Q1: Please provide evidence of your market leadership in the last 12 months. This could, for example, include statistics, new innovation, service standards, personnel development, and or engagement in the local community. We were pioneers in Kent to enrol as Gold members of ‘On The Market’ the 100% agent-owned and agent-controlled new property portal. Promoting only agents with fully-serviced office based sales and lettings planned to rival Rightmove and Zoopla. More than 550 firms have contracted to support Agents’ Mutual as Gold members in their initial offer, between us we have more than 1850 offices. The development funding committed by these firms, totalling over £6M. A focused property search launching on 26th January 2015, the only portal to be endorsed by both NAEA and ARLA. Clifton Button, our MD, has been actively recruiting other local agents as members to help make the launch a success. We have been chosen to partner with Moat Housing and Sevenoaks Council over all of the other local agents on a scheme called “A Home of Your Own” to extend the open market shared ownership scheme. All purchasers through the scheme will be able to buy between 35% - 75% share of any property on the market of their own choosing, up to a maximum of £250,000, in the Sevenoaks district. We are going to agree a formal launch of the above in the first quarter of 2015. This will include joint advertising in the Sevenoaks Council magazine which is delivered to the door of all residents in the Borough which will help build potential vendors’ and purchasers’ confidence knowing that the estate agent they are registering with is familiar with the scheme, enforcing our slogan of ‘we help people move’. This will be our second partnership with Moat after the successful sale of a new build development at The Chase, Longfield, Kent in 2013 and our first collaboration with Sevenoaks Council. This is a pilot scheme that is going to be closely observed by other boroughs within the south east who are looking to mirror the innovative scheme with Moat and other local housing associations. If this is a success and its expanded upon outside of our catchment area we have already suggested in our initial meetings that The Guild potentially may be able to help in being instrumental in finding member agents to joint market the scheme with their local borough councils. We have also started to use a Call Tracking system from Digital Munkey, this is enabling us to track all marketing mediums online and also offline. We can now channel our marketing budgets accordingly. We noticed our appraisals increase through AdWords and it was then that we started an SEO campaign which is to help our website rank higher locally in organic search, by writing new rich content and having it optimised monthly with link building and local blog posts to help our website climb organically. In addition to our regular attendance on local committee groups our sponsorship of local events grows year on year. In 2014 we added another charity and became ‘Friends of Shelby Newstead’ a local charity to help children and families who are affected by serious illness and were sponsors of their Annual Charity Ball held at Brands Hatch, an incredible evening which raised £85,513. As a result of the charity’s support a local family has just finished filming an appearance in an episode of DIY SOS where ‘Friends of Shelby Newstead’ was instrumental in linking the family with the programme to improve a home to make living conditions easier for their seriously ill child. We are also committed to fund raising for ‘Jess’ Happy List ’ which involves a 6yr old local little girl diagnosed with Pancreatic Cancer last summer. This is in addition to our local sponsorship of The Hartley Jazz Picnic for Arthritis Research, The Longfield Festival, The B’Festival, Munchies on the Meadow and numerous fetes and local schools. With our branded balloon races proving most popular with the schools within our catchment area with our name reaching countries as far as France and Italy. Our branded marquee’s raises brand awareness at these events along with adapted sale/sold boards that promote these events on the run up to the day. Our staff all have branded umbrellas which have been used for many years, as these umbrellas proved successful we now give them out to clients upon completion as well as our usual flowers and wine to thank them for their business. We have had working relationship with Lion TV for many years and we continue to be their preferred agent when filming for Homes under the Hammer in North Kent. New episodes have features over the last year, with our brand benefitting from the many daytime re-runs that occur across the BBC throughout the year as well. This continues to be a topic of conversation with clients old and new, with clients ringing the offices and texting personnel to say “You are on TV!”.

Q2: Please outline an outstanding marketing campaign you have conducted, and the outcome secured. As nationally agents have been complaining about the lack of instructions which in turn are key to whether their business is successful or not we have been proactive in looking at areas of the market place where we can offer a unique service above that of our competitors much in the way our Fine & Country brand currently does for our company. Interestingly, we spotted an opportunity at the polar opposite end to our Fine & Country brand in the area of shared equity where few agents operate, due predominantly to the fact that these sales are in majority marketed and sold by the Housing Associations directly. However, this hugely expanding market is becoming under-resourced by the Housing Associations as they find it extremely difficult to operate efficiently to cope with sudden release of housing stock from various developers and the increased demand that places on their personnel with trying to sell it. It is not unknown for new stock to sometimes come from multiple developers at the same time and timescales have to be managed as build processes do not always go to plan. Whilst the housing association personnel are very knowledgeable and competent at dealing with the vetting process of applicants looking to join the shared equity market, our market research found that their marketing and promotion of their sites, especially availability of units, was an extremely frustrating process for an applicant new the shared equity market, who are predominantly first time buyers. We set about a campaign approaching various local Housing Associations offering our services for them to outsource their site marketing and sales and eventually this proved fruitful with Moat Housing. As Moat Housing had a cynical view of agents from their past experiences they believed agents did not understand their criteria for applicants, so to prove them wrong we set about training our relevant staff in the strict qualification process that applicants must meet to qualify for a shared equity home, including part buy, part rent mortgages and soon gained the trust of this Housing Association by our professionalism evidenced by our training process and product knowledge and the quality of our buyer referrals. This initially started with the instruction of one site and successfully marketing and going on to sell the 16 remaining units for them within 2 weeks where previously enquires had dried up and the Housing Association didn’t have the resources at the time to actively promote the site. Our relationship has gone from strength to strength and this has now lead on to Moat Housing being confident to endorse us to Sevenoaks Borough Council to partner with both of them on the “A Home of Your Own” scheme in 2015 as previously mentioned.

