Summary Polish Cultural Festival Association main activity in the year 2008/2009 was to organise and run first Polish Cultural Festival in Edinburgh. The Annual Report will present the overview of how this event was lead and what outcomes it presented for community and organisers. The first Polish Cultural Festival was held in Edinburgh from the 20th -26th of April. Festival was organized with the aim to promote Polish culture and social diversity as well as to support Polish- Scottish integration and promote social diversity. The main organizer of the events, Polish Cultural Festival Association with the partners, has been working to develop the project since January 2008. The project of the first Polish Cultural Festival was a part of the Polska! Year in UK and partner of the Homecoming Scotland programs of events celebrating the cultural diversity. It was supported by The City of Edinburgh Council and Consulate General of the Republic of Poland as the main funders; together with the Arts and Business, Scottish Arts Council, Wspolnota Polska, Awards for All and Digby Brown. The First Polish Cultural Festival in Edinburgh attracted almost 8000 people who attended events held in venues all over Edinburgh. The Festival was complimented for its very wide-ranging and interesting program, featuring: music, visual art, theater, film and Polish Medieval Market With up to 20 events festival catered for older and younger generation, families, couples and singles, those already interested in Polish culture and for the complete novice. The Festival was received with the great enthusiasm by the audiences, the events were well attended and organizers were encouraged to organiz similar events in the future. During the weeklong celebration we have managed to bring together both Polish (60%) and Scottish (40%) audience with the aim to support further integration of the communities. The lively atmosphere, interesting discussions and happy faces of Polish and Scottish people having fun together were a common sight during the events, and a great reward for the organizers. The Festival also acted as a catalyst of the new ideas. Throught its funding it enabled development and presentation of many interesting art projects. It undoubtedly created a platform where 'Stars-artists' from Poland as well as emerging artists on emigration could present their works Polish Cultural Festival was entirely developed and managed by volunteers. 17 young Polish people have used their experience from different previous projects and adopted them to the new conditions. The Festival also involved further 40 volunteers to support organizations of the events and giving them opportunity to gain new skills and experience and building capacity for the future. Thanks to the project of the Festival the new networks and positive relationships with businesses, venues and funding bodies were created by the organisers to be build on and help in development of the similar events in the future.


Aims and Outcomes of the Polish Cultural Festival Project 'We wanted to promote Polish culture and heritage for wider Scottish audience through cultural activities like Festival' During the Polish Cultural Festival we held almost 20 events including music, visual art, theater, film and Polish Medieval Market. All of these events were showcasing Polish culture and heritage at its best. We have had an audience of almost 8000 people across all events, both Scottish and Polish, enjoying the events in the program. 'We wanted The Festival to support Polish- Scottish integration and promote social diversity through cultural activities' All of the events were promoted to the Polish and Scottish audiences using all known formal and informal networks and channels, and took place in the variety of new and established venues through Edinburgh to enable access of different groups from different parts of the city. We have added the Polish Twist to the popular UK events, to encourage those less adventurous to try something completely new. Great examples of those included: Ceilidh with the Polish Twist and Polish Medieval Market. Those wholly inclusive events created opportunities for Poles and Scots to have fun together and learn more about each other’s cultures. We have also used more traditional ways to support integration such as lectures of famous significant for the community people, such as Mona McLeod and Douglas Hall to encourage people to rediscover historical and cultural links between our countries and cultures 'We wanted the Festival to created a platform to showcase talents of the established and emerging Polish artists' We have created the program of events that included more established artists from Poland and those living and creating in Scotland. 

Concerts of the first class Polish musicians like the Orkiestra of St. Nicolas, Village Kollective ,Jarek Smietana Quartet and the exhibition Letters from home were presenting the art work of the professional Polish artists

The exhibitions: It's my Place and Mirror Reflections presented works of the young Polish visual artists in Scotland, of whom some were presenting for the first time in their lives.

The amazing concert of Aleksander Kudajczyk- the rising star of the Polish classical music, that was discovered and performing in Scotland. The festival has given him a great opportunity to perform for Edinburgh audience.

'The Festival will act as a catalyst of ideas and support not only presentation but also development of the art projects'


Polish Cultural Festival Association used some of its funds to support art projects and stimulate Polish involvement in arts in Scotland. We have commissioned projects such as: Gappad's theater Hear Me and Bajka play for children. Their previews at the festival were received with enthusiasm by the audience and they will be presented in the future.

Some unexpected outcomes of the project 'The Polish Cultural Festival have facilitated inter-cultural discussion and supported further development of the Polish- Scottish cultural exchange' As a part of the Polska Year in UK and partner to the Homecoming Scotland we have contributed to the excellent undertakings celebrating cultural diversity. The Festival provided a perfect backdrop to the act of re-signing of the Krakow- Edinburgh Twin cities agreement, that was celebrated during the Opening Night of the Festival with the performance of the Krakowiacy folk group. We have also facilitated a new partnership between the Lodz Film School and the Screen Academy in Edinburgh, hosting their first joint event Then and Now film screening. 'The Festival to be an opportunity for Polish and Scottish organizations to work together and establish positive relationships' New established links with the venues, businesses and funding bodies like: The City of Edinburgh Council, Scottish Arts Council, Arts and Business, Scottish Parliament, Digby Brown, Northern Light, Filmhouse, Queens Hall, Storytelling Centre and many others will help Polish community in development of cultural and business projects in the future.

'The Festival attracted 40 more volunteers supporting organization of the events' Both sides benefited as more people have worked for the Festival towards its success. Volunteers gained practical skills by being a part of the team, some of them found it relevant to their area of studies they are undertaking at the universities so they have had a good practice with references available. New connections have been established and further cooperation with all these people during future projects is likely to happen. PCFA through the festival created a positive publicity and reached many people interested in Polish culture and heritage wanting to organize similar events in the future. What Happened The Program of the Festival was divided into 6 main sections; Visual Art, Theater, Music and Dance, Medieval Tournament and Market, Film and Lectures. We have created a hard copy program to present the events in more details and promote them individually as well as a part of the festival. See attachment for the programe.

