arising out of, or in the course of, Lions functions and activities It should be noted that this is a legal liability policy only and does not provide any Medical Payments coverage to Lions members or volunteer workers

Sun Prairie Lions Club does not provide members or volunteers with any type of Accident, Injury or Medical Payments insurance coverage . Any indemnification for injury while participating in any Lions activity must come from your personal health and accident insurance coverage

DISTRICT AND STATE CONVENTION DELEGATES / ZONE MEETING ATTENDANCE

Club members who attend the District or State Convention who register as a delegate and vote are eligible for a $50 expense reimbursement Club members attending a Zone Meeting are eligible for meal reimbursement . Only club members who pay regular membership dues are eligible for reimbursement upon presentation of a receipt

MEMBERSHIP COMMUNICATION

It is important that the Sun Prairie Lions Club safeguard our member’s privacy and assure that our communication to our members will be limited to Sun Prairie Lions business only This communication will take place through designated Club officers only . You may not use, attain, and/or sell any of our members private information (phone #’s, address’s, emails) for any reason, unless that member has given you the authority to do so

CONSTITUTION AND BY-LAWS

The International Constitution and By-Laws were adopted unanimously by the membership on January 8, 1934 to be the official guideline for the Sun Prairie Lions Club A copy of the Lions International Constitution and By-Laws shall be provided to each member of the Board of Directors, the Chairperson of the Constitution and By-Laws Committee, and the Chairperson of the Membership Committee .

BY-LAW CHANGES

Any changes to the Club By-Laws require written notification ten days prior to a vote by the general membership

PRIVILEGED MEMBER

Any member who has been an active Lion for 15 or more years, who, because of illness, infirmities, advanced age or other legitimate reason, as determined by the Board of Directors of this club, must relinquish his/her active status

A privileged member shall pay such dues as the local club may charge Privileged members shall have the right to vote and be entitled to all other privileges of the membership except the right to hold club, district or international office . Privileged members are expected to participate in club and fundraising activities where and/ or when able to do so .

LIFE MEMBER

Any member of the Sun Prairie Lions Club who has maintained such continuous active membership for 15 or more years, and is at least 70 years of age .

Or, any member of the Sun Prairie Lions Club who has maintained continuous active membership as a Lion for 20 or more years, and has rendered outstanding service to their Club, their Community, or their Association may apply for Life Membership

LIFE MEMBER APPLICANT SHALL MEET THE FOLLOWING:

1 Recommendation of the Sun Prairie Board of Directors .

2 . Payment to Lions International of $500 (by the Sun Prairie Lions Club) Note that the Sun Prairie Lions Club shall charge the Life member the $500 dues (one lifetime International dues) .

3 Approval by the International Board of Directors

MEMBER-AT-LARGE GUIDELINES:

BOARD OF DIRECTORS

1 Member-at-Large status will be granted for a six month period normally .

2 . Only two successive periods will be granted to any member .

3 Special consideration for extension beyond the two six-month periods may be given for a member with a health problem .

4 . At the end of the six-month period, the Board of Directors shall notify the member of their decision regarding their status .

5 . Members-at-Large may be granted for three month periods to correspond with the billing periods

6 Requests for Member-at-Large status should be made in writing to the Club Secretary who will bring the request to the Board of Directors for consideration

7 A member may request permission to meet with the Board at a regular meeting .

8 . It will be the member’s responsibility to request consideration of Member-at-Large status at the end of the period for which the special status was granted .

MEMBER-AT-LARGE GUIDELINES: INTERNATIONAL CONSTITUTION AND BY-LAWS

A member of this club who has moved from the community, or because of health or other legitimate reasons, is unable to regularly attend club meetings and desires to retain membership in the club, and upon whom the Board of Directors of this club desire to confer this status This status shall be reviewed each six months by the Board of Directors of this club . A Member-atLarge shall not be eligible to hold office or to vote in District or International meetings or conventions, but shall pay such dues as the local club may charge, which dues shall include District and International dues

ELECTIONS

A nomination meeting shall be held in February of each year with the date and place of meeting set . An election meeting shall be held no later than April 15 of each year Two weeks prior written notice of the election shall be given to each member of the club by mail or personal delivery .

DEPOSIT INTEREST

Interest accrued on the project account must be credited to that account only . Interest accrued on the operating account may be used for any purpose

REGULATIONS FOR CLUBHOUSE USE

Use of the Lions Clubhouse must be scheduled in advance and requires the use of the Club House Rental Agreement . Both can be arranged for and scheduled through Troy Eisenrich at 608-215-0103

The Building and Grounds Committee requests that everyone using the Lions Clubhouse and grounds follow these rules:

1 . The building and grounds areas should be cleaned after use Clubhouse floors swept and mopped, kitchen and bathrooms cleaned, tables and chairs put away and trash removed The exterior of the building should be clean of debris and trash, and litter should be removed from the premise . Place all bagged trash outside in the dumpster provided

2 Damages of any type must be reported to the Lions Club upon return of the key and the cost of any repairs will be assessed to the persons using the facility .