Q3: Please outline how you have promoted The Guild brand within your area. At Clifton & Co we reinforce our membership of the Guild with visual reminders within the offices such as window graphics on all entrance doors and membership certificates in our front office displays as well as using The Guild branding on our own literature, stationery and advertising to reflect the pedigree of our own Company, this includes using the Guild logo on all our property brochures and on our DezRez software templates. Our vendor packs comprise of a dual Clifton & Co / Guild branded folder, a bespoke Power of Park Lane leaflet, a bespoke Guild Guide to Successfully Selling and Letting your home, The Guild’s Benefits of using an Independent Estate Agent, the Guild Mortgage Services leaflet / Insurance Voucher and Guild Property/Life Magazines and are used on market appraisals where the advantages of our membership of The Guild network are an integral part of our iPad presentation. All of these leaflets are prominently displayed within our office reception areas. We also utilise The Guild Vendor Letter, which is sent out directly from Park Lane after each market appraisal. Our Guild Magazines are distributed to local companies to be displayed in their public areas such as doctor/dental surgeries, golf clubs etc. Our membership of The Guild is mentioned in our standard letters to clients, and we promote the Park Lane address within our marketing material and on our website as an associated office. Guild Intelligence data is used on market appraisals for presentation to clientele. We actively distribute The Guild “Sold in your Road” mailers which incorporates The Guild brand. Our audio marketing on-hold system at our Dartford Head Office speaks of our benefits of being a member of The Guild of Professional Estate Agents. Last but not least, our Guild Award for 2013 vinyl’s sit prominently in our front windows of our offices endorsing our Guild Membership as well as printed on our staff business cards and on our company email signatures for all personnel.

Q4: Tell us how you cooperate with other Guild Members – perhaps by using The Guild Referrals system to refer applicants and vendors, or how you arranged or been part of a Park Lane Property Exhibition. All our Management Team attend the Guild Regional Meetings and Conferences and we have built relationships with new agents far and wide that were not previously known to us before being Guild members. We have further enhanced our relationships with agents that we did know by introducing them to the Guild and by creating this mutual affiliation we can freely communicate regularly with different Guild agents by the sharing of marketing and good practice ideas. Our Branch Director at the Hartley office lead the way with the launch of The Guild Referral System in the South East and as a result won an iPad for his branch’s efforts. We regularly participate in Park Lane Exhibitions for our Fine & Country stock and plan to utilise this facility for our Core Brand in 2015.

Our branches email the page 750Prior to a market turner version to their databases with a covering email after every publication. 65,000 appraisal our secretaries email the client a page turner version as a point of difference to our ONE competitors. Hard copies of the Magazines are taken on all market appraisals, copies are used when farming property and distributed to local companies to be displayed in their public areas such as doctor/dental surgeries, golf clubs etc. On the whole we don’t know how we would do without them. Q6: What strategies have you undertaken to build your online presence? Having added a social media consultant to our team two years ago to implement a strategic social media campaign via Facebook/twitter & Linked-In we have continued to develop this further, keeping abreast of current social networking trends. We have been using the marketing agency Digital Munkey that focuses on Google search for Estate Agents. Working closely with them we have been positioning our website to target certain areas across all branches. Targeting vendors that may be researching which estate agent to use. Known as AdWords (paid search). We have also spent a lot of time sorting out Google+ pages and to increased our reviews, with the Guild studio having just designed us some customer service satisfaction questionnaires that link directly to our Google+pages this will now enable our clients to post reviews with ease. Google has been increasingly important to our business, as the portals do not support our website and since implementing this initiative we have noticed our appraisals increase through AdWords and it was then that we started an SEO campaign which is to help our website rank higher locally in organic searches, by writing new rich content and having it optimised monthly with link building and local blog posts to help our website climb organically.