Opening Celebration The official Opening Celebration of the Festival was a chance to show our gratitude to all those, supporting our team in organizing the Festival. The invited guests had a chance to try excellent Polish food, take part in Vodka and Whisky appreciation event, watch amazing Krakowiacy group, performing traditional Polish dances. The highlight of the night was the phenomenal concert by the Orkiestra of St Nicolas featuring traditional Polish music at its best. Polish Cultural Festival was honored by having MSP Michael Russell - Minister for Culture, External Affairs and the Constitution and Mr Alexander Dietkow - Consul General of the Republic of Poland, as guest speakers at the event.


We were also happy to have the regional and local authorities from Poland and Scotland represented by Rt. Hon G.W Grubb - The Lord Provost of the City of Edinburgh Council, Mr Jerzy Kropiwnicki- President of Lodz, Ms Elzbieta Lecznarowicz, and Deputy Mayor of Krakow. Polish Medieval Market Polish Medieval Market was an excellent event for all generation. During the Polish Medieval Market in the Leith Links Park in Edinburgh history became vivid again. Knights combat demonstrations and sword fighting, vendors selling medieval and Polish traditional food, artesian stalls, cookery, alchemy, woodworking demonstrations, combat

Funders and Stakeholders Polish Cultural Festival Association started fundraising for the festival in June 2008 and managed to secure a total of £ 51 000 from commercial sponsors and funding bodies in Poland and Scotland. The Festival total spending came to almost £55 000. The difference of £4000 was covered from the income from the ticket sales. almost 200 events all over UK promoting Polish Culture. Funding received were use to cover cost connected with travel and artistic fees of the artists from Poland Polish Senate and Wspolnota Polska

Positive Relationship funds were given to the PCFA to cover cost related to the development of the Polish Cultural Festival. The offer letter was only sent 1 month before the festival so it was not possible to place their logo on some of the publicity materials.

Consulate General of the Republic of Poland

Positive Relationship. Official patron of the Festival / offered a great support and advice, contacts with businesses. Funding received was used to cover the Venue hire costs and some costs of the marketing materials production.

Organizers and Volunteers The main organisers of the Festival Polish, the Cultural Festival Association, was funded in March 2008 and reorganised in May into Company Limited by Guarantee, with a non for profit aims. This festival has been programmed, fund-raised, organized and staffed entirely by a voluntary network of Polish people, most of whom are under 30 and all of whom worked full-time alongside festival commitments. It's taken a year of hard work to make it to the finish line. The founders and directors of the Festival were: Lidia Krzynowek and Joanna Zawadzka with a team of 15 people involved in the organization of the events. Partners Polish Cultural Festival Association worked closely with Polish organizations in Scotland collaborating to create the successful event. Volunteers Volunteers have significantly contributed to the Festival by providing valuable and widespread support to almost all events. Over 60 people shown an interest of which almost 40 (60%) have undertaken tasks during or before the Festival by distributing promotional materials.Around 20 people had formed core volunteer force, active on the events during Festival time. Both sides benefited as more people have worked for the Festival towards its success. Marketing and PR Selling points used to plan and deliver marketing campaign

Rarity: Polish Cultural Festival was the very first and the biggest cultural event promoting Polish culture in Edinburgh.

Scale: Festival was a unique and spectacular event on a large scale which we intend to make a regular event.

Appeal: Events were planned to satisfy everybody regardless of nationality, age or preferences.

Topicality: Event was organised to familiarise people living in Scotland with unknown for many Polish culture and its heritage and promote active integration.

Need: Our target was to help people understand and know Poles and Polish Culture better which will have its implications in everyone’s live.

Target audience

Festival programme had in offer events and activities to attract different kinds of people of all ages and nationalities, but the main audience were people interested in Polish culture in general, living in Edinburgh and Lothian’s.

Campaign was designed and delivered in two languages Polish and English, however all printed marketing materials (programmes, leaflets, posters) were only available in English to maximise its generality. To deliver campaign we have used variety of ways of reaching people as our target audience was not precisely determined. 

EAE leaflet stands, campaigns used: Capital Commerce, Capital Culture and Capital Retail. Festival programmes were available in the most popular places visited by hundreds of people every day.

Distributed by City Of Edinburgh Council to all their main offices, services for communities, culture and sport venues and health and social care departments

Handed out at events associated with Polish culture before the Festival

Thanks to our cooperation agreement brochures were available at Napier University, Telford Collage, Stevenson Collage and University of Edinburgh

Posters 

Posters were displayed in all festival venues before and during the Festival to promote event to people visiting similar events.

Two diploma works are being prepared by students form Napier University and Stevenson College based on the Festival project. It is an evaluation of the project (Napier Uni) and short documentary film and radio feature (Stevenson College). Polish Cultural Festival Association is also preparing our own short documentary about the festival which will be shown during final festival exhibition (details below).

To get the message across to Polish community we have arranged several media partnerships with Polish media in Poland and Great Britain including: Polish Radio – External Service, Discover Poland, www.edinburgh.com.pl, www.emito.net, Polish Zone, Polorama, Radio Szkocja and many more. Press releases for every individual festival event have been sent to each of them. Series of competitions were organised with tickets to win for each event. We have also organized photographic competition with prizes with one of our media partners www.edinburgh.com.pl. More than one hundred people submitted their photographs from the festival. We are now preparing exhibition featuring award winning photographs, which will be then permanent exhibition in Consulate General of the Republic of Poland.