3 . Upon leaving the premises, the power box switches, so indicated, should also be turned off .

4 Campfires must be in the designated area Renters must supply their wood . The same applies to the fireplace .

5 . Failure of any group or person to comply with these simple rules will preclude future use of the facility by that organization or persons .

6 . There shall be NO HUNTING on the grounds of the Sun Prairie Lions Clubhouse

FINANCIAL PROCEDURES

CASH HANDLING PROCEDURES

All cash received for an event or a sub-event must be collected and counted by at least two club members which have been designated by the event chairperson . The counting of cash must take place at the conclusion of each event and the “Cash Handling Form” completed and signed by both of these members .

Cash counters should collect the cash in zippered pouches and remove the cash at regular intervals to another location for counting that is away from event activity

Cash that has been counted should then be placed in a locked pouch and deposited at the bank either during bank business hours or in the off-hours depository . Cash collected should be deposited in the appropriate account at the Club’s bank as soon as possible using the appropriate deposit form

The “Cash Handling Form” and the bank deposit receipt should be provided to the Club Treasurer or their representative at the earliest opportunity so that the Club’s financial and activity records can be updated as soon as possible .

Goods or services purchased by Club members should always be paid via a bill linked to an invoice which identifies the activity or event for which payment is due Checks which are then drawn against a Club checking account to pay these bills can be accurately recorded

When cash is used to pay bills, Club members must use the Club’s “Receipt” form signed by the payee In addition, if cash is used to pay for services and the amount is more than $600, the Club must issue tax form 1099 to the recipient of the cash and the Club must obtain the recipient’s address and social security number or the tax identification number via federal form W-9

INVOICE AND BILL PAYING PROCEDURES

All Club members who purchase goods or services on behalf of the Sun Prairie Lions Club, whether by cash or charge, must obtain an invoice or cash receipt from the business where these items are purchased . This invoice must include information about the event or activity involved .

Invoices and receipts must be provided to the Club Treasurer as soon as possible so that bills submitted by the Club’s business partners as well as Club members can be paid as soon as possible . Submitting invoices or receipts in a timely manner also enables the Club to operate with updated financial records and link invoices to the correct Club event and budgeted item . If a business from which the Club has purchased goods or services does not identify the event or activity on their invoice, Club members should specifically indicate on the invoice or receipt itself what the purchase was for and print their name on the invoice or receipt . Club bills whether paid in cash or charged cannot be paid without an invoice

FOOD COMMITTEE RESPONSIBILITIES

MEETING FOOD CHAIRPERSON:

The Meeting Food Chairperson will receive a reminder call from the 2nd Vice President two weeks prior to the meeting to discuss the following:

1 Open the Clubhouse before the meeting and lock the Clubhouse after the meeting . Ensure that the keys get back into the lockbox at the back door at the end of the night .

2 . Notify all committee members and assign their duties at least five days prior to the meeting

3 Assign someone to pickup all the food and cooking supplies not available at Costco including silverware which are to be at the Clubhouse by 6 p .m . Baked potatoes will be ready for pick up after 5 p m at VFW .

4 . Prepare tables, grill meats, and wait on tables . No meat will be distributed until after the meeting (raw or grilled) .

5 . THE COOKING CREW SHOULD:

• Allow no meat sampling - all meat must be accounted for

• Work with members so that no cooked meat is left over .

• Work with the Treasurer to account for the meat served relative to persons attending

• Provide one meat serving per member, per meeting .

• You must attend the meeting in order to receive your entree

• Leftover meat will be sold each meeting via Wheel of Fun .

6 . When assigned to the food committee and you are unable to work or find a substitute, you will be assigned to another meeting night to fulfill your responsibility

7 Clean-up tables and dispose of garbage in the bags provided . Make sure someone on the committee has provisions for hauling all trash away at the end of the meeting .

8 Provide the following information to the Club Food Chairperson:

• Total meat ordered from inventory .

• Members and guests attending .

9 . Work, help, prep chicken, setup salad table, make sure floor gets washed and be prepared to help out at any times as needed .

10 . Report to the 2nd Vice President any assigned food committee members who do not report for work or who do not have someone work for them .

CLUB FOOD CHAIRPERSON

1 Food coordination for all regular meetings and special events .

2 . Food procurement coordinated with remaining inventories

• Store leftover storables in cabinets at the Clubhouse .

• Take inventory and email order to Costco at least 48 hours in advance Pick up food at Costco at 4:30 p .m . on membership meeting nights .