Q7: Please outline you’re your staff training and development programme, including both knowledge and skills based on elements. New starters are given a copy of our Company Service Standards, Industry Legislation Manual, Employee Company Handbook and asked to sign The Guild’s Code of Conduct for Residential Sales and Lettings Services. The Guild Associate Scheme has allowed us to have a structured, inhouse training program which ensures that all staff, old or new are compliant and knowledgeable on industry legislation, allowing part-time staff to revise in their own time. Staff, Management and Directors alike have all undertaken The Guild of Professional Estate Agents Associate Scheme and successfully achieved their certification in this standard and will continue to succeed in all new modules that are added. On successful completion a number of our staff have been enrolled onto the Enhanced Training programme through The Guild and this is on-going. As well as The Guild we also use the government funded training programmes with external trainers putting our staff through industry related NVQ’s and Apprenticeship programmes where appropriate. All new staff are booked on the earliest convenient Academy Day and actively encouraged to attend Guild Regional Seminars. This gives an alternative perspective to our own and acts as an excellent refresher for already experienced staff with the ever changing market trends. If any staff member requests to attend a course or seminar relevant to their role we are pleased to cover these costs to further enhance their training and pay for any membership enrolment such as NAEA or ARLA. Regular one to ones ensure that training needs are identified on an ongoing basis. When training needs arise we use the services of external trainers such as Richard Rawlings and Adam J Walker. We believe in sharing knowledge and skills amongst our teams at all levels and in recent months we decided to give ownership of certain training elements to non-management members of our team. By way of examples, we promoted one Branch Secretary to a Group Compliance Secretary, so she not only covers her own role, in which she is highly experienced, she now also takes responsibility for ensuring all compliance measures are met across the offices compiling a compliance check-list and advises and trains our staff in these areas, where applicable. Another Branch Secretary, although new to the team and agency, came from a publishing/typesetting background so her expertise in Photoshop software is currently being shared with other team members to benefit our presentation and content of our property images. A young member of team, with less than a year’s service with us, came from a lettings background and has successfully carried out a market research exercise which is ongoing enabling us to develop our fee structure to the benefit of our lettings business across the Group.

Q8: Please explain how you have developed a coherent communication strategy; this might, for example, cover key messages, channels used, timings , and execution. As social media is becoming an important part of everyday life for the majority of people in the UK we found that increasing our presence through the channels of Facebook and Twitter was key to be able to communicate with those in our local area. Using a company called Agent Media has been a breath of fresh air as they have enabled us to reach those local to us with industry and market information, notably the recent changes in Stamp Duty legislation. Many people often turn to social media to search for valuable information about properties, the industry and also to find out more about our company. By increasing our presence online we are able to communicate to prospective vendors, landlords, purchasers and tenants through a channel they use every day.

In addition, we continue off-line communications in producing a weekly article programme which we have now expanded over several local press publications, which gives a choice of delivery method as we acknowledge that not all of our audience enjoys the digital world. We will continue to host topical open evenings with guests such as local housing associations, planning consultants, architects and solicitors to enhance our services to our clients. Q9: Please outline any other factors you feel would support your submission and why you feel you deserve to win. We maintain that our membership of The Guild is still one of the best business decisions we have made and this is why we have been and continue to be avid supporters of The Guild brand and take on board its initiatives forging strong relationships with The Guild personnel who we liken to an extension to our team. Our offices are owned and run by our Branch Directors who are fully involved in the day to day activities within the branches. They take pride and strive to deliver a professional service to the best of their ability for their clients and genuinely care about raising standards across our industry. Our management team look to The Guild as our unofficial head office for industry related topics, marketing strategies and new innovations and believe that the growth of our business and additional revenue streams is in many ways attributable to our membership of The Guild of Professional Estate Agents. Our professionalism was further endorsed last year by receiving the ‘BEST IN COUNTY’ award for Kent at the prestigious Estate & Letting Agent Awards 2014 (ESTA’s). Our Managing Director, Clifton Button, regularly promotes Guild membership to non-members locally and nationally when attending industry related events and passes leads to Park Lane to which has resulted in several firms joining the network over the years. We regularly share new initiatives with member agents and The Guild and as a result our idea for a national removals service in association with Doree Bonner was taken on board by The Guild to the benefit of the network was launched at last year’s The Guild Conference. Our joint collaboration with Property Logic has resulted in new functionalities to our site which have then gone onto be duplicated to the benefit of other Guild members utilising a Guild / Property Logic website. The Guild Studio has in recent years now become our sole marketing design supplier with our other previous associations being dissolved. After embracing GPEA mortgage services, we have liaised with the team to give some additional ideas as to how the excellent marketing material can be enhanced further for Guild Members. We are informed by L&C that we continue to be one of the Guild’s top list of introducers. Our business plan for 2015 entails expansion with two additional branches, one of which we obtained planning permission for and will be our stand alone Fine & Country office and are in the early stages of building; the other we have acquired a premises for. On summing up, our relationship with The Guild of Professional Estate Agents is more like a business partnership rather than an industry supplier and like all good partnerships we look forward to another successful year with The Guild and many more to follow.
