Document Library Template How to improve the way a document library works by using templates

Step 1, create a new site Content type ”Contoso Docs” 1) Go to the root site of the SharePoint site collection 2) Click on the settings icon at the top of the page and select ”Site settings” 3) Click on the ”Site content types” under the Web Designer Galleries 4) Click Create 5) Enter the name ”Contoso Docs” 6) Select the ”Document Content Types” from the dropdown list 7) Select ”Document” from the dropdown list 8) Select the ”New group” option a) Enter ”Contoso Content Types ” 9) Click OK

Step 2, create a site Content type ”Contoso Spreadsheet” 1) Go to the root site of the SharePoint site collection 2) Click on the settings icon at the top of the page and select ”Site settings” 3) Click on the ”Site content types” under the Web Designer Galleries 4) Click Create 5) Enter the name ”Contoso Spreadsheet” 6) Select the ”Document Content Types” from the dropdown list 7) Select ”Document” from the dropdown list 8) Select the ”Existing group” option a) Select ”Contoso Content Types ” from the dropdown 9) Click OK

Step 3, create a site Content type ”Contoso Presentation”

1) Click ”Site Content Types” 2) Click Create 3) Enter the name ”Contoso Presentation” 4) Select the ”Document Content Types” from the dropdown list 5) Select the ”Document” from the dropdown list 6) Select ”Existing group” option a) Select ”Contoso Content Types ” from the dropdown 7) Click OK 8) Check all the newly created site content types after filtering them through ”Show group” and make sure that they are the right ones

Step 4, create a new Word document template and upload it to the SharePoint Site 1) Click on the ”Contoso Docs” Content Type 2) Click on the ”Advance settings” 3) Select the ”Upload a new document template” option

4) Go to Microsoft Word to create a Word document 5) Go to ”File” 6) Click ”New” 7) Open the ”Blank document” 8) Go to ”Design” 9) Open the Header 10) Type the text: Contoso 11) Go to ”Design” 12) Select ”Themes” 13) Change the Color to ”Median” 14) Change the Fonts to ”Calibri” 15) Go to the ”Theme” 16) Select ”Save Current Theme” 17) Change the ”Theme” name: ContosoTheme 18) Click Save 19) Go to ”File” 20) Click ”Save as” 21) File name: ContosoDoc 22) Click Save 23) Go back to the SharePoint Site 24) Click ”Browse to upload” 25) Open ”ContosoDoc”

26) Click OK

Step 5, create a new Presentation template and upload it to the SharePoint site 1) Go to the ”Content Types” 2) Click on the ”Contoso Docs” Content Type 3) Click on ”Advance settings” 4) Select the ”Upload a new document template” option 5) Go to Microsoft PowerPoint to create a Presentation 6) Go to ”File” 7) Click ”New” 8) Open ”Blank Presentation” 9) Go to ”Theme” 10) Click ”Browse for Theme” 11) Select ”Contoso Theme” (The Contoso theme which was saved in Step 4) 12) Click Apply 13) Go to ”File” 14) Click ”Save as” 15) File name: ContosoPresentation 16) Go to the ”SharePoint Site” 17) Click on ”Browse to upload” 18) Open ”ContosoPresentation” 19) Click OK

Step 6, create a new Excel spreadsheet template and upload it to the SharePoint site 1) Go to the ”Content Types” 2) Click on the ”Contoso Docs” Content Type 3) Click on ”Advance settings” 4) Select the ”Upload a new document template” option 5) Go to Microsoft Excel to create a spreadsheet 6) Go to the ”File” 7) Click ”New” 8) Open ”Blank Workbook” 9) Go to ”Pagelayout” 10) Open ”Themes” 11) Click ”Browse for Theme” 12) Select ”Contoso Theme” (The Contoso theme which has saved in Step 4) 13) Click Open 14) Go to ”File” 15) Click ”Save as” 16) File name: ContosoSpreadsheet 17) Go to the ”SharePoint Site” 18) Click on ”Browse to upload” 19) Open ”ContosoSpreadsheet” 20) Click OK

Step 7, add all the three Content Types to the Document Library

1) Go to the ”Library” tab 2) Click on the ”Library Settings” 3) Select the ”Advanced settings”

4) Click ”Yes” to allow 5) Click OK 6) Click ”Add from existing site content types” 7) Select ”Contoso Content Types” from the dropdown 8) Select all the three Content Types a) Contoso Docs b) Contoso Presentation c) Contoso Spreadsheets

9) Click ”Add” 10) Click OK

Step 8, remove the default “Document” content type

1) Click on the ”Document” default content type 2) Click on “Delete this content type”

3) Click OK to the dialog box

Step 9, save the Document Library app as a template under the name ”Contoso Document library”

1) Go to ”Library” 2) Click on ”Library settings” 3) Click on ”Save document library as template” 4) Enter the file name: Contoso Document library 5) Template name: Contoso Document library 6) Click OK 7) Click OK to the dialog box
