Get Color Coded List Views by Conditional Formatting in SharePoint 2013

Step 1, import an Excel file to a new SharePoint list 1) Open the Excel file Projects.xlsx 2) Go to ”Format as Table” 3) Select a table 4) Click OK to the dialog box 5) Click on the ”Export” button 6) Select the ”Export Table to SharePoint List”

7) Enter a) The URL to your SharePoint site b) Name: Projects 8) Click on Next 9) Click Finish 10) Click on the URL to go to the new SharePoint list

Step 2, create a Standard View of the Projects list 1) Click on the Additional Options 2) Select Create View” 3) Click on the ”Standard View 4) Enter the ”View Name”: Projects List 5) Check for default view

6) Uncheck the box to not display ”Project Description” 7) Enable “Edit (link to edit item)” 8) Select ”1” from the dropdown list

9) Click OK

Step 3, create a new .aspx page and insert a data view pointing to the projects list 1) Open SharePoint Designer 2013 2) Select ”List and libraries” 3) Click on the Refresh icon at the top

4) Click on “Projects” 5) Open the summary view

= 6) Select “Project List” – and edit the HTML code if you want to. If not: 7) Open SharePoint Designer 2010 8) Select ”List and libraries” 9) Go to the ”Site Pages” under the Site Objects 10) Click on the “Page” button to create a new page 11) Select ASPX 12) Rename the page ProjectsView 13) Open the ProjectsView.aspx page 14) Click “Edit file” under the Customization

15) Click “Yes” to the dialog box 16) Open the “Insert” tab at the top 17) Click on “Data View”

18) Select Projects

19) Click on ”Add/Remove Columns” 20) Select and remove the following columns: a) ”Type (icon linked to document)” b) “Community Group” c) “Approved budget” d) “Funding Approbation” e) Funding Recipient 21) Click OK

Step 4, set conditional formatting for the status ”On hold” 1) Put the cursor anywhere in the list 2) Click in “Conditional Formatting” 3)

Select ”Format Row”

Select ”Status” from the dropdown

5)

Enter the ”Value”: On hold

6) Press the ”Set Style” button

Click on “Background”

8) Set the background-color to yellow, #FFFF00

9) Click on the ”Save” icon 10) Click the ”Preview in browser” icon to check the formatting

Step 5, set conditional formatting for the status ”Cancelled” 1) Put the cursor anywhere in the list 2) Click on “Conditional Formatting” 3)

Select ”Format Row”

Select ”Status” from the dropdown

5)

Enter the ”Value”: Cancelled

6)

Click ”Set Style”

7) Click on “Background” 8) Set the the background-color to red: #FF0000 9) Click on the ”Save” icon

Step 6, set conditional formatting for the status ” In Progress” 10) Put the cursor anywhere in the list 11) Click on “Conditional Formatting” 12) Select ”Format Row” 13) Select ”Status” from the dropdown

14) Enter the ”Value”: In Progress 15) Click ”Set Style” 16) Click on “Background” 17) Set the the background-color to green: #00FF00 18) Click on the ”Save” icon

Step 7, embed the new .aspx page into the SharePoint site home page using a page view Web Part

1) Still in SharePoint Designer 2010, click on ”Site Pages”

2) Right click on the ”ProjectView.aspx” 3) Select ”Properties”

4) Right click the URL 5) and select Copy

6) Go to the SharePoint site 7) Remove the ”Get Started” web part a) Select the ”Page” tab b) Click on the ”Edit” button c)

Click on the Tool pane icon

d) Select ”Delete” e) Click OK to the dialog box 8) Go to the ”Insert” tab 9) Click on the ”Web Part” button

10) Select ”Media and Content” 11) Select ”Page Viewer” 12) Click Add

13) Click on the Tool pane icon 14) Select ”Edit Web Part”

15) Paste the URL to

”ProjectView.aspx” that you copied earlier

16) Expand the ”Appearance” section a) Go to the ”Chrome type” dropdown b) Select None

17) Click OK 18) Click Save