• Food chair to help prepare chicken to be cut up and placed in tin for the grill

• Report problems to 2nd Vice President

MEETING BAR CHAIRPERSON:

The Meeting Bar Chairperson will receive a reminder call from the 2nd Vice President two weeks prior to the meeting to discuss the following:

1 . Each new member to the club will be assigned to work with the Bar Committee the next meeting after their installation .

2 . Notify all committee members at least five days prior to a meeting

3 . Bar committee members are responsible for getting a replacement if they cannot work their shift .

4 Clean up the bar area - return all liquor and beer to the storage room and wipe down surfaces .

5 . Count and verify proceeds prior to submitting to the Treasurer .

6 Report to the 2nd Vice President any assigned bar committee members who do not show up or have a sub .

CLUBHOUSE BAR CHAIRPERSONBOB BIRKHOLZ:

Bar inventory coordination for all regular meetings and special functions . Sends the bar order to Costco at least 48 hours prior to the meeting or event Procure additional items for the bar as needed from other establishments

MEMBERSHIP COMMITTEE RESPONSIBILITIES

1 . Develop a growth or maintenance program specifically for the club and present it to the Board of Directors for approval

2 . Provide regular encouragement at club meetings to bring in new quality members .

3 . Ensure proper recruitment procedures (i . e . prospective member presented to the Membership Committee by the sponsor; approve prospective member for presentation to the Board of Directors) The Membership Committee Chair and the sponsor for the prospective member should attend a Board

meeting to present the prospective member to the Board of Directors for approval .

4 Prepare and implement orientation sessions

5 Report to the Board of Directors on ways to retain members .

6 . The Membership Committee should coordinate with other club committees in fulfilling these responsibilities .

7 . A member of the Membership Committee will attend the zone level committee meeting

SPONSORSHIP RESPONSIBILITIES

Lions Clubs International is a strong organization with a proud history of accomplishment . At the core of this success are dedicated club members who devote their time and attention to serving their communities To continue to maintain the organization’s record of achievement, we must attract new club members that will carry the Lions commitment to serve into the next century .

Searching out individuals willing to continue the Lions tradition of service and sponsoring them as club members is an important responsibility all Lions share

Sponsoring a new member is more than just a one step process It requires a sponsoring Lion to play several roles:

RECRUITER

New members are the lifeblood of a club . By involving them in our club, you bring in new talent, new ideas and new enthusiasm .

1 . Search out enthusiastic, energetic people who want to make a difference in our community

2 . Share your enthusiasm and knowledge about the Lions organization . Tell them what Lions are doing at the local level and at the national level Show them:

• THE LION magazine articles

• Newspaper coverage of our Club’s activities .

• Projects built/created by our Club to help our community

3 Inquire what activities interest them and highlight Lions efforts in these areas or explain that our club might be interested in pursuing new activities in their area

4 . Offer to answer any questions about our Club, our activities, our policies or seek out a resource person to help with the answers

5 Invite them to an event our Club is sponsoring Make sure you meet them at the entrance . Make them feel welcome and introduce them to other Lions working the event .

6 . Introduce them to the many benefits of membership including meeting new people, networking, building new skills and, of course, the sense of satisfaction that comes from helping others .

7 Receive credit toward a Membership Key Award each time you recruit a new member .

HOST

1 . Making a prospective member feel welcome and wanted can make the difference in their decision to become a member .

2 . Invite them to a club meeting . Offer to accompany them .

3 Make them feel welcome at the meeting Make sure you introduce them to other Lions and seat them next to enthusiastic members .

4 . Ask your club officers ahead of time to make a special effort to welcome the prospective member

5 . Try to get them involved in the meeting discussion . Suggest that they get involved in one of the club activities discussed at the meeting

MENTOR

A sponsor’s responsibilities do not end when a prospect is introduced as a member Helping them grow in our organization means they will have a better chance of staying a member . As a mentor, you should:

1 . Continue introducing them to Lions they have not met, helping them feel like part of the group .

2 . Offer to accompany them to meetings . Stay in touch with new members

3 . Encourage them to express their thoughts and ideas .

4 . Serve as a source of inspiration and advice .

5 . Encourage them to be active and to live up to the Lions motto: We Serve

6 Follow-up with the new member if they become inactive .

FUNERAL HONOR GUARD

Volunteer Lions are encouraged to meet as a group at the funeral home to pay respect to our deceased Lion members . The Honor Guard Chairperson will call each individual Lion on the Honor Guard list and provide the following:

1 The name of the deceased Lion

2 . The funeral home where we will meet .

3 . The date and time of the Lion’s service .

If possible, Lions members should be notified when details about the service are available Remember that this is a Lion memorial service and we should make every effort to attend .
